Before you book a crane, give the rental company verified information about the load, lift height, radius, travel path and site constraints. Then have the provider confirm the crane’s type, configuration and load-chart capacity for that exact setup. A safe rental also assigns responsibility for the operator, riggers, signal person, lift planning, assembly, transport and inspections; verifies ground support and power-line clearances; and spells out every charge and safety duty in the contract.
1. Define the lift before asking for a quote
A crane cannot be selected from a headline capacity alone. Capacity changes with the crane’s actual configuration and setup, the load weight, the operating radius and the lift path. Prepare a written lift brief before contacting rental companies.

Record the load accurately
- Verify the total weight of the load, including rigging, spreader bars, lifting beams, hooks and any attachments that will be carried by the crane.
- Record overall length, width, height and the location of approved lifting points. Note whether the load is flexible, unbalanced, liquid-filled or likely to catch wind.
- Identify the pick point, set point and any intermediate position where the load must be held or swung.
Do not rely on an old shipping weight or a rough estimate. If the weight is uncertain, resolve it before the rental company checks the load chart.

Provide the maximum required lift height, the farthest working radius and the height of obstacles along the route. Explain whether the crane must slew over a building, wall, roadway or occupied area. A drawing or site plan showing the crane position, pick and set locations, travel path and exclusion zones helps the provider evaluate the lift.

List access and staging restrictions
Tell the provider about gate widths, overhead clearance, road grades, bridges, weight limits, soft shoulders, restricted delivery hours and available space for assembly. State where trucks can unload, where the crane can set up and whether traffic control or a road closure will be needed. These details can change the suitable crane and the transport plan.
2. Match the crane to the actual load chart
Ask the provider to identify the proposed crane and its precise working configuration for your lift. The applicable load chart must match the boom or jib arrangement, counterweight, outrigger or track position, working radius, lift height and ground setup that will be used. The North Carolina Department of Labor guidance emphasizes using the chart for the crane’s current configuration and not exceeding its rated capacity.
Request the capacity calculation
Have the provider or qualified lift planner show the planned gross load, radius and chart capacity at the most demanding point of the lift. Confirm that the calculation includes the weight of all below-the-hook equipment and accounts for the path, not merely the final set location. Ask what margin remains at the critical position.

Confirm configuration changes
A crane may have different capacities when outriggers are fully extended, partially extended or retracted, or when it operates on tracks rather than outriggers. Boom length, jib use, counterweight and working quadrant also affect capacity. If the setup changes on site, require a new chart check before lifting.
Ask what happens if conditions change
Wind, rain, visibility, ground settlement or an unexpected obstruction can make the planned configuration unsuitable. Agree in advance who can stop the lift, who revises the plan and how standby or remobilization costs are handled. A crane that is large enough on paper is not automatically safe for every position on the site.
3. Choose the rental arrangement and assign every responsibility
“Crane rental” can mean a bare machine, an operated crane or a supported lift service. The arrangement determines who supplies people, makes decisions and performs work at the site. Put the allocation in the quote, contract and lift plan.

| Arrangement | What may be supplied | Responsibilities to confirm |
|---|---|---|
| Bare rental | Crane and delivery, with the hiring employer providing the operating team | Who employs and evaluates the operator; who supplies riggers and signal person; who plans the lift; who assembles, inspects and dismantles the crane |
| Operator-inclusive rental | Crane with an operator supplied by the rental company | Operator’s employer, qualification and evaluation records; authority to direct the lift; responsibility for rigging, signaling, ground preparation and site supervision |
| Supported lift service | Crane, operator and some combination of planning, transport, assembly, rigging, signaling and site support | Exactly which tasks are included, who controls the work, what equipment the customer must provide and where liability transfers |
OSHA’s guidance distinguishes the employer that employs or controls the operator from a bare-rental company that does not. A bare-rental company is not responsible for certifying or evaluating an operator it neither employs nor controls. Do not assume that the company delivering the crane is responsible for the whole lift.

Name the person in charge
Identify the lift director or other person with authority to coordinate the crew, stop work and resolve conflicting instructions. State who communicates with the operator, who approves changes and who controls access to the work area. One clear chain of command prevents a signal person, superintendent and customer representative from giving contradictory directions.
4. Verify operator, rigger and signal-person qualifications
Ask for the name of the proposed operator and the crane type and tasks for which that person is qualified. Qualification is not just a certificate considered in isolation: the employer must ensure that the operator is qualified and evaluate the operator’s safe performance for the equipment and work assigned.
Check the jurisdiction
Federal OSHA rules apply according to the work and employer, while state and local requirements may add licensing or credential rules. OSHA explains that a jurisdictional licensing program can apply when it meets the federal baseline. Verify the requirements at the job location rather than assuming a credential from another state is sufficient.
Confirm the rest of the lift team
- Ask who will rig the load and what experience or qualification standard the employer uses.
- Assign a signal person when the operator cannot see the load, the travel path or the landing area.
- Agree on the signaling method, radio channel, backup communication and the universal stop signal.
- Confirm who supervises workers attaching, guiding and releasing the load.
Include qualification and evaluation documentation in the project records required by your employer, contract and jurisdiction. Keep the actual operator and crew assignments consistent with the plan.

Check access and clearance
- Measure entrance gates, turning radii, overhead structures and the route for the crane and delivery vehicles.
- Locate underground utilities, vaults, basements, culverts and recently backfilled areas that could be weakened by outrigger reactions or vehicle loads.
- Reserve space for outriggers, counterweight swing, boom clearance, assembly and dismantling.
- Plan traffic control and protect pedestrians from the delivery and lifting zones.
Evaluate bearing and leveling
North Carolina Department of Labor safe-work guidance says the crane should be on firm, stable, level ground with outriggers fully extended where the configuration requires them. Ask the provider to assess soil type and condition, slope, drainage and the expected support reaction. A paved surface is not automatically adequate if it contains voids, trenches or unsupported edges.
Specify mats, pads or cribbing
Do not buy generic outrigger pads before the reactions and dimensions are known. Ask the rental company or qualified lift planner for the required pad or mat size, thickness, material and capacity for each support point. The NCCCO practical inspection handbook identifies soil condition, stabilizer deployment and unacceptable cribbing or pads as pre-operational concerns. Inspect the bearing area after setup and stop if a pad shifts, sinks or cracks.
Verify leveling and deployment
Confirm how the crane will be leveled and how full outrigger extension will be verified. If an obstruction forces a reduced extension or a different working quadrant, require the operator and planner to use the corresponding chart rather than treating the change as minor.
6. Identify power lines, obstructions and swing hazards
Locate overhead electrical lines before the crane arrives and mark them on the lift plan. Also identify roofs, trees, signs, towers, pipes, neighboring structures and any area where the boom, load or counterweight could strike an object.
North Carolina guidance cites a 10-foot working clearance from power lines. The required approach distance and control measures depend on the applicable rule, line voltage and job conditions, so verify the requirement with the utility and the OSHA or state rule governing the work. Controls may include de-energizing or relocating a line, installing protective measures, assigning a dedicated spotter and establishing a documented boundary.
Control the swing radius
Barricade accessible areas within the crane’s swing radius and keep people away from suspended loads. Define the exclusion zone for the maximum counterweight and boom swing, not just the footprint of the crane. Protect adjacent property and coordinate with other trades so no one enters the area while the load is suspended.

7. Coordinate rigging, signals and inspections
Plan the rigging
Confirm who supplies slings, shackles, hooks, spreader bars and lifting beams. Select equipment for the load weight, sling angles, connection points, edge conditions and expected movement. Inspect rigging before use; remove damaged or unidentified gear from service. Include the rigging arrangement and attachment points in the lift plan so the operator knows the intended load geometry.
Establish communication
Use a single designated signal person when required. Agree on standard hand signals or a radio procedure before the first pick. Test radios, establish a backup method and require the operator to stop whenever a signal is lost, misunderstood or contradicted.
Complete pre-use inspections
A designated competent person must inspect the crane and all crane controls before use, as stated in North Carolina Department of Labor safe-work guidance. Follow the manufacturer’s instructions and the inspection requirements that apply to the equipment and work. Check controls, safety devices, wire rope, hooks, brakes, outriggers or tracks, fluids, attachments and visible structural damage. Document defects and repairs before authorizing the lift.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.8. Read the quote and contract line by line
Safety sources do not establish a universal rental price, insurance limit, cancellation fee or minimum rental period. Those terms vary by provider, location and project. Compare written quotes on the same scope instead of comparing an hourly rate alone.
Ask what the price includes
- Minimum rental hours or days and the definition of billable time
- Mobilization, transport, permits and escort vehicles
- Assembly, counterweight installation, dismantling and demobilization
- Operator, rigger, signal person, lift planner and other crew time
- Fuel, environmental controls and equipment cleaning
- Standby, weather delays, access delays and overtime
- Rigging, mats, pads, traffic control and site support
Clarify risk and documentation
Review damage responsibility, equipment condition at handover, repair authorization, cancellation and rescheduling rules, and the process for reporting an incident. Ask for insurance certificates and have your project’s insurance or contract contact review indemnity and additional-insured language. Do not treat a certificate of insurance as proof that every lift risk is covered; the actual policy and contract control.

9. Compare providers on capability, not just price
Request the same lift brief from each provider and compare the responses on these points:
- Whether the proposed crane and configuration match the stated weight, radius, height and path
- Whether a site review and written lift planning support are included
- Operator, rigger and signal-person qualifications and employer responsibility
- Transport, assembly, dismantling, rigging, signaling, mats and inspection coverage
- Availability, weather policy, standby terms and ability to stop or revise the lift safely
- Clarity of the contract, insurance documentation and total quoted cost
A lower quote that leaves planning, crew or setup duties with you may cost more after mobilization. Choose the offer whose scope matches your team’s competence and the complexity of the lift.
10. Use a day-before and day-of checklist
Before delivery
- Reconfirm the verified load weight, dimensions, pick and set points, radius, height and lift path.
- Confirm the crane model, configuration, chart basis and planned counterweight, boom, jib, outrigger or track setup.
- Complete the site walk, ground assessment, access route, utility check and power-line controls.
- Install or schedule required mats, pads, barricades, traffic controls and exclusion zones.
- Confirm operator, rigger, signal person, lift planner and supervisor assignments in writing.
- Review permits, insurance documents, emergency contacts, weather limits and the contract’s standby and cancellation terms.
At setup and before the first pick
- Inspect the arrival route and setup area for changed conditions, parked vehicles, excavations or new overhead hazards.
- Verify level ground, full outrigger or track deployment, pad placement and clearance from edges and utilities.
- Complete the crane and control inspection and remove any defective equipment from service.
- Inspect and identify all rigging, test radios and review hand signals and the stop-work command.
- Barricade the swing radius and suspended-load zone; keep unauthorized workers out.
- Recheck the load chart for the actual setup and conduct a controlled initial pick before proceeding with the full movement.
Common planning failures and how to correct them
Booking from weight alone
Failure: Selecting a crane because its advertised capacity exceeds the load weight. Correction: Supply radius, height, path and configuration details and obtain a chart check for the most demanding position.
Assuming the rental company supplies the whole crew
Failure: Discovering on arrival that no signal person, rigger or lift planner is included. Correction: List each role and employer in the quote and work plan, including who has stop-work authority.
Setting up on apparently solid ground
Failure: Outriggers settle near an edge, trench or unsupported slab. Correction: Have a qualified person assess bearing conditions and specify engineered or manufacturer-appropriate pads, mats or cribbing before mobilization.
Leaving power-line controls until the crane arrives
Failure: The planned boom path cannot maintain the required clearance. Correction: Survey lines early, verify the applicable distance with the utility and rule, and arrange de-energization, relocation or other controls before delivery.
Accepting vague contract language
Failure: Delays and disputes over transport, standby, weather, damage or permits. Correction: Ask for an itemized scope and have the project’s contract and insurance contacts approve the allocation of risk.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesFinal decision
Rent the crane only after the provider has matched a specific configuration and load chart to your verified lift, the site can support and safely access that setup, overhead hazards are controlled, and every operator, rigging, signaling, planning and inspection duty has an identified owner. The signed quote should make the same responsibilities and costs clear. If any of those facts remain unresolved, postpone booking and resolve them before equipment is mobilized.
