Designing the AI-Enabled Law Office: More Privacy, Better Mentoring, Flexible Space

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

AI is likely to change a law office less by eliminating offices than by changing what people do in them. Madeline Dunsmore, Senior Workplace Strategist at SmithGroup, argues that tools able to analyze, summarize and cross-reference legal text could reduce some solitary document work and increase the value of mentoring, strategy conversations and client relationships. That forecast points to a design response: retain confidential places for focused legal work, while making collaboration, coaching, video meetings and recovery easier.

The evidence behind this argument is a design perspective published by Building Design + Construction on Aug. 27, 2025, with a corresponding SmithGroup version dated Aug. 18, 2025. It contains qualitative proposals rather than measured results, adoption statistics or a tested workplace model. The practical question is therefore not “What is the one correct AI office?” but “How can a firm make privacy, concentration, connection and distributed teamwork work together?”

What AI changes in a law-office brief

Dunsmore’s starting point is a shift in the balance of legal work. If AI can handle more analysis, summaries and precedent cross-referencing, attorneys may spend relatively less time alone with documents and relatively more time explaining judgment, developing strategy, mentoring colleagues and maintaining client relationships. She presents this as an expectation, not proof that every firm is already experiencing the change.

That distinction matters for construction decisions. A firm should not remove private rooms or build a speculative technology showcase on the assumption that software will transform work overnight. Instead, the brief should preserve functions that are certain—confidential conversations, concentration, secure records and client trust—while making the workplace adaptable if work patterns do change.

“Thoughtful planning early in the process can help to mitigate the isolation and stress commonly felt by those in the legal profession, transforming it into a shared experience supported by the design of the workspace and the structure of the firm.”

—Madeline Dunsmore, Senior Workplace Strategist at SmithGroup

Her framing also asks two useful planning questions: “How will the office keep up?” and “How will current space typologies evolve to support AI-enabled legal excellence?” The answers should be developed with attorneys, support staff, IT, records managers and clients rather than inferred from an AI vendor’s feature list.

Keep the private office, but change what it is for

The private office is expected to evolve, not disappear. Privacy remains necessary in legal practice, yet an office designed mainly around file storage and solitary document work may no longer serve the whole day. Dunsmore proposes giving more priority to connection, mentorship, respite and recharging.

Reduce storage pressure without sacrificing confidentiality

Start by separating physical-record requirements from the assumption that every office needs extensive built-in shelving. Confirm retention rules, active-file volumes, secure disposal procedures and the location of centralized records before reducing storage. Freed wall area can support a small meeting setting, a more comfortable visitor position or a clear camera background. Any change must still protect privileged material from sight and sound.

Make one room support several modes

A useful attorney office can shift from heads-down work to a confidential conversation, a coaching session or a short client meeting. Provide a work surface that does not force a guest into the attorney’s primary chair, power and data where people actually sit, controllable lighting, and a door and wall assembly appropriate to the required level of speech privacy. Furniture should be movable enough to change the arrangement without a construction project, but stable enough to feel professional.

Design for recovery as well as output

Respite is not a decorative add-on. A small, comfortable seat, controllable glare and a visual break from screens can make an office usable between demanding conversations. The design should offer a place to pause without turning a circulation route or a client-facing lounge into an accidental private room.

Make every attorney office video-call ready

Video work is a design requirement, not an afterthought. Dunsmore identifies three basic considerations: lighting, acoustics and camera angles. A room can look polished in person and still produce distracting echo, backlight or an unflattering low camera view.

Lighting

  • Place the primary light source in front of, or slightly to the side of, the speaker rather than directly behind them.
  • Provide controllable layers so daylight, overhead fixtures and task lighting can be balanced for different times of day.
  • Check the view from the actual camera position; a bright window or reflective glass behind the attorney can overwhelm the image.

Acoustics

Control reverberation inside the room and speech leakage through the door, ceiling and partitions. Select wall, ceiling and floor finishes as a coordinated assembly; adding a decorative absorber to an otherwise leaky room will not create confidentiality. If a firm considers office acoustic panels, treat them as one possible component of an acoustical design, not as a tested or endorsed product recommendation from the source article.

Camera position and guest seating

Set the camera at a natural eye level with enough depth behind the speaker to avoid a cramped image. Dunsmore suggests allowing one or two guests to join an attorney in the office while remaining off camera for mentoring. That requires a second seating position, sightline testing and a simple way to see the call without forcing every participant into the frame. Confirm microphone pickup and display placement before walls and power locations are finalized.

Add flexible privacy and concentration controls

The source describes several possible features, all prospective rather than established standards. A firm can evaluate them as options against cost, maintenance, accessibility and security requirements.

Temporary concentration mode

A visible signal—such as a door indicator, booking status or lighting scene—can tell colleagues that an attorney is in a protected focus period. The signal should communicate availability without revealing the subject of the work. It works best when the firm also agrees on when interruptions are permitted.

Switchable privacy glass

Glass that becomes opaque on demand could preserve daylight and visibility while allowing a confidential conversation. Specify fail-safe behavior, manual override, cleaning requirements and what happens during a power or controls failure. The glass does not replace speech privacy in the wall and door assembly.

Customizable lighting and voice-responsive controls

Personal lighting scenes may help an attorney move between reading, conversation and video calls. Voice-responsive technology could make settings easier to change, but the brief should address microphones, data handling, accidental activation and an accessible non-voice control. These ideas should be piloted only where the operational benefit justifies the added systems complexity.

Build a broader portfolio of shared spaces

If more legal value comes from discussion and coaching, a corridor of identical offices is an incomplete workplace. Dunsmore calls for a mix that supports different group sizes and levels of formality.

Huddle rooms

Small rooms support quick matter reviews, hybrid calls and confidential conversations that should not occur at an open desk. Place enough of them near work neighborhoods to avoid long searches, while maintaining acoustic separation.

Mock-courtrooms

A mock-courtroom can support trial preparation, moot exercises, witness practice and presentation rehearsal. Its size, sightlines and technology should be based on the firm’s actual practice mix; it should not become an expensive ceremonial room that sits unused.

Strategy-development rooms

These rooms need writable surfaces, pin-up or digital collaboration capability and furniture that can be rearranged as a matter team grows. Provide secure storage for active work so a strategy session can pause without leaving privileged information exposed.

Social hubs and collision areas

Social hubs give colleagues a legitimate place to meet informally. “Collision areas” are locations where spontaneous interaction is possible. They should be placed along natural routes, with enough acoustic control that an unplanned conversation does not disrupt nearby concentration or disclose client information.

A balanced plan does not force every interaction into an open plan. It gives people a choice among a private office, a bookable room, a project setting and a social setting, with clear expectations for confidentiality in each.

Design for teams that move between offices

Specialized legal expertise may require attorneys to travel between offices. Dunsmore’s answer combines in-person contact with virtual collaboration technologies that keep teams coordinated between visits.

  • Use consistent room controls, displays and connection procedures across locations so a visiting attorney does not relearn the system.
  • Provide dependable rooms for confidential hybrid meetings rather than expecting sensitive conversations to happen from a café or open lounge.
  • Give distributed teams shared digital work surfaces and clear ownership of meeting materials, with permissions appropriate to privileged information.
  • Plan touchdown workpoints and secure storage for attorneys who are present only part of the week.

The objective is continuity: a matter team should be able to move from an in-person workshop to a virtual follow-up without changing its basic collaboration pattern.

Compare layout approaches by the trade-offs that matter

The source does not rank completed designs or name a preferred product. The following comparison translates its stated tensions into a planning tool; it is not a tested performance ranking.

Approach Confidential privacy versus mentoring visibility Individual concentration versus shared collaboration Standardization versus personalization In-person capacity versus distributed-team support
Mostly private offices Strong confidentiality; mentoring depends on inviting people into individual rooms Strong concentration; fewer spontaneous group settings Usually standardized, with limited room for personal controls Works for local teams; hybrid quality depends on retrofitted technology
Open or bench-heavy plan High visibility but weak default speech privacy Easy informal contact; focused work requires enclosed alternatives Efficient to standardize; personal control can be limited Can support shared presence, but confidential hybrid calls need dedicated rooms
Mixed neighborhood model Combines enclosed offices and rooms with visible shared areas Offers focus rooms, project rooms and social settings Shared infrastructure can be standardized while lighting and booking are adjustable Supports local and remote work when room technology is consistent

For most firms, the decision is not a binary choice between private and open. It is a question of how many enclosed rooms, what degree of acoustic separation and which shared settings are justified by the work.

A step-by-step process for an AI-ready law-office project

  1. Map work, not job titles. Document confidential conversations, concentrated reading, mentoring, client meetings, team strategy, court preparation and remote participation. Note where each activity happens now and what fails.
  2. Set non-negotiables. Establish privilege and records requirements, accessibility, security, technology standards, visitor control, business continuity and the level of speech privacy needed for each room type.
  3. Test the future scenario. Ask practice leaders how a reduction in routine document handling would change their week. Treat answers as scenarios, not forecasts, and retain enough private capacity if the change does not occur.
  4. Create a room-and-settings matrix. For every space, record occupancy, privacy, acoustic target, lighting control, camera position, display needs, booking method, storage and reset responsibility.
  5. Prototype before construction. Mock up an attorney office, a huddle room and a strategy room at full scale. Test a real video call, two-person mentoring, a confidential conversation and a distributed-team meeting at the furniture and camera positions proposed.
  6. Commission the controls. Verify lighting scenes, privacy glass, room-booking status, microphones, displays and failover behavior. Train attorneys and support teams on when to use focus mode, how to report faults and where confidential hybrid meetings belong.
  7. Review after occupancy. Gather structured feedback about interruptions, room availability, acoustic problems, video quality, mentoring and travel between offices. Adjust policies, furniture and settings before assuming that a physical rebuild is necessary.

Common mistakes and how to avoid them

  • Removing private rooms because AI is expected to save time. Preserve confidentiality and concentration; make rooms more versatile instead.
  • Treating video as an IT-only issue. Camera sightlines, glare, reverberation and guest seating are architectural and furniture decisions.
  • Buying smart features without operating rules. Every sensor, voice control or switchable surface needs ownership, privacy review, manual fallback and maintenance.
  • Creating an open social area beside focused work. Separate circulation and informal conversation from rooms where attorneys need concentration or confidential speech.
  • Designing one flagship collaboration room. Distributed teams need a dependable network of appropriately sized rooms, not a single showcase space.
  • Assuming a forecast is a measurement. Dunsmore’s article offers a design expectation, not empirical proof of productivity, revenue, wellbeing or AI adoption. Use pilots and post-occupancy evidence from the firm’s own work.

What to put in the construction and technology brief

A concise brief should state the intended behavior of each space, not merely its furniture count. Include private-office capacity; secure storage assumptions; room types and occupancy; speech-privacy requirements; lighting and glare control; camera and microphone positions; power and data; accessible controls; booking and wayfinding; locations for huddle, strategy, mock-courtroom and social functions; provisions for visiting attorneys; and the process for testing hybrid meetings before handover.

Also record which features are required now and which are optional experiments. That distinction protects the budget and makes future change easier: a room can be wired and dimensioned for a later control system without purchasing an unproven feature on day one.

The practical outcome

AI-enabled law-office design is best understood as a shift in emphasis, not a prediction that offices will vanish. Keep privacy and focused legal work dependable; make offices better for mentoring, respite and video; add shared rooms that support strategy and practice; and connect locations so teams can work together between visits. Dunsmore’s perspective provides the direction, while each firm must validate the arrangement through its own work patterns, security requirements and post-occupancy feedback.
