Keep equipment service, safe work practices and the surrounding workspace in the same program, and document what you inspect and repair.
Build the program around your equipment
Start with an inventory so each machine has an identifiable maintenance owner and a source for its correct service instructions. OSHA’s Small Business Handbook: Self-Inspection Checklists recommends adapting checklists to the workplace and recording findings. As OSHA puts it, “Remember that a checklist is a tool to help, not a definitive statement of what is mandatory.” Consult applicable standards as well as your equipment manuals.
- Machine: record the equipment name, make, model and location.
- Manual: keep the current manufacturer manual accessible to the people responsible for maintenance.
- Service points: note the manual’s inspection and service tasks, intervals, lubricant specifications and machine-specific procedures.
- Responsibility: identify who performs or arranges each task and who can take a machine out of service.
- Hazard controls: identify the machine’s energy sources, guarding requirements and the procedure for controlling hazardous energy during applicable work.
Manufacturer directions vary by model. For example, Tormach’s 24R maintenance guidance includes model-specific dust-collection and lubrication checks, while Haas Automation’s lathe service manual gives model-oriented lubrication and reservoir-level guidance. Use the manual for the equipment you actually have; do not transfer an interval, lubricant or procedure from a different machine.
Use a repeatable maintenance cycle
Organize work into checks before operation, cleaning and inspection, planned preventive maintenance, and repairs. OSHA’s small-business guidance calls for regular preventive maintenance and records of work performed. It does not establish a single service interval suitable for every machine, so set intervals from the relevant manual and applicable requirements.

Before using a machine
Use a pre-use check suited to the machine and its manual. Look for visible damage, abnormal leaks, loose or missing guards, obstructed access, unusual debris and other conditions the manufacturer identifies. Confirm that the work area is ready and the machine appears safe to operate. If you find a condition that could make operation unsafe, do not use the equipment until it has been assessed and corrected.
During scheduled cleaning and inspection
Clean and inspect according to the machine’s instructions and the hazards involved. Check the condition of guards and other safety devices, and look for wear, contamination, leaks or damage at the service points specified in the manual. Do not assume a machine can be cleaned safely while energized: determine whether hazardous-energy control is required before the task.

Planned preventive work and repairs
Carry out lubrication, adjustments, part replacement and other preventive work at the intervals and by the methods specified for that model. Record the work, parts or fluids used, and any defect that remains unresolved. Train staff in proper equipment care, and make sure people assigned maintenance understand both the machine procedure and the relevant safety controls.
Control hazardous energy and restore guarding
For applicable cleaning, servicing or adjustment, use the hazardous-energy control procedure established for that machine. OSHA’s Small Business Safety and Health Handbook checklist describes de-energizing equipment, blocking or locking it out, and verifying that the lockout is effective. The appropriate controls depend on the machine and workplace procedure; do not treat a generic checklist as a substitute for the required machine-specific process.

If a maintenance task requires removing a guard, OSHA’s Machinery Maintenance and Repair guidance says guards should be replaced before the job is complete and the machine is released from lockout. Keep equipment out of service until repairs are finished, required guards and safety devices are restored, and the responsible person has determined it is ready to return to operation.
Include the surrounding shop in inspections
Equipment condition is only part of shop maintenance. Adapt an area inspection to your work and cover the workplace conditions OSHA’s self-inspection guidance addresses:

- Floors, housekeeping and prompt cleanup of spills or debris.
- Clear access around machines, exits and routes used to move materials.
- Hand and power tools, including damaged or poorly maintained items.
- Chemical containers, storage and handling practices.
- Personal protective equipment (PPE) appropriate to the work.
- Ventilation, fire prevention and access to fire controls.
Not every shop has the same processes or hazards. Add checks that apply to your operation, and consult local rules as well as OSHA guidance if your workplace is outside the United States.

Metalworking fluids
In shops that use metalworking fluids, clean spills promptly and include fluid-system equipment—such as filtration and delivery systems—in periodic inspection and maintenance. OSHA’s Metalworking Fluids: Safety and Health Best Practices Manual also addresses maintenance of control equipment such as ventilation. Apply this guidance to the relevant process rather than treating it as a requirement for every shop.

Dust collection
Where a process uses dust collection, include the system in the maintenance plan and follow its manufacturer’s instructions. The cited Tormach 24R guidance is one example of a machine-specific maintenance source; its checks should not be assumed to apply to other equipment or collection systems.
Keep a useful maintenance record
A simple record makes completed work and outstanding defects visible. Use one entry per inspection, service task or repair, and assign responsibility for unresolved issues.

- Observed condition: inspection findings, including defects or unusual conditions.
- Work completed: cleaning, service, adjustment or repair performed.
- Parts or fluids used: identify items used where relevant, following the manual’s specifications.
- Unresolved defect: describe what remains and whether the machine is unavailable for use.
- Responsible person: who completed the work or owns the follow-up.
