Then check the fit while seated: your feet should be supported, the seat should not press behind your knees, and the chair should be able to approach the desk without its arms hitting the underside. Measurements can rule out obvious mismatches, but they cannot guarantee personal comfort.
1. Measure the clear opening beneath your desk
Desktop width is not the same as chair clearance. Measure the unobstructed opening where the chair and your legs must go, including any restrictions created by drawers, a modesty panel, crossbars, cable trays, or desk supports.
- Width: Measure between the legs or supports at the narrowest point the chair must pass through.
- Height: Measure from the floor to the lowest underside obstruction. Include anything that could hit the chair arms or your thighs.
- Depth: Measure inward from the desk edge at both knee and foot level. A drawer or crossbar may make these clearances different.
OSHA’s workstation guidance gives reference clearances of 20 inches (52 cm) wide, 17 inches (44 cm) deep at knee level, and 24 inches (60 cm) deep at foot level for its Method 1 seated postures and stated accommodation range. These are workspace-clearance figures, not a universal fit guarantee or room-size recommendation. See OSHA’s chair and workstation guidance.
2. Measure the room and route to the desk
Measure the floor area available for the chair, then consider the space needed to pull it away from the desk, turn, and get in or out. If the chair must be carried or rolled through a narrow doorway or passage after assembly, check that route too. There is no universal residential room-clearance figure in the cited guidance: the suitable space depends on the chair, the room layout, and how you need to move.

3. Compare the chair’s specifications with your measurements
Use the manufacturer’s specifications for the exact model, since dimensions and measurement conventions can differ. Compare the chair with both the desk opening and the person who will use it.

OSHA advises that the chair should adjust along with the monitor, keyboard, and desk. Its guidance also recommends trying different chairs before purchase because dimensions alone do not establish adequate support or comfort.

4. Check the fit in a seated position
Once the chair is adjusted, assess the whole desk-and-chair setup rather than relying on a measurement sheet alone:
- Keep your feet flat on the floor or supported by a stable footrest.
- Sit with your back supported by the backrest.
- Check that the seat edge does not press into the backs of your legs. CCOHS suggests roughly 2 inches (5 cm) between the seat edge and calves; this is an adjustment reference, not a required chair dimension. - Make sure the armrests do not hit the desk and force you to sit too far away.
- Check that you can reach your work without leaning forward.
5. Address a mismatch before buying
If the chair fits the desk only when raised
If a high, fixed desk requires you to raise the chair but your feet no longer rest comfortably on the floor, a stable footrest may help support them. WorkSafe Victoria and CCOHS describe foot support as an option when desk height and chair adjustment make it difficult to achieve a supported seated position; it is not necessary for everyone. If the arms or chair cannot clear the desk
Check whether the armrests can be adjusted or removed according to the manufacturer’s instructions. If the chair still cannot move close enough, compare another chair or reconsider the desk arrangement rather than assuming the listed seat dimensions will make the pairing work.
If your fit needs are outside the usual range
WorkSafe Victoria says office chairs are generally designed to fit 90–95% of the adult population, while noting that people outside that range or with special requirements may need specifically suited seating. This is regulator guidance, not a guarantee that a particular model fits any individual. For difficult desk-and-chair fit situations, the guidance recommends considering advice from an ergonomist.
