Choose an apartment air conditioner in this order: confirm that your building allows the installation, check the window and electrical constraints, estimate the room’s cooling need, then compare efficiency, noise, and total cost. A window unit is a practical choice where it fits and is permitted; a portable unit still needs a workable way to exhaust heat, while a ductless mini-split requires approval for a fixed installation.
1. Confirm that your apartment allows the installation
Before shopping, review your lease and ask building management whether the type of air conditioner you want is allowed. A window unit can affect the exterior, window operation, and building safety; a mini-split involves a more substantial fixed installation. Local rules and building policies vary. New York City’s Department of Buildings, for example, advises residents to obtain management permission and provides local installation precautions; its guidance is not a nationwide rule. If a rule is unclear, get the requirement in writing before purchasing. Check local authorities for applicable permits or safety requirements rather than assuming a rule from another city applies to your apartment.
2. Choose the type of air conditioner that can work in your apartment
Room air conditioners, portable units, and ductless mini-splits have different installation needs. The best fit depends on the building, room, and whether you can make a permanent change. The U.S. Department of Energy distinguishes window and through-wall room units from other system types; its cooling overview describes mini-splits as ductless systems that can provide zoned cooling. DOE’s Federal Energy Management Program room-AC guidance covers window and through-the-wall categories, including some casement and reverse-cycle models, but excludes portable ACs from that particular guidance. 3. Check the window, frame, and measurements before buying
For a window unit, confirm that the window opens, that its style works with the model’s installation method, and that the frame is sound enough to support the installation. Measure the opening and compare it with the manufacturer’s fit requirements; nominal unit dimensions alone do not establish compatibility.

Some U-shaped or saddle-style room ACs are designed to bracket the window or sill, allowing the window to open and close in many cases. This depends on the model and opening, so verify the product’s specifications and installation instructions. ENERGY STAR room air conditioner guidance.
4. Estimate the cooling capacity from the room area
Measure the area you intend to cool and use a sizing chart as a starting point. ENERGY STAR’s room-AC chart assumes an eight-foot ceiling and gives these examples:

The chart continues to higher capacities for larger areas. These figures are a guide, not a full load calculation: ceiling height, layout, sun exposure, and other room conditions can change the cooling need. 5. Adjust for sunlight, occupancy, and kitchen use
ENERGY STAR suggests adjusting the chart capacity for several room conditions: reduce it by 10% for a heavily shaded room; increase it by 10% for a very sunny room; add 600 Btu/h for each regular occupant beyond two; and add 4,000 Btu/h when the AC will be used in a kitchen. Airflow direction and ceilings higher than the chart’s eight-foot assumption also matter. These are sizing suggestions, not a substitute for evaluating the specific room. 6. Avoid choosing a unit that is too large
A higher Btu/h rating is not automatically better. ENERGY STAR explains that an oversized AC can cool the air quickly without removing enough humidity, leaving the room clammy. DOE also warns that oversizing can increase purchase and energy costs and reduce humidity removal through excessive cycling. Check the selected model’s electrical requirements against the apartment’s available service and outlet arrangement before purchase. Do not assume that an outlet’s location or appearance confirms it can support the unit. NYC’s installation guidance advises checking service capacity and using dedicated outlets for AC units; those instructions are local guidance, and the requirements for a particular appliance and building may differ. 8. Plan a secure installation that keeps exits clear
Inspect the window and frame, follow the exact model instructions, and make sure the unit will be firmly supported. Do not improvise with loose objects as supports. Keep fire-escape windows and other exits unobstructed, and check the safety rules that apply in your location. NYC’s Department of Buildings lists these precautions for its jurisdiction. 9. Compare efficiency and likely operating cost
Compare efficiency information alongside purchase price, and consider how often and how long the unit is likely to run. A more efficient model may cost more upfront, but the eventual difference depends on the specific products, use, and utility rates.
DOE FEMP’s December 2024 illustrative comparison for room ACs without reverse cycle contrasts a CEER 14.7 model (the ENERGY STAR level in that example) with a CEER 10.9 model and estimates $167 in lifetime energy-cost savings for the more efficient option. The estimate uses 2023 dollars and stated assumptions for 8,000–13,999 Btu/h models over a nine-year lifetime; it is not a prediction of an individual apartment’s bill or a guarantee for current products. 10. Compare noise, controls, and everyday usability
In a small apartment, compressor noise, airflow direction, and controls can matter as much as headline capacity. Compare the noise information for the specific models you are considering, and check whether the controls and airflow suit the room’s layout.
