Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →A major equestrian event needs more than a decorated lounge. Its VIP plan should combine a high-quality hospitality area, reliable views of the competition, appropriate dining, convenient arrival, accessible routes, and carefully separated circulation for horses, athletes, staff, and spectators. The facilities must be designed around the discipline, venue, event duration, guest groups, and local regulations rather than copied from a universal template.
For construction and venue teams, the key principle is integration: VIP areas, arena sightlines, parking, catering, toilets, security, stabling, warm-up zones, and emergency routes must work as one site plan. Fédération Équestre Internationale (FEI) bid documents provide useful benchmarks, but their figures apply to the specified event, not to every major equestrian competition.

What a complete VIP offer should include
VIP hospitality normally serves several audiences: sponsors, invited guests, officials, protocol guests, hospitality buyers, and sometimes media or federation representatives. They may need different levels of privacy, branding, access control, and service. Establishing the guest categories before design begins prevents one room from being expected to perform every function.

- One or more viewing areas with a clear, comfortable view of the competition.
- Ringside dining where the discipline, venue and safety plan make it practical.
- A private sponsor lounge or skybox with a direct arena view when the building can support it.
- High-quality food and beverage service, with staffing and dietary arrangements defined in advance.
- A controlled VIP entrance, nearby parking or managed drop-off, toilets and wayfinding.
- Accessible parking, routes, seating and facilities planned from the beginning.
- Security, accreditation and emergency arrangements that do not obstruct horse operations.
These elements are a coordinated package, not a list of independent rooms. A beautiful lounge is a poor VIP facility if guests cannot reach it without crossing a horse-transport route or if its windows face the wrong end of the arena.

Choose the hospitality format for the venue and guest mix
The FEI World Cup Finals bid guidance for 2025–2026 identifies three useful formats: a main hospitality area, ringside tables and a private sponsor lounge or skybox. It allows these formats to be combined. It does not prescribe a universal capacity, suite count or price.
| Format | Typical experience | Construction and operations questions | What the FEI guidance establishes |
|---|---|---|---|
| Main hospitality area | Hosted dining tables plus informal lounge seating | Can the room support simultaneous dining, conversation, circulation, toilets, service areas and a strong view or easy access to one? | A main area with tables and lounge seating is listed; capacity and layout are not universal. |
| Ringside tables | Full catering while overlooking the arena | Are sightlines, barriers, stewarding, evacuation, weather protection and horse-safe circulation adequate? | The Finals guide describes ringside tables with full catering during competition. |
| Private sponsor lounge or skybox | More privacy, branding and a direct arena view | Can the structure carry the required loads and services without compromising the building, sightlines or emergency access? | A private lounge or skybox is identified as an option where the venue supports it. |
Compare each option on view quality, privacy, distance from the VIP entrance, accessible-route length, toilet access, catering logistics, staffing, sponsor branding and its effect on horse, athlete, workforce and spectator movement. A ringside table may offer the strongest atmosphere but create the greatest operational exposure. A skybox may improve privacy yet require substantial structural and mechanical work. The correct answer is event-specific.
Design sightlines and safe spectator separation
VIP guests expect to understand the competition from seated and standing positions. Model the view from every proposed table, sofa, balcony and standing point, including guests using wheelchairs. Check that screens, advertising, barriers, lighting rigs, columns and temporary structures do not block the arena.
Recommended Free Tools
Separate public, VIP and operational routes wherever possible. Guests should be able to move from parking or drop-off to the entrance, hospitality, seating, toilets and exits without passing through stables, the warm-up ring, the in-gate, horse wash-down areas or service compounds. Use controlled doors, barriers, marshals and accreditation points where routes must intersect.
Ringside installations need particular scrutiny. Confirm the setback from the arena, barrier design, footing and surface transitions, furniture stability, weather protection, emergency egress and the ability to remove or secure furniture during competition changes. The competition manager and course or arena team should approve the arrangement before it is built.

Plan arrival, parking and accessible movement
FEI Finals guidance calls for VIP parking close to the main VIP entrance where the venue’s transport plan permits. “Close” should become a measured route in the construction brief: include the parking bay or drop-off, kerbs, ramps, doors, security screening, lifts, hospitality entrance, seating and toilets.
FEI World Championships guidance calls for accessible venue areas and facilities, convenient accessible parking, information about accessible routes and services, and an accessibility lead appointed early in planning. Treat this as a starting point, then verify the national and local accessibility rules governing the actual site.
Build an arrival route schedule
- Map VIP vehicle arrival, pedestrian arrival, accessible parking and coach or shuttle stopping points.
- Measure the shortest step-free route to the controlled entrance, including gradients, door widths, lift locations and weather exposure.
- Continue the route through accreditation, hospitality, viewing, toilets, concessions and emergency exits.
- Identify every point where the route could conflict with horse transport, deliveries, waste removal or emergency vehicles.
- Provide signs and pre-event route information that match the built conditions, including any temporary diversions.
For international events, review hotel-to-venue and airport transfers as part of the guest experience. The FEI Finals specification includes shuttle planning for athletes, officials, media, FEI representatives and sponsors; the organiser must determine whether VIP guests require dedicated vehicles, shared shuttles or managed arrival windows.
Make catering a building and service decision
The FEI Finals guide calls for five-star hospitality and high-level catering. That wording sets a service expectation for that bid context; it does not define one menu, staffing ratio or kitchen specification for all events.
Design the back-of-house route at the same time as the guest room. Caterers need receiving access, cold and dry storage, preparation or finishing space, dishwashing, waste removal, staff welfare facilities and a service route that does not cross guest circulation. Confirm whether food is prepared on site, brought from an external kitchen, or delivered through a temporary structure.

Set the service brief
- Define the meal periods, competition intervals, reception times and last-service times.
- Record dietary, allergen and religious-food procedures and how guests will request assistance.
- Decide between plated dining, buffet, passed service, bars or a combination.
- Provide sufficient power, water, drainage, ventilation, refrigeration and fire protection for the selected equipment.
- Coordinate service lifts, loading bays, staff entrances and waste collections with the venue schedule.
- Plan separate suitable catering or dining areas for athletes, grooms, officials, workforce and public spectators; FEI guidance addresses these groups separately from VIP hospitality.
Aachen 2026 provides a current example of a packaged offer: its Champions’ Circle area combines a stadium view with gourmet catering and identifies Käfer as catering partner. That is an event-specific commercial and operational model, not a mandatory specification for another venue.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsProtect horse welfare and competition operations
VIP construction cannot be approved in isolation from the discipline. FEI venue guidance directs organisers to discipline-specific rules because jumping, dressage, eventing and other formats place different demands on arenas, warm-up areas, stables, access roads and technical facilities.
Keep guest circulation away from the in-gate, warm-up, stables, horse ambulances, loading areas, feed deliveries, manure removal and emergency lanes. Use physical separation and clear operating windows rather than relying solely on signs. The site plan should show who controls each gate and what happens when a horse movement coincides with a VIP arrival.
For events lasting two days or longer, FEI venue guidance says stabling is compulsory and points to technical requirements covering stall size, construction, ventilation, lighting, water, wash-down, waste handling, fire precautions and security. These are horse-facility requirements, but they directly affect VIP planning because stalls, service yards and welfare routes consume space and must remain secure.
Coordinate the operational drawings
- Overlay VIP, public, workforce, athlete, horse and emergency routes on one plan.
- Mark sightlines and no-build zones around the arena, warm-up and in-gate.
- Show delivery, waste, fire appliance and ambulance access separately from guest routes.
- Schedule noisy or dusty construction and conversion work outside horse occupation and guest operating periods.
- Confirm surface, drainage, lighting and barrier details with the arena and veterinary teams.
Temporary conversion can be as complex as new construction
A permanent arena may still need extensive conversion for a championship. In an FEI account dated 10 April 2026, organisers preparing the World Cup Finals at Dickies Arena in Fort Worth installed signage, arena walls, screens, footing, stalls, and a new warm-up and in-gate arrangement. Local organiser Derek Braun said, “We have to put up all our own signage, our own arena walls, and screens,” while describing the design and construction of the warm-up and in-gate area.

The example demonstrates why a construction survey must precede a hospitality promise. Confirm floor loading, rigging points, power, data, water, drainage, fire systems, acoustic conditions, storage, installation access and reinstatement obligations. Temporary hospitality structures also need verified foundations, wind resistance, weather protection, accessible approaches, lighting, heating or cooling and emergency exits.
Do not use the Fort Worth scope as a standard package or cost estimate. Its requirements arose from that venue, that competition and that conversion plan.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Use event benchmarks without turning them into universal rules
The 2025–2026 FEI World Cup Finals bid guide specifies a minimum of 7,000 spectator seats for Jumping and Dressage, excluding hospitality seating. This is a requirement in that Finals bid context, not a general attendance rule for every major equestrian event. It should be used only when the event being planned has the same applicable specification.
The reviewed FEI materials do not establish a universal VIP-to-seat ratio, number of suites, hospitality floor area per guest, construction budget or return-on-investment formula. Those values require a venue-specific brief based on ticketing, protocol obligations, sponsor inventory, seating capacity, operating hours, local code and the chosen service model.
Accessibility, security and compliance should be designed together
Accessibility is not limited to a wheelchair bay in the grandstand. Check the whole journey, including parking, screening, lifts, door hardware, seating companions, toilets, dining tables, viewing platforms, evacuation and temporary surfaces. Publish route and service information that reflects the final site.

- Clog resistant tip writes on dusty, wet and oily surfaces and is optimized for rough surfaces such as OSB, cinderblock and concrete

Security planning should identify credential zones, vehicle controls, bag screening, private-room access, staff-only doors, emergency communications and evacuation assembly points. Keep security infrastructure from narrowing accessible routes or blocking horse and emergency movements. Confirm requirements with the venue, event security lead, emergency services and relevant authorities.
Local planning permission, fire safety, building regulations, temporary-structure approvals, food-service rules, traffic management, noise controls and accessibility law remain decisive. FEI guidance is a planning benchmark, not a substitute for approvals or professional compliance checks.
A construction-ready VIP brief
Before issuing drawings or procurement packages, assemble a brief that answers the following questions:
- Which disciplines, competition sessions and event dates are covered?
- Which guest groups require hospitality, and what access or privacy does each group need?
- How many guests are expected in each format, based on the event’s own forecast rather than a generic ratio?
- Will the offer use a main lounge, ringside tables, a sponsor lounge, a skybox or a combination?
- What views are required from seated, standing and accessible positions?
- Where are parking, drop-off, accreditation, toilets, exits and accessible routes?
- How will catering arrive, be stored, served and removed?
- Which horse, athlete, workforce, public and emergency routes must remain protected?
- What permanent works, temporary works, utilities and reinstatement are needed?
- Which FEI discipline rules, venue restrictions, local codes, security plans and permits apply?
Use the brief to create coordinated architectural, structural, services, traffic, security and operations drawings. Walk the routes with the venue operator, competition manager, accessibility lead, catering team and horse-welfare representatives before construction starts.
Final decision framework
A VIP facility is ready when it delivers the promised view and service without compromising safety, accessibility, horse welfare or competition flow. Select the hospitality format that the venue can operate reliably, then size the construction scope around measured routes, services, sightlines and event-specific obligations. If a proposed lounge, ringside installation or skybox cannot coexist with safe horse movement and accessible evacuation, it is the wrong facility regardless of its appearance.
