Confirm the brief, map guest and staff circulation, assign every interface, and coordinate ceilings, joinery, lighting and building services before anything is concealed. Then select finishes and furniture for the cleaning, wear, moisture and maintenance demands of each location. This sequence prevents attractive but unbuildable designs, late service relocations and handover gaps.
Use this checklist with the hotel’s approved fire strategy, accessibility requirements, engineering specifications, local authority rules, landlord conditions and brand or operator standards. The practical guidance below draws on industry fit-out and procurement guidance; it is not a universal code and must be adapted to the property’s jurisdiction and existing building.

What is included in hotel interior design?
Hotel interior design includes the guest experience and the physical decisions that make the operation work: planning rooms and public areas, selecting finishes, designing fixed and loose furniture, coordinating lighting, integrating mechanical, electrical and plumbing services, and documenting how everything will be installed, maintained and replaced.
Recommended Free Tools
A complete fit-out package normally covers:
- Guestrooms, corridors, lobbies, restaurants, bars, meeting rooms, back-of-house areas and service circulation.
- Partitions, doors, glazing, floors, wall finishes, ceilings, decorative features and specialist surfaces.
- Built-in joinery such as wardrobes, headboards, vanities, minibars, reception counters, bars and storage.
- Loose furniture, fixtures and equipment (FF&E), artwork, signage and client-supplied equipment.
- Ambient, task, accent, decorative and emergency lighting, including controls and scenes.
- Heating, ventilation and air-conditioning, electrical distribution, data, plumbing, drainage, fire alarm, fire suppression, security and other low-current systems.
- Samples, mock-ups, bills of quantities (BOQ), room data sheets, details, approvals, testing, commissioning and handover information.
The design is only complete when the interfaces between those items are defined. A wardrobe needs structural support, power, data, lighting, ventilation or appliance clearances where applicable, and access for replacement. A ceiling needs coordinated positions for luminaires, diffusers, sprinklers, detectors, speakers and access panels. A finish schedule that omits those relationships is not a buildable checklist.

What should be planned first in a hotel interior?
Begin with the property brief and verified conditions. Record the hotel type, brand or operator requirements, room and public-area functions, guest and staff routes, operating constraints, budget, phasing and opening milestones. For a refurbishment, survey the site and compare available as-built drawings with what is actually in the walls, floors and ceilings; existing services and dimensions often differ from old drawings.
Establish the room and circulation brief
Map each room type and its activities before choosing furniture or finishes. Confirm bed and seating arrangements, luggage storage, work surfaces, housekeeping access, accessible routes, service corridors, fire egress and delivery paths. Check measured wall lengths, window and door locations, door swings, bathroom positions, structural projections, electrical points and existing service risers. A plan that works graphically but blocks a door, narrows a route or prevents a maintenance panel from opening will fail on site.
Create a responsibility and interface matrix
List every package and identify who supplies, installs, supports, powers, tests, commissions and obtains approval for it. Include partitions, ceilings, floors, paint, doors, glazing, joinery, sanitary fixtures, lighting, specialist finishes, signage, loose furniture and client-supplied items. If one party owns an item and another installs the adjacent work, define loads, dimensions, openings, supports, cable routes, water and drainage connections, protection and access in the matrix. Responsibility cannot be transferred simply by calling an item “by others.”

1. Confirm existing conditions and design information
- Issue the approved brief, room data sheets, measured plans, reflected ceiling plans (RCPs), elevations, sections, finish schedules and equipment layouts as one controlled information set.
- Verify dimensions on site, including slab-to-slab heights, risers, shafts, door openings, window positions, bathroom set-outs and service routes.
- Mark guest, staff, housekeeping, waste, delivery and emergency circulation on the plans.
- Record operator, landlord, authority, accessibility, fire and acoustic requirements that affect the interior.
- Log assumptions and unresolved surveys; assign an owner and due date for each one before construction starts.
2. Define finishes by use and upkeep
For every finish, record its location, product description, substrate, installation method, performance and maintenance requirements, sample or mock-up status, approved supplier or equal basis where relevant, quantity, drawing and detail references, and the repair or replacement approach. Assess more than appearance:

- Resistance to the cleaning chemicals and disinfectants the operator actually uses.
- Ability to patch, replace or reorder a damaged area without removing an entire assembly.
- Access to valves, traps, dampers, cable routes and equipment behind or below the finish.
- Colour, texture, glare, acoustics and compatibility with adjacent materials and sealants.
Match the BOQ descriptions and quantities to the finish schedule, room data, drawings and details. Separate firm scope from provisional items, and identify wastage, attic stock and spare pieces needed for future repairs.
3. Coordinate lighting, furniture and controls
Set the lighting intent for the activity in each space. Guestroom reading, desk work, vanity use, wayfinding, artwork, food presentation and housekeeping each require different relationships between light source, task and surface. Coordinate luminaire locations with beds, desks, mirrors, banquettes, reception counters, artwork and curtains rather than centring fixtures on an empty room.
Show switching, dimming, scene controls, emergency lighting, driver locations, access for lamp or component replacement and electrical points. Confirm that decorative fittings have fixing details, ceiling supports, fire ratings and delivery dimensions. At commissioning, check ambient, task, accent, reading, cove and emergency lighting together with the programmed scenes; a decorative fitting can look correct while producing glare at a bed or leaving a work surface too dark.

Check clearances, clashes, symmetry where it matters, and the ability to remove each service component without damaging the ceiling. Obtain a coordinated sign-off before boarding or closing the ceiling; moving a device afterward often affects several trades and the finished appearance.
5. Coordinate power, data, water and drainage inside walls and joinery
Mark every outlet, switch, thermostat, data point, USB or charging point, control panel, isolation valve, clean-out and drain before partitions and cabinets are finished. Coordinate cable containment, back boxes, supports, fire stopping and acoustic treatment. In joinery, issue coordinated setting-out drawings showing equipment cut-outs, ventilation grilles, hinges, removable panels, service voids, socket locations and maximum appliance dimensions. Do not release custom joinery for fabrication until those interfaces and final site dimensions are approved.
6. Check guestroom and wet-area assemblies as a whole
Overlay beds, wardrobes, desks, bedside units, seating, luggage benches, TV walls, minibars, vanities and headboards on the measured room plan. Check door swings, curtains, windows, outlets, controls, housekeeping clearances and access for maintenance. Confirm that a headboard or TV panel does not conceal a required detector, sprinkler, isolation point or inspection hatch.
In bathrooms, coordinate waterproofing, thresholds, floor falls, drains, shower glass, niches, sanitaryware, grab-rail backing, vanity supports and access panels as one assembly. Verify diffuser and return-air positions, thermostat location and door undercuts against the room layout and comfort strategy. Waterproofing should be inspected and documented before it is covered.

How do finishes compare for hotel use?
Use the following decision axes when selecting an option. The “best-looking” material is not automatically the lowest-cost or lowest-risk choice over the hotel’s operating life.
| Decision axis | Questions to answer | Evidence to record |
|---|---|---|
| Location suitability | Is the product appropriate for guestrooms, wet areas, food service, corridors or back-of-house traffic? | Manufacturer use rating, substrate and installation limits |
| Durability | How will it perform under luggage, carts, trolleys, impacts and repeated cleaning? | Performance data, sample review and mock-up observations |
| Moisture and chemicals | Will water, steam, disinfectant or detergent stain, swell or degrade it? | Cleaning instructions, chemical resistance and waterproofing details |
| Repair and replacement | Can a damaged tile, panel, plank or hardware item be replaced locally? | Spare-material quantity, batch information and removal method |
| Maintenance access | Can services behind the finish be reached without destructive work? | Access-panel locations and service clearances on drawings |
| Supply and lead time | Are samples, production capacity and repeat orders reliable for the programme? | Written lead time, approved equal and storage requirements |
| Installed cost | What are material, labour, substrate preparation, wastage, protection and future replacement costs? | Comparable quotation on the same measured scope |
How does FF&E affect hotel interior design?
FF&E fixes dimensions, loads, clearances, power needs and the visual rhythm of a room. Beds determine bedside positions and reading lights; desks determine task lighting, sockets and data; minibars and beverage stations require ventilation and dedicated services; banquettes and loose seating affect egress widths and cleaning routes. Furniture procurement must therefore be coordinated with design, not treated as a late purchasing exercise.
Plan procurement around approvals and fabrication
Build a programme that separates consultant review from purchase, fabrication, shipping, delivery, inspection and installation. Flag likely long-lead packages early, including custom joinery, specialist doors, glazing, hardware, decorative lighting, imported finishes and fabricated metalwork. Submit samples and room mock-ups before releasing repetitive production. Record approved revisions and their programme and cost effects.
Compare bids on the same scope
A headline price is meaningful only when bidders have priced the same responsibilities. Ask for explicit treatment of exclusions, provisional sums, client-supplied items, specialist packages, testing, permits, building access, protection, phasing and handover documentation. Managed buildings may impose work-hour, loading, access, protection and testing rules, so obtain landlord or building-management requirements before tender.

ERAMCO Contracting’s fit-out tender guidance captures the principle clearly: “A stronger tender package turns design intent into measurable responsibilities.”
When should hotel furniture procurement be coordinated with design?
Start during concept and developed design, when room dimensions, service points, finishes and operating standards are still adjustable. Confirm final site dimensions before fabrication, but do not wait for construction completion to identify long-lead items. The practical sequence is:
- Define the FF&E schedule, performance, quantities, room locations and responsibility for each item.
- Coordinate furniture footprints, fixing loads, outlets, data, lighting, ventilation, plumbing and access on room plans and elevations.
- Approve materials, hardware, colours, upholstery, fire performance and full-scale room or joinery mock-ups.
- Release fabrication only after dimensions, finish, hardware, equipment cut-outs and service interfaces are signed off.
- Inspect deliveries against approved samples and drawings; record damage, batch differences and missing components before installation.
- Protect installed furniture while adjacent trades complete work and retain spare parts and maintenance information for handover.
Sustainability and purchasing considerations
Where appropriate, specify products with credible third-party environmental attributes, reuse durable existing elements and source locally when that reduces transport and programme risk. Reduce waste through accurate take-offs, modular replacement pieces, returnable packaging and planned storage of attic stock. U.S. General Services Administration renovation guidance offers these principles for federal workplace projects; it is not a hotel code.
The UK Government Buying Standards set procurement criteria for construction and refurbishment products such as lighting, taps, paint and timber. Those criteria apply to England and Wales and should not be presented as universal requirements. For any hotel, confirm the applicable national and local rules, operator standards and approved consultant specifications.
Progressive testing, snagging and handover
State in the contract whether the fit-out contractor only installs or also coordinates specialists, tests and commissions systems, and obtains authority or building-management sign-off. Apply the same clarity to electrical, HVAC, plumbing, fire alarm, firefighting and low-current systems.
Capture records during construction
- Approved material registers, finish schedules, samples and mock-up approvals.
- Inspection and test plans, waterproofing records, pressure tests, electrical test certificates and commissioning results.
- Marked-up and final as-built drawings, equipment schedules, controls descriptions and asset data.
- Warranties, maintenance instructions, recommended cleaning products and replacement sources.
- Keys, access credentials, spare tiles, paint, lamps, hardware and other attic stock.
- Operator and maintenance training records, including shutdown procedures and service access.
Snag by area, not only at the end
Inspect completed guestrooms, corridors and public areas progressively while the responsible trades are still mobilized. Close snags such as damaged finishes, misaligned luminaires, inaccessible valves, missing sealant, incorrect controls and incomplete labels before the next trade conceals the work. Re-test systems after corrections and link each closed item to a drawing, test record or photograph.
Common coordination failures and how to prevent them
- Designing from outdated drawings: survey the building, verify critical dimensions and record deviations before setting out furniture or services.
- Choosing finishes by appearance alone: approve a use-and-maintenance assessment, sample and mock-up for each demanding location.
- Closing ceilings before MEP agreement: issue one coordinated RCP and require documented sign-off before boarding.
- Fabricating joinery too early: hold release until site dimensions, hardware, equipment and service cut-outs are approved.
- Leaving “by others” interfaces vague: assign supports, openings, connections, testing and sign-off in the responsibility matrix.
- Comparing incomparable bids: give every bidder the same scope, exclusions schedule, programme assumptions and handover requirements.
- Collecting handover documents at the last minute: make records a progressive deliverable tied to inspections and payment milestones.
Optional site-survey aid
A laser distance meter can help verify existing dimensions and create measured plans, but it is an optional aid rather than a required or tested product. Use it with a controlled survey method, independent checks of critical dimensions and the project’s approved measurement and safety procedures.
