The right integration is not the one labelled “integrated”; it is the one that moves the required employee, time, job-cost and payroll records between clearly assigned systems without breaking your coding, approvals or accounting controls. Start by defining the source of truth for every field, then distinguish a project/accounting connector from a payroll time export and validate both with representative construction payroll scenarios before go-live.
Construction payroll integration affects more than paychecks. It determines whether labor reaches the correct job, subjob and cost code; whether supervisors can approve field time; whether payroll burden reaches the ledger; and whether project managers can trust labor-cost reports. A sound evaluation therefore starts with data ownership and workflows, not a marketing claim about being “connected.”

Separate the integration workflows before you compare products
A project-management connector and a payroll export can be separate products, modules or configurations. Treating them as one connection is a common implementation mistake.

| Project/accounting connector | Procore’s Sage 300 CRE connector moves project and job-cost information between the systems. Its documentation describes payroll as a category of job-cost transaction detail imported from Sage into Procore. | An accounting approver enters the Sage Job ID during project export. Confirm which project, job-cost and payroll transaction fields are included in your edition and configuration. | Procore says project teams gain access to job-cost information while accounting retains control over data pushed into accounting. The connector page lists Sage 300 CRE versions 24.x, 23.x and 22.x; confirm current support before deployment. |
| Payroll time export | Procore separately documents exporting Company Timesheets data into Sage 300 CRE Payroll. | Employee and employee ID, classification, pay ID and time type, job and project, JC extra and subjob, and JC cost code and cost code must match. The Sage time-entry view must be configured to match Procore’s timesheet format. | This export is separate from the Procore–Sage 300 CRE connector. Verify both workflows if you need project/accounting integration and payroll time transfer. |
The distinction matters even when the same vendors appear on both sides. One workflow may import posted payroll or job-cost transactions for reporting, while another sends unprocessed timecards into payroll. They can have different schedules, permissions, error messages, supported versions and ownership.

Define what each system owns
Before requesting a demonstration, write a source-of-truth map. For every record, name the system where it is created, the system that receives it, the direction of travel, the update frequency and the person allowed to approve or change it.
- Employee identity: Decide which employee ID is authoritative. Do not rely on matching names, because spelling, rehires and duplicate records can send labor to the wrong person.
- Organization and job structure: Establish whether the accounting system, project system or payroll system owns jobs, projects, subjobs, cost codes and company-specific codes.
- Classification and pay setup: Identify the owner of labor classifications, union or certified classifications where applicable, pay IDs, rates and time types.
- Timecards: Specify where workers or supervisors enter time, where corrections occur and which system locks a period after approval.
- Payroll results and labor cost: Decide whether payroll remains the posting authority and whether job-cost transactions are imported after payroll is processed.
- Budgets and project data: Confirm whether budget, commitment or project-status information is part of the integration or remains a separate process.
Document whether each transfer is real-time, scheduled or batch-based. A “real-time” label is not enough: ask which records move immediately, which wait for approval and what a project manager sees while a batch is pending.
Build a field-mapping sheet
Field mapping is the make-or-break setup task. Use the exact labels from each application and record allowed values, required status, format and owner. At minimum, map:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Employee ID and employee name used for display
- Job and project identifiers
- Subjob or phase identifiers
- Job-cost and project cost codes
- Labor classification, including union or certified categories when required
- Pay ID, pay rate and time type, such as regular, overtime or another configured category
- JC extra fields and any organization-specific dimensions
- Approval status, rejection reason, correction status and payroll period
For the Procore payroll export documented for Sage 300 CRE, the employee and ID, classification, pay ID and time type, job and project, JC extra and subjob, and JC cost-code pairs are specifically required to match. The Sage time-entry view also has to mirror Procore’s timesheet format. Treat those as concrete configuration checks, not optional cleanup.

- Ergonomically Designed: Work in tight areas with a compact design that gets into tough spots
- Both tools are designed to fit into difficult to reach spaces
- Complete a wide range of applications with a high-performance motor that delivers up to 300 UWO, and an impact driver delivering up to 1,400 in-lbs of torque
- Both the DEWALT impact driver and drill driver feature integrated LED work lights with a convenient 20-second delay, ensuring enhanced visibility in dimly lit or challenging work areas
- One-Handed Loading - Keep one hand free with a 1/4 in. hex chuck that accepts 1 in. bit tips
Decide how the integration behaves when a code is missing, inactive or duplicated. A safe design rejects or quarantines the transaction with an actionable message rather than silently assigning a default job or cost code.
Check construction-specific payroll capability
Construction payroll has requirements that a general employee-pay export may not handle. Ask the vendor to demonstrate your actual employee groups, locations and reporting obligations rather than showing a generic screen.
Classifications, rates and time types
Test an employee who changes classification during a period, an employee with multiple rates, and time that includes regular and overtime or other configured time types. If union or certified classifications apply, verify the rate, fringe or reporting treatment required in each jurisdiction. Confirm whether the classification travels with the timecard, is derived from the employee record or is selected by a supervisor.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteJob-level allocation and burden
Require a demonstration of one employee splitting a day across jobs and subjobs. Confirm that the resulting labor is allocated correctly in payroll, job costing and the general ledger. Sage’s 2025 Project and Job Costing documentation says a job-related timecard requires an employee record in Project and Job Costing, whether or not a Sage payroll program is used. Sage integration materials also describe job-related information passing between payroll and Project and Job Costing, including overhead and labor-burden amounts that payroll can include in general-ledger journal entries. Ask exactly which burden components are transferred, when they post and how reversals are handled.

Compliance and workers’ compensation reporting
Sage describes construction payroll capabilities that include labor-compliance and workers’ compensation reporting. Those are vendor-described capabilities, not proof that a configuration meets your obligations. Verify the jurisdictions, employee groups, classifications, certified reporting formats and retention rules that apply to your company.
Field capture and supervision
Sage lists mobile time entry, geolocation tracking and configurable approval workflows among its construction payroll capabilities. Ask whether geolocation is appropriate for your workforce, what consent and retention controls exist, and how a supervisor reviews, rejects and corrects a timecard. The available product descriptions establish mobile and approval features but do not establish offline behavior, so test connectivity at the sites where time is actually captured.
Assign accounting control and permissions
Integration design should make the approval boundary explicit. Procore describes its Sage connector as allowing project teams to access job-cost information while accounting retains control over data pushed into accounting. That is a vendor positioning statement, so confirm the actual permission model in your tenant.
- Who can create or change employees, jobs, subjobs, cost codes and classifications?
- Who can approve a project export, release a payroll batch or post a journal?
- Can project users see payroll-sensitive details, or only aggregated labor cost?
- Can accounting reject a transaction with a reason that returns to the field or payroll team?
- Can a corrected transaction be re-sent without duplicating the original?
- Which audit log records the original value, the change, the approver and the posting date?
Use least-privilege roles and test them with ordinary user accounts. An administrator demonstration does not prove that the field supervisor, payroll clerk and accounting approver will see the right controls.

Validate the data flow before go-live
A controlled test should include normal entries and exceptions. Use a test company or sandbox where available, and retain the source timecards, exported files, import logs and resulting ledger or job-cost entries.
- Inventory the environment. Record each product, edition, module, region, licensed feature and exact version. The Procore connector result lists Sage 300 CRE 24.x, 23.x and 22.x, while the payroll-export documentation has its own scope and update history; reconfirm compatibility for the deployment date.
- Draw the flow. For every record, identify source, destination, direction, schedule, approval gate and error owner.
- Load representative master data. Include employees, an inactive employee, jobs, subjobs, cost codes, classifications, pay IDs and time types used by your company.
- Enter a normal timecard. Send it through supervisor approval, payroll processing and job-cost posting. Compare employee, hours, rate, job, subjob, cost code and period at every stage.
- Split labor across jobs. Confirm that hours and costs remain separate and that the total equals the source timecard.
- Test multiple classifications or rates. Check that each segment receives the intended classification, pay ID and rate, including overtime or another configured time type.
- Trigger mapping errors. Remove or deactivate a cost code, use an invalid job and create a deliberate ID mismatch. Record the message, queue or report, correction process and re-send behavior.
- Reject and correct time. Have a supervisor reject a timecard, change it and re-approve it. Verify that the correction does not create a duplicate payroll or job-cost transaction.
- Close a payroll period. Reconcile hours, gross payroll results, labor burden, general-ledger entries and job-cost postings to the source records. Investigate every difference before approving production use.
- Run the permission test. Repeat key actions as a field worker, supervisor, payroll user and accounting approver to confirm that visibility and posting authority match policy.
This test plan is practical guidance derived from the documented field and workflow requirements; it is not a vendor-prescribed script. Keep evidence of each result so an implementation partner can reproduce a failure.
Evaluate timing, corrections and reconciliation
Ask what happens between entry and posting. A project manager may see yesterday’s labor while payroll is waiting for approval, or accounting may receive a batch that contains a correction from a prior period. The integration should show status clearly: pending, approved, exported, imported, posted, rejected or corrected.
Define the reconciliation level you need. At minimum, compare total hours and labor dollars by employee, payroll period, job, subjob and cost code. Where burden is posted, reconcile the burden amount and the journal account as well. Establish who investigates differences and how a period is reopened without overwriting the audit trail.

Confirm implementation, licensing and support responsibilities
Request written answers on the items that can change after purchase:
- Supported product versions, editions, regions and licensed modules
- Required permissions, service accounts and security controls
- Whether the connection is native, an import/export, an API integration or several separate connections
- Field length, format, required-value and code-table limitations
- Batch frequency, processing windows and retry behavior
- Error ownership, support escalation and service-response expectations
- Sandbox availability and how upgrades are tested before production
- Responsibility for configuration, mapping, data conversion and change management
Compatibility lists are time-sensitive. Sage’s QuickBooks Desktop integration documentation, for example, describes a separate accounting-transfer component and lists editions and versions; treat that list as an example of a distinct transfer path and confirm current compatibility with Sage and Intuit before relying on it.
Warning signs that an integration is not ready
- The salesperson cannot identify which system owns employee IDs, jobs or cost codes.
- “Real time” is promised without a record-by-record schedule and status definition.
- A demonstration uses one simple timecard and avoids split jobs, multiple rates or rejected approvals.
- Errors are delivered only by email or require manual database edits.
- There is no documented correction and re-send process.
- Accounting cannot review or stop a batch before posting.
- Payroll-sensitive information is visible to project users without a stated business need.
- Version support is quoted from an old page without written confirmation for your deployment.
How to choose between competing proposals
Score each proposal against the same evidence, not against feature counts. Weight the fields and scenarios that affect your risk most: employee and job-code accuracy, classification and rate handling, approval controls, burden and ledger reconciliation, field usability, exception recovery and supported-version certainty. Require the vendor to show the complete round trip from field entry to payroll and job cost, then back to a project report.
Construction payroll integration is ready when the mapped records are unambiguous, approvals have named owners, exceptions are recoverable, and a controlled test reconciles payroll and job-cost outcomes to their source entries. If a proposal cannot demonstrate those conditions, its “integration” label is not enough to justify production use.
