Hire is usually the more cost-effective choice for equipment needed briefly or for one project phase; buying can cost less over time when you use a suitable tool frequently and can manage its storage, maintenance, transport and resale. Compare the full cost of each option over the same period and realistic pattern of use—not a purchase price against a single hire-day rate.
Start with the project’s actual use, not the tool’s sticker price
For each tool or machine, estimate when you will need it, how many days you will use it and whether the hire charge continues while it sits idle. Then compare hire and ownership over the same horizon: the planned project, or a longer period if you expect to keep using the equipment on future work.

Hire periods and rate structures vary. A daily rate may not apply to a week-long booking, and a weekly rate can still add up if the project slips or the equipment remains on site between tasks. Ask the provider when the hire clock starts and ends, and request a dated, itemised quote for the actual dates.
Buying has costs beyond the purchase price, while hire has costs beyond the headline rate. A rough calculation can screen options, but it cannot decide the question on its own.

Calculate the full hire cost
Add the charges that apply to your booking, including any idle time billed within the hire period:
- Quoted hire charges for the dates and duration you actually need.
- Delivery and collection, plus VAT if it is not included in the quote.
- Required accessories and consumables.
- Damage cover, a deposit or your likely liability for loss or damage.
- Possible extensions, cleaning, fuel and return costs.
Ask which items are included, whether the quote is inclusive or exclusive of VAT, and what happens if the job overruns. Providers do not all include the same services or protections in their rates.
Calculate the full ownership cost
For buying, include the costs of obtaining and keeping the equipment, then subtract a realistic resale value at the end of your comparison period:

- Purchase price, delivery and any finance cost.
- Insurance, maintenance, repairs and servicing.
- Storage and transport to and from the site.
- Inspection costs where relevant, and the time needed to manage the equipment.
- Downtime costs if a fault leaves the tool unavailable.
- Expected resale value, based on a sensible estimate rather than the original price.
If the equipment will be useful on later projects, include that expected use in the ownership horizon. If it is unlikely to be used again, account for storage and the work of selling it, and be conservative about resale value.
Use break-even as a screening tool
Dividing the purchase price by a hire rate gives a rough indication of how many billed hire units equal the purchase price. It is not a reliable final threshold: it omits ownership expenses, resale value, finance and the time value of money, as well as delivery, hire logistics and charges for periods when hired equipment is idle. - Ownership total: purchase price + delivery + finance + insurance + maintenance, repairs and servicing + storage and transport + relevant inspections + owner time and downtime costs − realistic resale value.
Annualising likely use and ownership costs can help make a comparison, but there is no universal number of days per year at which buying becomes cheaper. The European Rental Association’s Total Cost of Ownership Calculator is designed to compare lease, buy and rent for specified equipment types; it does not establish a single break-even rule for every tool or project.
Work through the decision before you book
A simple worksheet helps keep assumptions consistent. Start with the specific item and task, then mark the dates it must be available—not just the days you expect to operate it. For hire, check how the provider prices that calendar period and whether you can return the item between work phases. For ownership, decide how long you realistically expect to keep it and how often it will be used on later jobs.

Use the project duration if this is a one-off need. If you expect repeat use, extend the horizon to include that work rather than assuming the tool will be valuable indefinitely.
- Get comparable hire terms. Request a dated quote for the same model or capability, dates and duration. Confirm the hire clock, VAT basis, delivery and collection, required extras, damage terms and extension charges.
- Price ownership completely. Include finance and carrying costs as well as purchase price. Estimate likely maintenance, transport, storage, downtime and eventual resale; avoid assuming you will recover most of the purchase price without a basis.
- Test the assumptions. Recalculate if the job takes longer, use is lower than expected, or resale is weaker. A conclusion that changes with a small schedule shift deserves a fresh quote or a closer look at availability.
This method is more useful than comparing a single day rate with a retail price because it accounts for the actual hire period and the costs that remain with an owner after the project ends. A UK hire-provider guide recommends annualising likely usage and ownership costs; the industry association’s calculator likewise compares total cost of ownership for specified equipment classes. Neither establishes a universal threshold for every tool.
What cement mixer hire prices show—and what they do not
Hire listings illustrate why you should compare current, local, like-for-like quotes. The following are examples from individual UK providers, not market averages or a complete comparison of equivalent models. Prices retrieved on 13 October 2026 may change with location, dates and availability.
| Provider and listing | Displayed price | Basis and exclusions shown |
|---|---|---|
| National Tool Hire Shops, cement mixer hire | Electric: £8.43/day; petrol: £9.19/day; diesel: £12.72/day | Starting prices for weekly hire; excludes VAT. Location and availability affect the actual price. |
| Olympus Plant and Tool Hire, electric mixer | £20 for one day; £35 for one week | Excludes VAT. Required accessories and a possible accidental loss damage waiver may cost extra. |
| Smiths Hire, listed 240V mixer | £19.11 for one day; £25.48 for two days; £31.85 for one week | Excludes VAT and delivery. The displayed delivery guide varies with distance. |
These schedules are not directly interchangeable: they describe different listings and hire terms, and some rates are starting prices. Confirm the model, dates, tax basis, delivery and other charges in a quote before comparing them. Without a comparable mixer purchase model and current local purchase price, these hire examples do not establish a definitive buy-versus-hire break-even point.

The examples also show why a low daily figure should not be treated as the complete cost. National Tool Hire’s figures are weekly-hire starting prices, while Olympus and Smiths display different day, multi-day or week schedules. All three list prices excluding VAT, and the other providers identify potential additional charges such as accessories, a damage waiver or delivery. The practical next step is to give each provider the same dates and ask for the same scope of equipment and services; only then can you compare totals on a consistent basis.

Account for timing, access and capability
The lowest calculated cost is not necessarily the best project choice if the equipment is unavailable when the work needs it, or unsuitable for the task. Ownership may offer access on demand; hiring can provide equipment for a particular phase without leaving you responsible for it afterwards. Delays, hire extensions and downtime can change the economics.
- Check the schedule: identify the dates the tool must be available, likely idle periods and the consequences of a delay. Compare those needs with the hire provider’s availability and extension terms.
- Check suitability: compare the equipment’s capacity and configuration with the work. A cheaper model is not a like-for-like alternative if it cannot safely or effectively do the job.
- Check operating arrangements: understand who will operate the equipment, what instruction or competence is needed, and who is responsible for checking its condition.
- Check the ownership burden: make sure you have a realistic plan for storage, maintenance, transport and eventual resale—not just an estimate of how often you might use it.
Availability is a cost consideration even when it does not appear as a line on a quote. If a hired item is not available for the dates you need, or a project delay makes an extension expensive, revisit the calculation. Conversely, buying can tie up money and leave you managing equipment between jobs. Include the consequences of downtime or delay where they are material, rather than treating every option as if it will be ready and working whenever needed.
Safety duties do not disappear when you hire
For work equipment in the UK, the Health and Safety Executive says that “Those hiring out equipment for use at work are considered as suppliers under section 6 of the Health and Safety at Work Act and so have broad responsibilities for the safety of the products they hire out.” The HSE also advises users to look for obvious safety defects. Supplier responsibilities do not mean the user can ignore condition, safe operation or their own applicable duties.
For long-term hire, the HSE notes that periodic thorough examinations may be appropriate to arrange through a written agreement. Clarify any relevant examination arrangements with the hire provider rather than assuming that a short-term booking or hire agreement automatically settles them. See the HSE’s Equipment and machinery FAQs for its guidance.

Build those checks into the choice, not just the handover. Before work starts, look for obvious defects, understand the equipment’s instructions and make sure the person using it has the necessary competence. If the hire is long-term, put any agreed arrangements for periodic thorough examinations in writing. The HSE’s supplier statement describes the hirer’s responsibilities; it should not be read as transferring every safety responsibility away from the user.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Keep tax treatment separate from the cost worksheet
A hire-versus-buy calculation for project budgeting is not, by itself, a tax conclusion. HMRC’s capital-allowances guidance distinguishes hiring or leasing an asset from services involving an asset; for the rule discussed in its guidance, construction plant provided predominantly with an operator is more than mere hire. That is a narrow point, not a general answer about the tax treatment of a particular project or business.
Businesses should check current HMRC guidance and seek advice from an accountant about their circumstances. Do not assume that buying or hiring will deliver a tax advantage simply because one option looks cheaper in the project-cost comparison. The relevant HMRC page is CA23115: distinction between leasing and provision of services; it was published on 16 April 2016 and updated on 8 July 2025.
Choose the option that fits this tool and this project
- Lean toward hiring when equipment is needed infrequently, briefly, for one phase, or is bulky, specialist or difficult to store. It is especially useful when the provider’s delivery, maintenance or operating support works on suitable terms.
- Lean toward buying when repeat use is credible, the tool suits future work, and the complete ownership cost per use compares favourably with hiring. This only works if you can store, maintain, insure, transport and eventually sell it sensibly.
- Get a fresh quote or recalculate if the schedule is uncertain, extensions are costly, availability is constrained, or resale could materially affect the ownership total.
For each option, use the same period and expected use, include all charges and responsibilities, and make the assumptions visible. The result should reflect the specific tool, hire terms and likely future work—not a universal day-count rule.

Should I hire or buy tools for my building project?
There is no universal winner. Hire tends to suit a brief or one-phase need, especially if the equipment is bulky or hard to store. Buying may make sense when repeat use is realistic and the full ownership cost per use is lower. Compare both options over the same period and usage pattern.

What costs should I check before hiring equipment?
Ask for an itemised quote for your dates. Check hire charges and billed idle time, VAT, delivery and collection, accessories and consumables, damage cover or liability, deposits, extensions, cleaning, fuel and return costs. Providers differ in what they include.
Does hiring equipment transfer safety responsibilities to the provider?
No. The HSE says hirers are suppliers with broad responsibilities for the safety of equipment they hire out, but users should still look for obvious defects and address safe operation and their own applicable duties. For long-term hire, periodic thorough examinations may be appropriate to arrange by written agreement.
Can I use a general break-even number of hire days to decide?
Not reliably. Purchase price divided by a hire rate is only a screening calculation; it leaves out ownership costs, resale, finance, hire logistics and charges for idle periods. There is no universal number of days per year that makes buying cheaper for every tool.

The Bottom Line
Hire often suits short-term, infrequent or difficult-to-store equipment; buying can be cost-effective when repeat use is credible and you can manage the full ownership burden.
