If roadwork is making you late, put driving safety first. What to do immediately when construction traffic is stopping you

- Contact the provider as soon as practical. Give your name, the scheduled appointment time, and your current estimated arrival if you have a reasonably reliable estimate.
- Describe the problem plainly. Say that road construction or a work-zone delay is preventing you from arriving on time. Avoid promising an arrival time that traffic conditions do not support.
- Ask what the office wants you to do. Ask whether the provider can still see you if you arrive late, whether a phone or video appointment is possible when appropriate, or whether you should reschedule.
- Ask about money before ending the call. Confirm any late-arrival, cancellation, or missed-appointment fee and ask how a deposit or prepayment would be handled. You can request an exception, but do not assume one is required.
If the office says it can still see you, ask whether there is a latest arrival time, a different entrance, or a check-in instruction. If it cannot accommodate a late arrival, obtain the new date and time before you leave the conversation.

What to say when you call
A short script helps when you are stressed and traffic is moving slowly. Adapt it to the type of appointment:
“Hello, this is [your name]. I am scheduled for [time] today. Road construction on my route has delayed me, and my current estimated arrival is [time, if known]. Can the provider still see me if I arrive then, or should we reschedule? Please also tell me whether any late or missed-appointment fee applies and what happens to my deposit.”
If you do not know your arrival time, say so. “I am in a stopped construction queue and cannot give a dependable estimate yet” is more useful than an optimistic guess that you will miss again. Ask the staff member to note the call in your appointment record if that is their normal process.
For a time-sensitive appointment, explain any practical constraint that affects the decision, such as a preparation window, a required check-in period, or a limited service slot. Do not disclose more personal information than the office needs to decide whether to hold the appointment.

How to handle fees, deposits and rescheduling
Appointment terms are set by the individual provider and may differ even between offices offering similar services. The transportation information available from official 511 services does not establish a general right to a fee waiver, a refund, or automatic rescheduling when construction causes a delay.
Ask for the exact policy
Use specific questions rather than asking only whether there is “a penalty.” Ask:
- Does arriving after the scheduled time count as a late arrival, cancellation, or missed appointment?
- Is there a stated fee, and when would it be charged?
- Will an existing deposit or prepayment be applied to the new appointment?
- Can a manager or clinician approve a one-time exception?
- Is there a different policy if I notified the office before the appointment time?
The answer may depend on the provider’s written terms, the type of appointment, how late you are, and whether the office can use the reserved time for another customer or patient. Ask the office to identify the relevant policy or explain the decision in plain language.

If you reschedule, repeat the new date, time, time zone if the appointment is remote, and location or connection method. Confirm any preparation, identification, arrival, parking, or paperwork instructions that change. If a fee or deposit is involved, ask for the amount and how it will be collected or credited.

Keep a brief record of the person you spoke with, the time of the call, and what was agreed. Save a confirmation email or message when the provider offers one. This is practical recordkeeping, not a statement that a provider is legally required to document the conversation.
If you cannot reach the appointment office
Some offices are closed, have a phone queue, or stop answering shortly before an appointment. Try the contact method the provider lists, such as the main number, patient portal, booking email, or text line. Leave a concise voicemail with your name, appointment time, reason for the delay, and callback number.
Do not send repeated messages while driving. Pull over before checking whether the office replied. If you have already left a message, continue to the location only if doing so is safe and the expected arrival still makes sense; otherwise, follow up when the office reopens and ask how the missed slot was recorded and what options remain.

How to check road conditions before leaving
Official state or regional 511 services can provide a useful pre-trip check. Depending on the location, a service may show construction zones, closures, incidents, traffic speeds, and estimated travel times. Coverage and features differ by geography, so use the 511 service serving your route rather than assuming one national interface has identical information everywhere.
511.org’s safety page puts the basic practice plainly: “Call 511 or check 511.org for current traffic conditions and driving times before you’re on the road.” Check the service before departure, when you can give it your full attention. Compare the planned route with an alternate route only if the service provides enough local information to make that comparison meaningful.
What to compare in a local traffic service

Build a realistic buffer for future appointments
For an important appointment, plan around the possibility that a work zone will remain slow rather than assuming traffic will recover. Check the official local traffic service before leaving and add time for the construction itself, finding the entrance, parking, and checking in. A route that normally takes 30 minutes may need a substantially earlier departure when it crosses a known work zone, but the appropriate buffer depends on the road, time of day, and current reports.

Treat every travel-time estimate as changing information. An estimate describes conditions when it was generated; it does not promise that lanes will remain open for the entire trip. If you need an update while traveling, check only when parked or through a safe, lawful hands-free option. Pulling onto a shoulder is appropriate only where permitted and safe; never stop in a live lane or obstruct emergency access.
Prepare the appointment details in advance
- Save the provider’s phone number and the appointment confirmation before starting the trip.
- Know the scheduled time, the address or virtual-visit link, and any check-in deadline.
- Review the provider’s cancellation and late-arrival terms so you know what to ask.
- Have a backup contact method, such as a patient portal or booking email, if the main phone line is busy.
- Identify a safe place along the route where you could stop if a call becomes necessary.
Different appointment situations
Medical, dental or therapy visits
Ask whether arriving late would shorten the visit, require a new slot, or interfere with preparation. A remote visit may be possible for some services but not for an examination, procedure, test, or treatment that requires equipment or an in-person check. The provider must tell you what is clinically or operationally appropriate.
Courts, government offices or interviews
Contact the listed office or coordinator immediately and follow any formal notice instructions. Ask whether there is a check-in cutoff, a required contact person, or a written procedure for delays. Do not assume that a general traffic explanation changes a formal deadline.
Salons, classes or other scheduled services
Ask whether the service can be shortened, moved to another time, or transferred to another staff member. Confirm whether a booking fee or deposit remains attached to the rescheduled slot. Policies can be different for group classes, reserved rooms, and one-to-one services.
Common mistakes that make the delay worse
- Using the phone while moving: A missed appointment is recoverable; a distraction-related crash can be catastrophic. Wait until you are safely stopped or use a lawful hands-free method.
- Waiting until after the appointment time: Even a short advance warning may let the provider adjust the schedule or tell you not to continue.
- Giving an unsupported arrival promise: Construction queues can change. Give a range or explain that you cannot estimate reliably.
- Assuming a waiver: Roadwork may be outside your control, but the provider’s fee policy still governs unless the provider agrees otherwise.
- Leaving without confirming the new arrangement: A verbal “we will find another time” is not a booking. Get the date, time, fee treatment, and instructions.
- Taking an unsafe shortcut: Do not cross closed lanes, use restricted shoulders, or follow an unfamiliar detour in a way that violates signs or local rules.

- Am I safely stopped, or can I use a lawful hands-free option without diverting attention from traffic?
- What are my name, appointment time, and best current arrival estimate?
- Can the provider still see me, offer a suitable remote option, or reschedule me?
- What fee, deposit, or cancellation rule applies, and can the provider approve an exception?
- What exact date, time, location, preparation, and payment instructions should I record?
- Have I saved the confirmation and noted who gave me the instructions?
The central rule is simple: protect your safety first, then communicate early and ask for a clear arrangement. Local traffic services can help you plan, but only the appointment provider can tell you what its schedule and payment terms allow.
