What to Check When Reality-Capture Scans Are Missing or Outdated

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“Missing” reality-capture scans are not always missing files. The project may have lost the path to its source data, the scans may exist but never have been registered, or the registered point cloud may simply lack coverage of an area that has changed. Treat the symptom as a diagnosis problem first. Locate the source data, identify the failure type, verify that the files and formats support registration, then decide whether software recovery is possible or a new capture is required.

What “missing” or “outdated” can mean

Before changing settings or commissioning a rescan, classify the problem. Each case has a different remedy, and registration cannot recreate a scan that was never captured or is no longer available.

Observed problem What may actually be wrong First action
The project opens with no scans The project file is present, but source files or their storage path are unavailable. Locate the original scan data and restore access to the expected folders or drive.
Some scan stations are absent Individual files may have been deleted, moved, renamed, or excluded from the project. Compare the project inventory with the capture handover and backup locations.
Files are visible but do not form one cloud The scans are present but unregistered, or automatic registration could not find enough overlap. Check input structure and run automatic or manual registration.
The model has a gap Registration may be successful, but the original capture did not cover that location or the view was obstructed. Check the individual scans and capture plan before deciding on supplemental capture.
The cloud no longer matches the site The capture is older than relevant construction, demolition, movement, or site changes. Compare the capture date with documented site changes and the deliverable’s accuracy and coverage requirements.

1. Locate the source data before repairing the project

Check the project file and its dependencies

In Autodesk ReCap, an RCP is a project file that references indexed RCS scan files; the RCP does not contain all of the scan data by itself. A project can therefore open while still being unusable because the referenced RCS files are on a disconnected drive, a renamed share, an unavailable cloud-synced folder, or a machine that is not accessible to the current user.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Record the exact location of the RCP file and the folders it references.
  • Confirm that the referenced RCS files exist, not merely that an RCP thumbnail or project entry is visible.
  • Check whether a removable drive, network share, or synchronized folder was part of the original path.
  • Verify that the person opening the project has read access to every referenced folder and file.
  • Look for an untouched handover copy and a backup before renaming, moving, or re-indexing anything.

Do not overwrite the only copy while troubleshooting. Make a working copy of the project and preserve the original folder structure where possible. If a file was moved, restoring the expected path is usually less disruptive than creating several new copies with different references.

Build a simple inventory

List each expected scan station, file name, date, and storage location. Mark whether it is present, readable, and included in the current project. A handover drawing, field log, or capture report can reveal that a “missing” station was never collected, while a backup can show that it was later moved or archived.

If the source files cannot be found in the active project, the handover, or available backups, stop treating the issue as a registration problem. Registration combines available scans; it does not recover deleted or never-captured observations.

2. Separate missing references from unregistered scans

Registration is the process of combining individual scans into a common point cloud. It is different from file recovery. A scan can be fully present on disk yet absent from the combined result because it has not been registered, was rejected during processing, or was never added to the project.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Signs that the source is present

  • An individual scan opens and displays points when viewed on its own.
  • The file appears in the project’s scan list but has no position in the combined cloud.
  • Automatic registration reports insufficient matching data rather than a file-not-found error.
  • The scan contains a room, façade, plant area, or other geometry that is absent from the registered output.

Signs that the source is genuinely unavailable

  • The expected file path is broken and no copy exists in the documented backups.
  • A project contains references to files that cannot be opened or read.
  • The field record shows that the station was planned but not captured.
  • The missing area was physically inaccessible or outside the original scope.

Keep these cases separate in the project log. A registration retry is appropriate for the first group; storage recovery, a replacement export, or a new capture is required for the second.

3. Check input structure and format support

If a ReCap registration control is missing or unavailable, verify the input before assuming that data has been lost. Autodesk’s registration guidance states that a structured scan should be used as the basis for registration, and its manual-registration documentation says that manual registration cannot be started with unstructured data.

What to verify

  • Confirm that the export retained structured scan information rather than producing only an unstructured point file.
  • Check whether the scanner or export format is supported by the ReCap workflow you are using.
  • Open a representative source scan to confirm that it contains usable geometry and metadata.
  • Compare the original export with any converted copy; conversion may remove information needed by the registration tool.

Use the original structured export when available. If all that remains is an unstructured point cloud, it may still be viewable or usable in another workflow, but it may not provide the inputs required for ReCap’s manual registration process.

4. Retry registration with overlap as the deciding factor

Automatic registration

Automatic registration depends on shared, recognisable geometry between scans. Select scan groups that genuinely overlap: adjacent stations in the same corridor, rooms connected through a doorway, or exterior positions that share a façade or site feature. Two scans with no common geometry cannot be aligned reliably merely because they were captured on the same day.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Autodesk’s Manual Registration help explains the failure mode directly: “In some instances, Auto-Registration cannot find enough matching data to add a scan correctly.” That message means the scan may exist but the software did not find sufficient correspondence. It is not proof that the source file is corrupt.

Manual registration in ReCap

When automatic registration fails and the data is structured and supported, use the manual workflow:

  1. Select the scans that overlap and start the manual-registration command.
  2. In the first scan, identify a visible feature that also appears in the second scan.
  3. Place a corresponding point on that feature in each scan. The documented workflow specifies three corresponding points in each scan for the registration.
  4. Distribute the points across the shared area instead of placing all three close together or on a single edge.
  5. Review the preview or quality indication and inspect the fit for twisting, scale differences, or a clear offset.
  6. Move a point and recalculate if the result is poor. Choose stable features rather than people, vehicles, loose materials, or objects that may have moved between stations.
  7. Accept the registration only after checking the adjoining scans and the area that prompted the repair.

Manual points are an alignment aid, not a substitute for overlap. If the scans share no reliable features, return to the inventory and capture records; the correct action may be a supplemental scan.

5. Use survey points and targets when the project needs control

Surveyed coordinates

Survey points can anchor a registration to known real-world coordinates or help correct a problem area. Use them when the deliverable must align with a site coordinate system, when independent control is available, or when relative scan alignment looks acceptable but the entire cloud is in the wrong position.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Document the coordinate source, units, point names, and any transformation applied. A control point improves the relationship between the capture and the reference system; it does not restore a missing scan station.

Checkerboard and sphere targets

Identified checkerboard or sphere targets can provide recognisable points for registration and quality control. They are useful during a planned capture or a supplemental visit, especially where natural geometry is repetitive or sparse. Targets cannot fill an area that was never scanned, and buying or placing targets alone will not repair missing source files.

6. Diagnose “outdated” without inventing an age limit

There is no universal rule that makes a reality-capture scan outdated after a particular number of months or years. Freshness is a project decision based on what changed, when it changed, and what the deliverable must prove.

Question Evidence to review Effect on the decision
What changed at the site? Construction progress, demolition, moved equipment, temporary works, landscaping, weather damage, or access changes. A documented change in the area of interest can make an otherwise recent scan unsuitable.
When was the capture made? Scan timestamps, field notes, project milestones, and the issue date of drawings. Dates establish the sequence; they do not create a universal expiry date.
What must the deliverable show? Required coverage, alignment, tolerances, level of detail, and coordination purpose. A coordination model, progress record, and as-built verification may need different levels of freshness.
Does the cloud cover the required area? Individual scan views, occlusions, inaccessible rooms, and registration gaps. A complete-looking project can still be unsuitable if critical areas were not visible.

Use a change-based review

Start with the project milestone rather than a calendar rule. Compare the capture date with the last known change in the specific room, structure, service zone, or external area being used. If work occurred after the capture, identify whether it affects the decisions the model will support. A scan can remain useful for unchanged background conditions while being unsuitable for newly installed work.

Check coverage and accuracy separately

“Outdated” can describe time, but it can also describe inadequate coverage or accuracy for a new purpose. Review whether the cloud includes the required surfaces, whether occlusions hide critical elements, and whether the available control is sufficient for the intended coordination or verification. Do not label a scan current merely because its date is recent.

7. Decide between recovery, supplemental capture, and a full rescan

Condition Preferred path Why
RCP exists but referenced RCS files are misplaced Restore the files or the expected path from the original storage or backup. The capture may be intact; registration is not the primary problem.
Structured scans exist and overlap sufficiently Retry automatic registration, then use manual registration if needed. Available source data may be recoverable in software.
Scans exist but need real-world alignment Add surveyed control or identify documented targets. Control data addresses coordinates and registration quality, not missing coverage.
Only unstructured data remains Assess whether another supported workflow can use it; preserve the original export if found. ReCap manual registration requires structured data.
Source files are absent Recover from a backup or arrange a new capture. Software cannot recreate observations that do not exist.
The site changed in the area of interest Capture the changed area or commission a broader rescan, depending on the deliverable. Old geometry cannot document later work.

A supplemental capture is often appropriate when the existing cloud remains valid for unchanged areas and only a defined zone is missing or changed. A full rescan is more defensible when the source set is incomplete, the coordinate framework is unreliable, or changes are widespread. The required scope depends on the project geography, access, accuracy, and deliverable; no single rescan service or interval applies to every construction project.

8. Common failure modes and practical fixes

The project file was copied without its data

Because an RCP references RCS files, copying only the project file can produce a project that appears present but cannot load its scans. Reassemble the complete project folder from the original handover or backup and preserve the relative paths where possible.

Registration tools are not shown

Check whether the imported scans are structured and in a supported format. Unstructured input can prevent manual registration from starting. Re-export from the original scanner project if that structured source still exists.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Automatic registration adds some scans but rejects another

Inspect the rejected scan for overlap with its neighbours. Try a group with clearer shared geometry, then use three corresponding points per scan in the manual workflow. Review the resulting fit before committing it to the full project.

The cloud aligns locally but not globally

Relative alignment may be acceptable while the project is displaced or rotated against site coordinates. Use surveyed points or recognised targets when the project has reliable control. Record the control and transformation so another team member can reproduce the result.

A gap remains after successful registration

Open the individual scans and inspect the gap. If no source scan sees the area, registration cannot fill it. If a scan sees it but was omitted, add and register that scan; if the area changed after capture, plan a supplemental or replacement capture.

9. Record the decision for the project team

Keep a short diagnostic record with the project so the same uncertainty does not recur at the next milestone.

  • Capture dates, station names, scanner or export information, and the locations of RCP, RCS, and backup data.
  • Which files were found, which references were broken, and which scans were actually registered.
  • The overlap or control points used, including any manual three-point registrations.
  • Known areas of incomplete coverage, occlusion, or changed site conditions.
  • The deliverable being supported and the reason the current cloud is accepted, supplemented, or rejected.
  • Any coordinate system, surveyed control, target identification, or transformation applied.

This record turns “the scan is missing” into a testable statement: missing file, broken reference, unregistered source, insufficient coverage, or stale geometry. That distinction determines whether the next action belongs to file management, registration, surveying, or field capture.

Decision checklist

  1. Can every expected source file be opened, and can the project reach its referenced storage locations?
  2. Is the problem a missing file, an unregistered scan, incomplete coverage, or a site that changed after capture?
  3. Are the inputs structured and supported for the registration workflow?
  4. Do the scans share enough geometry for automatic registration or three-point manual registration?
  5. Would surveyed points or identified targets improve coordinate control or a problem area?
  6. Does the capture date still represent the conditions and accuracy required by this deliverable?
  7. If source data or required coverage is absent, has the team defined the scope of a supplemental capture or rescan?
