Choose an office chair by how well it fits your body, desk and work—not by the word “ergonomic” on the label. Compare its seat-height and seat-depth ranges, backrest and lumbar adjustments, and armrests. Then check the fit at your workstation: your feet should be supported, the seat should not press behind your knees, and the backrest should meet your lower back comfortably.
How to choose an office chair
A chair is not ergonomic for everyone simply because it is marketed that way. The Canadian Centre for Occupational Health and Safety (CCOHS) says a chair becomes ergonomic only when it suits the worker’s body dimensions, workstation and tasks. Its chair-selection guidance recommends trying chairs in the work situation when possible.
Before buying, compare the chair’s adjustment ranges with the person who will use it and the desk it must work with. For a shared chair, look for adjustments users can operate while seated and a range broad enough to accommodate different users.
- Seat height: Can the seat be set so the feet are supported while the desk remains usable?
- Seat pan: Does its depth support the thighs without pressing behind the knees?
- Backrest: Can its height and position bring lumbar support to the lower back comfortably?
- Armrests: Can they be adjusted or removed so they do not raise the elbows or block the chair from approaching the desk?
- Workstation: Do the chair, desk, keyboard, floor and casters work together, or will the setup need a footrest?
How high should an office chair be?
CCOHS suggests an initial setting: while standing in front of the chair, set the seat’s highest point just below the kneecap. Sit down and check the fit rather than treating that starting point as a universal height. Your feet should rest flat on the floor, with the back of the knee slightly higher than the seat, according to the U.S. Occupational Safety and Health Administration (OSHA).

Check that there is space between the seat edge and the backs of your legs. CCOHS describes a clenched-fist gap—about 5 cm (2 inches)—between the seat front and calves. The seat should support the thighs without pressing into the area behind the knees.
If the desk or work surface requires a seat height at which your feet no longer reach the floor, a footrest may help support them. It is a conditional accessory, not a requirement for every chair user. OSHA’s computer-workstation chair guidance also recommends adjusting the chair as part of the workstation rather than in isolation.

How should lumbar support fit?
Adjust the backrest so its lumbar support meets the hollow of your lower back. If the chair allows it, move the support vertically and forward or backward until it contacts the lower back without creating a pressure point. A fixed lumbar bulge that feels uncomfortable is not a good fit simply because it is labelled as support.
OSHA identifies adjustable lumbar support, backrest recline, and tension or locking controls as useful backrest features. These adjustments let users position the backrest and control its movement; they do not establish that one setting or chair is right for everyone. Try the controls and assess the contact while seated in the intended work setup.

For an existing chair that lacks lumbar support, OSHA describes a lumbar cushion as a temporary option. That does not make a cushion the right solution for every person or a substitute for checking the overall chair fit.
Why seat depth and armrests matter
Seat depth determines how much of the thighs the seat supports and how close you can sit to the backrest. The seat should support the thighs while leaving clearance behind the knees, and you should still be able to sit back against the backrest. Compare the chair’s depth range with the user’s body; try it at the actual workstation if possible.

Armrests should meet the elbows when the shoulders are relaxed and the upper arms hang at the sides. Adjust or remove them if they lift the elbows or prevent the chair from moving close enough to the desk. Check their height and width adjustment, whether they are removable, and whether they clear the desk.

- Set a starting seat height: Stand in front of the chair and set its highest point just below your kneecap, following CCOHS’s adjustment guidance. Sit and check whether the desk and your feet are both accommodated.
- Check foot support: Keep the entire sole supported on the floor, as OSHA advises. If the work surface calls for a higher seat setting, consider a footrest rather than leaving the feet unsupported.
- Check seat clearance: Look for roughly 5 cm (2 inches)—about a clenched-fist gap—between the seat edge and calves. Make sure the seat supports your thighs without pressing behind the knees.
- Position the backrest: Adjust its height and, where available, its forward/back position so lumbar support contacts the hollow of your lower back comfortably.
- Set the armrests: With shoulders relaxed and upper arms at your sides, adjust the rests to meet your elbows without lifting them. Remove them if they still raise your elbows or obstruct desk access.
- Check the whole setup: Assess the chair alongside the desk, keyboard, monitor and floor. CCOHS and OSHA both recommend considering the work situation when selecting or adjusting a chair.
CCOHS’s chair-adjustment guidance provides the fit checks above. CCOHS also advises trying a chair in its intended work situation in its chair-selection guidance.

Do you need a footrest?
Only consider one if your feet cannot remain supported after setting the chair to work with the desk. If your feet rest securely and comfortably on the floor at a workable seat height, the guidance does not call for a footrest. A footrest can address the mismatch when a fixed-height work surface requires a higher seat position.
