What to Look for in Construction Delivery Tracking Software

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The best construction delivery tracking software creates a complete, searchable chain from shipment arrival to installed work. It should let a field user record the supplier or carrier, reference number, contents, arrival time, exact location, quantities and condition, then attach evidence and connect the record to commitments, cost reports, schedules or installation progress. In a demonstration, make a field user enter a real delivery, work without connectivity, correct an error, submit it for approval, and produce the report the office actually needs. A delivery calendar alone is not enough.

Start with the record you need to defend later

A useful delivery record answers four questions: what arrived, who sent it, when and where it arrived, and what happened to it afterward. If a dispute, payment review, delay analysis or safety investigation occurs months later, the record should stand on its own without relying on a text message or a paper docket.

Required identity and timing fields

  • Source: supplier, manufacturer, carrier or subcontractor responsible for the shipment.
  • Reference: purchase-order, bill-of-lading, consignment, tracking or other delivery number.
  • Arrival time: date and time, with the project time zone handled consistently.
  • Contents: a description that is specific enough to distinguish sizes, grades, models or batches.
  • Destination: building, floor, room, laydown yard, zone or other exact site location.
  • Notes: access problems, unloading instructions, temperature concerns, substitutions or other context.

One construction delivery tutorial documents fields for delivery company or source, time, tracking number, contents, location, comments and attachments. Treat those labels as an example rather than a universal standard: software editions and customer configurations can use different names.

Evidence that travels with the entry

Require photos of pallets, labels, damage, storage location and signed paperwork when those images will help reconcile the shipment. The system should accept documents such as packing lists, inspection certificates or weigh tickets, preserve their association with the delivery and make them retrievable from the same record. Test whether attachments retain timestamps and uploader identity, and whether exports include links or usable file names rather than losing the evidence.

Separate received, damaged and installed quantities

Received quantity is not the same as quantity put in place. A sound system keeps those measures distinct so an owner can see what arrived, what is usable, what is being held and what has become installed work.

Measure What it answers How to test it
Quantity delivered How much the truck or supplier reported and the field accepted as received Enter a unit of measure, quantity and delivery reference; verify it appears in a delivery report.
Damaged or held quantity How much arrived but cannot yet be counted as usable material Record the exception without inflating the usable quantity and explain it in comments.
Quantity put in place How much has actually been installed or incorporated into the work Enter a separate installed value and confirm the remaining balance can be calculated or reported.

Material-tracking guidance from a major construction platform recommends recording both Quantity Delivered and Quantity Put-in-Place. It also advises omitting damaged units from quantity entries and explaining the damage in comments. Verify how your chosen configuration handles units, partial deliveries, returns, overages and corrections; reporting options depend on the tools enabled in the customer environment.

A practical reconciliation workflow

  1. Match the delivery to a commitment, purchase order, cost code or other project reference when the project uses one.
  2. Count or estimate the accepted quantity using the project’s stated unit of measure.
  3. Record damaged, rejected or quarantined material separately and attach a photo or inspection note.
  4. Update the installed quantity only after the material is put in place, not when it reaches the laydown area.
  5. Run a report showing delivered, held and installed values by supplier, location, date, cost code or material type.

Ask the vendor to demonstrate a partial shipment and a return. A system that only stores a single running total can conceal shortages and make payment or progress reporting unreliable.

Test field usability under actual jobsite conditions

Delivery logging fails when the form is too slow, hard to read in sunlight or dependent on a signal that the site does not have. Evaluate the phone or tablet workflow with the people who will enter records, not only with an office administrator.

Mobile and offline behavior

Autodesk describes mobile access to project data, including offline access, for jobsite work. That establishes a platform capability, not proof that every delivery form, attachment or integration works offline. During a pilot, turn on airplane mode and test the exact workflow:

  1. Open the delivery form before losing service and confirm required reference data is available.
  2. Create a delivery with a photo, quantity and location while offline.
  3. Close and reopen the app to see whether the draft survives.
  4. Reconnect and observe when the record synchronizes, whether a duplicate is created and whether the original timestamp is retained.
  5. Deliberately edit the same record from two devices and see how conflicts are presented.

Document which functions are unavailable offline, the maximum attachment size, battery or storage impact and what a user sees when synchronization fails. Do not promise offline operation to subcontractors until this test passes on the devices and operating systems used by the project.

Fast entry for drivers and subcontractors

Some projects need a gate clerk, foreman or delivery driver to enter only the essentials. Check whether role-specific forms can hide irrelevant fields without weakening the permanent record. Confirm that external collaborators can submit an entry without seeing confidential cost data, and that their submissions can be reviewed before becoming official.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Build controls that preserve trust in the log

Permissions and approval queues

Ask who may create, edit, approve, reject and export a delivery. A documented delivery workflow allows collaborator entries to remain pending until an administrator approves them. The approval queue should show the submitter, submission time, changes and reason for rejection. Make sure an approved record cannot be silently overwritten; corrections should create an audit trail or a visible revision history.

Search, filters and retention

Demonstrate searches by reference number, supplier, material, location, date range and status. Test a misspelled supplier name, a partial number and a delivery with several attachments. Confirm that filters can be saved or shared and that exports preserve units, time zones, comments and attachment references. Establish the retention period, backup process and legal hold procedure before relying on the system as the project record.

Exception handling

Define statuses such as expected, arrived, partially received, damaged, rejected, returned and installed. The software should make an exception visible without forcing users to create a second unrelated record. Require comments for damage, substitutions and quantity changes, and check that those comments are included in reports and notifications.

Connect deliveries to the workflows that use the data

Integration is valuable only when it reduces duplicate entry and preserves the meaning of the original delivery. Map each connection to a concrete decision or report.

Schedule and logistics

Compare the planned delivery date with the actual arrival time, unloading duration and site location. A useful connection can flag late shipments or clashes with cranes, gates and laydown space. Ask whether schedule updates are automatic, one-way or manually confirmed; an unverified calendar can create false certainty.

Commitments, cost and progress

Linking a delivery to a commitment, cost code or budget line can support invoice review and material-cost reporting. Test whether the link supports partial receipts, change orders, tax or currency rules relevant to your project. Keep installed quantities separate from financial commitment values so a payment report does not imply that material was installed when it is only stored onsite.

Submittals and approvals

Submittal software can show product status and maintain an audit trail, which helps confirm that an arriving product was approved. It is not a substitute for an arrival record. Demonstrate a case in which a delivery references the approved submittal and a case in which an unapproved substitution is held for review.

Assets, inventory and handover

For equipment and maintainable components, connect the delivery to an asset record, serial number, warranty document and final location. Autodesk Build documentation describes asset functions alongside documents, issues, forms, RFIs, submittals, meetings and schedules; verify which package and integrations provide the fields your project needs. Do not assume that a general asset register is a dedicated material-delivery ledger.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Time and materials tickets

Digital time-and-materials ticket workflows can capture signatures, labor, equipment and material information for out-of-scope work. They are useful adjacent records, but they do not replace a delivery log. Ensure a ticket can reference the underlying delivery rather than becoming the only evidence that material arrived.

Compare candidates with a consistent scorecard

When two or more products are under consideration, score the same test case in each one. Use a pass, partial or fail result and record the configuration or module required for every capability.

Evaluation axis Questions to ask Evidence of a pass
Capture completeness Can the form store source, reference, time, contents, location, comments, photos and documents? A field user completes the record without workarounds.
Quantity reconciliation Are delivered, damaged or held and put-in-place quantities separate and reportable? A partial and damaged shipment produces correct balances.
Field usability Does it work on the project’s devices, connectivity and languages? Offline entry syncs once, without duplicates or lost attachments.
Controls and traceability Are permissions, approvals, revisions, search, export and retention adequate? An administrator can explain who changed every material value.
Workflow fit Can it connect to schedule, procurement, cost, submittals, assets and required reports? The project’s actual report is produced from linked records.
Commercial fit What modules, user counts, project scope, onboarding and support are required? A written quote identifies equivalent configurations and recurring costs.

Run a realistic demonstration, not a feature tour

Give each vendor the same script and sample data. Include a normal shipment, a late partial shipment, damaged units, an unapproved substitution and a return. Require the vendor to show the field screen, administrator queue and final report in one continuous workflow.

  1. Have a field user create the record with supplier, reference number, contents, time, location, quantity, comment and photo.
  2. Disconnect the device and repeat the entry, then reconnect and inspect synchronization.
  3. Submit the record as a collaborator and process it through approval.
  4. Correct a quantity and inspect the revision history.
  5. Link the record to a commitment, schedule item, submittal or asset where applicable.
  6. Search for the record using a partial reference number and export the result with attachments.
  7. Show the report that distinguishes delivered, held and installed quantities.

Ask for a sandbox or time-limited pilot using your own forms, naming conventions and permission groups. A polished presentation with generic data is less informative than a rough workflow that survives your project’s exceptions.

Recognize common failure modes before contract signing

The delivery calendar becomes the system of record

A calendar may show planned dates but omit what actually arrived, quantities, damage and evidence. Require a structured delivery entry and a report that compares plan with actual.

One quantity field mixes storage and installation

This creates misleading progress and payment information. Make delivered and put-in-place fields mandatory where relevant, with a separate damage or hold explanation.

Offline claims are broader than the tested workflow

Mobile access may work offline while a particular form, lookup list or attachment does not. Test the exact feature and publish a site procedure for failed synchronization.

External users can edit approved history

Use least-privilege roles, approval status and immutable or visible revision history. Review an audit export with the project administrator.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Reports depend on an unavailable module

Some reporting and productivity functions depend on the customer’s enabled tools. Put every required module and integration in the quote and acceptance criteria, not in a verbal promise.

Price the complete operating model

Current prices and neutral market rankings are not established by the available documentation. Obtain quotes for equivalent project and portfolio scope, user counts, mobile access, storage, support, implementation and each required module or integration. Ask whether subcontractor or collaborator accounts incur charges, whether offline capability is included, and what happens to data and attachments when a subscription ends.

Include the cost of configuring material types, units, locations, permissions, approval rules, reports and integrations. A lower subscription can become more expensive if field teams must re-enter data or the office cannot reconcile receipts without spreadsheets.

Understand what current product documentation does and does not prove

One construction platform’s support guidance describes using daily-log productivity entries to track quantities delivered and installed, with reporting dependent on the customer’s tools. Its delivery tutorial lists source, time, tracking number, contents, location, comments and attachments, and notes that collaborator entries may await administrator approval. The Australian version of the materials FAQ was shown as last updated December 22, 2025; the primary US page did not show a clear update date in the returned excerpt. Labels and behavior can therefore differ by region and configuration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Autodesk Build documentation describes mobile jobsite access, including offline access, and adjacent functions such as documents, issues, forms, RFIs, submittals, meetings, schedule, progress and assets. It does not establish that every package includes a dedicated delivery register. An older Progress Tracking page states that its beta ended, no new projects were being accepted and existing data would be migrated into Assets starting March 31, 2023; treat that page as historical context, not as a promise of a new-project feature. The current submittal workflow provides status visibility and audit trails, but submittal status is not arrival tracking.

Prepare an implementation checklist

  • Define material categories, units, location codes and naming conventions before importing projects.
  • Decide which fields are required for every delivery and which are conditional for equipment, hazardous goods or temperature-sensitive items.
  • Set roles for field entry, collaborator submission, approval, correction, reporting and export.
  • Write the offline and synchronization procedure, including what to do when a duplicate or conflict appears.
  • Configure statuses for expected, arrived, partial, damaged, rejected, returned and installed material.
  • Build reports for daily receipts, open exceptions, delivered-versus-installed quantities and unapproved substitutions.
  • Pilot with one delivery crew and one administrator, then review missing fields and duplicate records weekly.
  • Train suppliers and subcontractors with a short sample shipment rather than a slide-only briefing.
  • Audit a month of records against packing lists, photos, invoices and installed quantities before expanding to all projects.

Choose the product that can prove this chain with your people, devices, connectivity and exceptions. The decisive capability is not a longer feature list; it is a trustworthy field-to-office record that remains understandable when the project team is no longer standing at the gate.
