1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsBefore you sign a venue contract or pay a deposit, get written confirmation that the airport or airfield permits your specific event, identify every approval it needs, and establish how it will fit around aviation operations. Then confirm the hired footprint, safety responsibilities, access, temporary works, insurance, and approval timetable. Requirements vary by country, airport, and activity; an ordinary meeting or reception is not subject to the same process as an airshow or an event with aircraft displays.
Start with permission for your exact event
An airport or airfield is not simply a conventional venue with an unusual backdrop. The site may be governed by an airport operator, landowner, tenant, aviation regulator, or more than one of them. A venue booking does not automatically authorize every use of the site or grant access to restricted areas.

Before discussing dates or paying a deposit, send the operator a clear description: event type, expected attendance, activities, proposed location, hours, suppliers, and any aircraft-related element. Ask who controls that space, whether the format is permitted, which approvals are required, and whether the booking depends on approvals from the operator, aviation authority, municipality, or other bodies. Request the answer and conditions in writing.
Airport operating commitments, leases, access restrictions, safety, noise, and compatible land use can affect what is allowed. The U.S. Federal Aviation Administration’s Airport Compliance Manual, Order 5190.6C, published in February 2026, sets out policies for the FAA Airport Compliance Program and addresses these areas. It is relevant U.S. context, not a substitute for the rules that apply at another airport or a permit decision for a particular event.

Work out whether this is ordinary venue hire or an aviation event
The event’s activities—not just its location—determine how much aviation-specific approval may be involved. A reception in a terminal meeting room is different from an airshow, a competition involving aircraft, or a gathering that places crowds near operational aircraft areas.
For a standard gathering
Ask the venue to confirm the approved space and event use, and whether any activities such as a stage, vehicle display, drone flight, or access to an apron change the approval route. Even a landside event may need operational review if it affects passengers, airport staff, tenants, routes, or services.
For an airshow or aircraft activity
In the United States, FAA guidance says airshows at any airport require an approved and issued Certificate of Waiver or Authorization (FAA Form 7711-1) from the appropriate FAA Flight Standards District Office. At applicable Part 139 airports, the guidance also calls for a ground operations plan. The FAA’s Airshows – Ground Operations Plans guidance addresses coordination such as airline operations and emergency access around crowd areas.

In Germany, the federal service portal describes a separate approval process for aviation events featuring aircraft displayed in flight or competing, including airport operator consent in relevant cases. See Apply for approval of an aviation event. These examples show why the competent authority and process must be checked for the event’s actual location and format; neither is a universal rule.
The FAA’s AC 00-61, Event Planning Guide, issued on 24 July 2000 and listed as active, is intended to improve air and ground safety. Use applicable official guidance alongside the venue’s current requirements rather than assuming a general event checklist covers aviation approvals.

Ask how the event will fit around airport operations
Operational compatibility should be settled before you commit, not left to the event-day briefing. Find out whether the proposed location is landside or airside and how the event could affect aircraft movement, passenger services, tenants, staff, security arrangements, emergency response, and normal access routes.
Ask who carries out the operational risk assessment, who must sign off, and what changes could be required if the proposed arrangement creates a conflict. Toronto Pearson, operated by the Greater Toronto Airports Authority (GTAA), says it assesses event risk to ensure an event will not interfere with airport operations, safety, or passenger services. That is an example of one operator’s process, not a promise that another venue uses the same review.

For events near aircraft operations or large crowds, clarify how emergency vehicles and responders will reach the relevant areas without obstruction. FAA airshow planning specifically includes emergency access around crowd areas and consideration of airport emergency response.
Confirm the space, contract, and practical booking terms
Get a plan or written description of the exact footprint, its capacity, and what is included in the hire. Confirm event hours and the separate windows for supplier access, setup, deliveries, and strike. Ask about utilities, cleaning, security, venue staff, parking, damage records, and any limits on sound or event activity.
Have the contract identify the hired boundary and state what happens if the venue’s operational needs or an unapproved activity affects the booking. Check the deposit and payment schedule, cancellation terms, weather arrangements where relevant, and responsibility for damage or extra services. These are practical contract points to negotiate; no universal airport-venue terms apply.

Do not treat a booking confirmation as approval for temporary structures or other works. Ask whether stages, marquees, fencing, signs, generators, or other installations need separate review, and who is responsible for obtaining it. The National Capital Authority (NCA) separates venue hire from Works Approval for event-related temporary works in its process. The distinction matters: permission to use a space may not authorize construction or installation within it.

Ask exactly what access the booking grants—and what it does not. Confirm guest screening, passes or credentials, accessible routes, parking and public transport, delivery rules, loading points, escort requirements, and boundaries between public and restricted areas. An event booking alone should not be assumed to grant airside access.
For every supplier, establish how vehicles, equipment, and personnel reach the site, what identification or screening is required, and when access is allowed. Check whether setup and strike are limited to set windows, and who coordinates deliveries if normal airport routes or passenger areas are involved.
The UK government’s Organising a voluntary event: a ‘can do’ guide offers general context on booking, access, permissions, safety, and insurance. Airport-specific security and operational rules still come from the relevant airport and authorities.
Assign safety and emergency responsibilities
Before committing, agree who writes, reviews, and owns the event safety plan. Ask what crowd controls are required, who maintains emergency access, and what fire, rescue, or medical response capability must be available during the event. Establish how the airport’s own emergency arrangements and operational staff will coordinate with the event team.

Put responsibilities in writing: the venue’s duties, the organizer’s duties, supplier obligations, escalation contacts, and who can stop or change the event if conditions become unsafe or operationally incompatible. For an aviation event, verify the required plans with the appropriate authority and airport operator; do not assume an ordinary venue plan will satisfy aviation-specific requirements.
Check approvals for structures, sound, and activities
List every proposed installation and activity when you request approval. Ask whether any of the following trigger separate consent or restrictions:
- Stages, marquees, temporary fencing, signage, or other temporary works
- Generators, amplified sound, or activities subject to noise limits
- Pyrotechnics, food service, or alcohol
- Drone activity or aircraft displays
The NCA’s venue process requires Works Approval before event-related temporary works at its venues. The FAA’s U.S. airport compliance material addresses noise and access restrictions, but local rules govern an individual event. Get the applicable requirements from the venue and competent authorities before contracting suppliers or advertising activities.

Toronto Pearson’s current event guidance lists commercial general liability (CGL) minimums of CAD 2 million per occurrence for landside events and CAD 10 million per occurrence for airside events. The NCA’s current venue-hire guidance requires public liability insurance of at least AUD 20 million with each event application. These are separate local examples, not interchangeable standards or recommendations for other venues.

Toronto Pearson also sets policy conditions through its airport work authorization process. The NCA specifies that its insurance applies to each event application and event period. Confirm the complete wording and covered dates directly with the relevant operator; a headline limit alone may not establish that the policy meets its requirements.
Build the approval timeline before announcing the event
Ask for a written sequence of approval stages, submission materials, decision-makers, lead times, and dependencies. Find out which approvals must be in hand before signing, taking payment from guests, publishing a date, or ordering non-refundable work. The earliest deadline may belong to an authority or a security process rather than the venue’s booking team.
Toronto Pearson’s current event request guidance asks for submissions at least 20 business days in advance. It states a 45-business-day lead time in specified airside cases where an event displaces the PSL or special event passes are required for non-RAIC holders. Those are GTAA process examples, not general airport deadlines; ask the venue for the current timetable and what applies to your access arrangement.
Do not announce or sell tickets on the assumption that a tentative venue hold equals final approval. Make the status of required permissions clear in your planning schedule and contract, and understand the consequences if an approval is delayed or denied.
A pre-booking checklist
- Permission: Is the exact event format allowed, and who controls the space? Are all conditions and approvals documented?
- Activity: Is this ordinary venue hire, an aviation event, or a mix? Which authority and operator approvals apply?
- Operations: Is the footprint landside or airside? Could the event affect aircraft, passengers, tenants, staff, security, emergency response, or access?
- Safety: Who owns the safety plan, crowd arrangements, emergency access, and response coordination?
- Space and contract: What is the approved area and capacity? What are the hours, services, payment, cancellation, weather, and damage terms?
- Logistics: What guest and supplier screening, passes, accessible routes, parking, delivery rules, escorts, and setup windows apply?
- Temporary works: Do structures, sound, signage, generators, food, alcohol, pyrotechnics, or drones need separate consent?
- Insurance: What policy, limit, wording, insured parties, exclusions, and dates does the operator require?
- Timeline: What are the submission deadlines and dependencies, and what happens if an approval is refused or late?
When comparing venues, compare the permitted format and approval burden alongside footprint, operational disruption, access, safety support, services, setup and weather arrangements, insurance and risk allocation, lead time, total cost, and cancellation terms. A low hire fee or attractive location is not enough if the necessary permissions, access, or operating arrangements cannot be secured.
