To build a useful temporary study space during a campus renovation, first get approval for the proposed rooms, then plan the student experience around them: quiet and group study, power and computers, library and academic support, accessible routes, clear hours, and current construction updates. A room full of desks is not a substitute for the services students lose when a library or academic building closes.

Start with the services and study needs that must continue

Before choosing rooms or moving furniture, make a list of what the renovation displaces. The affected building may support several different needs: quiet individual study, group projects, computer use, printing, library help, course reserves, tutoring, access to books, or a place to ask for IT assistance. Those needs may require different rooms and service arrangements.

Separate essential functions from useful extras, and identify who depends on each one. A student who needs a quiet seat and power has different requirements from a student collecting a reserve reading or meeting a group. Staff should also consider the times and patterns of use: a room that is convenient during the day may not help students who rely on evening access.

  • Study: quiet individual seating, collaborative areas, and bookable group rooms.
  • Technology: dependable network access, power, computers, and printing.
  • Help: library information, study advice, tutoring, and IT support.
  • Materials: books, course reserves, holds, scans, and interlibrary loans.
  • Access: entrances, lifts, routes, opening hours, and room-finding information.

This inventory gives the planning team a practical test for each proposed location: which displaced needs can it serve, and which will need another room or an alternate service?

Get approval before occupying or changing a room

Campus space is institutionally governed. Do not assume that an empty classroom, meeting room, or common area can be repurposed because it appears available. Ask Facilities and the campus office responsible for space allocation which approval process applies, and confirm any safety, code, accessibility, occupancy, power, or furniture requirements before moving in.

At the University of Washington Tacoma, a temporary or permanent relocation due to construction or renovation is among the circumstances that require a Space Request and campus approval before a space is occupied or modified. UW Tacoma Facilities encourages faculty and staff to consult early so feasibility, safety, code compliance, cost, and campus priorities can be considered. That is a campus-specific process, not a universal rule; follow the procedures at the institution where the temporary study space will operate.

Start the approval conversation while the project scope is being defined. The team can then assess candidate rooms before students are directed to them, rather than discovering late that a planned room cannot serve its intended purpose.

Choose rooms by access, conditions, and availability

Compare candidate spaces against the whole student journey, not only their floor area. Proximity to the closed building can matter, but so can the route between buildings, the entrance students should use, lift access, visibility of signs, and whether students can find the room without staff help. A workable location should also fit the way students actually study and the hours they need it.

  • Availability: confirm opening hours, reservation rules, holiday schedules, and whether teaching or other activities also use the room.
  • Service continuity: identify routes to reserves, high-use materials, tutoring, IT help, and library assistance.

If one room cannot meet every need, plan a small network of spaces and explain what each one offers. A quiet room, a computer lab, and a staffed service point may be more useful than a single crowded space expected to do everything.

Design the space for the study modes it promises

Describe each room by its intended use before arranging it. Quiet individual study, collaborative work, computer access, and staff service all compete for different conditions. If a temporary site includes more than one floor or building, make the division easy to understand: tell students where to go for help, where to study, and where to collect materials.

Reading’s temporary arrangement in the nearby URS building aimed to provide a quieter environment close to the library. It included study furniture with power sockets, fixed computers, printing, library information, study advice, maths support, and IT service. The University of Reading also described more than 1,500 study spaces across its campuses during term time for that project period, which ran from 2016 to 2019. That figure describes Reading’s project context; it is not a capacity target for another campus.

Northern Kentucky University’s plan for Steely Library HVAC work placed services in Landrum Academic Center across two floors. Its listed provisions included library help, interlibrary loan pickup, course reserves, printing, study areas, computer access, and reservable group rooms. The project page characterized its schedule as an estimate, so room assignments and dates should be checked against current campus updates rather than treated as permanent.

These examples show why the room plan and the service plan belong together. Furniture can support a use, but it does not by itself provide the people, materials, or technology students need.

Move services with the seats—or make the alternate route clear

For every service in the initial inventory, decide whether it will move, remain available elsewhere, operate online, or pause. Publish the answer in plain terms. If services are distributed, give students a simple location map or service list instead of making them infer where a function went.

Reading kept books accessible in the library building while moving most study services into URS. For some off-site material needs, the university described scans and interlibrary loans. NKU’s plan similarly identified where students could find help, collect interlibrary loans and course reserves, print, study, use computers, and reserve group rooms during the library HVAC work.

Students may have a seat available while the shelves they need are behind a construction barrier. Explain how to request closed or relocated items, where to collect them, how to obtain reading-list materials, and what alternatives exist when a physical copy cannot be reached. If requests may take longer than usual, say so before a student places one.

Plan for construction noise and changing boundaries

Coordinate with the construction team about work hours, noisy tasks, barriers, dust control, and changes to routes. Study-space planning is not complete if the room is technically open but unusable during the loudest work. Where the schedule permits, place quiet study away from the noisiest activity or identify other rooms and hours students can use.

University College London’s guidance for spring 2025 works warned that the Main Library would face medium to high noise during the stated period. It suggested using affected spaces outside construction hours where possible, consulting quieter locations, checking available space information, and asking at the Help Point for free earplugs. The University of Glasgow described temporary soundproof walls around some work areas, signs for closures, and nearby quiet-study alternatives.

Use earplugs as an optional backup, not as the main noise-control plan. UCL offered them free during the cited works, so students can check whether their own campus provides them before buying any. A more reliable plan is to disclose affected hours and make quieter alternatives easy to find.

Make the temporary location easy to find and use

Maintain one authoritative project page with the exact building and room names or numbers, operating hours, accessible routes, reservation information, service locations, construction updates, and a contact point. A page that says only “study space available nearby” forces students to search at the moment they need help.

Put signs at the original building entrance and at route decision points, especially where a student might otherwise continue toward a closed door. If rooms are on different floors or in separate buildings, show where the student should go for each service. Use campus room-finding or occupancy tools when available, but do not make them the only way to learn a room’s address or hours.

Cal Poly’s temporary-location information for the Kennedy Library transformation project listed rooms in the Math and Science Building and Science North with operating schedules. UCL pointed students to a tool for comparing facilities and checking space availability, while Glasgow linked to an app for checking how busy study locations were. NKU’s project page said it would be updated and directed users with questions to a library closure team. These are useful communication practices, but current room details should always come from the institution’s latest project information.

Use a phased planning sequence

  1. Confirm the project scope. List affected services, dates or phases, and the building functions that students will lose. Identify a campus contact for space approval and a construction contact for work schedules and access changes.
  2. Get candidate rooms reviewed. Ask Facilities and the relevant space-governance authority to confirm permitted use and any checks required for the specific rooms. Include accessibility and campus safety contacts as appropriate.
  3. Match rooms to study modes. Assign quiet study, group work, computers, printing, and staff help to rooms that can support them. Verify routes, hours, reservations, and likely conflicts with other uses.
  4. Map service continuity. Decide where help, reserves, holds, printing, tutoring, IT support, and materials access will happen. Specify online or off-site alternatives for functions that cannot move.
  5. Coordinate noise and construction boundaries. Confirm likely disruptive work periods, temporary barriers, dust controls, and route changes. Choose alternatives for students who need quieter conditions.
  6. Publish and signpost the plan. Put exact room information, hours, accessible routes, reservations, service locations, updates, and a contact on the central project page. Add signs where people make wayfinding decisions.
  7. Update when conditions change. Keep the page and signs aligned with actual schedules and access. If a room, route, or service changes, state what changed and where students should go instead.

Set expectations honestly during phased work

Renovation projects can change room access, noise conditions, and service locations as work proceeds. Label schedules as estimates when they are estimates, and date updates so students can tell whether information is current. Avoid promising a particular room or service beyond the period the project team can confirm.

The University of Georgia’s 2026 renovation guidance described online requests for materials and pickup at service desks or other campus locations while shelves and study spaces were temporarily inaccessible during HVAC work. It also warned that some requests could be delayed. That kind of qualification helps students plan: tell them both the available route and the limitation they may encounter.

For students, check the institution’s current project update before traveling, especially during phased construction. Room assignments and opening schedules posted for an earlier phase may no longer apply.

What students should check before setting out

If a campus building or library is under renovation, use the institution’s current project page as the source of truth. Confirm the room, hours, route, and any reservation requirement before leaving, and check how to access the materials or support you need.

  • Is the space open at the time you plan to study, and does it require a reservation?
  • Which building, room, floor, and entrance should you use?
  • Is there an accessible route, and are any usual routes or lifts affected?
  • Does the room have the equipment you need, such as power, a computer, or printing?
  • Where can you ask for library, academic, or IT help?
  • How do you request or collect books, reserves, or other materials that are inaccessible?
  • Are there construction hours or conditions that may affect noise or access?

Limits to keep in mind

University examples are operational case studies, not universal standards for capacity, accessibility, safety, or technical setup. Requirements depend on the institution and the particular room. The sources cited here do not establish a general minimum number of seats or a universal specification for temporary study space, so campus teams should have the relevant Facilities and accessibility contacts assess their own plans.
