Adjust an office chair in this order: set the seat height so your feet are supported, fit the backrest to your lower back, position the armrests without lifting your shoulders, then check the chair against the desk and your task. The aim is a comfortable, supported position that lets you move—not one rigid posture that suits everyone.
1. Set seat height and support your feet
Stand in front of the chair and adjust it so the highest point of the horizontal seat is just below your kneecap. Sit down and check that your feet rest flat on the floor. If raising the chair is needed to reach the desk comfortably, use a footrest so both feet remain supported.
Check the seat edge as well as the height. The Canadian Centre for Occupational Health and Safety (CCOHS) recommends space between the edge and the lower legs: about 5 cm (2 inches), roughly the width of a clenched fist. That is a practical clearance check from its office-chair adjustment guidance, confirmed current on 2025-02-04 and last revised 2014-03-10. The edge should not press into the backs of your thighs or knees.
2. Fit the backrest and lumbar support
Adjust the backrest up or down and forward or backward until its support meets the hollow of your lower back. It should feel supportive without creating a pressure point. A backrest that reclines and lets you adjust or lock its tension can accommodate more than one supported seated position.

OSHA’s chair guidance describes a backrest adjustment capability of at least 15 degrees of recline from vertical. Treat this as a feature guideline, not an instruction to hold your body at a particular angle. If your chair has no lumbar support, OSHA notes that a rolled towel or removable back-support cushion can temporarily fill the gap; it is a workaround, not treatment for a condition.
3. Position the armrests for relaxed arms
Sit with your shoulders relaxed and upper arms close to your sides. Bend your elbows to about 90 degrees, the CCOHS setup reference, and adjust the armrests until they just support the lower arms without pushing the elbows upward. Your forearms should rest gently, not bear your weight in a way that tenses your shoulders.

If the lowest armrest setting still raises your elbows, or the armrests stop you from moving close enough to the desk, lower or remove them if possible. CCOHS and OSHA both advise against armrests that cannot be adjusted to fit or that interfere with workstation positioning. Mayo Clinic’s office ergonomics guide likewise describes relaxed shoulders and elbows close to the body.
4. Check the chair against the desk
With the chair set, sit at your normal working position. Your legs should fit beneath the desk and move freely; your arms should reach the work surface without your shoulders lifting. A fixed-height desk can create a conflict: if you must raise the chair to bring your elbows level with the surface, your feet may no longer reach the floor. In that case, support both feet with an adjustable footrest. A footrest helps with foot support, but it cannot solve a desk that blocks legroom.

CCOHS recommends coordinating chair height with the work surface and using an adjustable footrest when needed. Its goal is not a frozen pose: “The workstation should let the worker sit and carry out their duties in comfort while allowing for voluntary changes in the working position.”
5. Adjust tilt and test the setup during the task
If the chair has a seat-tilt adjustment, try a forward or backward tilt and keep the setting that feels comfortable and supported. If the backrest has tension or a lock, set it so you can recline when appropriate rather than forcing yourself to remain rigidly upright. Then do the actual task—typing, reading, or another desk activity—and notice whether you can reach what you need without straining, losing foot support, or being pushed away from the desk.

When adjustment is not enough
A chair’s “ergonomic” label does not guarantee that it fits. CCOHS puts it plainly: “A chair becomes ergonomic only when it specifically suits a worker’s size (body dimensions), their particular workstation, and the tasks that must be performed there.” Its ergonomic-chair guidance describes typical adjustable chairs as accommodating around 90 percent of the population, while noting that people in the shortest and tallest 5% ranges may need custom chairs. These are approximate selection statements on that page, not the results of a current population study.
If the adjustments cannot provide supported feet, a comfortable seat edge, lower-back fit, and workable access to the desk, consider whether the chair or workstation needs to change. When comparing an adjustable office chair, check:

- Whether the seat height and depth can be set without pressure behind the thighs or knees.
- Whether the backrest adjusts vertically and forward/back, and whether its lumbar curve fits without pressure points.
- Whether the armrests support relaxed arms and still let the chair approach the desk.
- Whether the chair can be used at the required desk height with both feet supported, including with a footrest if necessary.
- Whether the chair leaves enough room for your legs and suits the floor and tasks.
CCOHS notes that a fully adjustable chair, or an adjustable chair used with a footrest, can be an option when the desk itself cannot be adjusted. If a setup still causes discomfort or involves individual symptoms, disability, or other specific needs, general chair guidance cannot determine the right configuration; seek an appropriate individual assessment.
