Manage vessel design files as controlled configuration records, not as loose documents in shared folders. Give every drawing, 3D model, calculation, specification and change record a persistent identity; separate working files from an approved baseline; require documented review before an approved revision changes; and preserve the released set that matches the vessel delivered. The governing details depend on the vessel’s contract, flag, classification society and whether it is commercial or naval, so treat this as a control framework to adapt to the project’s approved configuration-management plan.
What vessel-file version control is supposed to achieve
The practical question is not simply “Where is the latest file?” It is “Which approved design configuration applies to this vessel, who authorized it, and can we prove what changed?” Version control therefore combines document control with configuration management.
As an Amazon Associate I earn from qualifying purchases.
- Identity: every controlled item has a stable drawing, model or record number that does not change when the file is renamed or moved.
- Revision: each approved change receives an explicit revision value linked to a change record.
- Status: users can distinguish working, submitted, approved, superseded and obsolete material.
- Authority: an identified person or board approves releases under the project’s configuration-management plan.
- History: prior released revisions, approvals and reasons for change remain retrievable.
- Configuration: the final released set represents the vessel as delivered, including authorized construction changes.
NAVSEA shipbuilding guidance is a useful government example: it calls for configuration management during design and construction, approval of revisions made after detailed-design approval, and a final drawing revision that reflects the as-released configuration at delivery. That guidance is not automatically a requirement for every vessel; the contract and applicable authority control.

| Record category | Examples to control | Minimum release evidence |
|---|---|---|
| Product definition | Arrangement drawings, structural drawings, piping and electrical diagrams, 3D models and model entities | Identifier, revision, status, approver and release date |
| Engineering substantiation | Calculations, analyses, stability or weight information and design reports | Document owner, affected configuration and approval decision |
| Requirements and specifications | Owner requirements, material specifications, testing criteria and interface requirements | Applicability, revision and linked change record |
| Production information | Bills of material, fabrication details, work packages and approved deviations | Release package reference and effective revision |
| Configuration records | Change requests, review comments, waivers, nonconformances and approval minutes | Traceable relationship to affected design items |
| Delivery records | As-built or as-delivered drawings, models, manuals and final data packages | Reconciliation against the vessel delivered |
Designate one authoritative repository. A local desktop, email thread or uncontrolled project share may be a convenient workspace, but it must not silently become the release authority. Assign a document owner for each record class and a release authority for each design gate. Record who may create, review, approve, supersede and archive items.
Use a persistent identity, revision and status
Keep the identifier independent of the filename
A drawing or model number should remain stable when a designer changes the filename, folder or authoring tool. Store that number as a controlled metadata field and display it in the title or revision block where the project requires. Do not encode so much meaning in a filename that a change of discipline, area or vessel configuration forces a new identity.
The available standards do not prescribe one universal vessel naming format. Follow the contract, customer data requirements and adopted standards. What matters is that the scheme is documented, unique within the project and usable by engineering, production, quality and the yard.
Make revision and status separate fields
Revision answers “which authorized iteration is this?” Status answers “what may a user do with it?” A file marked “B” is not necessarily approved; a file marked “Approved” without a revision is not sufficiently traceable.

| Working | Being developed or changed; not an instruction to production or procurement. |
| For review | Submitted to named reviewers; comments and disposition are still open. |
| Approved | Authorized for the defined purpose and applicability by the responsible authority. |
| Released | Published in the controlled baseline for the people or process named in the release. |
| Superseded | Replaced by a later released revision; retained for history and audit. |
| Obsolete | No longer valid for the project; retained only where policy or contract requires. |
Never reuse a revision letter or number for a different technical state. If an approved revision is withdrawn, record the withdrawal and disposition rather than silently overwriting it.
Separate working files from the released baseline
Designers need an area where they can collaborate, reference external components and test alternatives. Production needs a protected baseline that cannot be changed by replacing a file with a same-named copy. Use distinct permissions and, where possible, distinct repository locations for those purposes.
- Create or edit the item in the controlled working area. Require check-in metadata such as author, date, discipline and reason for the edit.
- Submit a review package that identifies the exact file or model version, its dependencies and the intended applicability.
- After approval, publish an immutable or read-only release. Preserve the approved native files as well as viewable formats needed by the yard.
- Mark the previous release superseded and keep it available through the history, not through an ambiguous “old” folder.
- Prevent permissions, synchronization tools or automated exports from changing the released copy without creating a new revision and audit event.
For large 3D models, control the model structure and relationships, not only a PDF plot. ISO 10303-218:2004 describes ship-structure product data in terms that include configuration management, approval, versioning, change administration and revision tracking for selected structural entities. Verify the standard’s current applicability and access with ISO before treating it as a contractual requirement.

- Initiate the change. State the reason, requested result, urgency, originator and vessel or hull applicability. Identify whether the trigger is a design correction, owner request, supplier substitution, production issue, regulatory comment or construction deviation.
- Identify affected items. List drawings, model entities, calculations, specifications, bills of material, interfaces and previously released packages that may be affected. Include dependencies rather than only the file where the change first appeared.
- Assess impact. Record effects on structure, machinery, piping, electrical systems, outfitting, stability and weight, safety, production, testing, operation and maintenance as relevant. Note required analysis, class or flag submissions and procurement consequences.
- Assign reviewers. Route the change to the responsible disciplines and an independent checker where the project requires one. Reviewers should comment against the identified revision, not an undated attachment.
- Disposition the request. Accept, reject, defer or accept with conditions. Record the technical basis, unresolved actions and who has authority to make the decision.
- Update the controlled items. Create the next revision, update revision blocks and metadata, and reference the change-record number in each affected item. Do not create a new identifier unless the item’s function or contractual identity has genuinely changed.
- Approve the revision. Capture named approvals, dates and any required customer, class, flag or contract acceptance. NAVSEA’s surfaced guidance specifically ties revisions after initial detailed-design approval to approval under the project’s configuration-management plan or similar contractual document.
- Release and distribute. Publish the approved set with an effective date, applicability and distribution record. Withdraw or clearly supersede prior working copies.
- Verify closure. Confirm that the repository, drawing index, model references, production instructions and recipient list show the new revision. Close the change only after required actions and notifications are complete.
Review interfaces across the vessel
A revision that looks local on a sheet can change another discipline’s assumptions. The review scope should follow the physical and information interfaces of the change.
- Structure: check scantlings, penetrations, supports, access and load paths.
- Machinery and piping: check equipment envelopes, foundations, nozzles, routing, clearances, isolation and maintainability.
- Electrical and controls: check cable routes, power demand, equipment locations, signals and hazardous-area information.
- Outfitting and accommodation: check spaces, doors, escape routes, ergonomics and service access.
- Stability and weight: update weights, centers, tank capacities and any analysis affected by relocation or substitution.
- Safety, production and maintenance: check fire boundaries, inspection access, fabrication sequence, testing, spare parts and future service information.
Use an interface register or model query when a change crosses disciplines. The complete discipline list above is a practical review method, not a universal checklist imposed by the cited sources; tailor it to the vessel and contract.
Release a complete, controlled package
A release should be more than a link to one drawing. Include the information a recipient needs to know what is authoritative.
- Release identifier, issue date and effective date.
- Applicable vessel, hull number, zone, system or production stage.
- List of included drawings, models, calculations, specifications and supporting records, each with revision and status.
- Approval evidence and open conditions, if any.
- Change-record references and a concise description of the technical change.
- Required recipient groups, permitted use and any superseded items to withdraw.
- File formats, model dependencies and viewing or extraction instructions when native files are needed.
Distribute from the controlled repository or a controlled transmittal process. When a release changes, issue a new package and record who received it. Remove obsolete copies from production workspaces where practical, and mark unavoidable offline copies so a downloaded attachment cannot be mistaken for the current authority. A LIGO engineering drawing-control record is a cross-industry example whose stated scope includes drawing format, distribution, control and archiving; its page lists version 5 dated 2026-09-03. That example illustrates document-control scope, not a marine compliance rule.

Close out the as-built and as-delivered configuration
Construction often introduces approved deviations, supplier substitutions, field changes and installation adjustments. Capture them while evidence is available rather than trying to reconstruct the vessel years later.
- Collect approved construction changes, deviations, redlines, inspection records and vendor data.
- Determine which released drawings, models, calculations and manuals are affected.
- Update each affected item to the revision that represents the installed state, with traceability to the change record.
- Reconcile the final set against inspections, test results, weight data and the vessel’s actual configuration.
- Issue the as-built or as-delivered package under a defined status and retain the superseded design history.
The delivery objective is configuration accuracy, not merely a folder labeled “final.” NAVSEA’s surfaced guidance describes the final drawing revision as reflecting the as-released configuration at delivery. Confirm the exact deliverables and acceptance authority in the vessel’s contract.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Back up the history and prove that it can be restored
Protect released packages, approval records and revision relationships from accidental deletion, corruption and loss of the primary repository. Use access controls that prevent ordinary users from altering the archive, and retain the metadata needed to interpret native files.
Restoration must be tested, not assumed. Periodically recover a released package into a test location and verify that the files open, references resolve, revision history is intact and approval evidence remains associated. The LIGO record places archiving within document-control scope, but the cited excerpt does not establish a backup frequency or a particular recovery architecture; set those values in the project’s information-security and continuity plan.

What to evaluate in a version-control or PLM system
No particular software vendor was established as the best choice. Compare systems against the control problem and a representative vessel dataset before committing.
| Capability | Questions to test with your project data |
|---|---|
| Revision history and recovery | Can a user retrieve any released revision, compare changes and recover a deleted package without breaking references? |
| Workflow and permissions | Can working, review, approval and release permissions be separated by role and discipline? |
| Traceability | Can a change request show every affected drawing, model entity, calculation, approval and release? |
| Native CAD and large models | Does check-in preserve native files, dependencies, metadata and model relationships at the project’s scale? |
| Distribution | Can the system issue a controlled package, record recipients and withdraw superseded copies? |
| Audit and retention | Are approval events, timestamps, status changes and retention actions exportable for contract or class review? |
| Multi-discipline configuration | Can structure, machinery, piping, electrical, production and delivery records share a configuration baseline? |
| Contractual fit | Can fields, numbering, signatures, submission formats and retention rules be configured for the vessel’s contract and authorities? |
Run a pilot using a real model assembly, a drawing with references, one cross-discipline change and a simulated delivery package. Test the failure path: a reviewer must be able to tell which revision was approved, a production user must see only the applicable release, and an auditor must be able to reconstruct the decision.
Standards and project authority
ASME Y14.35-2025
ASME identifies Y14.35-2025 as covering revision practices for engineering product-definition datasets and associated documents, including methods for identifying and recording revisions. Use it when the project’s governing documents call for it or when the responsible engineering organization adopts it. It does not automatically override flag, classification, customer or contract controls, and it is not evidence that every vessel project must use the standard.

ISO 10303-218:2004
The ISO catalogue description for ISO 10303-218 addresses ship-structure product data and includes configuration management, approval, versioning, change administration and revision tracking for selected structural entities. Because the catalogue page was not available for detailed verification in the reviewed material, confirm current status, applicability and access with ISO before citing clauses or making a compliance claim.
NAVSEA shipbuilding guidance
NAVSEA’s Shipbuilding and Repair Quality Standards are a government shipbuilding example for configuration management, approval of revisions to approved detailed-design drawings and delivery configuration. The PDF was not available for direct retrieval and returned a 403 response in the reviewed material. Verify the current controlled manual and the clauses incorporated into the live contract before relying on it as a project requirement.
Order of precedence
Before implementation, the project engineer or document-control owner should identify the contract’s order of precedence, customer data requirements, flag and classification submissions, and the approved configuration-management plan. Those details determine which authority can approve a change and which records must be delivered.

Common failure modes and fixes
| Symptom | Likely control failure | Corrective action |
|---|---|---|
| Two teams claim to have the latest drawing | No authoritative repository, or distribution was not recorded | Declare one release authority, issue a controlled transmittal and supersede the competing copy. |
| A PDF is current but the native model is older | Formats were released independently | Release native and viewable files as one package and record dependencies. |
| A revision has no explanation | Revision was changed without a linked change record | Require a change-record reference before approval and reconstruct the decision while evidence exists. |
| Production used a superseded sheet | Obsolete copies were not withdrawn or clearly marked | Use status-controlled distribution, recipient acknowledgements and visible superseded markings. |
| As-delivered drawings do not match installation | Field changes were tracked outside configuration control | Collect deviations and redlines, update affected items and reconcile against inspection evidence. |
| Restored files open with missing references | Backups captured files but not model relationships or metadata | Back up the complete release package and test restoration with a model assembly. |
