Choose an AI receipt scanner by testing the whole path from a field purchase to the accounting ledger—not by trusting the word “AI.” The right tool lets crews capture receipts quickly, review extracted details, assign accurate job and cost codes, follow the right approval route, and send approved expenses into the accounting system you already use. If crews work without reliable service, offline capture and dependable sync are essential. No independent, comparable accuracy benchmark establishes a most-accurate product, so pilot your finalists with your own receipts and cost structure.

What a construction receipt scanner needs to do

A receipt scanner is useful only when it removes work from the full expense process. Reading a merchant and total is a starting point; the transaction still needs the right project, cost category, approval, and accounting destination. If any of those steps requires staff to re-enter or repair information, the apparent convenience of a quick scan may simply move the work downstream.

Construction expense tools can cover different document and transaction types. A point-of-sale receipt, supplier invoice, purchase order, packing slip, card transaction, and employee reimbursement are not interchangeable. Confirm which documents and workflows the product actually supports before treating it as a fit for your crews. A product that parses invoice PDFs, for example, may not provide the same field receipt-submission process your workers need.

The core workflow

  1. A worker captures a receipt at the point of purchase, using a supported phone or another stated input method.
  2. The system extracts receipt details and presents them for review or correction.
  3. The worker or office assigns the project and applicable cost coding, including any required phase, equipment, or general-ledger fields.
  4. The expense follows the configured approval route, with a record of changes and exceptions.
  5. The approved transaction is matched or reconciled as needed and posted or exported to accounting without duplicate entry.

Ask vendors to demonstrate this sequence using your own project list, cost codes, approval roles, and accounting setup. A photo export is not, by itself, proof of a working ERP integration. The purchase should remain traceable from capture to final posting, including any corrections or exceptions along the way.

Features to prioritize for field teams

Fast, practical capture

Test the submission process with the devices and conditions crews actually have. Find out how many steps are required, which languages are supported, and whether workers can submit a receipt by app, text, or another documented method. If crews also need to submit invoices or packing slips, verify those document types separately; receipt-photo support does not establish broader document processing.

Ask whether the app supports the phones your crews use, and whether submitting an expense requires workers to create and maintain a separate account or install an app. For example, Ramp says field teams can text a photo without downloading an app. Treat that as a vendor-described option and verify the workflow, supported countries, and any requirements for your organization. Ramp

Extraction that people can check

Ask which fields the system reads—such as merchant or supplier, date, total, tax, and line items—and how it handles missing, uncertain, faint, crumpled, or handwritten information. Determine who can inspect and correct suggestions before approval or posting. AI output should be treated as a proposed entry, not a verified accounting record.

For example, Construction Team describes parsing invoice PDFs and mobile photos into supplier, invoice number, date, amount, VAT, and line-item fields, then letting a user review and correct suggestions. Its examples lean toward invoice and site-expense control, so confirm its field receipt-submission workflow and regional tax handling before considering it a direct match for receipt scanning. Construction Team’s product page

Reviewability matters because extraction is only one stage of accuracy. During a demo, ask the vendor to show an uncertain or incomplete field, who is allowed to correct it, and whether that edit is visible later to an approver or accountant. A tool should make it possible to distinguish a clean scan from a guessed value that still needs human confirmation.

Job and cost coding that matches your structure

Job coding is central to the buying decision. Verify that field users can select the right project and cost code and that your required coding dimensions are supported. Depending on your accounting practice, those may include phase, cost type, equipment, overhead, and GL account. Also test whether a single receipt can be split across multiple jobs or categories; this is a material need for shared purchases.

Field Materials describes optional job and cost-code tagging and direct job cost, equipment, and overhead expenses. Vergo describes configurable controls for jobs, cost types, phase codes, equipment codes, and GL accounts. These are vendor-described capabilities, so confirm the exact fields and configuration available in your implementation. Field Materials · Vergo

  • Compact and Lightweight: Both tools are designed to fit into difficult to reach spaces. The 1/4" impact driver has a length of 5.55 in. and weighs just 2.8 lbs, while the 1/2" drill/driver measures only 7.5 in. and weighs 3.6 lbs
  • Both the DEWALT impact driver and electric drill driver feature integrated LED work lights with a convenient 20-second delay, ensuring enhanced visibility in dimly lit or challenging work areas
  • One-Handed Loading - Keep one hand free with a 1/4 in. hex chuck that accepts 1 in. bit tips
  • Power drill cordless with 1/2" single sleeve ratcheting chuck provides tight bit gripping strength, making bit changes faster and more secure

Do not stop at checking that a field exists in a menu. Use examples from your own cost structure: ask a worker to code a purchase to the correct project and phase, then have accounting verify that the resulting fields land where expected. If workers cannot tell which of several similar codes applies, determine whether the product can present the choices clearly or route unclear transactions for office review rather than silently accepting the wrong value.

Offline capture and reliable syncing

Do not infer offline support from a mobile app listing. Ask whether a worker can take and save a receipt with no service, where it is stored, what happens when connectivity returns, how sync failures are shown, and how duplicate submissions are prevented or resolved. Field Materials says its app works offline and syncs after reconnection; FieldLedger says receipt photos can be saved offline and synced when a worker reconnects. Test these vendor-described claims at a site with the connectivity conditions your crews encounter. Field Materials · FieldLedger

Field Materials describes its offline app in these words: “The app works offline too, which is important on job sites with poor cell coverage. Everything syncs up when they get back online.” That is a product statement, not a guarantee about every device or site. In a pilot, capture more than one receipt without service, reconnect, and check that each transaction appears once, retains its image, and reports any sync issue in a way the worker or office can act on.

Approvals, reconciliation, and audit history

Map who may submit, edit, approve, reject, or make a correction—and whether a second approval is possible when policy requires it. Check what the office can see when a transaction is missing a receipt, has questionable coding, or fails to sync. The system should preserve enough history to trace a purchase from capture through coding, approval, reconciliation, and posting.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ramp describes a workflow that captures receipts with job codes and routes expenses through an approval chain. FieldLedger describes matching imported bank statements and exporting to accounting software. Verify how those workflows fit your card, bank, and reimbursement processes rather than assuming all expense types reconcile in the same way. Ramp · FieldLedger

Ask what happens when a receipt cannot be matched to a card charge or statement line, or when the merchant name or amount differs. Find out who resolves that exception and whether the system retains the reason for the final decision. A useful approval trail should let an office reviewer see who submitted the record, what was changed, who approved it, and whether it reached accounting.

Check what “integration” means for your accounting system

An integration can mean anything from a file export to a synchronized connection. Ask for a field-by-field explanation of data movement and the point in the workflow when it occurs. In particular, confirm whether the product imports projects, cost codes, vendors, and budgets; whether approved expenses post back; and whether updates move one way or both ways.

  • Reconciliation: Can the workflow match expenses to card transactions or bank statements, and does it cover the payment methods you use?

Field Materials lists Sage 100 Contractor, Sage 300 CRE, Sage Intacct, Viewpoint Vista, Viewpoint Spectrum, FOUNDATION, Procore, CMiC, QuickBooks Online/Desktop, and Deltek ComputerEase, and describes bidirectional data exchange. For any named connection, ask the vendor to show your actual data moving both ways if bidirectional sync is important. Confirm whether projects and codes are imported before field use, whether approved records are posted automatically or after an export step, and how a changed or inactive code is handled. Also clarify who owns troubleshooting when a transfer fails. Integration fit is about the workflow and its error handling, not just a logo on a compatibility page.

How the documented options differ

The examples below reflect capabilities described on vendor pages, not independent product testing or endorsements. Use them to frame demonstrations, then verify fit against your own requirements.

Option Capabilities described by the vendor What to verify for your team
Field Materials Mobile photo submission; optional job and cost-code tagging; AI reading and coding; approval followed by ERP posting; direct job cost, equipment, and overhead expenses; offline capture and later sync; named construction and accounting integrations. Exact integration version and data fields; offline behavior and sync recovery on your sites; which coding and approval rules are configurable.
Ramp Job and cost-code selection; receipt capture by photo or text; expense details and approval routing; a system recommendation to approve or flag an expense. Card requirements, country and plan availability, accounting connections, and what the approval recommendation does in practice.
FieldLedger Offline receipt-photo capture and sync; vendor, date, and total extraction; project and expense-type assignment; splitting across jobs; bank-statement matching; accounting export. Current plan terms and extraction limits; export format and accounting compatibility; sync behavior and how corrections are handled.
Vergo Credit-card connection for receipt matching; field-facing mobile app; configurable coding controls for jobs, cost types, phase codes, equipment codes, and GL accounts. Supported card and accounting connections; receipt-submission, approval, and posting details; configuration against your cost structure.
Construction Team Invoice PDFs and mobile photos parsed into supplier, number, date, amount, VAT, and line-item fields; review and correction; links to sites, contracts, and partners; payment-status tracking. Regional tax handling and the field receipt-submission workflow, since the page examples emphasize invoices and site expenses.

Some distinctions are about the surrounding workflow, not just scanning. FieldLedger describes assigning project and expense type, splitting purchases across jobs, matching imported bank statements, and exporting to accounting. Vergo highlights connected credit cards and configurable construction coding. Ramp describes receipt capture and approval routing, including a recommendation to approve or flag. Ask each vendor to demonstrate the capabilities that matter to your operation; descriptions from different product pages are not comparable test results.

Compare total cost and plan limits

Do not compare software on a headline monthly price alone. Ask whether the quote changes with the number of users, transactions, AI extractions, cards, integrations, or implementation services. Confirm any scan caps, minimum seats, contract term, support charges, or connector fees in writing. Those details can affect the cost of rolling a tool out across both field crews and accounting.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

FieldLedger’s page lists 30 monthly AI extractions for a free solo tier, $9.99 per month for Solo Pro, and $49 per month plus $8 per user for Corporate. These are vendor-published plan terms, not a market benchmark; pricing and limits can change. Check the current terms directly and confirm whether the plan accommodates your expected volume, user count, and accounting export needs before using these figures in a purchase comparison. FieldLedger pricing and product details

Vendor pages also make performance claims that should not be confused with independent outcomes. Field Materials’ page claims “90% less time chasing paperwork and coding expenses” and “3x faster to close the month,” but the cited page excerpt does not provide a methodology, sample, or year for those figures. Do not use them as expected savings or as comparable evidence of accuracy. Field Materials

Run a pilot that reflects real construction purchases

A bounded pilot is more useful than a generic demo because it tests extraction, coding, approvals, and accounting handoff together. Select a small group of field users and accounting reviewers, configure a representative cost structure, and use real receipts under an agreed process. Record the starting point so you can compare the pilot workflow with the current one.

Compare at least two genuine options using the same kinds of receipts, users, cost codes, and accounting setup. Agree on the pilot period, who will review each submission, and what counts as a correction, a missing receipt, a reconciliation exception, or a successful posting. These controls make the comparison more useful than an informal impression after a demonstration.

Include difficult and ordinary transactions

  • Routine supplier purchases with clear printed receipts.
  • Faint, crumpled, or otherwise hard-to-read thermal receipts.
  • Itemized material purchases where line items matter.
  • Receipts with handwritten job or equipment references.
  • A purchase that must be divided across multiple jobs or categories.
  • Expenses made where service is poor, including capture offline and later synchronization.

Use examples that test the specific boundaries of your workflow. If workers pay in different ways, include the card, bank, or reimbursement cases that the selected product claims to handle. If a receipt needs office correction, have a reviewer make that change and follow it through approval and posting. A successful image upload alone does not establish that the whole expense process worked.

Measure the work, not just whether a scan succeeds

Track the correction rate for extracted fields, receipts still missing after the purchase, elapsed time from purchase to submission, coding changes made by accounting, reconciliation exceptions, and the number of transactions that reach accounting without duplicate entry. These are practical pilot measures, not published industry benchmarks. Agree in advance which fields count as errors and who will record corrections so the results are comparable across finalists.

Also note where staff time moves. A fast field submission can still create work for an office reviewer if codes are routinely wrong or if reconciliation requires manual matching. Conversely, a workflow with a deliberate review step may be preferable to automatic posting when it helps catch uncertain or incomplete data. Use the pilot to identify which handoffs actually need human attention.

Set decision gates before rollout

Define minimum acceptable results for your own operation: for example, required coding fields populated, no unresolved sync failures, approval history available, and a tested accounting handoff. The thresholds should reflect the cost of mistakes in your workflows; there is no independent cross-product accuracy score in the cited vendor material that can substitute for those criteria.

Do not let a vendor accuracy claim stand in for a common test. The reviewed sources provide product descriptions, not independent, comparable extraction-accuracy benchmarks or audited comparative savings evidence. If you need a ranking on accuracy or savings, request a transparent methodology or run a disclosed pilot with the same receipts and accounting configuration for each finalist.

Questions to ask in a vendor demonstration

  • Can you show a crew member capturing a receipt, reviewing extracted fields, selecting a project and cost code, and submitting it for approval?
  • Can office staff correct a field, see who changed it, and identify an expense that needs follow-up?
  • What happens if a receipt is photographed offline, the app closes, or synchronization fails after reconnecting?
  • Can the workflow split one receipt across jobs, cost types, phases, equipment, or GL accounts as needed?
  • Which approval roles and additional approvers can be configured, and what is retained in the audit history?
  • Which exact accounting and ERP versions are supported, what data moves in each direction, and when does it sync?
  • How are card transactions or bank statements matched, and what happens when an amount or merchant does not match?
  • Does pricing depend on users, transactions, extraction volume, cards, integrations, or implementation? Are any limits or fees separate?
  • What receipt, invoice, purchase-order, or packing-slip types are supported, and are these handled in the same workflow or separate modules?
  • Which devices and languages are supported, and what onboarding or support is available for field crews and accounting?

Make the choice based on workflow fit

Shortlist only products that can demonstrate your must-have field capture, review and correction, job-cost coding, approval, offline behavior if needed, and accounting handoff. Then compare them using the same receipt set and the same definitions of correction, exception, and successful posting. The best choice is the one your crews can use consistently and your accounting team can reconcile without rebuilding the expense process around it.

Frequently Asked Questions

What features should I look for in a construction expense management app?

Prioritize mobile receipt capture, reviewable extraction, job and cost coding, approval routing, and a verified connection to your accounting or construction ERP. Check offline capture if crews lose service, and verify how approved expenses are reconciled and posted. The right feature set depends on your cost structure and the documents your teams need to submit.

Can field crews scan receipts without cell service?

Some vendors describe offline capture and later sync, including Field Materials and FieldLedger. Ask where images are stored, how sync failures are shown, and what happens to duplicate submissions after reconnecting. Test the workflow on a site with poor coverage rather than relying on a product-page claim.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can AI receipt scanning assign a receipt to a job and cost code?

Some construction expense tools describe job and cost-code tagging or configurable coding controls, but verify which fields are supported in your implementation. Test project, phase, equipment, cost type, and GL coding as applicable. Treat extracted or recommended values as suggestions for a person to review, not guaranteed correct accounting data.

Which construction expense apps connect to my accounting system?

Field Materials lists integrations including Sage 100 Contractor, Sage 300 CRE, Sage Intacct, Viewpoint Vista and Spectrum, FOUNDATION, Procore, CMiC, QuickBooks Online and Desktop, and Deltek ComputerEase. That list does not confirm your exact version or workflow. Ask each vendor what data imports, what posts back, whether sync is one-way or bidirectional, and how errors are handled.

How should I test receipt-scanning accuracy before rollout?

Run a bounded pilot with ordinary receipts, faint or crumpled thermal receipts, itemized purchases, handwritten references, split-job purchases, and receipts captured offline. Track field corrections, missing receipts, submission time, accounting coding changes, reconciliation exceptions, and duplicate entry. These are practical measures, not published industry benchmarks.

Can the system split one receipt across multiple jobs?

Some vendors, including FieldLedger, describe splitting a purchase across jobs. Confirm whether the tool can split the expense across the specific jobs or categories your accounting process requires, and test how the resulting coding reaches your accounting system.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Bottom Line

Choose the workflow, not the AI label. Compare at least two products using the same real construction receipts, cost structure, field conditions, approvals, and accounting connection. Confirm current pricing and integration details, and do not accept vendor claims as independent performance benchmarks. A good fit makes it easy for crews to submit expenses and gives accounting a traceable, correctly coded path to the ledger.
