Construction and design teams can adopt collaboration practices developed outside AEC, but only when each tool has a defined job and a clear relationship to the firm’s project and document systems. Use chat for fast coordination, project boards for accountable work, concise status reports for asynchronous check-ins, game engines for visualization and training, and APIs or automation services for routine handoffs. Keep formal records, contracts, and approvals in the systems that already govern the project.
Why collaboration practices from outside AEC are worth considering
AEC work is distributed by nature. Owners, architects, engineers, contractors, specialty trades, fabricators, and field teams may work for different companies, in different locations, and on different schedules. The result is a constant mix of urgent questions, planned tasks, document exchanges, approvals, and coordination meetings.

The useful lesson from technology businesses is not that a particular app will solve construction communication. It is that different kinds of work deserve different channels. A chat thread is good for a quick clarification; it is not automatically the project’s legal record. A task board can show who owns a design review, but it does not replace a construction-management platform’s submittal or change-order workflow. A status report can reduce the need for routine verbal updates, but it cannot replace a decision meeting when scope, safety, cost, or schedule is at stake.

Match the tool to the work
Start with the work a team needs to perform, then select a category that supports it. The article identifies five distinct jobs.
| Workflow need | Examples named in the 2019 article | What the category is intended to do | Fit questions for an AEC firm |
|---|---|---|---|
| Informal, distributed communication | Slack, Rocket.Chat, Fleep, Mattermost; Synology Chat at VIATechnik | Support real-time one-to-one and group discussions, integrations, and bots. | Which conversations need a fast response, and which must be captured in the project record? |
| Task and project tracking | Jira and Asana; construction-oriented comparisons include Procore, Newforma, and Egnyte | Assign work, track bugs or issues, set milestones and goals, and organize workflows. | Where will the authoritative task, due date, approval, and evidence live? |
| Meeting and check-in support | Status Hero | Collect concise status updates and focus check-ins on relevant work. | Can people report progress asynchronously, and what events still require a live meeting? |
| Visualization, simulation, and training | Unity, Unreal Engine, and VR/AR | Present realistic environments, support simulation, and enable virtual collaboration or training. | What decision or skill improves when people can see or experience the environment? |
| Integration and automation | APIs, IFTTT, Integromat, Zapier; Box appears as an example destination | Connect software and automate routine actions such as archiving email or sending change notifications. | Which handoff is repetitive, rules-based, and safe to automate without bypassing approval? |
The 2019 article does not establish prices, current feature sets, security controls, interoperability performance, or vendor rankings for these examples. Verify those details against current documentation and your project requirements before selecting a service.
Use chat for speed, not as the formal record
Where chat helps
Channel-based chat can give a distributed team a shared place to ask a question, coordinate a site visit, or resolve a small issue without filling everyone’s inbox. Separate channels can reflect a project, discipline, building area, or workstream. Direct messages are useful for a narrow exchange; group channels make decisions and context more visible to the people who need them.
Recommended Free Tools
Integrations and bots can bring alerts into a channel, such as a task assignment or a changed file. That can shorten the time between an event and a team member noticing it. VIATechnik’s article says the firm used Synology Chat internally and names Slack, Rocket.Chat, Fleep, and Mattermost as alternatives. These are examples of the category, not a recommendation or a current product assessment.
Where chat must stop
Email remains useful for formal communication, including legal paperwork. Depending on the contract and the project’s information-management plan, notices, approvals, commitments, and transmittals may need to remain in an approved document or construction-management system. A chat message should point people to the formal record rather than quietly becoming the only evidence of a decision.
- Define which message types require migration into the project record.
- Use a consistent naming convention for project and discipline channels.
- Set an owner who archives or links decisions, rather than expecting every participant to search chat history later.
- Keep confidential personnel, bid, and legal discussions in channels with appropriate access controls.
Use task boards to make ownership and milestones visible
What general project tools add
Jira and Asana are presented in the article as examples of general project-management tools. Their proposed role is to assign work, track bugs or issues, set milestones and goals, and organize workflows. For an AEC team, that model can apply to design coordination, estimating actions, requests for information, internal quality checks, software or process improvements, and preconstruction readiness.

A useful task should identify an owner, a meaningful due date, a definition of done, and any dependency or source document. “Review shop drawings” is too broad if nobody can tell which package, what review standard, or what evidence closes the task. A more useful record names the package, responsible reviewer, response date, and location of the approved response.
Keep the project system of record clear
The article distinguishes general tools such as Jira and Asana from construction-management platforms such as Procore and Newforma, and also mentions Egnyte in its construction-oriented comparisons. The practical question is not whether one category is universally better. It is which system is authoritative for a particular record. A general board may coordinate internal work while the construction platform holds contractual correspondence, submittals, RFIs, drawings, and approvals.
Write that boundary into the project execution plan. If a task board links to a drawing or RFI, the link should resolve to the controlled source, not to an untracked local copy. When a task closes, retain the evidence required by the project’s quality and contract procedures.
Make routine status reporting asynchronous
What status platforms are meant to do
Status Hero is cited as an example of a platform that gathers concise updates and helps focus check-ins on important work. A structured update can ask what was completed, what is next, and what is blocked. That gives a project lead a quick view of exceptions before calling a meeting.
Use a short reporting window and consistent prompts. For example, a design lead might report completed coordination items, the next review package, and a decision needed from the architect. A superintendent might report the work completed, the next shift’s constraint, and a safety or logistics issue requiring escalation.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsDo not promise a meeting reduction the evidence does not show
The 2019 article provides no measured evidence that status platforms reduce meetings. It reports a claim that the average middle manager spends 35% of their time in meetings and upper management may spend as much as 50%, but it does not identify the underlying study, publisher, sample, or year. Treat those figures as statements reproduced by that article, not as independently verified or current statistics.

Measure your own result instead: count recurring meetings, attendance, duration, and the percentage devoted to status recitation before and after a pilot. A status tool is working when meetings spend more time on decisions, constraints, and coordination than on reading updates aloud.
Use game engines and immersive tools when experience matters
Visualization and simulation
The article names Unity and Unreal Engine as game engines that can support visualization and simulation. In an AEC context, a team could use a navigable model to discuss circulation, sequencing, access, or spatial conflicts. A simulation can make a proposed process easier to understand than a static drawing, particularly for people who do not work with models every day.
Training and virtual collaboration
The article also suggests VR and AR for discussion in realistic environments and for builder training. This is most defensible when the learning objective benefits from immersion: recognizing a hazard, practicing a sequence, understanding a plant-room layout, or rehearsing an installation constraint. Define the objective before buying equipment or building a scene. If a marked-up plan, photograph, or short video answers the question just as well, an immersive workflow may add unnecessary complexity.
These are capabilities described by the 2019 source, not current adoption measurements. Confirm device support, model formats, environment preparation, user training, accessibility, and data-handling requirements for the specific project.
Automate the handoffs that follow clear rules
Examples of low-judgment automation
APIs and visual scripting services can connect systems without requiring a custom integration for every small workflow. The article names IFTTT, Integromat, and Zapier, with examples such as archiving emails in Box and notifying users when a spreadsheet changes. It describes the category as a way to automate daily processes; its exact wording is: “For many basic integrations and automations, visual scripting platforms (such as IFTTT, Integromat, and Zapier) help automate daily processes.” The sentence is attributed to VIATechnik in the March 26, 2019 Building Design + Construction article.
Good first candidates in a construction office are repetitive notifications, creation of a standardized task when a controlled event occurs, or copying a reference link into an approved register. The automation should preserve the source, timestamp, responsible system, and any required approval.

Do not automate judgment or contractual authority
An automation should not approve a submittal, change a contract value, issue a notice, or overwrite a controlled document merely because a trigger fired. Build in a review step for anything that affects safety, cost, schedule, compliance, or contractual rights. Log failures and provide a manual recovery path.

- Map the communication problem. Document where the current workflow breaks: delayed answers, duplicate data entry, unclear ownership, excessive status meetings, or difficulty explaining a sequence.
- Choose one tool category. Do not begin with a broad “digital transformation” purchase. Select chat, task tracking, status reporting, immersive visualization, or automation according to the problem statement.
- Define the system of record. Identify which platform controls drawings, RFIs, submittals, correspondence, approvals, and other contractual records. The new tool should link to that system rather than create a competing archive.
- Specify handoffs. Write down the trigger, data passed, recipient, owner, and failure response. This is essential for both integrations and human workflows.
- Pilot on a bounded workstream. Use one project phase, discipline, or recurring process. Establish a baseline such as response time, overdue tasks, meeting hours, or re-entry effort before changing the workflow.
- Set participation rules. Explain channel names, task fields, update frequency, escalation paths, retention, and what must be recorded formally.
- Review after a defined period. Ask whether the tool improved visibility or simply added another place to check. Retain it only if the measured workflow outcome justifies the administration required.
Design for synchronous and asynchronous work
Collaboration tools work best when a team deliberately separates work that needs immediate interaction from work that can wait. Chat and live model reviews support synchronous coordination. Task boards and written status updates support asynchronous progress across time zones and job sites.
Set an escalation rule so urgent issues do not sit in an unattended channel. For example, a safety concern or a decision that blocks a critical path should move from a written update to a named person and a live conversation. Conversely, routine progress should not trigger a meeting merely because a manager has not checked the board.
Access and retention also need an owner. Project staff change, subcontractors demobilize, and contracts impose different obligations. Align permissions, export procedures, and retention with the project’s information-management plan and legal requirements.
Common failure modes and practical fixes
- Tool sprawl: People cannot tell where to look. Publish a one-page map showing the purpose and authority of each system.
- Chat becomes the archive: Decisions disappear in fast-moving threads. Link every consequential decision to the controlled project record.
- Task boards become personal to-do lists: Require an owner, due date, dependency, and closure evidence for project-level tasks.
- Status reports become surveillance: Ask for blockers and decisions, not exhaustive activity logs. Use the information to remove constraints.
- Immersive demos lack a decision: Tie every visualization or simulation to a defined coordination, training, or safety objective.
- Automation silently fails: Add error notifications, a run log, and a manual procedure that restores the intended record.
- Historical examples are treated as current advice: Recheck present-day pricing, security, integrations, product names, and support before procurement.
What a sensible starting sequence looks like
Most firms should begin with the smallest change that addresses a visible bottleneck. Establish a governed chat structure for distributed questions, add a task view for cross-discipline actions, and introduce concise status updates where meetings mainly repeat information. Once the team can identify an authoritative record and a reliable handoff, automate one low-risk repetitive action. Use immersive visualization only when it changes how people understand a space, sequence, or hazard.
The central discipline is matching the tool to the job. Outside-AEC practices are valuable when they make ownership, timing, context, or experience clearer without weakening the formal records that construction projects depend on.
