How to Set Up Permissions and Notifications in Contractor Scheduling Software

What’s actually slowing this PC down?

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Set up permissions and notifications in this order: define each person’s scheduling responsibilities, map those responsibilities to the narrowest role that works, assign notification recipients for specific events, then test the result with a real schedule change. Do not start by giving everyone administrator access. Role names, menu paths, defaults and plan requirements differ by product, so use the product-specific instructions below as examples rather than universal rules.

What permissions and notifications control

Permissions determine what a user can see and do. In a construction or field-service team, that may include viewing the calendar, creating jobs or shifts, editing assignments, publishing a schedule, managing employees, viewing customer records, changing financial information or opening company settings. Notifications determine who is told when an event occurs, such as a schedule change, shift request, swap, time-off request or availability update.

These controls are related but not identical. A technician may need to see assigned work without being able to edit the schedule. A foreman may need to edit shifts but not view financial reports. A people manager may need to approve time off while seeing only the schedule group they manage. Treat schedule visibility, schedule editing and access to sensitive information as separate decisions whenever the software allows it.

Start with responsibilities, not software roles

Before opening an administration screen, list what each category of worker must do. Use actual duties, not job titles: titles such as “supervisor” or “office manager” can conceal very different access needs.

Responsibility Questions to answer Typical access decision
View assigned work Does the person need only their own jobs, or the whole crew’s schedule? Give schedule view access at the smallest useful scope.
Create or change jobs and shifts Can the person add work, move assignments, change times or edit job details? Allow editing only for the fields and teams they manage.
Publish schedules Who is accountable for releasing a schedule to employees? Reserve publishing for dispatchers, managers or administrators.
Manage team members Who adds users, changes roles, disables accounts or resets access? Keep user administration with a small group.
Handle sensitive information Does the person need customer contact data, invoices, rates, payroll or reports? Separate operational access from financial and administrative access.
Respond to requests Who should receive shift, swap, time-off or availability requests? Set named recipients and define a backup when the primary is unavailable.

Write this list down as a role matrix. It becomes the reference for onboarding, audits and offboarding, and prevents a convenient preset from becoming permanent over-access.

Design a least-privilege role model

Least privilege means giving someone all access required for their work, but no broader access by default. The exact labels vary, but a small contractor often needs several distinct patterns.

Field worker or technician

  • View assigned jobs, locations, times and instructions.
  • Update job status or notes if that is part of the workflow.
  • Request time off or report availability when supported.
  • No access to user administration, company settings, financial reports or unrelated customer records unless the job requires it.

Foreman or crew lead

  • See the crew or schedule group they supervise.
  • Adjust assignments or times within an approved scope.
  • Receive operational requests from that group.
  • Keep billing, payroll and account-management permissions separate unless those duties are explicit.

Dispatcher or scheduler

  • Create and edit jobs, shifts and assignments.
  • Publish schedules and receive change alerts.
  • View the operational customer information needed for dispatch.
  • Do not grant broad system administration merely because the person owns the calendar.

Administrator or owner

  • Manage users, roles, integrations and company-wide settings.
  • Access sensitive reports only when required by the business.
  • Act as a backup for notification routing and emergency changes.

Keep at least two trusted administrators so a departure or absence does not lock the company out, but keep the total number of administrators small.

Check how your product separates roles and permissions

Products implement the same business need differently. Some offer presets, some offer custom toggles, and some split scheduling roles from broader company permissions. Confirm the available controls before promising a role design to your team.

Jobber

Jobber says permissions limit the information a user can access and that only admin users can change permission settings. Its documented path is Gear icon > Manage Team > select the user. The help page describes four preset permission levels as well as custom permissions, and notes that permissions are available on select plans. See Jobber’s User Permissions documentation for the current labels and plan qualification.

Contractor+

Contractor+ documents custom roles under Profile > Manage Team > Roles. You create a role, add a name and description, then choose access levels with toggles. Its examples include Manager and Field Worker roles, with controls such as job creation, financial reports and client management. Those names and controls are Contractor+ terminology; do not assume another product uses the same boundaries. The steps are in Contractor+’s role and permissions guide.

Fieldwork

Fieldwork places user setup under Company Setup > Users & Routes. Its guide describes Admin, Technician and Read Only roles, plus individual permission areas including Schedule, Customers, Invoices, Reporting, Estimates, Agreements, Tasks, Work Orders, Renewal Notices, Messages and Settings. Use those categories to check whether a person’s operational access accidentally includes financial or configuration data. Follow Fieldwork’s Users & Routes guide for its current interface.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Toast Scheduling

Toast distinguishes scheduling roles from Toast Web permissions. Its scheduling roles are Admin, Manager and Employee. An employee profile can include a Manager to be notified selection for picking up an open shift, confirming a shift swap, requesting time off, changing unavailability or making schedule changes. Toast states that if no manager is selected, email notifications go to all location managers in that scheduling group. Review Toast’s scheduling setup guide before choosing a fallback recipient.

Gusto Time Scheduling

Gusto requires Time Tracking to be enabled before Scheduling can be set up. It uses schedule groups; employees default to seeing only their own shifts unless the schedule settings are changed. People managers can receive view-only or edit access, and managers must be added to the schedule groups they manage. Availability depends on the applicable Gusto plan or add-on, so verify it in Gusto’s Time Scheduling setup guide rather than transferring another vendor’s requirements.

Connecteam

Connecteam’s Job Scheduler help collection lists separate guidance for admin permissions, user limitations, administrator notifications and customizing notifications when publishing shifts. The collection confirms that these are distinct configuration topics, but it does not establish the exact settings or navigation in the material available here. Open the relevant article in Connecteam’s Job Scheduler help collection before documenting a Connecteam procedure for staff.

Configure permissions: a product-neutral procedure

  1. Inventory people and responsibilities. Put each employee, contractor, dispatcher and manager in the role matrix. Mark who needs schedule view, schedule edit, publishing, user management and sensitive-data access.
  2. Inspect available presets and custom controls. Look for separate settings for schedule visibility, editing, publishing, team management, customers, invoices, reports and company settings. Record any plan or feature prerequisite.
  3. Create or select the narrowest role. Start with a read-only or field-worker preset when it meets the duty. Add one permission at a time for a documented responsibility instead of starting with an administrator preset.
  4. Limit the scope. If the product supports locations, crews, routes or schedule groups, assign only the groups the person manages. A permission that is safe for one crew can be excessive at company level.
  5. Assign the role to one test account first. Sign in as that user, or use an impersonation or preview feature if the product provides one. Confirm both what is visible and what actions are blocked.
  6. Roll out in batches. Apply the tested role to people with the same duties. Keep a record of the role, date, approver and any exception.
  7. Remove old access. When someone changes duties, replace the old role rather than adding a second role indefinitely. Disable or remove access promptly when a person leaves.

Configure notification recipients and events

Notifications work best when each event has one accountable recipient and a defined backup. Decide whether the alert should be an email, push notification, in-app item or another channel offered by the product. Avoid notifying an entire management group for routine changes unless the business genuinely needs that volume.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose events deliberately

  • Schedule published or republished.
  • A shift time, location, job or assignee changes.
  • An employee requests time off or changes availability.
  • An open shift is picked up.
  • A shift swap is proposed, approved or confirmed.
  • A manager or dispatcher changes an assignment.

Separate urgent operational alerts from informational updates. For example, a same-day reassignment may need a push alert, while a future-week schedule publication may be sufficient as an email or in-app notice.

Set a primary and backup owner

Choose the manager who can act on the event, not merely the person who happens to administer the software. Add a backup where the product supports one, or document a manual escalation route. Toast’s documented behavior illustrates why this matters: without a selected manager, email goes to all location managers in the scheduling group.

Check employee-level and group-level settings

A global notification setting may be overridden by an employee profile, location, schedule group or publishing workflow. Inspect all applicable layers. In Gusto, for example, schedule-group membership affects what managers can see and manage; in Toast, the manager-to-be-notified field affects who receives specific employee events.

Tell staff what an alert means

A notification is not an approval. Define whether the recipient must acknowledge it, update the schedule, contact the worker or simply retain it for reference. Include a response deadline for time-sensitive changes and a phone or chat escalation path for missed alerts.

Test the setup before relying on it

Use a test employee, a non-production schedule or a low-risk real change. Test both permissions and notifications; a role can look correct while its alerts route to the wrong person.

  1. Publish a test shift and confirm the intended worker receives the expected alert.
  2. Change the time, location or assignee and verify that the correct recipient is notified again, if the product treats edits as a new event.
  3. Submit a time-off request, availability change or shift swap from a worker account.
  4. Confirm the manager receives it and can take the intended action.
  5. Attempt a blocked action, such as opening a financial report or editing another team’s schedule, and confirm access is denied.
  6. Check the audit trail, activity log or email record if the product provides one.
  7. Repeat the test after adding a backup manager or changing schedule-group membership.

Record the expected result and the observed result. Keep screenshots or a short checklist with your operating procedures so a future administrator can reproduce the test.

Permission and notification comparison

Product Role approach Schedule visibility or editing detail Notification behavior or prerequisite
Jobber Four presets plus custom permissions; only admins can change permission settings. Permissions limit information a user can access; exact capabilities depend on the selected level or custom settings. Team members can receive a notification when their schedule changes; permissions are available on select plans. Source
Contractor+ Custom roles with access toggles; examples include Manager and Field Worker. Controls include job creation, financial reports and client management; terminology is vendor-specific. Notification defaults are not stated in the cited role article. Source
Fieldwork Admin, Technician and Read Only presets plus individual permission areas. Areas include Schedule, Customers, Invoices, Reporting, Estimates, Agreements, Tasks, Work Orders, Renewal Notices, Messages and Settings. Notification defaults are not stated in the cited setup guide. Source
Toast Scheduling Admin, Manager and Employee scheduling roles, separate from Toast Web permissions. Scheduling access is managed through scheduling roles and employee profiles. Manager-to-be-notified covers open shifts, swaps, time off, unavailability and schedule changes; with no manager selected, all location managers in the scheduling group receive email. Source
Gusto Time Scheduling People managers can have view-only or edit access and must belong to the schedule groups they manage. Employees default to seeing only their own shifts unless settings are changed. Time Tracking must be enabled first; plan or add-on availability applies. Source

Troubleshoot common failures

A user cannot see a shift

  • Check whether the person is assigned to the correct location, route, crew or schedule group.
  • Confirm the role grants schedule visibility rather than only general account access.
  • Check whether the schedule is still a draft or has not been published.
  • Verify that a plan or prerequisite has not disabled the feature.

A user can see the schedule but cannot edit it

  • Look for a separate edit, publish or approve permission.
  • Check whether the person has view-only manager access.
  • Confirm that the shift belongs to a group the user manages.
  • Sign out and back in after changing the role if the product caches permissions.

No notification arrives

  • Confirm the event actually triggers an alert; some products notify on publication but not every draft edit.
  • Check the employee’s selected manager, schedule-group membership and notification preferences.
  • Verify the email address, push permissions and spam or quarantine folders.
  • Check whether a missing recipient causes a documented fallback, such as Toast’s all-location-manager email behavior, or no alert.
  • Perform a controlled test and record the result before changing several settings at once.

Too many people receive alerts

  • Replace a broad group recipient with the manager accountable for that crew or location.
  • Remove duplicate subscriptions at employee, group and global levels.
  • Keep high-volume informational alerts in-app where possible, reserving urgent channels for changes requiring action.

The permission option is missing

  • Check whether the feature is restricted to a particular plan.
  • Confirm that a prerequisite, such as Gusto Time Tracking, is enabled.
  • Verify that you are signed in as an administrator; Jobber, for example, states that only admin users can change permission settings.
  • Use the vendor’s current help page because labels and navigation can change.

Review access when the team changes

Schedule a permission review whenever someone joins, leaves, changes crews, becomes a manager or stops handling a process. Compare the person’s current access with the role matrix, remove obsolete roles, update schedule-group membership and confirm that notification recipients still have responsibility for the events they receive.

At a regular interval—monthly for a fast-changing operation or at least quarterly for a stable one—review the administrator list, inactive accounts, custom-role exceptions and notification fallbacks. Ask each manager to confirm that the people they supervise can see the right work and no more. Keep the review date and approver with your access records.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Quick implementation checklist

  • Responsibilities documented for every worker and manager.
  • Schedule view, schedule edit and publish rights separated where possible.
  • Sensitive customer, financial and settings access limited to accountable roles.
  • Preset versus custom-role capabilities checked in the selected product.
  • Plan and feature prerequisites confirmed.
  • Notification events and recipients named, with a backup or escalation route.
  • Test publication, change, time-off and swap events completed.
  • Blocked actions tested with a non-admin account.
  • Role assignments and exceptions recorded.
  • Offboarding and periodic review process scheduled.
