Before you book two or more renovation trades, make every contractor price the same written brief and answer the same questions about scope, dates, dependencies, handoffs, permits, payments, changes and delays. Put the answers—and the person responsible for coordinating them—in signed documents. That is how you prevent one contractor’s assumption from becoming another contractor’s change order.
Why several renovation projects need a different conversation
A kitchen renovation, electrical upgrade, bathroom work and flooring replacement may each be straightforward on its own. Scheduled together, they form one sequence: demolition affects rough-in work, rough-in affects inspections, inspections affect closing walls, and finished surfaces can be damaged by later trades. Separate contracts do not automatically create a coordinator.

Ask every bidder to respond to one common project brief. Then identify, in writing, who confirms that one trade is finished, who checks that the next trade can start, and who tells you when a handoff slips. This coordination approach is a practical planning measure drawn from official guidance on schedules, subcontractors, communication and contingencies; it is not a universal legal rule.

Prepare one brief before requesting several quotes
Define the complete outcome
Describe the finished result, rooms, dimensions where known, preferred materials, quality level, fixtures, finishes and any work you will supply. State what must be protected, removed, stored or cleaned. Include drawings, photos and product specifications when available.
Do not let each contractor invent a different version of the job. Consumer Protection Ontario recommends written estimates that itemize products, services and prices, while Georgia guidance recommends giving contractors identical project specifications. You can compare prices only after the underlying work is comparable.
List exclusions and assumptions
Ask bidders to write down what they have not included: structural repairs, asbestos or lead treatment, waste removal, painting, patching, appliance connections, permit fees, engineering, temporary utilities or work by another trade. An exclusion is not necessarily a problem; an unstated exclusion is.

Tell contractors about occupancy, working hours, pets, parking, shared walls, restricted access, fragile finishes, delivery limits and dates when the home must be usable. Provide the intended order of trades, but ask each contractor to identify dependencies you may have missed.
Ten questions to ask every contractor
1. “What exactly is included in your scope, and what is excluded?”
Request a task-by-task description, material brands or performance specifications, installation standards, protection of existing areas, cleanup and disposal. Ask which assumptions depend on another contractor’s work. Have the contractor mark the shared brief so you can see whether two bids cover the same demolition, preparation and finishing.

- One-Handed Loading - Keep one hand free with a 1/4 in. hex chuck that accepts 1 in. bit tips
2. “What dates can you commit to, and what must happen before you start?”
Ask for the earliest realistic start, working duration, completion date, material lead times and events that must occur first. A start date that depends on a permit, inspection, delivery or another trade should say so. Singapore’s competition authority recommends a mutually agreed schedule with clear start and completion dates, plus an agreed approach to delays and contingencies: Fair Trading Practices for the Renovation Industry.
3. “Who coordinates handoffs with the other contractors?”
Name the person who confirms that the preceding work is complete, checks readiness, shares measurements or approvals, and tells you about a missed handoff. If you hire trades separately, ask whether anyone is taking overall coordination responsibility. If not, put yourself—or an independent coordinator—in the communication chain and define what each contractor must report.

Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →4. “How will you report a delay, and what happens to the schedule or price?”
Ask how quickly you will be notified, what evidence or explanation will be provided, which activities can continue, and whether additional labor, storage, protection or remobilization costs could result. Require a revised date and written price effect before authorizing related extra work. Agreeing on this process in advance follows the contingency and client-communication practices described by Consumer Affairs Victoria and Singapore’s guidance.
5. “Who obtains permits and arranges inspections?”
Make a list of every likely permit and inspection, then assign each item: application, fee, scheduling, attendance, correction and proof of approval. Ask who confirms that an inspection has passed before dependent work is covered. Iowa, Ontario and Georgia consumer guidance all tell homeowners to clarify permit responsibility; the exact requirements remain local.
6. “Who will be on site, and what work will be subcontracted?”
Ask for the project supervisor’s name, expected crew, subcontracted trades, supervision arrangements and notice of personnel changes. Clarify who controls keys, alarms, deliveries, dust barriers, temporary protection and daily cleanup. Georgia guidance recommends specifying subcontracted work, and Victoria advises checking references for subcontractor punctuality and quality.

7. “What insurance do you carry, and what proof can you provide?”
Request current evidence of the coverage relevant to the work and ask who handles an injured worker, damage to your property, damage caused to a neighboring property and vehicle or equipment incidents. Do not assume that a certificate answers every liability question; verify what local law and your insurer require.
8. “How are changes approved?”
Set a written change process before work begins. Each change should describe the revised work, materials, price adjustment, schedule effect and any new responsibility. Require your approval before changed work proceeds, except for a narrowly defined emergency. Keep signed changes with the original contract. Ontario and California publish jurisdiction-specific requirements for written estimates, contracts and change orders, so check the rules where the property is located: Ontario consumer guidance and the California Contractors State License Board contract guide.
9. “What are the deposit and payment milestones?”
Ask what each payment buys and tie progress payments to observable stages—such as approved rough-in, passed inspection, installed cabinets or completed flooring—rather than to vague dates. Identify retainage, final-payment conditions, allowances and treatment of unused allowances. Deposit limits and payment protections vary by jurisdiction; do not apply another region’s rule to your project.
10. “Can I speak with recent clients whose projects involved similar work or multiple trades?”
Use references to test the contractor’s process, not merely the finished photographs. Ask whether dates were met, changes were approved before billing, subcontractors arrived as promised, the site was protected, problems were disclosed promptly and final documents were delivered. Ontario offers useful wording: “Can I get references from people who have had a similar work done in their homes?”
Turn answers into a workable multi-trade schedule
Map dependencies, not just dates
For each scope, record the prerequisite, the person who confirms it, the evidence required and the next trade affected. Examples include demolition before framing, framing before rough electrical and plumbing, rough work before inspection, inspection before insulation or drywall, and dust-producing work before final finishes. The actual order depends on your design and local approvals; have the relevant trades validate it.

| Schedule item | What to record | Who confirms it |
|---|---|---|
| Pre-start readiness | Access, drawings, materials, utilities, permits and protection in place | Named contractor or coordinator |
| Trade completion | Tasks finished, defects noted, debris removed and photos or measurements supplied | Finishing trade and receiving trade |
| Inspection gate | Inspection date, result, corrections and approval to cover work | Permit-responsible party |
| Handoff | Area released, surface condition accepted and next start confirmed | Both outgoing and incoming trades |
| Delay event | Cause, notice time, revised dates, continuing work and cost effect | Contractor who discovers the issue |
Choose a communication route
Specify the primary contact, backup contact, response expectations and where decisions are recorded. A shared email thread or project log can preserve approvals, photos, delivery notices and revised schedules. Phone calls may solve an urgent problem, but record the decision afterward and ask the affected contractor to confirm it.
Decide whether you need an independent coordinator
Separate hiring can work when scopes are small and dependencies are limited. For complex, occupied or tightly sequenced work, an independent project manager or building-surveying professional may help coordinate schedules, scope and inspections. Confirm exactly what that person is engaged to do; coordination assistance does not transfer every contractor’s contractual responsibility.

| Comparison point | Questions to resolve |
|---|---|
| Scope completeness | Are demolition, preparation, materials, protection, cleanup and disposal included? Which exclusions could create a later change? |
| Schedule realism | What are the start, duration and completion dates? Which deliveries, permits or preceding trades are dependencies? |
| Handoffs and delays | Who releases and accepts each area? How are notice, revised dates, continuing work and added costs handled? |
| Permits and inspections | Who applies, pays, attends, corrects and supplies approval records? |
| People and subcontractors | Who supervises the site? Which work is subcontracted, and how is quality controlled? |
| Price and payments | Are products, quantities, allowances, taxes, fees and milestones itemized consistently? |
| Communication and changes | Who can authorize a change, in what writing, and how quickly are schedule effects reported? |
| Relevant references | Can recent clients describe similar multi-trade coordination, not just appearance of the finished work? |
A low bid that omits protection, permits or finish preparation is not cheaper than a complete bid; it is pricing a different project. Ask for clarification in writing before you normalize the numbers.

Put the coordination rules in the contract
Written terms should identify the parties, detailed scope, materials and quality, price or pricing method, start and completion dates, payment stages, permits, inspections, cleanup, warranty or correction obligations, insurance evidence, subcontracting, access, change approvals and delay procedure. Iowa’s Home Improvement & Contractor Tips and the other consumer agencies linked above emphasize documenting these fundamentals.

For multiple contractors, add a coordination page or schedule exhibit that names the handoff contact, required notice, release conditions and records to be exchanged. State whether a contractor is responsible only for its own scope or has an expressly broader coordination duty. Avoid relying on an informal promise that “we will work it out.”
Keep the signed contract, estimates, drawings, permits, inspection results, insurance evidence, receipts, daily logs, photographs, emails and approved change orders together. An organizer or digital folder can help you find records, but it does not replace signed contract documents or legally required notices.
What to do when a project starts slipping
- Ask the contractor to describe the cause, affected activities and immediate protection needed.
- Record the notice date and request a written recovery schedule with new start and completion dates.
- Ask which unaffected work can proceed and whether another trade can be resequenced without damaging completed work.
- Require written approval for any extra labor, storage, remobilization or material cost before it is incurred, unless your contract and local law provide a different emergency process.
- Notify every affected contractor through the agreed communication route and update the shared schedule.
- Document the condition with dated photographs, delivery records, inspection results and correspondence.
Do not cover work that requires inspection, conceal a defect or let a later trade proceed over an unresolved handoff merely to preserve the original date. Ask the permit authority or a qualified local professional when a change affects compliance or safety.

The official guidance used here comes from Iowa, Ontario, Georgia, Victoria, Singapore and California. It is valuable for planning questions, but no single source establishes the rules for every location. Confirm licensing, permits, inspections, insurance, deposit limits, cancellation rights, written-contract content, payment protections and dispute remedies with the authority governing your property. If a contractor will not provide a clear written scope, schedule, change process or proof of required credentials, pause the booking until the gap is resolved.
