How to set automatic reminders for expiring subcontractor certificates

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The dependable setup is a document register with one record for every subcontractor and every required certificate or credential. Enter the exact expiration date when the document is received, assign one named owner, and schedule reminders at 60, 30, 14 and 7 days before expiration, followed by an expiry-day escalation. Each message should identify the missing renewal, state the required coverage or form, and provide a secure upload route.

When the replacement arrives, keep it with the prior certificate, reminder history and approval decision. A spreadsheet or certificate binder is adequate for a small, stable roster if one person reviews it every week. A dedicated certificate-of-insurance (COI) platform becomes worthwhile when projects, subcontractors or audit requirements make manual follow-up unreliable.

What an automatic certificate-reminder system must do

An expiration date by itself is not a compliance process. The system must connect the date to a document, a project, a responsible employee and a renewal action. It also needs a clear state after the deadline: received, under review, approved, rejected, missing or non-compliant.

Track each document separately

Create a separate row or record for every required item, not one row for the subcontractor as a whole. A typical construction register includes:

  • Automobile liability certificate
  • Umbrella or excess liability certificate
  • Required endorsements, such as additional-insured or waiver wording
  • Trade, professional or local licenses
  • Project-specific permits or credentials
  • W-9 or equivalent tax documentation

One contractor can therefore have several active records for the same project. This prevents a current workers’ compensation certificate from hiding an expired automobile certificate.

Use a complete record

At minimum, store the subcontractor’s legal name, project, document type, certificate or policy number where applicable, effective date, expiration date, status, internal owner, subcontractor contact, broker contact and the file itself. Add contract or purchase-order references when your team uses them to determine required limits and endorsements.

Enter the expiration date as soon as the document is filed. Do not wait for a weekly meeting or for a project manager to notice the date. A reminder cannot protect a deadline that was never entered.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Assign one accountable owner

Name one employee who is responsible for the next action on each record. Other people can receive copies, but “the project team” is not an owner. The owner follows up, records the response, routes the replacement for review and changes the status. Construction operating guidance accessed in 2026 specifically recommends entering all expiry dates at filing and assigning a named owner.

Choose a reminder cadence that gives people time to act

Use an early request and progressively more urgent follow-ups. A defensible manual schedule is 60, 30, 14, 7 and 0 days before expiration. The first notice gives the subcontractor time to obtain paperwork from its broker; the later notices make internal risk visible before the deadline.

Trigger External action Internal action Record status
60 days Request the renewal and identify the exact certificate, limits and endorsements required. Notify the assigned compliance owner. Renewal requested
30 days Follow up with the subcontractor’s office or insurance contact; copy the broker when appropriate. Confirm that the request was acknowledged. Awaiting response
14 days Send an escalation with the final internal review date. Alert the project manager. Escalated
7 days Send a final warning and request immediate upload. Alert the superintendent and accounting. At risk
0 days Mark the document expired if no acceptable replacement is approved. Route a written non-compliance decision to operations and follow the contract’s remedies. Expired or non-compliant

There is no single industry-wide schedule. Vendor examples accessed in 2026 commonly use 30, 14 and 7 days; another default uses 30, 14, 7 and 1 day; one example combines a 30-day email, 15-day text message and 7-day urgent notice. Treat those as configurable starting points, not universal requirements. Projects with long approval cycles may need the 60-day request even when a software preset starts at 30 days.

Build the register in Excel or Google Sheets

Excel can calculate approaching expirations and can support automatic email through a scheduled workflow, but a workbook alone does not send unattended messages. For a small roster, pair the register with your organization’s approved automation service or have the owner run the review at a fixed time every week.

  5. Broker contact email and phone

  9. Status
  10. Secure file link
  11. Last reminder date
  12. Next reminder stage
  13. Days to expiration
  14. Approval reviewer and approval date

Convert the range to an Excel Table so new records inherit formulas and filters. Use a controlled list for Status values such as Missing, Received, Under review, Approved, Rejected, Expired and Non-compliant. Store files in an access-controlled document repository; do not place sensitive certificates in a publicly shared folder.

Calculate days remaining

If the expiration date is in column G, put this formula in the Days to expiration column:

=IF(G2="","Missing expiry",G2-TODAY())

A negative number means the date has passed. Keep the missing-date result distinct from an expired date so incomplete intake is visible.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Highlight the action bands

Apply conditional formatting to the Days to expiration column:

  • Red when the value is less than or equal to 0.
  • Orange when the value is between 1 and 7.
  • Yellow when the value is between 8 and 14.
  • Light blue when the value is between 15 and 30.
  • Gray or another warning color when the value is between 31 and 60.
  • Red or purple for the text value “Missing expiry.”

Filter the table each Monday for values of 60 or less, missing documents and expired records. The filter is the review queue; it is not a substitute for recording what happened after each contact.

Automate messages from the table

In an approved workflow tool, schedule a daily or weekly job that reads rows meeting the next reminder condition, sends the appropriate message, writes the sent date back to the row and assigns the next stage. Require a unique record identifier so the same reminder cannot be sent repeatedly when a workflow retries. Keep the message recipient fields separate for the subcontractor office, broker, project manager, superintendent and accounting.

If your organization cannot approve an unattended workflow, use a recurring calendar task for the register owner. The owner should open the filtered view, send the messages, enter the date sent and record replies. A manual weekly control is safer than an unmonitored automation that silently fails.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Configure a dedicated COI or vendor-document platform

Dedicated systems are useful when one administrator is managing many projects, when brokers need a controlled upload path, or when auditors need a complete activity history. Configure the system in this order:

  1. Define document types and requirements. Add each coverage, endorsement, license and project-specific form as its own requirement. Set the required limits and wording from the contract’s insurance exhibit rather than using a generic default.
  2. Import the roster. Reconcile legal names, active projects and contact details before turning on reminders. Do not import duplicate records for the same document.
  3. Set the schedule. Start with 60/30/14/7/0 when your approval process needs a long lead time. If the platform offers only shorter presets such as 30/14/7 or 30/14/7/1, add an earlier calendar or workflow task for the 60-day request.
  4. Configure recipients and escalation. Send routine requests to the subcontractor’s office or insurance contact, copy the broker where appropriate, and route internal alerts by role at 14, 7 and 0 days.
  5. Enable the upload path. Use a secure portal or authenticated link. The request should tell the recipient exactly which document is expiring and what replacement is required.
  6. Turn on activity logging. Preserve sent messages, uploads, replies, status changes and approvals with the record. Export capability is useful for project closeout and audits.
  7. Test before activation. Create a test record that expires in seven days, verify every recipient and confirm that the status changes and audit entry are produced. Then activate the live roster.

Reminder software organizes documents and follow-up; it does not determine whether limits, additional-insured wording, exclusions or endorsements satisfy a contract. A qualified insurance or risk professional must review coverage adequacy.

Write renewal requests that get a usable response

A vague “your insurance is expiring” email creates another round of questions. Include the document, deadline, required content and submission method in the first message.

Renewal request template

Subject: Renewal required — [document type] for [project] expires [date]

Hello [contact],

Our records show that your [document type] for [project] expires on [date]. Please send a replacement showing the coverage, limits and endorsements required by our contract no later than [internal review date]. Upload it through [secure upload link] or ask [owner name] for access.

If the policy will not be renewed by that date, tell us when the broker expects the replacement and identify any coverage change. Please do not email confidential documents to an unapproved address.

Thank you,
[owner name and contact details]

At 14 days, state the consequence of missing the internal review date without threatening a remedy that the contract does not authorize. At seven days, copy the project contacts identified in your escalation matrix. On expiry day, send a written status notice to operations and follow the contract’s documented response.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Verify the replacement and preserve the history

Receiving a PDF is not the same as closing the requirement. The owner or designated reviewer should compare the replacement with the contract’s insurance exhibit and record the result.

Review checklist

  • Legal entity name matches the subcontract agreement.
  • Policy period includes the project’s required dates.
  • Coverage types and limits meet the contract.
  • Required additional-insured, waiver or primary-and-noncontributory wording appears in the endorsement or certificate as required.
  • Project, location and operations are identified correctly when the contract requires them.
  • Issuer and policy information are legible and internally consistent.
  • The file is the current version and is stored in the approved repository.

When approved, replace the active file, update the expiration date, set the status to Approved and record the reviewer and date. Retain the prior certificate rather than overwriting it. The prior version, reminder activity and approval decision explain what was valid at each point in a project and are valuable during an audit or claim inquiry.

Notify the right people without creating alert fatigue

Use role-based escalation instead of copying every employee on every email.

Recipient When to notify Purpose
Subcontractor office or insurance contact 60, 30, 14 and 7 days Obtain the renewal or a reliable delivery date.
Broker When the subcontractor requests broker coordination or stops responding Resolve missing forms, endorsements or policy details.
Project manager 14 days and on any rejected submission Plan work and address project risk.
Superintendent and accounting 7 days and at expiry Prevent unapproved mobilization, payment or continued work when contract controls require a current certificate.
Operations or risk leadership Expiry or an unresolved material deficiency Make and document the non-compliance decision.

Do not let accounting or field personnel infer compliance from a payment system or an old email. The register is the authoritative status record.

  • Records with no file or no expiration date
  • Expired, rejected or non-compliant records

Monthly roster reconciliation

Compare the register with active contracts, purchase orders, mobilization lists and accounts-payable activity. Add subcontractors that have been paid or mobilized but are missing from the register, and archive records that are no longer active without deleting their history. This reconciliation prevents a contractor from bypassing the reminder process simply because an onboarding record was never created.

Spreadsheet, binder or software: which approach fits?

Option Best fit Capabilities to require Main limitation
Spreadsheet or COI binder Small roster with one accountable administrator Expiration fields, filters, owner, status, secure file links, weekly review and version history Messages and escalation depend on disciplined manual work or a separately approved workflow.
Dedicated COI platform Growing roster, many projects or formal audit requirements Multi-stage reminders, secure uploads, broker escalation, dashboards, activity logs and exports Configuration still requires accurate requirements and a human coverage review.
General document-expiry tool Teams tracking insurance alongside licenses, endorsements and other credentials Multiple document types, configurable schedules, email or text channels and role-based alerts A broad expiry alert may not understand construction-specific insurance wording.

Choose based on the work you must control, not on the number of notification channels. A platform that sends text messages but cannot preserve approvals or distinguish document types may create less control than a well-maintained spreadsheet.

Common failure modes and fixes

Only one expiration date is stored

Symptom: The subcontractor appears compliant because one certificate is current while another has expired.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: Create one record per document type and require every required record before the project is marked complete.

No one owns the follow-up

Symptom: Several people receive the alert, but nobody contacts the broker.

Fix: Assign one owner, with other recipients as escalation or information-only contacts.

The contractor assumes the carrier will remind you

Symptom: Your team waits for a renewal notice that never arrives.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fix: Operate the reminder process yourself. The subcontractor’s broker normally sends renewal paperwork to the subcontractor; your organization must request and track the replacement.

Symptom: The same notice repeats, or staff cannot tell whether a response was received.

Fix: Write the sent date, response, next action and status back to the record after every contact.

The new certificate overwrites the old one

Symptom: An audit cannot show what document was on file during an earlier period.

Fix: Preserve prior versions and keep the replacement history with the active record.

An automated workflow silently fails

Symptom: Expirations pass without messages.

Fix: Give the workflow an owner, monitor run failures, test with a short-dated record and maintain a weekly exception review independent of automation.

Reminder software is treated as an insurance opinion

Symptom: A file is marked compliant because it was uploaded, even though limits or endorsements are wrong.

Fix: Separate receipt from approval and require a qualified review against the contract’s insurance exhibit.

A practical implementation checklist

  1. List every certificate, endorsement, license, tax form and project-specific document required by each active contract.
  2. Create one record per subcontractor and document type.
  3. Enter effective and expiration dates at intake or mobilization.
  4. Assign an owner and a reviewer.
  5. Set 60/30/14/7/0 reminders, or map the equivalent stages available in your software.
  6. Configure secure upload and role-based escalation.
  7. Test a short-dated record before activating live notifications.
  8. Review the 60-day, missing and expired queues every week.
  9. Reconcile the register to active contracts and accounts payable every month.
  10. Archive prior certificates and activity history after each approved replacement.

The operating rule is simple: reminders have to come from the contractor managing the project, not from an assumption that someone else will notice the date. Capture every expiration, give every record an owner, escalate before the deadline and treat approval—not upload—as the point at which the requirement is closed.
