A dated record can help establish the condition of your property and when it changed; it does not, by itself, prove what caused the damage or who is responsible.
Make a record before construction starts, if possible
A baseline gives you something to compare against if cracks or other problems appear later. Photograph rooms and exterior areas that might be affected, and note visible defects such as cracks, stains, leaks, uneven floors, or doors and windows that already stick. Date your notes and keep any survey arranged for the project, along with messages about the survey or access to your property.

Requirements vary by location and type of work. Singapore’s Building and Construction Authority says a pre-construction survey is required before specified work, including demolition, piling, foundation, tunnelling, or site formation, in its regulatory context: BCA pre-construction survey guidance. In the Philippines, the Construction Industry Authority FAQ describes recording adjacent property conditions before work through photographs or other means where legally and physically possible: CIAP FAQ. Neither example should be treated as a rule that applies everywhere.

Make notes promptly when you first see a problem. Record the date and time, the precise location, what you observe, and whether it appears to change. Describe visible dimensions or extent without guessing at the cause. For a crack, note where it starts and ends and record its width consistently if you can do so safely.

Take more than one view: an overview that shows where the damage is, and close-ups that show its details. Keep the original image files and avoid editing them. If you annotate a copy to identify a location or date, retain the unaltered original too. Written reports and photographs can document existing cracks and defects; dimensioned sketches can help show crack width where useful, according to a survey provider’s description of condition surveys: schedule of condition surveys.
A crack-width gauge or tell-tale monitor may help you track a crack consistently; a survey provider describes monitoring as something that may be recommended during works. These aids record observations, not cause, liability, or whether a building is safe. Keep a clear, dated evidence file
Store the record in one place so the timeline is easy to follow. Include original photos, dated notes, condition surveys, project notices, emails, letters, repair estimates, and records of calls. After a conversation, write down who you spoke with, when it took place, and what was agreed. This is a practical way to keep the material organized, not a guarantee that it will prove causation or meet a particular legal evidence rule.

Use the contact details on the construction notice or other site information. In writing, state what you observed, where it is, and when you first noticed it. Attach representative photos, ask the contact to acknowledge the report and explain the proposed inspection plan, and keep a copy of your message and any response.

Contact your insurer promptly and follow the instructions and time limits in your policy. Deadlines and coverage depend on the policy and your location. Do not assume that a contractor’s insurance will cover your loss, or that your own policy will cover it. For example, Victoria’s Building and Plumbing Commission says that, in its protection-work context, an insurance contract must be in force and a standard construction and public liability policy will not normally provide the minimum cover required: Victorian protection-work guidance. That statement concerns Victorian requirements and should not be generalized to other projects or policies.
Decide whether to request or arrange an inspection
A condition survey can document visible damage and provide a basis for comparison with an earlier record. Possible elements include photographs of defects, cracks, unevenness, signs of settlement or structural distress, and dimensioned sketches, according to the survey provider’s description of its service: survey provider’s condition-survey information.

If you are weighing a project-arranged survey against hiring an independent surveyor, ask:
- Who will carry out the survey, and for whom?
- Which rooms and outside areas will it cover?
- Will it describe and photograph existing defects?
- Will it record crack widths or include dimensioned sketches?
- Will you receive a copy?
- Is repeat monitoring proposed if a defect may change during the work?

If damage is substantial, changing, or raises a safety concern, contact a qualified building professional or the relevant local authority promptly. Check the local complaint and legal process
Building rules, notice requirements, liability, insurance arrangements, and complaint routes differ by jurisdiction. Check the building authority and legal guidance for the place where the property is located before relying on a deadline or assuming who must pay.
For example, GOV.UK says that people carrying out covered building work in England must protect a neighbour’s property from damage caused by the work and fix or pay for damage they cause: GOV.UK guidance on settling party-wall disputes. Its explanatory booklet describes a schedule of condition as a written record, usually supported by photographs, and says it is prudent rather than a requirement of the Party Wall etc. Act 1996: Party Wall etc. Act 1996 explanatory booklet. Those statements concern the English rules described in the sources, not a universal legal position.
In Queensland, the building regulator describes a complaint process that can include an inspection and an on-site review with the property owner and contractor to consider agreed repair items: Queensland Building and Construction Commission complaints and disputes. Follow the process set out by the authority in your own jurisdiction.
