A remanufactured mining component can carry a defect warranty, a separate component-life assurance, or both. A maintenance or customer-value agreement may add parts, labor, inspections and monitoring under entirely different conditions. Before signing, reconcile the offer, warranty certificate, program guide, exclusions and service agreement line by line. The signed documents incorporated into your purchase order—not a brochure or promotional webpage—control what you can claim.
Start by separating the documents and the promises
“Reman warranty,” “major component assurance,” “extended repair coverage” and “maintenance agreement” are not interchangeable. A warranty normally promises a defined remedy when a covered defect in material or workmanship causes a failure. A life-assurance program may share the cost of a component that reaches a stated service life, often on a prorated basis. A service agreement can pay for scheduled maintenance, parts, dealer labor, condition monitoring or repairs, with its own fees, exclusions and response commitments.

Build a document set before comparing prices:
- The quotation and scope of supply, including the exact remanufactured component.
- The applicable limited-warranty certificate and program guide.
- Every exclusions, maintenance and eligibility schedule.
- The proposed service or customer-value agreement.
- The claims form, dealer response standard and downtime policy.
- The purchase order and any signed addendum that incorporates a version number and effective date.
Ask the seller to identify which document controls if wording conflicts. A sales presentation, web summary or verbal assurance should be treated as incomplete until it appears in the signed contract.
1. Define the covered item and the failure
Identify the component precisely
Record the machine make and model, machine serial number, component part or assembly number, remanufacturing level, and the serial number that will be supplied. State whether the scope includes the core, exchange unit, software, sensors, harnesses, seals, attachments or ancillary kits. If a component is exchanged later, specify how its identity is recorded for claims.

Define a covered failure
The agreement should distinguish a defect in remanufacturing, a failure caused by an excluded operating condition, normal wear, and a performance or service-life promise. Ask for the diagnostic standard: who determines root cause, what tests are conclusive, and whether the failed part must be retained. Also ask whether damage to connected systems—such as a hydraulic pump, transmission, controller or cooling circuit—is covered when the reman unit fails. “Parts warranty” alone does not answer that question.
2. Write down the term, meter and restart rules
Capture both clocks
Put the start event in the contract: shipment, installation, commissioning, acceptance or first operation. Then record the calendar duration, hour or cycle limit, and the rule stating which expires first. Confirm which meter applies—engine hours, machine hours, cycles or another measurement—and how meter readings are verified.

Ask what happens after a covered repair. A replacement may receive a new term, a fixed short term, or only the balance of the original policy. The Komatsu brochure’s described major-component program provides the balance of the original policy for a component installed after a covered repair; require the applicable agreement to say whether that rule applies to your purchase.
3. Draw the remedy and cost boundary
Specify the remedy
Choose the contractual remedy: repair, replacement, refund, credit or prorated participation. State whether the seller may choose the remedy and whether an unsuccessful repair allows a replacement or refund. Require a target decision time after the claim file is complete.

List every cost category
Use a line-item schedule rather than “parts and labor”:
- Replacement or repaired component and diagnostic parts.
- Removal, installation, alignment, calibration and testing labor.
- Travel, accommodation, mobilization and site access.
- Freight, customs duties and taxes.
- Fluids, filters, flushing and contamination cleanup.
- Crane, lifting, tooling and disposal charges.
- Damage to adjacent systems and consequential production loss.
- Rental or substitute equipment during downtime.
Komatsu’s cited major-component program excludes freight, duties, taxes and repairs performed before replacement, and makes dealer labor reimbursement conditional. Treat those as negotiation points, not assumptions about every reman sale.
4. Verify eligibility before the component arrives
Request a written eligibility matrix covering model and serial-number ranges, part numbers, component categories, duty cycle, application, operating environment and site geography. Confirm whether open-pit, underground, aggregate, quarry, rental or nonstandard applications are treated differently. Caterpillar states that warranty details vary by product, application and location. Komatsu’s major-component assurance identifies defined categories and excludes certain engine models; “all reman components” in one standard warranty does not automatically extend to a separate assurance program.
Check who may perform work. Some programs require an authorized dealer for diagnosis, installation or inspections. If your site uses an independent mine-maintenance contractor, obtain written confirmation that its work preserves coverage and identify any tasks that must remain with the authorized network.

5. Turn maintenance conditions into an evidence schedule
Translate conditions into dates and records
List every required action, interval, responsible party and record:

Komatsu’s described program calls for oil samples, approved fluids and filters, and proof of annual dealer-performed PM Clinics for stated credit or labor terms. Caterpillar’s mining customer-value material lists genuine Caterpillar parts, compliance with manuals, fluids analysis and quarterly condition-monitoring inspections as program requirements. Obtain the exact interval and form for your machine rather than relying on a general brochure.

6. Make the claim procedure operational
- Set the notice channel. Name the email, portal, telephone number and dealer contact that constitute notice.
- Set the deadline. Specify how soon after a symptom, shutdown or failure notice must be given, and whether an emergency phone call must be followed by written notice.
- Define the evidence pack. Include machine and component serials, meter readings, maintenance history, fluid reports, fault codes, photographs, operating conditions and a failure chronology.
- Require authorization before repair. State whether teardown, removal or third-party diagnosis without written approval can reduce or void the remedy.
- Set diagnostic authority and response times. Identify who can approve a field repair, replacement shipment, rental unit or return of the failed part.
- Preserve evidence. State how the failed component is tagged, stored, shipped and examined, and who pays those costs.
- Escalate unresolved claims. Name the service manager, commercial contact and dispute route if the dealer and mine disagree on cause or eligibility.
A Modular Mining Systems Australia terms document illustrates a written-notice requirement within its limited warranty period. That is an example of wording to inspect in the applicable contract, not a universal mining-reman deadline.
7. Test exclusions and modification language
Ask the seller to mark each exclusion that could occur at your site:

- Normal wear, consumables and scheduled adjustments.
- Contamination, poor filtration, improper storage or coolant chemistry.
- Overload, overspeed, shock loading, operating outside specifications or an unapproved duty cycle.
- Misuse, operator error, neglected maintenance or inaccurate meter readings.
- Non-approved fluids, filters, parts, software or calibration.
- Third-party repair, machining, welding, modification or component integration.
- Fire, flood, accident, theft, environmental events and other external causes.
Do not accept “any modification voids the warranty” without a causation standard. A fairer clause identifies the modification and requires the seller to show that it caused or contributed to the failure. The Modular Australia terms illustrate misuse and unauthorized-modification exclusions and limited-remedy language; review your own seller’s wording and governing law.

Caterpillar describes mining customer-value agreements with configurable parts delivery, dealer labor and component assurance. Komatsu describes extended-warranty and maintenance/repair options. Those program descriptions show the kinds of bundles available; the selected agreement must state your chosen level, price and exclusions.
9. Review liability, transfer and document precedence
Have commercial counsel review liability caps, excluded consequential or production losses, indemnities, insurance, governing law, venue, arbitration, force majeure and limitation periods. Determine whether the remedy is exclusive and whether the seller’s liability cap applies to injury, property damage, data or environmental obligations.
For fleet owners, address assignment when a machine is sold, leased or moved to another site. Require written rules for transfer fees, remaining term, service territory and maintenance-record handover. Put the precedence clause in the purchase order: identify the exact warranty and service-agreement versions, and state that a conflicting quotation or brochure does not silently replace them.
10. Build a pre-signature approval checklist
- Exact machine, component, part number, serial range and remanufacturing scope are listed.
- Failure definition, connected-component treatment and diagnostic standard are clear.
- Start event, calendar term, hour or cycle cap, meter source and replacement-term rule are written.
- Repair, replacement, refund and prorating formulas are calculable from the text.
- Labor, travel, freight, duties, taxes, fluids, cleanup and downtime responsibilities are allocated.
- Eligibility by model, application, geography and authorized service is confirmed.
- Every maintenance condition has an owner, due date and required evidence.
- Claim notice, approval, failed-part retention, response and escalation procedures are usable at the mine.
- Exclusions address wear, contamination, overload, misuse, modifications and third-party work with understandable causation rules.
- Service-agreement inclusions, fees, renewal, termination, transfer and response commitments are separate from warranty rights.
- Liability, governing law, dispute venue and document precedence have been reviewed.
- The signed purchase order incorporates the correct documents and version dates.
What the headline terms do—and do not—tell you
A one-year unlimited-hour warranty can be valuable for a high-utilization fleet, but it says little about installation labor, freight or claim timing until those clauses are visible. A five-year/12,000-hour assurance can extend financial participation, yet prorating means the seller’s contribution changes with achieved life and may apply only to named components. A 12-month same-as-new warranty addresses stated Caterpillar defects, while product, application and location still determine the applicable wording. In every case, the start event, hour rule, eligible component list, maintenance evidence, remedy and cost allocation matter more than the headline alone.
