Decide what belongs in the project before work begins
Write down the outcomes you need, then separate urgent work from improvements that can wait. A detailed list gives you and prospective contractors a common basis for planning and pricing. It also makes it easier to recognize when a new idea is a genuine requirement and when it is an addition to the agreed scope.
- Must do now: work needed for safety, essential function, or a project dependency.
- Can do later: desirable upgrades that can be completed without undoing or disrupting the first phase.
- Needs a decision: choices about layout, products, finishes, or responsibilities that could affect the estimate or schedule.
Australian government guidance says comprehensive plans and specifications help builders prepare more realistic estimates. For substantial renovations, it also notes that professional help is likely to be needed; DIY is generally best limited to low-risk, cosmetic, non-structural tasks that are easy to correct if something goes wrong. Check local approvals before construction
Permit and inspection rules depend on the property’s location and the work involved. Contact the relevant local authority before construction to confirm what applies; do not assume that a process described for another country or region governs your home. Agree in writing with the contractor who will obtain any required permits and arrange inspections.
For example, New Zealand’s Ministry of Business, Innovation and Employment describes a process that includes planning, obtaining building consent, building to that consent, and sign-off and maintenance. Compare estimates on the same scope
Several estimates are useful only if contractors are pricing substantially the same project. Canada’s federal guidance recommends meeting at least three potential contractors and comparing estimates prepared from the same specifications. A low figure may reflect a different scope, unspecified materials, or costs that appear later, so review what each estimate actually includes.

- A realistic duration, sequence of work, and proposed project stages.
- Who manages subcontractors and coordinates permits and inspections.
- Relevant insurance, worker compensation coverage, and trade certification where required.
Ask questions about differences before choosing. If one estimate includes a specified product and another does not, they are not directly comparable until that distinction is resolved.

A signed agreement should make the project understandable to everyone involved. Canada’s federal consumer guidance recommends a written contract that sets out what will be done and how changes will be handled. Include the work scope, specified materials, responsibilities, total cost, payment schedule, start and completion dates, cleanup arrangements, and the process for approving changes.

Do not rely on a verbal conversation to settle added work. Write down the requested change, its price and schedule effect, and who has approved it before proceeding. Ontario has a specific estimate rule: if an estimate is included in a home-renovation contract, the final price for goods and services cannot exceed it by more than 10% unless new work or a new price is agreed. Phase the work around budget, dependencies, and daily life
Phasing does not mean postponing everything. It means deciding which work must happen together and which can wait, then checking that each stage is funded and workable. Before committing to a sequence, consider whether later work could damage finished areas, whether the home will remain safe and usable during each stage, and whether one task depends on another.

Track each phase’s estimate, approved changes, decisions still outstanding, and schedule. The reserve is there for unknown conditions, not as permission to leave scope undefined. Ask your contractor how unexpected conditions will be documented and priced.
