The safest LED installation starts before a fixture is selected. Architects should define the lighting performance brief, verify photometry and color, protect thermal performance, coordinate drivers and controls, resolve mounting and code interfaces, compare lifecycle costs, and commission the completed system. Put those decisions in the drawings, luminaire schedule, specifications, and handover documents so contractors can bid on measurable performance instead of wattage or appearance alone.
This checklist is intended for architects working with electrical, MEP, lighting, controls, and facilities teams on commercial, institutional, multifamily, and other built projects. Local energy, electrical, fire, accessibility, and building-code requirements still have to be confirmed with the authority having jurisdiction.

Why LED decisions belong in the design phase
LEDs are not interchangeable lamps in a decorative package. They are directional light sources, so beam shape, cutoff, aiming, surface reflectance, and mounting position determine where light lands and how much glare occupants see. That optical control can improve efficiency, but it also makes an unsuitable distribution obvious after installation.
ENERGY STAR states that LED lighting products can produce light up to 90% more efficiently than incandescent bulbs. “Up to” is important: the result depends on the complete luminaire, optics, driver, operating conditions, and control strategy. Efficiency does not compensate for poor uniformity, excessive glare, incompatible controls, or inaccessible maintenance.

Use the following eight decisions as design gates. Do not release a fixture for procurement until the information needed for the next gate is documented.
1. Write the performance brief before choosing fixtures
Define the visual job
Start with what people must see and do, not with a fixture catalog. For each space, record the visual task, target illuminance, lighting distribution, uniformity expectation, glare limits, color intent, operating hours, dimming behavior, emergency requirements, and maintenance constraints. A lobby, open office, stair, operating room, warehouse aisle, and façade each require a different performance description even when they use similar LED packages.
Recommended Free Tools
State whether the design needs ambient, task, accent, wall-wash, grazing, exterior, or life-safety illumination. Note important surfaces and finishes because a dark floor or textured wall changes the perceived result. Identify daylight zones, occupancy patterns, and scenes that must be supported by controls.
Turn the brief into schedule fields
Place the criteria in the luminaire schedule and specification so every bidder is responding to the same requirement. A useful schedule should include:
- Space, mounting location, and intended visual task.
- Target illuminance and any uniformity or contrast requirement.
- Beam spread, cutoff, aiming, shielding, and glare criteria.
- Correlated color temperature, color-quality metrics, and consistency requirement.
- Input voltage, circuit type, driver location, dimming protocol, and emergency mode.
- Ambient-temperature, enclosure, insulation, and ventilation conditions.
- Rated life, lumen-maintenance basis, driver replaceability, warranty, and access method.
- Required photometric files, installation instructions, controls submittals, and commissioning records.
This makes substitutions reviewable. A lower-wattage product is not equivalent if it changes beam spread, glare, color consistency, emergency behavior, or maintenance access.
2. Review photometry and distribution, not just wattage
Request usable data
Require manufacturer photometric data for the exact luminaire, optic, output, mounting orientation, and electrical configuration proposed. Review beam spread, cutoff, intensity distribution, expected light levels, and uniformity in a calculation model. A generic product family file may not represent the selected optic or drive current.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsModel the room, ceiling height, mounting spacing, reflectances, obstructions, and work-plane assumptions. For exterior work, include setbacks, aiming angles, adjacent property, sky glow, and spill-light constraints. The Illuminating Engineering Society maintains calculation resources, including an Illuminance Selector, that can help the team choose appropriate evaluation methods.
Check visual comfort as a separate decision
A calculation can show adequate illuminance while occupants still experience discomfort glare. Inspect the luminaire’s apparent brightness from normal viewing angles, shielding, cutoff, reflected glare, and high-contrast transitions. Review the result from seated and standing eye levels and from circulation paths, not only from the plan view.

Record the tested or modeled light levels and assumptions in the design record. If the luminaire is aimed on site, specify the aiming range and the final verification method rather than assuming the installer will reproduce a rendering.
3. Specify color deliberately
Replace marketing adjectives with measurable requirements
Terms such as “warm,” “neutral,” and “high quality” are too vague for a bid document. Record correlated color temperature (CCT), color-quality requirements, acceptable consistency, and any project-specific appearance needs. Use recognized IES terminology and references when comparing products.
Consider how the light interacts with materials, artwork, skin tones, food, merchandise, vegetation, and adjacent daylight. A single CCT throughout a project may not be appropriate; the schedule can assign different ranges to public, service, exterior, and specialty areas while preserving a deliberate visual relationship.
Control variation across the project
Ask for the manufacturer’s consistency information and define how mixed batches, replacement units, and future additions will be managed. Require the same color specification for luminaires that are visually adjacent unless a contrast is intentional. Include sample review or a mock-up when color appearance is central to the design.
Color quality also has to remain acceptable when fixtures are dimmed or operated in different scenes. Confirm the manufacturer’s stated behavior for the selected driver and control range instead of assuming every LED system changes identically.
4. Protect thermal performance
Coordinate the heat path
ENERGY STAR says, “Thermal management is generally the single most important factor in the successful performance of an LED over its lifetime.” Higher operating temperature accelerates light degradation and shortens useful life. Heat therefore belongs in architectural coordination, not only in an electrical submittal.
Check ambient temperature, enclosure volume, heat-sink clearance, insulation contact, ceiling cavities, exterior exposure, and ventilation. Verify that recessed products have the required clearance above the housing and that insulation, acoustic treatment, waterproofing, or façade membranes do not block the intended heat path. For exterior luminaires, account for solar loading and trapped heat inside canopies or soffits.
Make site conditions part of approval
Compare the luminaire’s stated operating range with the actual space and seasonal conditions. Ask the supplier to identify any output or life derating at the project’s maximum ambient temperature. Do not approve a product solely on its laboratory rating if the installed enclosure is substantially warmer or tighter than the tested arrangement.

During installation, inspect clearances and insulation placement before ceilings or access panels are closed. Photograph concealed conditions when they affect future warranty or replacement decisions.
5. Coordinate drivers, power, and controls
Resolve electrical compatibility before procurement
Confirm input voltage, frequency, circuit loading, driver location, wiring method, inrush behavior, emergency operation, and power-quality requirements. Coordinate the driver with electrical and controls drawings, including access for service and the maximum distance between driver and luminaire where that distance affects performance.

Confirm minimum and maximum dimming levels, startup behavior, scene recall, and what happens after a power interruption. A control diagram should show normal, after-hours, daylight, occupancy, and emergency states where applicable.
Prevent flicker and control surprises
Flicker performance is a system issue. Request the manufacturer’s available flicker information for the exact driver and operating range, then evaluate it with the selected dimmer, sensor, and control signal. Check performance at low dim levels, during scene changes, and with camera-based tasks or rotating equipment where modulation can become visible or recorded.
Require a coordinated submittal rather than approving a luminaire and controls as unrelated packages. Verify circuit counts, control zones, addressing, emergency bypass, and commissioning access before rough-in.
6. Resolve mounting, assemblies, and code interfaces
Draw the real installation
Coordinate every luminaire with the ceiling, structure, façade, fire-rated assemblies, acoustic construction, waterproofing, insulation, and access panels. Show support, blocking, trim, recess depth, seismic or wind requirements where applicable, and the location of remote drivers or junction boxes. For linear and continuous systems, resolve joints, expansion, alignment, and field-cut limitations before ordering.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.7. Compare lifecycle and maintenance, not only first cost
Understand what “life” means for an LED
LEDs generally dim gradually rather than suddenly burning out. ENERGY STAR describes a 30% reduction in light output as the useful-life threshold commonly used for LED products. A rated life is therefore not a promise that the fixture will remain at its initial output until a failure date; it is tied to lumen depreciation under stated conditions.

Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallAsk what test method, ambient temperature, drive current, and maintenance factor support the rated life. Separate LED package life from driver life, because the driver may be the service-limiting component.
Build a maintenance case
For each candidate, record the following before comparing prices:
- Initial delivered output, power, and control capabilities.
- Rated life and lumen-maintenance basis.
- Driver and component replaceability, lead time, and spare-part policy.
- Access equipment, labor risk, cleaning method, and replacement time.
- Warranty duration, exclusions, and who performs warranty service.
- Availability of compatible replacement units if the original model is discontinued.
- Energy and control savings expected under the project’s actual operating schedule.
Use the building’s operating hours, tariff assumptions, relamping access, and maintenance labor—not a generic payback claim. A slightly higher first cost can be justified when it avoids lifts, ceiling demolition, color mismatch, or a difficult driver replacement, but the assumption must be documented.
8. Commission and document the installed system
Test what occupants will experience
Commissioning should verify the installed result, not merely confirm that fixtures turn on. Before handover, test:
- Fixture locations, orientation, aiming, shielding, and physical finish.
- Measured illuminance and uniformity at representative work planes.
- Dimming range, startup, scene transitions, and loss-of-power recovery.
- Occupancy and daylight responses, timeouts, overrides, and control-zone boundaries.
- Emergency operation, transfer behavior, duration requirements, and reset procedure.
- Glare, spill light, visible flicker concerns, and unwanted light at adjacent properties or spaces.
Record test conditions, instruments, dates, responsible parties, deficiencies, and corrective actions. Re-test after aiming or programming changes.
Deliver a facilities-ready record
The handover package should include as-built luminaire schedules, circuit and control diagrams, sequences of operation, programming files or addressing records, photometric and color information, test results, manufacturer manuals, warranty contacts, cleaning instructions, spare-part details, and replacement procedures. Identify concealed drivers, access panels, unusual tools, and any restrictions on compatible substitutes.
Facilities staff should be able to answer three questions without reopening the design model: what is installed, how is it controlled, and how can it be serviced without damaging the surrounding assembly?
How to compare LED options in a bid review
Use one consistent matrix for every compliant candidate. The table below keeps the review focused on project risk rather than a single headline number.
