Stop the affected activity if continuing could endanger people, hide the condition, or make correction more difficult. Protect the area, notify the owner and the contract-designated architect or engineer in writing, document the discrepancy, and request an authorized written direction through the project’s RFI or change-control process. Do not redesign in the field or install a permanent fix based only on a verbal conversation. The required notices, approvals, and cost consequences depend on the signed contract, jurisdiction, building category, and seriousness of the error.
First determine whether the condition is an immediate hazard
A drawing mistake can range from a harmless drafting inconsistency to a condition that threatens structural stability, fire protection, worker safety, or the public. Make a quick, conservative assessment before anyone disturbs the work.

| Observed condition | Immediate response | Do not do |
|---|---|---|
| Possible collapse, instability, unsafe temporary works, or compromised load path | Alert the site lead and responsible design professional, keep people out of the affected zone, and follow the project emergency and safety plan. | Do not allow work to continue merely because a crew is already mobilized. |
| Fire-resistance, egress, smoke-control, or life-safety conflict | Isolate the area as appropriate and obtain prompt direction from the responsible design professional and site safety leadership. | Do not cover, enclose, or conceal the condition. |
| Coordination clash or dimensional discrepancy with no apparent immediate danger | Record the conflict and pause only the work that could make the correction harder while the contract notice route is used. | Do not select a “close enough” dimension or substitute material without written authority. |
| Completed work appears inconsistent with the design | Preserve the condition, photograph it, and notify the appropriate parties before demolition, testing, or repair. | Do not alter evidence before the cause and remedy are documented. |
A general article cannot decide whether an entire project must stop. The safe boundary is the affected work and any area exposed to danger. Follow the project’s emergency plan, site rules, and applicable regulator instructions.
Pause affected work without creating a second problem
Stop or isolate work when proceeding could injure someone, compromise a temporary or permanent load path, conceal the discrepancy, or make a later correction substantially more expensive. Tell the superintendent, site manager, or other designated site lead exactly what has been paused and why.

A pause is not permission to redesign. Protect installed work from weather or damage, maintain safe temporary conditions, and continue unrelated activities only when they cannot interfere with investigation or correction. If a subcontractor is affected, give that subcontractor a clear written hold instruction and identify the boundary of the hold.
Do not rely on a field conversation as approval. The Construction Industry Authority of the Philippines warns that contractors should report drawing discrepancies immediately and that proceeding without notification can have contractual consequences under the provisions described in its FAQ. That guidance is specific to the cited Philippine framework; the signed contract controls elsewhere.
Send a written notice through the contract’s communication route
Identify the recipients
Use the notice route named in the contract. Typically, that means the owner or owner’s representative and the architect or engineer designated to administer the design. Copy the construction manager, superintendent, affected trade contractor, and safety representative when the contract or site procedure requires it. If the contract names an electronic project-management system, submit there rather than treating an email alone as the formal notice.

Use an RFI or request for interpretation where applicable
An RFI should ask for clarification of an existing requirement; it should not silently become a contractor-authored redesign. The 2018 commentary on Engineers Joint Contract Documents Committee (EJCDC) Construction Documents C-001 describes a continuing duty to advise the Engineer of discovered conflicts, errors, ambiguities, or discrepancies and explains that the interpretation route is commonly called an RFI. EJCDC commentary is not a substitute for the project’s executed contract, but it illustrates why prompt, traceable notice matters.

Write the notice so another person can act on it
Include enough information for the design professional to locate and evaluate the issue without guessing:
- Project name, contract package, and the date and time discovered.
- Drawing number, sheet title, specification section, detail, revision, and any model view involved.
- Exact building grid, level, room, elevation, member, system, or chainage.
- A neutral description of the apparent conflict, omission, incorrect dimension, or impossible detail.
- Measurements, field conditions, material delivery information, inspection results, and photographs.
- Work already completed, work scheduled next, and the activities now affected.
- Any immediate safety or weather-protection measure taken.
- A direct request for written interpretation, revised drawing, sketch, change order, or other instruction, plus the date by which the answer is needed.
State facts separately from assumptions. For example, write “The beam seat shown on A-512 is 150 mm; the installed bearing plate measured 100 mm” rather than “the engineer made a mistake.” A factual record reduces argument about what was observed and leaves the design professional room to determine the technical cause.
Do not make an unauthorized permanent fix
Only the person or entity given design authority by the contract should approve a design change. A superintendent, foreman, inspector, or contractor may identify a safer temporary measure, but that does not automatically authorize a permanent redesign.

Ask the responding professional to identify the controlling document and approval path. Depending on the contract, the answer may be an RFI response, architect’s supplemental instruction, engineer’s sketch, revised drawing, field order, change order, or written owner direction. Confirm whether the instruction changes quantities, materials, sequence, testing, inspections, warranties, or commissioning requirements.

The Philippine Construction Industry Authority FAQ describes written owner orders and change orders for specified changes and calls for current records of drawings, modifications, and changes. Those are examples of a formal process, not a universal rule that applies to every project.
If a proposed correction affects another discipline, obtain coordinated direction from each responsible design professional. A structural fix can affect fire stopping, waterproofing, mechanical clearances, finishes, or accessibility. Do not close one issue by creating another.
Build a traceable project record
Preserve the original condition
Photograph from wide, medium, and close views. Include a scale, grid reference, level, and date where useful. Keep original files with metadata when possible. Mark up a copy of the relevant drawing, but do not overwrite the unmarked original. Record who took each measurement, the instrument used, and any limitations.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsTrack every decision
Keep the RFI, response, revised drawings, meeting minutes, inspection reports, test results, delivery tickets, nonconformance reports, emails, and change-order documents together. Number revisions and identify which version was used in the field. When a superseded drawing is removed, retain it in the archive with a clear “superseded” status rather than deleting it.

Maintain a contemporaneous daily record
Record labor and equipment standing by, areas made inaccessible, temporary protection, weather, deliveries, inspections, and the time work resumed. A waterproof field notebook can help capture dates, locations, observations, and follow-up while on site, but it does not replace the contract’s formal notice, RFI, change-order, or recordkeeping system.
Confirm closeout evidence
After the correction, document the approved detail, installation, inspection, testing, and any as-built change. Obtain sign-off from the authority named in the contract before covering the work. Update the drawing register, model, operation-and-maintenance information, and commissioning records when required.

Some design errors trigger obligations beyond the contract. Determine whether the building, work type, and location fall within a special safety regime before assuming an ordinary RFI is enough.

For covered higher-risk building work in England, the Building Safety Regulator (BSR) requires principal designers and principal contractors to consider mandatory occurrence reporting. BSR guidance, updated 4 September 2025, gives examples including structural defects that could affect load bearing and faults in plans that affect fire safety. Its example of miscalculated load points describes submitting a mandatory occurrence notice and report and seeking a major-change application to the building-control approval.

Confirm that the project is within the current higher-risk building regime, identify who holds the reporting duty, and follow the prescribed notice and change-control process. Do not assume that a contractor’s RFI submission satisfies a regulator’s reporting requirement.
United States: a specific steel-erection example
OSHA’s interpretation of the U.S. steel-erection rules states that repairs, replacements, or field modifications to anchor bolts require approval from the project structural engineer of record. It also says the controlling contractor must give the steel erector written notification before column erection. This is a specific regulated example, not a blanket approval rule for every construction change. If anchor-bolt work is involved, check the applicable OSHA provisions and the project’s erection plan before proceeding.
Federal architect-engineer contracts
For U.S. federal work, Federal Acquisition Regulation 36.609-2 addresses required corrections when designs or other services furnished under architect-engineer contracts contain errors, deficiencies, or inadequacies. The current Acquisition.gov page identifies FAC 2026-01 as effective 13 March 2026. That provision should not be treated as a universal rule for private projects or other procurement systems.
Manage schedule, payment, and cost issues separately from the technical fix
Notify the contract administrator promptly if the error affects access, sequencing, procurement, labor, equipment, inspections, or a milestone. Give the notice required by the contract, even while the technical solution is being developed. A technical RFI is not automatically a time-extension or compensation claim.
Track the effect without assigning blame prematurely. Record planned versus actual dates, idle resources, remobilization, discarded or returnable materials, temporary works, redesign effort, testing, and reinspection. Ask the owner or contract administrator whether a separate change proposal, delay notice, cost proposal, or reservation of rights is required.
Responsibility for redesign cost, delay, differing conditions, or consequential loss is fact-specific. It depends on the contract’s risk allocation, notice clauses, design obligations, jurisdiction, causation, and proof of actual impact. Before making a claim or waiving one, have the contract reviewed by a qualified construction lawyer or other adviser familiar with the governing law.
Use a decision path when the response is unclear
- Is anyone or anything in immediate danger? If yes, secure the area, alert site leadership and the responsible design professional, and follow the emergency plan.
- Could continued work conceal or worsen the condition? If yes, issue a defined hold on the affected operation and protect the work.
- What document contains the conflict? Identify the exact revision, detail, specification, and field location.
- Who has contractual authority? Check the contract’s roles, notice addresses, RFI procedure, and change-order provisions.
- What written direction is needed? Request an interpretation, revised design, temporary measure, inspection, or change order with a required response date.
- Does a regulator or building-control body need notice? Check the project’s jurisdiction, building category, and safety-reporting thresholds.
- What evidence will prove the effect? Preserve photos, measurements, schedule records, costs, test results, and all document revisions.
- When may work resume? Resume only within the scope and conditions of an authorized written direction, after required inspections and safety controls are in place.
Common mistakes that make a design error harder to resolve
- Continuing because the discrepancy “looks minor” without recording it.
- Relying on a verbal instruction that never enters the project record.
- Sending a vague message such as “please fix the plans” with no location, revision, or requested decision.
- Ordering materials or demolishing work before the design and commercial effects are documented.
- Changing one discipline’s work without checking interfaces with structure, fire safety, services, envelope, or accessibility.
- Deleting superseded drawings instead of preserving a revision history.
- Assuming an RFI response automatically approves a change order, extends time, or shifts responsibility.
- Failing to notify a regulator or building-control authority when a safety-significant threshold applies.
What a complete closeout looks like
The issue is closed when the authorized solution is identifiable, installed, inspected, and reflected in the project record. The file should show the original condition, the written notice, the design professional’s direction, any owner approval, the commercial adjustment if applicable, inspection and test evidence, updated drawings or models, and the date affected work resumed. If the contract requires a final waiver, certificate, or change-order signature, obtain it before treating the matter as complete.
