What to Check Before Opening a Credit Account at a New Building Supply Yard

What’s actually slowing this PC down?

A contractor credit account can simplify repeat orders and invoice tracking, but the application may authorize credit inquiries and make an owner or signer responsible for unpaid purchases. Before submitting anything, obtain the yard’s current application, every page of its terms and guaranty, tax forms, and lien language. The written agreement—not a salesperson’s summary—controls, and state law can change how guarantees, taxes, and construction-lien notices work.

Start with the complete application package

Ask the yard to send the current commercial application, credit terms, personal-guaranty pages, tax-certificate instructions, and any job-account or lien-notice forms. Do not assume the form you found online is complete or current. Confirm whether your business should use a commercial account, an individual account, or separate forms for each.

Confirm who may sign

Identify the person authorized to bind the company under its governing documents. Ask whether the yard requires a wet signature, an electronic signature, an officer’s signature, or a board resolution. Keller Supply, for example, requests a complete four-page application, an officer’s wet signature, and trade-supplier references. Westside publishes separate business and personal forms and warns that omissions can delay processing. Those are supplier-specific procedures, not universal requirements.

Check every attachment before submitting

  • All pages of the application and terms, including reverse sides and incorporated policies.
  • Any personal-guaranty, owner-consent, or credit-report authorization page.
  • Resale or exemption certificates, if applicable.
  • Trade-reference details, ownership information, and jobsite information requested for notices.

Have the signer initial or otherwise identify pages if the yard’s process permits it, and keep a complete copy of exactly what was submitted.

What do I need to open a contractor account at a lumber yard?

Most yards will need enough information to identify the business, assess payment risk, apply tax rules, and deliver invoices. The exact list varies, so use this as a preparation checklist rather than a promise of approval.

  • Legal business name, trade name, entity type, address, telephone number, and tax identification details.
  • Names and titles of owners, officers, or other responsible parties requested by the form.
  • Bank and trade references, with permission to contact them where required.
  • Expected purchasing volume, requested credit amount, and the jobs or locations that will be billed.
  • State resale or other exemption certificates when purchases qualify.
  • Accounts-payable email, mailing address, statement recipient, and authorized buyers.

OEM Materials’ application asks for references, tax status, and a certificate when applicable. Keller Supply also asks for applicable state resale certificates. A missing or expired certificate can cause tax to be charged until the account is corrected; ask the yard how it handles corrections and whether certificates must be renewed.

Read the payment terms instead of assuming “net 30”

“Net 30” is incomplete until you know what starts the 30-day period and how invoices are issued. Read the clause that defines the invoice date, due date, statement cycle, late charge, collection costs, and accepted payment methods.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Questions to answer in writing

  • Is payment due 30 days from the invoice date, shipment date, statement date, or another event?
  • Are separate orders invoiced separately, or are they combined on a periodic statement?
  • When are statements sent, and is electronic delivery the default?
  • What late fee, interest, returned-payment fee, attorney-fee provision, or collection charge applies?
  • Can the yard require payment by card, electronic transfer, check, or another method?
  • How must a disputed quantity, price, delivery, or damaged-material claim be reported?

OEM Materials states that individual invoices are due within 30 days. Northwest Building Supplies (NWBS) states that approved accounts are net 30 from the invoice date. Those examples show why the trigger matters: a statement received late does not necessarily move the contractual due date.

Find out how the credit line can change

Ask for the initial limit and the rules for exceeding it. Some agreements let the yard decline an order, require a deposit, or stop release of material when an order would exceed available credit. Others reserve broad discretion to lower, suspend, or close an account.

Review these limit provisions

  • Initial approved amount and whether it includes tax, freight, or unbilled orders.
  • Whether purchase authorization can exceed the stated line before invoices post.
  • Events that permit a reduction, hold, suspension, or closure, such as late payment, returned checks, adverse credit information, or a change in ownership.
  • Whether advance notice is required and how a suspended account can be reinstated.

NWBS reserves discretion to set or change limits and to hold, suspend, or close accounts under specified circumstances. McCoy’s agreement says it may decline purchases or change a limit. Treat these as examples of language to look for, not as a standard industry rule. If a project depends on uninterrupted deliveries, obtain the escalation contact and ask whether a written temporary increase is available.

Will the yard run personal credit?

Separate three issues: a business-credit review, a consumer report about an owner or guarantor, and reporting of your payment history. The signed authorization controls.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Business and consumer reports are different

NWBS describes its process as a business-credit review and says it is not a personal credit check. That does not answer what another supplier may do. McCoy’s agreement permits consumer-report requests for stated purposes and says business-account information may be shared with Dun & Bradstreet or other credit-reporting agencies. Ask the yard:

  • Whose report will be obtained—the entity’s, an owner’s, a guarantor’s, or more than one?
  • Is the inquiry a one-time application check or can it recur for maintenance, renewal, an extension, or collection?
  • Can payment information be reported to commercial or consumer bureaus?
  • How long does the authorization last, and how can it be withdrawn for future activity?

Do not sign a broad authorization on the assumption that “business account” means no personal inquiry. Read the purpose, duration, and parties named in the authorization.

Do I have to sign a personal guarantee?

Not every yard requires one, but a guarantee can make an individual liable even when the account is opened in the company’s name. Treat the guaranty as a separate contract and negotiate its scope before signing.

Check the guaranty’s limits

  • Who is the guarantor and whether more than one person signs.
  • Whether it covers only the initial order or all future purchases, renewals, extensions, interest, collection costs, and attorney fees.
  • Whether liability is capped by dollars, a project, or a time period.
  • When the promise ends and whether revocation affects only future credit.
  • How revocation must be delivered and when it becomes effective.
  • Whether one guarantor can be pursued for the entire balance rather than a proportionate share.

Pennsylvania Building Supply’s form dated April 24, 2025, is an example of a continuing, unlimited guaranty: its text says the requested credit amount does not limit guarantor liability and permits consumer-report use for guarantors. That form must not be treated as a nationwide rule. Have local counsel review any uncapped or continuing promise, especially when the business has multiple owners.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check whether signing for the company creates personal liability

A signature block that says “for the company” does not by itself eliminate individual obligations. Read the operative liability clause, not just the heading above the signature lines.

NWBS’s posted terms state that individuals signing for the company are jointly and severally liable with it and represent that they have authority to bind the company. Joint and several liability can allow the yard to pursue one liable signer for the full amount, subject to applicable law. Confirm whether the agreement contains similar language, whether the signer is also a guarantor, and what proof of authority the yard requires.

Review jobsite, lien, and security-interest language

Construction-material accounts often connect invoices to a project or property. Ask what information the yard needs for notices and what remedies it reserves when invoices remain unpaid.

Project and lien notices

NWBS requires accurate jobsite and property information and identifies possible Washington construction-lien enforcement. Pennsylvania Building Supply’s form includes project-state lien notices. These provisions depend on the project location, transaction, and state law; a Washington clause cannot be presented as a rule for every state. Provide legal owner names, parcel or street details, general contractor information, and notice contacts exactly as requested.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Security interests and UCC filings

OEM Materials’ agreement separately describes a security interest and a UCC financing statement. Determine what collateral the clause covers, when the supplier may file, whether filing costs are added to your balance, and how a filing is released after payment. A security-interest clause is different from a construction lien, and both can have state-specific consequences. Obtain legal advice before accepting language that reaches inventory, receivables, equipment, or all company assets.

Set up billing and account controls before the first order

Many payment problems begin with an account that has no clear owner internally. Ask the yard to confirm the following in writing:

  • Where invoices, credit memos, statements, and past-due notices will be sent.
  • Which employees may place orders, approve will-call releases, or charge deliveries.
  • How job numbers, purchase orders, change orders, and tax categories appear on invoices.
  • How quickly the yard must be told about a pricing, quantity, delivery, or damage dispute.
  • How ownership, legal name, billing address, AP contact, or authorized-buyer changes must be reported.
  • Whether online access has separate user permissions and an audit trail.

NWBS requires prompt written notice of certain account-detail changes. Do not rely on an informal conversation with a counter employee; use the notice method in the agreement and retain proof of delivery.

Compare two or more yards using the documents

When you have options, place the actual applications and terms side by side. A supplier’s advertised discount or delivery benefit matters only after the legal and cash-flow terms work for your business.

Comparison point What to record Why it matters
Due-date trigger Invoice, shipment, statement, or other date Determines when delinquency begins
Billing cadence Per-order invoices or periodic statements Changes reconciliation and cash planning
Fees and remedies Late charges, collection costs, attorney fees, deposits Raises the cost of a dispute or delay
Credit limit Initial amount and change, hold, or closure rights Can affect material release on active jobs
Credit authorization Business report, consumer report, recurring inquiries, data sharing Protects owners from unexpected personal inquiries
Guarantee Cap, covered charges, duration, revocation, joint liability Defines personal exposure
References and certificates Required suppliers, forms, signatures, renewal dates Prevents processing delays and unexpected tax
Lien or security language Project data, notices, collateral, UCC rights May affect property and company assets
Account controls Invoice destination, authorized buyers, dispute process Reduces unauthorized orders and missed invoices

Chicago Lumber publishes claims of 5% to 15% tier discounts, custom pricing at its highest tier, and savings of 10% to 20% for most active contractors. Those are that supplier’s claims, not independent market statistics; verify current pricing and eligibility against your own volume before treating a discount as a benefit.

Use a documented submission process

  1. Request the current packet. Ask for the application, terms, guaranty, tax instructions, and any project-notice forms in one complete set.
  2. Mark the business decisions. Choose the requested limit, billing contacts, authorized buyers, job codes, and whether a guarantee is acceptable.
  3. Resolve unclear clauses. Ask the credit manager—not only a salesperson—to explain due dates, report authorization, limits, remedies, and security language.
  4. Submit supporting records. Include references, certificates, and authority documents in the format requested. Keller Supply’s four-page and wet-signature requirements illustrate why format matters.
  5. Record the processing expectation. Westside publishes an estimate of two to three business days, sometimes up to a week. Treat that as its estimate, not a general approval standard, and plan orders accordingly.
  6. Obtain written approval. NWBS states: “A trade account is opened only after NWBS reviews and approves this credit application.” Do not place credit orders until the yard confirms approval and the effective limit.
  7. Archive the final terms. Save the signed application, approved limit, accepted terms, guaranty, tax certificate, written exceptions, and approval email in the company’s accounting records.

Red flags that deserve a pause

  • The yard cannot provide every page referenced by the signature block.
  • A salesperson promises a cap, waiver, or special due date that does not appear in writing.
  • The form authorizes consumer reports but does not clearly state whose report, for what purpose, or for how long.
  • The guaranty is continuing or unlimited and no one has explained how it can end.
  • The account can be suspended immediately, but there is no stated contact or cure process.
  • Jobsite or owner information is incomplete even though the agreement relies on lien notices.
  • Invoices will go to an unattended mailbox or a person who cannot approve disputes.
  • A UCC or security-interest clause covers assets broader than the business expected.

Pause the application, request written clarification, and obtain advice from a construction or commercial lawyer in the project state when liability, liens, or security interests are material. State law can alter the effect of guarantees, tax exemptions, notice deadlines, and remedies.
