Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesCompare the exact apartment you would rent, the building and neighborhood, the complete monthly and move-in cost, and every lease rule that affects staying or leaving. Advertised rent and a model unit are not enough. A sound comparison puts each offer side by side, confirms fees and responsibilities in writing, records the unit’s condition, and checks state and local rules before you sign.
The framework below is U.S.-oriented. Landlord-tenant requirements differ by state and locality, so treat government guidance from another jurisdiction as an example of issues to investigate, not as a rule that automatically applies where you live.

Start with a side-by-side comparison of the actual offers
Create one worksheet for every apartment you are seriously considering. Use the lease, fee sheet, written answers from management, and your own inspection rather than relying on a listing page. If a figure or condition is not confirmed, mark it “unknown” and resolve it before applying or signing.
| Category | Record for each apartment | Evidence to keep |
|---|---|---|
| Exact unit | Unit number, floor, layout, light, noise, appliances, fixtures, windows, locks, signs of water or pest problems | Dated notes, photos and video from your visit |
| Building and neighborhood | Access, security features, common areas, parking, transit, nearby noise, flood or safety concerns, management presence | Site visit and written answers |
| Amenities | What is in the unit, what is shared, access hours, restrictions, availability and separate charges | Lease, addenda, fee schedule and email confirmation |
| Monthly cost | Base rent, utilities, required services, parking, pet charges, trash, package or amenity fees, insurance requirement and possible late charges | Lease and itemized quote |
| Move-in cost | Deposit, first month or prorated rent, application and administrative charges, setup fees and prepaid amounts | Written payment schedule and receipts |
| Lease obligations | Start and end dates, payment method, renewal, notice, early termination, subletting, guests, occupancy, pets, smoking and maintenance duties | Signed lease and every addendum |
| Exit and deposit | Move-out notice, inspection process, deduction standards and deposit-return procedure | Lease language and your condition report |
Give more weight to items that affect your daily life or create a large financial risk. A secure parking space may matter more than a pool if you drive every day; a responsive maintenance process may matter more than a decorative lobby.

Compare the exact unit, not a model apartment
Inspect the apartment that appears on the lease
Ask to see the precise unit before you commit. A model or “similar” apartment can differ in floor plan, finishes, view, noise, sunlight and condition. Open and close windows and doors, run faucets, flush toilets, test appliances, check water pressure, look under sinks, inspect ceilings and walls for stains, and note odors, pests, damaged flooring, cracked tiles and loose hardware. Verify that heating, cooling, smoke alarms, outlets, locks and intercoms operate as represented.
Check what is included in the unit: appliances, window coverings, light fixtures, built-in storage, internet equipment and any furniture. Ask whether an item will be repaired, replaced or removed before move-in, and put that promise in the lease, an addendum or a dated written message that you retain.
Separate private features from shared amenities
List facilities that you would actually use, such as laundry, parking, storage, a pool, fitness space, package handling, elevators, a courtyard or other common areas. For each one, establish:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Whether it is in your unit, reserved for your unit, or shared with the building.
- Whether it is open now, subject to capacity limits, or temporarily unavailable.
- Access hours, reservation rules, guest limits and seasonal closures.
- Whether use is included in rent, optional for a separate charge, or mandatory for every resident.
- Who maintains it and what happens if it is closed or unusable.
Massachusetts Attorney General guidance, in the context it describes, notes that optional charges for features such as parking, a pool or a fitness center may be declined. That does not make every amenity fee optional everywhere: ask for the property’s written policy and the lease language.
Evaluate management and the neighborhood
Visit at different times if possible. Listen for traffic, trains, nightlife, mechanical equipment and neighboring units; check lighting, entrances, mail and package areas, parking availability and the condition of shared spaces. Ask current residents, if appropriate, how requests are handled. Georgia Attorney General consumer guidance recommends comparing facilities, management and neighborhoods and asking how quickly maintenance problems are addressed.

Obtain a specific maintenance process: the portal, telephone number or email for routine requests; the emergency number; expected response procedure; and the person who receives formal notices. A pleasant tour is not evidence of reliable repairs, so compare the process and the written commitments.
Calculate the real monthly and move-in cost
Build a monthly total instead of comparing advertised rent
Use the following table for each property. Include a charge only when the landlord confirms that it applies to your unit and lease. If a variable amount cannot be estimated reliably, label it unknown and request recent bills or the billing method.
| Cost item | Questions to ask | How to compare |
|---|---|---|
| Base rent | What amount is written in the lease, and on what date is it due? | Record the contractual amount for every month, including any different first or final month. |
| Utilities | Which utilities are included? Which accounts must you open? Who reads meters and bills you? | Use actual bills or the stated allocation method; do not invent a utility average. |
| Required services | Are trash, internet, package handling, pest control or other services mandatory? | Add each recurring charge and identify whether it can be declined. |
| Amenity, parking and storage fees | Is the charge recurring or one-time? Is access guaranteed and under what rules? | Compare the total over your planned lease, not just the monthly headline. |
| Pet and household charges | Are there pet rent, deposits, application charges or extra-occupant fees? | Apply the rules to your household and animals, including any restrictions. |
| Late and returned-payment charges | When is payment late, is there a grace period, and what fee applies? | Record the due date, accepted methods and every stated penalty. |
Ask whether rent can be paid electronically, by check or another method, whether a convenience charge applies, and how payment is credited. Fairfax County’s lease checklist emphasizes that the written lease should disclose applicable charges and clarify utility responsibilities.
Clarify utility setup and disconnection
Determine whether each account is in your name, billed by the landlord, allocated among units or included in rent. Ask who starts service before move-in, who stops it after move-out, whether a transfer fee applies, and how shared usage is calculated. Georgia consumer guidance warns that utility responsibility can materially change an apartment’s cost.
List every move-in payment
Before paying, request an itemized schedule showing the security deposit, first month’s rent, prorated rent, application or administrative fees, key or access-card charges, utility deposits, pet amounts, prepaid rent and any required amenity or parking payment. Ask which amounts are refundable, when each is due and what receipt you will receive. Keep proof of payment and a copy of the version of the fee schedule you accepted.

Read lease dates, payment rules and renewal language
Match the term to your expected stay
Write down the exact start and end dates, possession date, rent commencement date and any holdover language. Confirm whether the term is fixed, month-to-month after expiration, or automatically renewed for another fixed period. A lease that ends after your planned move may create an avoidable notice or early-termination problem.

Find the renewal and notice deadlines
Locate the clause stating how and when you must give notice to leave. Note the required method—such as a portal, email, certified letter or a specified address—and the date by which notice must arrive. Check whether the landlord may change rent or other terms at renewal, when that notice must be delivered, and what happens if neither side acts. Georgia Attorney General guidance identifies renewal procedures, notice deadlines and possible automatic rent increases as terms to inspect.
Understand payment defaults
Record the due date, grace period if any, late fee, returned-payment charge, accepted payment methods and consequences of nonpayment. Check whether a failed electronic payment is treated differently from a late check and whether the lease allows additional collection costs. Use the lease’s definitions rather than assumptions about common practice.
Plan for leaving early, subletting or changing roommates
Early termination
Find the exact cost and conditions for ending the lease before its end date. The clause may require a notice period, a fixed fee, repayment of concessions, rent until a replacement is found, or other documented costs. Ask how the landlord advertises the unit and what steps you must take to mitigate or limit your liability under applicable law. Do not rely on a verbal statement that you can “just pay a month” unless it appears in writing.
Subletting and assignment
Check whether subletting or assignment is prohibited, requires prior written consent, or follows a stated application and screening process. Determine who remains liable for rent, damage and lease violations after another person moves in. Georgia renter guidance lists subletting and early-termination penalties among common terms to review.

Roommate replacement and occupancy
Read procedures for adding or removing a roommate, changing occupants, and documenting the return of one person’s share of a deposit. Confirm the maximum occupants, guest limits and approval requirements before your household changes. A replacement who is not formally added may have no tenancy rights and may leave the original signer responsible for the full obligation.
Document the deposit and the apartment’s condition
Ask how deductions and returns work
Before signing, identify the deposit amount, permitted deductions, cleaning standards, key or access-device charges, and the process for disputing an itemized statement. Ask where the deposit will be held if local law requires disclosure, the address to which your forwarding information must be sent, and the expected return procedure. Do not assume another state’s deadline applies: deposit rules are jurisdiction-specific.
Complete a dated move-in report
- Inspect every room before moving furniture in, using the same checklist for walls, ceilings, floors, doors, windows, cabinets, fixtures, appliances, plumbing and safety devices.
- Photograph or video existing damage, stains, missing items, meter readings and the condition of keys or access cards. Include a date and a wide view that identifies the room.
- Write precise descriptions, such as “3-inch chip on the left bathroom tile,” rather than “bathroom damaged.”
- Send the report and files to management through the required channel before the deadline in the lease, and keep the submission record.
- At move-out, repeat the process, return access devices as instructed, provide a forwarding address and retain proof of delivery.
Fairfax County’s lease checklist recommends a detailed move-in report listing existing damage and conditions. A condition record cannot waive legal rights, but it can distinguish pre-existing damage from damage attributed to your tenancy.

Separate landlord and renter duties
Read who replaces filters, light bulbs, batteries and other routine items; who handles appliances, plumbing, heating and cooling; and which tasks require written notice. Note any duty to keep heat on, prevent frozen pipes, report leaks promptly or provide access for repairs. Maintenance, repair and reporting obligations should be specific enough that you know what to do when something fails.
Use the correct contact for each problem
Keep the routine maintenance channel, emergency number, property address and formal-notice address together. Ask what qualifies as an emergency, whether after-hours calls are recorded, and how you receive a work-order number or status update. Send material promises—such as replacing a broken appliance, correcting a safety issue or completing work before possession—in writing and retain the response.

Check local remedies before withholding or terminating
Texas Attorney General renter guidance describes rights and procedures that apply under Texas law. Those remedies are not a nationwide template. Before withholding rent, paying for repairs and deducting the cost, breaking a lease, or pursuing a legal claim, verify the current rules and required notices in your state and locality.
Review pets, smoking, guests and insurance
Pets and household restrictions
Confirm whether pets are allowed, which species or breeds are excluded, limits on size or number, pet rent, deposits, one-time fees and required records. Read smoking rules, guest limits, noise provisions, business-use restrictions, parking assignments and any community policies incorporated into the lease. A separate building rule can be enforceable if the lease incorporates it, so obtain every referenced document.
Renters insurance
Check whether the lease requires liability coverage, a minimum limit, a particular deductible, landlord listing or proof before keys are released. The Georgia Attorney General’s consumer overview recommends renters insurance and notes that a renter without it may bear the loss of personal belongings after events such as fire, theft or a natural disaster. That is consumer guidance, not a universal legal requirement. Compare coverage for your belongings, liability and additional living expenses rather than assuming the landlord’s policy protects your property.

Score only confirmed facts
For each apartment, rate the following on a scale you choose—for example, poor, acceptable or strong—and attach the evidence:
- Condition and layout of the exact unit.
- Location, noise, access and building security.
- Useful amenities after all charges and restrictions.
- Predictability of the complete monthly cost.
- Affordability of move-in payments.
- Lease flexibility for renewal, subletting and early departure.
- Clarity of maintenance duties and response process.
- Deposit documentation and exit procedure.
- Fit of pet, guest, occupancy, smoking and insurance rules.
Do not award a high score for an unresolved promise. Treat an unknown utility bill, unconfirmed parking space or verbal repair commitment as a risk until it is documented.
Resolve red flags or walk away
- You are shown only a model or different unit and cannot inspect the one offered.
- Management will not provide a complete lease, fee schedule or referenced addenda before payment or signing.
- A mandatory charge is described as optional, or an optional service cannot be declined in writing.
- Utility billing, renewal, notice or early-termination terms are vague.
- Existing damage is dismissed instead of recorded and acknowledged.
- No reliable emergency maintenance contact is provided.
- The person collecting money cannot explain who the landlord or authorized agent is.
Pause the application until the issue is answered in writing. If a term conflicts with local law or you cannot understand its consequence, consult a reputable tenant resource, housing agency or qualified local attorney before signing.
