Water Damage Insurance Claim FAQs: Deadlines, Photos, Coverage, and Repairs

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Report water damage to your insurer promptly, document the loss before cleanup when it is safe, and take reasonable steps to prevent additional damage. There is no single filing deadline that applies to every U.S. homeowner. Your policy, the state where the property is located, and the source of the water determine notice rules and coverage. Plumbing or roof-leak damage is often handled differently from flooding caused by groundwater, rain runoff, or snowmelt.

This guide explains what to do in order, what evidence to preserve, how to handle temporary and permanent repairs, and what to do if a claim is delayed or denied. It is general consumer information, not an interpretation of your insurance contract.

What to do first after discovering water damage

1. Protect people and address the active source safely

Leave unsafe areas, shut off electricity to wet spaces only if you can do so without touching water or energized equipment, and call qualified emergency help when necessary. If a burst supply line, overflowing appliance, or roof opening is still allowing water in, stop the source when it can be done safely. Do not put yourself at risk to save photographs or belongings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Record the condition before cleanup when practical

Take wide photographs or video of every affected room, then close-ups of wet flooring, walls, ceilings, cabinets, appliances, furniture, and visible damage at the apparent source. Include undamaged surrounding areas to show the extent. Capture the date and time if your device records them, and keep the original files. Documentation should not delay urgent action to prevent the loss from getting worse.

3. Notify the insurer or agent promptly

Use the insurer’s claims number or contact your agent as soon as possible. Have your policy number available if you can find it, along with your contact information, the property’s address, when you discovered the damage, the suspected source, and a short description of what is affected. Ask which forms, photographs, estimates, receipts, and inspection steps are required. Write down the claim number, the name of each representative, and the date and substance of every conversation.

How long do you have to file a water-damage claim?

There is no universal number of days for every state or policy. The National Association of Insurance Commissioners (NAIC) states: “The amount of time you have to report your claim varies by state.” Its claims guidance also notes that most insurance companies set reporting deadlines and advises contacting the agent or company as soon as possible.

Look in your declarations and the policy’s conditions or duties after loss for notice language. A policy may require notice within a specified period, notice “promptly,” or other information soon after an event. State law can affect how those provisions operate, and the applicable rule may differ for a sudden event discovered immediately versus damage found after an extended leak. Do not rely on an internet statement that everyone has 24, 48, or 72 hours.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Late notice can make a claim harder to investigate, but the effect depends on the policy and applicable law. Report the loss even if you are unsure whether it is covered. Explain when you first discovered it, what you did afterward, and why any delay occurred. Keep a copy of the notice and proof that it was sent or received.

Does homeowners insurance cover water damage?

“Water damage” describes several different causes, and coverage follows the source and the policy wording rather than the label alone. The following is a general distinction, not a coverage decision for a particular home.

Source or situation General treatment described by NAIC guidance What to verify
Plumbing leak or burst pipe Damage from plumbing problems is typically considered under a homeowners policy, subject to exclusions, limits, deductible, and the facts of the loss. Which part of the plumbing failed, whether poor maintenance or another exclusion is alleged, applicable endorsements, and the deductible.
Roof leak Damage from a roof leak is generally treated as a homeowners claim, subject to policy terms and the cause and condition of the roof. Whether the policy covers the initiating cause, any wear-and-tear or maintenance exclusion, limits, and the deductible.
Flood from groundwater, rain runoff, or snowmelt A standard homeowners policy generally does not cover this type of flooding; separate flood coverage is generally needed. Whether a separate flood policy applies and how it defines the water event and covered property.

Ask the insurer to identify the specific policy provision if the source of water is disputed. A policy may cover resulting interior damage while excluding the failed component itself, or it may apply a special endorsement or limit. Only the policy, the investigation, and applicable law determine the outcome.

What photos, video, and inventory should you give the adjuster?

Capture the structure and the source

  • Photograph each affected room from several angles before contents are moved.
  • Take close-ups of stains, standing water marks, swollen materials, mold-like growth, damaged finishes, and the apparent leak or break.
  • Record serial numbers, model labels, and identifying marks on damaged appliances or equipment when they are visible.
  • Make a short video that shows the route water took and the relationship between rooms, if doing so is safe.

Make an itemized contents list

List damaged belongings by room and describe what happened to each item. Add the approximate age, brand or model, quantity, purchase information, and value when you know it. Receipts, photographs taken before the loss, manuals, warranties, appraisals, and bank or card records can help establish ownership and age. Do not invent a price when you do not know one; mark the information as unavailable and ask what substitute proof the adjuster accepts.

Preserve damaged property when feasible

Keep damaged items for inspection instead of discarding them immediately, provided storage is safe and practical. If a soaked material presents a health or safety hazard or must be removed to prevent additional damage, photograph it thoroughly first, keep a small representative sample when appropriate, and record what was removed, by whom, when, and where it went. Ask the insurer how it wants large or hazardous items handled.

Can you clean up or start repairs before the adjuster arrives?

Take reasonable temporary measures after documenting the condition

You are generally expected to take reasonable steps to prevent additional damage. Examples include placing a tarp over a roof opening, extracting standing water, moving undamaged belongings to a dry location, opening wet areas for ventilation when safe, or arranging emergency drying. Document the condition and the work first whenever possible. Do not wait for an inspection if delay would cause preventable additional loss.

Keep itemized receipts for emergency water removal, drying, materials, labor, storage, temporary boarding, or other reasonable mitigation. Reimbursement depends on the loss being covered and on the expense meeting the policy’s requirements. Ask the insurer what emergency vendors, documentation, and authorization it requires.

Coordinate permanent repairs

The available guidance does not establish a universal rule that every permanent repair must wait for an adjuster. Contact the insurer, give it a chance to inspect, and ask whether an estimate, photographs, or other evidence is needed before concealed areas are opened or rebuilt. If immediate permanent work is necessary for safety or to stop continuing damage, explain why and preserve records of the pre-repair condition.

How to choose and manage a contractor

Do not let a salesperson pressure you into signing immediately after a loss. A contractor can meet with the adjuster, but the contractor does not decide what the policy covers. Obtain more than one written bid when the situation allows, check references, and confirm any licensing or permit requirements that apply locally.

  • Use a detailed scope that identifies rooms, materials, quantities, and exclusions.
  • Ask who will perform the work and whether subcontractors are involved.
  • Do not pay cash or pay the entire contract price before the work is complete.
  • Match progress payments to documented stages of work and keep receipts.
  • Send the insurer copies of estimates without signing away your right to review the claim.

Emergency work may require a quick decision, but urgency is not a reason to surrender your documents or accept an unexplained assignment of insurance benefits. Read every agreement, and ask the insurer or a qualified adviser about any clause you do not understand.

What happens during the adjuster’s review?

The adjuster evaluates the reported facts, evidence, damage, estimates, and policy provisions. Provide a factual timeline, your photographs and videos, the contents list, mitigation records, and requested forms. Identify what you know and what remains uncertain; guessing about the cause can create avoidable disputes.

Keep a claim file with:

  • The policy, declarations, endorsements, and deductible information.
  • Your first notice of loss and the claim number.
  • Every email, letter, text, and call log, including dates and names.
  • Photographs, videos, inventories, receipts, estimates, invoices, and payment records.
  • Notes from inspections and copies of statements or proof-of-loss forms you submit.

Ask how the deductible will be applied, which portions of the loss are being considered, and what additional information is needed. If the insurer requests a proof-of-loss form or other signed statement, read it carefully and keep a complete copy before submitting it.

What if the insurer delays or denies the claim?

Start by requesting a clear explanation

Ask the insurer to identify in writing what information is missing, what decision has been made, and the policy language supporting any limitation or denial. Respond to reasonable requests by the stated deadline, keep proof of delivery, and correct factual errors with dated records. If the cause of water is uncertain, ask what inspection or expert information would resolve the issue.

Use your state insurance department as a consumer resource

Each U.S. state and territory has an insurance department. The department can explain claim-handling options, provide consumer guidance, and in some circumstances investigate a complaint about delay or unfair treatment. It does not act as your personal lawyer or decide every coverage dispute for you. Find the department for the property’s state through the NAIC directory and follow its complaint instructions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For a substantial or technically disputed loss, consider speaking with a licensed attorney or other qualified professional in your state. Preserve the entire claim file so an adviser can evaluate the timeline, policy language, communications, and evidence.

A practical water-damage claim checklist

  1. Make people and the property safe; stop the active source only when it is safe.
  2. Photograph and video rooms, materials, belongings, and the visible source before cleanup when feasible.
  3. Notify the insurer or agent promptly and record the claim number and contact details.
  4. Read the policy’s notice, proof-of-loss, deductible, and loss-settlement conditions.
  5. Prepare an itemized contents list with age, ownership, and value details where available.
  6. Preserve damaged items or document why removal was necessary.
  7. Take reasonable temporary measures to prevent further damage and retain itemized receipts.
  8. Ask about inspection and documentation before permanent repairs, while addressing urgent safety needs.
  9. Obtain written estimates, check contractors, avoid cash and full prepayment, and keep all agreements.
  10. Request written reasons for delays or denials and contact the state insurance department if appropriate.

The safest general approach is prompt notice, careful documentation, reasonable mitigation, and disciplined recordkeeping. Coverage and deadlines still turn on the policy, the source of water, state rules, and the facts of your particular loss.
