First, protect your safety
A missed or late appointment is inconvenient, but it is not a reason to speed, use the shoulder, make an abrupt lane change, or handle a phone while driving. Follow posted speed limits, signs, lane markings, and directions from traffic personnel. Pay attention to changing traffic conditions and signal before changing lanes. The Federal Highway Administration’s public-information guidance puts safety first for work-zone travel.

If you are driving alone, wait until you are stopped somewhere safe before calling, sending a message, or using an appointment portal. If a passenger is with you, they can contact the office while you focus on driving. Do not stop in a travel lane or use a shoulder as an improvised place to make the call.
Trying to recover lost time by driving faster can put you and other road users at risk, and it does not guarantee you will arrive in time. In a work zone, traffic patterns and queues can change. Follow the posted conditions rather than treating the appointment time as a reason to take a shortcut or make a sudden maneuver.

What to do when you realize you may be late
- Check what the office accepts for notice. Use the appointment reminder, patient portal, or office phone number, depending on the provider’s instructions. If you cannot interact with your phone safely, wait until you are parked safely or ask a passenger to do it.
- Give the essential details. State your scheduled time, that highway work-zone traffic is delaying you, and your best arrival estimate if you have one. If you do not know when you will arrive, say so rather than guessing. Work-zone queues and delays can change; an estimate made earlier may no longer be useful.
- Ask the office to choose the next step. Ask whether it wants you to continue toward the appointment, wait for a later opening, or reschedule. Do not assume that arriving a few minutes late guarantees the visit will go ahead.

- If you cannot reach anyone, leave an accepted message if available. Include your name, appointment time, a callback number, and the fact that construction is delaying you. Then use the provider’s stated process for changing or confirming appointments. A message does not itself guarantee that the office can hold your slot.
The point of contacting the office is to let staff make a decision with the information they have about their schedule. A short, accurate update is more useful than repeatedly sending revised arrival guesses while traffic is still moving. If your estimate changes substantially after you have made contact, use the provider’s accepted channel to update them when it is safe.
What to say when you contact the office
Keep the message short and practical. For example:
“Hello, I’m scheduled for [time] today. Highway construction is delaying me, and my best estimate is [arrival time]. Should I continue to the office, wait for a later opening, or reschedule? You can reach me at [number].”
If the arrival time is uncertain, replace the estimate with: “I can’t give a reliable arrival time yet.” If you already know you will miss the appointment, say that directly and ask for the next available time. The goal is to give the office information it can use to manage its schedule, not to negotiate while driving.

Deciding whether to continue or reschedule
There are two practical outcomes: continue if the provider confirms it can still accommodate you, or arrange a new appointment if it cannot. The right choice depends on the office’s answer, remaining travel time, the importance and timing of the visit, and whether a later slot is available. Do not make the decision based only on how close you are to the appointment time.

Ask the office before continuing if you can. A provider may still be able to see you, may offer a later opening, or may need to move the visit to another day. If staff confirm that they can accommodate you, continue only if you can travel safely. If you cannot get an answer, do not assume that the original slot is being held; use the provider’s stated process to give notice and ask about next steps.

Policies differ even within one health system or provider organization. The University of Kansas Health System describes checking availability and potentially offering a later appointment or rescheduling. Beacon Medical Group says it will make an effort to see late arrivals but may move them to a later time or another day. These are examples of provider-specific approaches, not guarantees that another office will do the same.

When comparing the options, consider the provider’s confirmation, how much travel remains, and whether the office can offer a later slot. No published guidance establishes a formula for deciding whether a particular late arrival is “too late”; the provider’s schedule and policy control. If a replacement time is offered, make sure you understand whether it is a confirmed appointment or simply a suggestion to call back.
If you will miss the appointment
Give notice as soon as you safely can, even if the appointment time is imminent or has just passed. Ask the office to confirm whether it has recorded the change and how to book another time. If the visit requires preparation, forms, or other arrangements, check whether those instructions still apply to the replacement appointment rather than assuming they carry over unchanged.
One geographically specific example is NHS England’s national elective access policy: within its England elective-care context, notice that a patient cannot attend—even on the day—is recorded as a cancellation rather than a missed appointment, while local processes govern what happens next. That policy is not a universal rule for providers in other countries or for every kind of appointment.

That example illustrates why it is still worth notifying the provider rather than simply not arriving. However, the NHS England policy does not promise that a new appointment will be offered immediately, and its treatment of notice should not be assumed to apply to a different provider or jurisdiction. Ask what happens under the rules for your own appointment.
Ask about the policy that applies to your appointment
If the office cannot answer immediately, or you want to avoid a surprise later, ask these questions when you reach someone:
- Can you accommodate a late arrival today, and should I continue?
- What channel counts as notice: a phone call, portal message, or another method?
- If I cannot attend, how do I reschedule?
- Does a cancellation charge or other consequence apply under this office’s policy?
- Will the new appointment require different preparation or paperwork?
Do not assume that construction delays automatically waive a provider’s policy or charge. The available provider examples do not establish a standard fee, a universal late-arrival window, or an automatic exception for roadwork. Ask the office directly about its current rules. For instance, Beacon Medical Group’s oncology section says patients arriving 10 or more minutes late may not be seen, while its general policy describes efforts to accommodate late patients. Why construction delays can be hard to estimate

For future trips, check current work-zone information and plan ahead where possible. Project conditions can change, so information that was accurate earlier may not describe the route on the day you travel. The FHWA does not prescribe a particular navigation app or a standard number of extra minutes to add. Choose a sensible plan for the route and appointment, but treat any buffer as your own planning choice rather than an official guarantee.
Work-zone performance measures such as travel time, queue length, and delay help describe traffic impacts and can be used in estimating road-user costs. They are measures of road conditions, not statistics about missed appointments. No published data establishes how often construction causes people to miss appointments, so there is no reliable appointment-specific percentage to use here.

- Allow extra travel time when your schedule permits, without relying on an exact delay prediction.

Federal work-zone safety and mobility rule updates were published on November 1, 2024, and took effect on December 2, 2024. Those federal rules concern work-zone safety and traffic management; they do not set appointment grace periods or tell individual providers how to handle late arrivals.
There is no need to buy a particular product to handle an appointment delay. A navigation tool may help with future route planning, but no published guidance establishes a required app or specific service. The practical steps are to check current information, plan ahead where possible, and know how to contact the provider before you are on the road.
