Use a practical schedule for routine soil removal, disinfect only when the situation and current guidance call for it, and address ventilation, moisture, and chemical handling as part of facilities management.
How often should an office be cleaned?
There is no universal schedule in the OSHA guidance cited here. Set frequency according to occupancy, how heavily an area is used, visible soil, and your organization’s procedures. The following is an operational template—not an OSHA-mandated schedule—and should be adjusted to the building and its use.

Routine cleaning of offices and common areas belongs alongside HVAC maintenance and appropriate chemical storage in building operations. OSHA’s building-operations guidance treats these as parts of indoor-air-quality management.
What should be cleaned in an office?
Organize the plan by shared use and task rather than assuming every surface needs the same treatment.

Workstations and shared equipment
Clean work surfaces, phones, keyboards or other shared equipment, and frequently handled fixtures according to the material and workplace procedure. For personal desks, make responsibilities clear: workers may handle their own items while facilities staff cover common surfaces. Avoid applying a liquid product directly to electronics unless its manufacturer’s instructions allow it.
Meeting rooms and common areas
Include tables, door handles, shared equipment, and other frequently touched fixtures in meeting rooms and common areas. Reset rooms after use when occupancy or visible soil makes that appropriate.

Break areas, floors, and waste
Remove food waste, address spills promptly, clean food-preparation and eating surfaces with products suitable for those tasks, and empty waste containers as needed. Match floor care to the floor material and amount of traffic.
What cleaning supplies do I need for an office?
Choose supplies by task and surface, not by brand claims. OSHA’s worker guidance names microfiber cloths, mops, and dusters as tool categories; it does not establish a best brand or comparative performance winner. OSHA Publication 3512, Protecting Workers Who Use Cleaning Chemicals, also provides guidance on handling cleaning products.

- Microfiber cloths and dusters for suitable surfaces and dusting tasks.
- Mops and other floor tools compatible with the floor type.
- Cleaning products labeled for the intended surface and task.
- Any task-appropriate protective equipment and supplies required by the product label or workplace procedure.
Keep products in their original, labeled containers and store them properly. Follow label directions and applicable safety information; do not mix products or improvise dilution instructions. OSHA’s cleaning-chemical guidance is advisory, so employers should also follow applicable requirements and their own safety procedures.

Cleaning and disinfection are different actions. Cleaning removes soil; disinfection uses a product intended to inactivate specified microorganisms. For routine office care, do not assume every desk needs constant disinfection. Disinfect when the situation and current public-health or workplace guidance call for it, using a product whose label claims match the intended use.

- Clean the surface first to remove visible soil, unless the product label specifies otherwise.
- Check that the product is labeled for the surface and intended use.
- Follow all label directions, including the required contact time—the period the surface must remain wet for the product to work as directed.
- Use the product with the handling, ventilation, and protective measures stated on its label and in workplace procedures.
OSHA’s workplace respiratory-illness recommendations address cleaning and disinfection, including attention to high-touch fixtures. If blood or other potentially infectious material is involved, do not treat it as an ordinary cleaning task: follow the applicable exposure-control procedure, training, and PPE requirements. OSHA’s May 6, 1994 interpretation is historical; confirm current requirements and local procedures rather than relying on it as a complete current compliance guide.
How does cleaning relate to indoor air quality?
Visible cleanliness is only one part of indoor air quality (IAQ). OSHA identifies ventilation, temperature, humidity, mold, and chemical exposures among relevant factors. Its overview associates poor IAQ with symptoms such as headaches, fatigue, difficulty concentrating, and irritation; that association does not show that cleaning by itself improves productivity. Cleaning does not replace adequate ventilation, HVAC maintenance, or moisture control. If workers report recurring odors or symptoms, or the building has water damage or ventilation concerns, document the pattern and raise it through facilities processes. Investigating and correcting a building condition may require more than changing the cleaning routine. How to make the routine work safely
- Assign ownership for workstations, shared areas, restrooms, waste, and building-maintenance issues.
- Provide products and tools suited to the task and surface, and make label directions accessible to the people using them.
- Store chemicals appropriately and avoid unapproved combinations or dilution methods.
- Give staff a clear route for reporting spills, water damage, persistent odors, or recurring symptoms.
- Use separate procedures for potentially infectious material and other hazards that require specific training or protective measures.
