Moving Checklist: A Week-by-Week Timeline to Simplify Your Move

A complete U.S. moving checklist with an 8–12-week timeline, packing-supply guide, interstate mover safeguards, address changes, delivery inspections, and post-move tasks.

The simplest way to manage a move is to work backward from moving day. Start by choosing the move method and date, then handle reservations, decluttering, packing, utilities, address changes, travel, and final inspections in stages. This U.S. household-moving checklist covers the 8–12 weeks before the move through the first two weeks after arrival, with additional cautions for interstate moves.

Important: These are planning intervals, not universal legal deadlines. Lease terms, building rules, mover availability, distance, weather, family needs, and state requirements may change the schedule. Federal moving rules discussed here primarily apply to interstate household-goods moves; intrastate requirements vary by state, county, and municipality.

  • ☐ Choose a target date and decide whether the move is local, intrastate, interstate, temporary, or international.
  • ☐ Set a complete budget for transportation, labor, supplies, storage, deposits, cleaning, travel, utilities, childcare, pet care, and replacement purchases.
  • ☐ Choose between a full-service mover, moving container, rented truck, or personal vehicles.
  • ☐ If the move crosses state lines, compare at least three estimates, verify the mover or broker through the Federal Motor Carrier Safety Administration, and record the U.S. DOT number.
  • ☐ Declutter before buying or collecting large quantities of packing material.
  • ☐ Measure large furniture and check doorways, elevators, stairwells, parking, loading zones, and building move rules.
  • ☐ Reserve the mover, truck, container, storage unit, cleaners, pet transportation, and specialty services.
  • ☐ Pack infrequently used items first and label every box on at least two sides.
  • ☐ Schedule utility shutoffs and activations.
  • ☐ Arrange renters or homeowners insurance and understand the mover’s valuation options.

8–12 weeks before moving

Choose the move type and date

Begin with the decisions that affect every later task:

  • Local move: Usually within the same general area, often easier to schedule and supervise.
  • Intrastate move: The shipment stays within one state. The applicable rules may come from state or local authorities rather than federal interstate regulations.
  • Interstate move: Household goods cross a state line. Federal Motor Carrier Safety Administration requirements and consumer protections apply to the interstate mover or broker. Start with the official FMCSA Protect Your Move resources.
  • Temporary move: May require storage, flexible delivery, duplicate utility arrangements, and a plan for mail and insurance during the transition.
  • International move: Requires additional customs, destination-country, immigration, shipping, and inventory planning. For an international address change, USPS says the request must be completed in person rather than handled as an ordinary domestic online change of address.

Choose a target date only after checking your lease or purchase closing, school calendar, work obligations, building move hours, elevator availability, and likely travel conditions. If the date is flexible, ask movers and storage providers for off-peak options, but compare the total cost rather than assuming a particular weekday is cheaper.

Build a realistic moving budget

List each cost before requesting quotes. A useful budget includes:

  • Moving labor, truck rental, fuel, mileage, tolls, and travel
  • Packing supplies and replacement items
  • Storage or a portable container
  • Deposits, elevator reservations, parking permits, and certificates of insurance
  • Cleaning, repairs, locksmith work, and key fees
  • Utility deposits, connection fees, and overlapping service
  • Pet transportation, boarding, childcare, meals, hotels, and emergency travel
  • Insurance or the cost of selected mover valuation protection
  • Furniture or appliances that are cheaper to replace than transport

Keep a reserve for access problems, an extra travel night, additional packing labor, delayed delivery, damaged goods, or a last-minute replacement purchase.

Choose a moving method

Use the condition of your household, distance, time, and ability to lift as the decision framework:

Method Often works best when Trade-offs to check
Full-service mover You need loading, transportation, and unloading handled by professionals or have limited time. Higher cost; verify the mover, estimate, valuation, delivery window, and claims process.
Moving container You want to pack yourself and need flexible loading or temporary storage. Confirm where the container can sit, how access works, storage charges, delivery timing, and what items are prohibited.
Rental truck You can pack and load independently and have a capable driver and helpers. Account for fuel, mileage, insurance, loading equipment, parking, weather, and physical risk.
Personal vehicles The move is small or you are transporting essentials separately. Limited capacity and protection; do not leave valuables, medication, documents, or irreplaceable items unattended.

Start decluttering before packing

Sort each room into keep, sell, donate, recycle, dispose, and give-away groups. Do not pack an item simply because there is room in a box. Moving less can reduce labor, transportation, storage, and unpacking costs.

Dispose of paint, chemicals, fuel, propane, batteries, electronics, and other materials through appropriate local programs rather than putting them in ordinary trash or a moving box. Ask the mover about restricted items before packing anything questionable.

Measure the move, not just the furniture

Measure large furniture, appliances, artwork, and other awkward items. Then check:

  • Exterior doors, interior doors, hallways, stair turns, ceiling height, and elevator dimensions
  • Loading-zone length, curb access, parking restrictions, and truck height limits
  • Whether the new building requires an elevator reservation, move-in deposit, certificate of insurance, or specific moving hours
  • Whether the property has narrow gates, steps, gravel, steep driveways, or other access constraints

Ask the landlord, property manager, homeowners association, or building manager about key handoff, deposits, move-hour restrictions, parking permits, elevator padding, and final walkthrough requirements.

Create an inventory for valuable items

Before packing valuables and fragile possessions, photograph them from several angles and make a simple inventory. Record the item, serial number, approximate value, photographs, and box number or destination room. Keep the inventory in cloud storage or with your personal documents, not only inside a box.

6–8 weeks before moving

Book services and put promises in writing

Reserve the mover, truck, container, storage unit, cleaners, pet transportation, and any specialty service now. Keep the quote, estimate, reservation, cancellation policy, payment terms, pickup and delivery windows, and all promised services together.

For an interstate mover or broker, obtain the required consumer information, verify registration and the U.S. DOT number, and compare at least three estimates. A broker may arrange transportation while another company performs the move, so identify the actual carrier and confirm who is responsible for each part of the service. FMCSA’s consumer moving guidance is the appropriate starting point for interstate moves.

Ask specifically about pickup and delivery windows, contact methods, inventory procedures, valuation or liability coverage, payment method, dispute resolution, cancellation terms, stairs, long carries, shuttle vehicles, storage, and bulky or fragile items. Do not rely on a verbal assurance that is absent from the written paperwork.

Begin staged packing

Pack items that are used rarely: seasonal clothing, decorations, books, collectibles, spare linens, attic or basement contents, duplicate kitchenware, and rarely used tools. Finish one room or storage area before opening another packing project.

Use small boxes for dense items such as books and canned goods, medium boxes for general household contents, and large boxes only for lighter bulky items. Fill voids so contents cannot shift, but do not make a box too heavy to lift safely. Put heavier items at the bottom and lighter items on top.

Buy or gather moving boxes in several sizes rather than relying on one large format. Specialty formats such as dish, heavy-duty, wardrobe, picture, television, and file boxes can protect awkward or fragile items more effectively than improvised cartons.

Use a consistent labeling system

Label at least two sides of every box so the information remains visible when boxes are stacked. Include:

  • Destination room
  • Short contents description
  • Handling instruction, such as fragile, this side up, or do not stack
  • Inventory number, if you are tracking valuable goods

A simple code such as K-014 for kitchen box 14 or BR-006 for bedroom box 6 makes missing-box checks easier. Avoid labeling a box only as miscellaneous; a short contents description saves time when you need something before unpacking is complete.

Notify organizations that need advance notice

Tell schools, childcare providers, employers, recurring service providers, doctors, dentists, veterinarians, subscription services, and professional organizations when advance notice is useful. Request medical, school, employment, or veterinary records before the old provider becomes difficult to reach.

Moving-supply guide: buy for the task

Buy supplies after decluttering and estimating volume. The right box and protection method matters more than having the largest possible quantity.

Supply What it solves How to use it efficiently
Moving boxes Contain and protect household goods. Use small boxes for heavy dense items, medium boxes for everyday contents, large or extra-large boxes for light bulky items, and specialty boxes for dishes, wardrobes, pictures, televisions, and files.
Packing tape Seals seams and reinforces box edges. Seal the bottom with a strong strip across the seam and reinforce heavy boxes. A dispenser can make repeated packing faster.
Moving labels Shows where each box belongs and how it should be handled. Use a room color or abbreviation plus a contents description and inventory number on two sides.
Packing paper and bubble wrap Cushions glassware, dishes, electronics, and fragile surfaces. Wrap each fragile item, cushion the bottom and top, and fill empty space so pieces cannot rattle.
Moving blankets or furniture pads Reduces scratches and dents during handling. Use between furniture pieces and around finished surfaces; secure blankets without trapping loose drawers or doors.
Mattress bags for moving and stretch wrap Protects mattresses, upholstered pieces, drawers, and bundled components from dirt and moisture. Use the correct size, keep items dry before wrapping, and do not use stretch film as a substitute for structural support.
Hand truck, moving dolly, or straps Reduces carrying effort for heavy boxes and furniture. Follow the equipment’s safe-load limits, secure the load, use ramps only as directed, and do not attempt unsafe stair or single-person lifts.
Plastic storage bins Provides reusable, water-resistant storage for selected items. Use them for seasonal goods, tools, clothing, or items that will remain stored. They can be heavier and less space-efficient than cardboard for some loads.

A practical starter set usually combines multiple box sizes, packing tape, cushioning, moving labels, furniture protection, mattress protection, and a suitable dolly when the move requires it. Do not buy every accessory automatically; match each item to the weight, fragility, route, weather exposure, and handling method.

4–6 weeks before moving

Schedule utilities and services

Arrange shutoff and activation dates for electricity, gas, water, sewer, trash, internet, telephone, and security services. Confirm which services are included in your lease or building agreement. Ask for written confirmation and keep account numbers, final meter instructions, and contact information.

Where practical, arrange essential service at the new property before arrival. Do not assume a previous occupant’s account or a landlord’s description means that electricity, gas, water, heating, cooling, or internet will be active when you arrive.

Check insurance and mover valuation

Ask your renters or homeowners insurer whether your property is covered during transit, temporary storage, and the period when it is being moved between addresses. Coverage can vary by policy and circumstance.

For an interstate move, ask the mover to explain its valuation options. Interstate movers must offer Full Value Protection and Released Value options, subject to their applicable terms and conditions. These are not interchangeable with your ordinary homeowners or renters policy. Review exclusions, deductibles, declared values, claims procedures, and any special requirements before selecting an option. The FMCSA moving consumer resources explain the federal framework.

Separate what must travel with you

Put the following in a controlled personal bag or document folder rather than in the truck or container:

  • Identification, passports, birth certificates, immigration documents, and financial records
  • Medication, prescriptions, medical devices, and glasses
  • Cash, jewelry, keys, payment cards, and irreplaceable valuables
  • Contracts, lease or closing documents, insurance information, estimates, inventories, and bills of lading
  • School records, work materials, chargers, backup drives, and essential electronics

Keep digital backups of important documents, but do not treat a backup as a reason to place originals in the shipment.

Plan for children, pets, plants, and restricted goods

Arrange child care or a safe area away from loading traffic. For pets, prepare food, medication, leashes, carriers, identification, and comfort items separately. Check whether the destination permits particular plants and whether a state or federal rule affects their transport.

Before packing any questionable item, ask the mover or container provider. Hazardous categories include explosives, compressed gases, flammable liquids and solids, oxidizers, poisons, corrosives, and radioactive materials. Household examples can include nail-polish remover, paint, paint thinner, lighter fluid, gasoline, fireworks, oxygen bottles, propane cylinders, and automotive chemicals. Do not hide such items in ordinary boxes. They can create fire, explosion, contamination, liability, and legal problems. FMCSA provides additional guidance in its household-goods moving resources.

2–3 weeks before moving

Submit USPS forwarding, then update everyone directly

Submit the official USPS Change of Address request. USPS permits a request up to 90 days before the effective date and up to 30 days afterward, but it recommends allowing up to two weeks for forwarding to begin fully. If you are moving internationally, complete the USPS address change in person.

Forwarding is a safety net, not a universal address-update service. USPS states that a Change of Address request does not update government agencies, banks, insurers, online stores, or other companies. Update each organization directly and watch for mail that still uses the old address.

Update tax, state, and government records

Notify the IRS directly when appropriate. The IRS accepts Form 8822, a new address included on a tax return, or a signed written statement. USPS forwarding does not eliminate this step because not all government correspondence or checks are forwarded.

Check the official agencies in the new state for requirements and deadlines covering:

  • Driver’s license or identification card
  • Vehicle title, registration, emissions, and inspection
  • Voter registration
  • State income-tax account and local tax records
  • Professional licenses and occupational registrations
  • Benefits, school enrollment, and local-government records

There is no single national deadline for all of these records. Use the new state’s motor-vehicle, elections, tax, licensing, and benefits agencies rather than relying on a generic checklist.

Update private organizations

Change the address on banks, credit-card accounts, brokerages, retirement accounts, lenders, payroll, benefits, insurance, healthcare portals, pharmacies, schools, memberships, subscriptions, online stores, recurring deliveries, and emergency-contact records. Update billing and emergency-contact information for utilities, internet, mobile service, security systems, and medical providers.

Reconfirm the mover

Verify the loading address, destination address, contact person, arrival window, parking arrangements, elevator reservation, payment method, valuation selection, and special handling requests. Ask where the crew will park and whether a shuttle, long carry, stairs, or additional equipment could affect the written charges.

Continue packing while leaving a practical supply of clothing, cookware, toiletries, cleaning products, work or school materials, and daily medication accessible.

One week before moving

Finish packing and make an open-first group

Nearly everything should be packed by now. Mark an open first group with supplies such as:

  • Toilet paper, towels, soap, toiletries, and basic cleaning materials
  • Medication and first-aid supplies
  • Phone and computer chargers, power banks, and adapters
  • Sheets, pillows, pajamas, and a change of clothes
  • Basic cookware, utensils, cups, coffee or tea, snacks, and water
  • Pet food, carriers, leashes, medication, and comfort items
  • Work, school, and child necessities

Keep this group with you or make it unmistakable. It should not disappear into the back of a truck or storage container.

Prepare appliances and technology

  • Defrost and clean the refrigerator and freezer according to the manufacturer’s instructions.
  • Drain eligible appliances and secure loose parts.
  • Arrange professional disconnection for gas appliances or other equipment when necessary.
  • Back up computers and phones.
  • Photograph cable connections and label cables, chargers, and adapters.
  • Record device serial numbers and keep valuable electronics with your inventory.

Close out the old property

Confirm final cleaning, repairs, key return, security-deposit instructions, forwarding address, and walkthrough arrangements. Photograph the condition of floors, walls, appliances, fixtures, closets, garage, yard, and any existing damage after the property is empty.

Prepare the new property

Reconfirm keys, entry codes, parking, elevator reservation, move-in paperwork, access hours, and utility status. Ask who to contact if the property is locked, utilities are off, or a delivery vehicle cannot access the building.

The day before moving

  • ☐ Close and inventory every box except the essentials group.
  • ☐ Charge phones and power banks and save important contacts offline.
  • ☐ Separate cleaning supplies for the old property from household goods being transported.
  • ☐ Pack a cooler with food, drinks, medication, and pet supplies if travel requires it.
  • ☐ Put keys, remotes, garage openers, documents, valuables, identification, passports, and payment cards in one controlled location.
  • ☐ Check weather and travel conditions.
  • ☐ Confirm the mover’s contact information and arrival window, while recognizing that a delivery window is not the same as a guaranteed fixed arrival time.

Moving day: loading the old property

Be present, reachable, and ready to answer questions. Keep the document folder and valuables on your person. Before the crew begins, photograph valuable furniture, appliances, walls, floors, doors, stairways, and other vulnerable areas.

FMCSA advises consumers to read estimates, bills of lading, inventories, and other completed documents before signing; accompany movers during the inventory; stay until loading is complete; and perform a final inspection. Review the inventory carefully and note pre-existing damage accurately. Do not sign incomplete, inaccurate, or blank paperwork.

Final property sweep

After loading, inspect every room, closet, cabinet, attic, basement, garage, shed, and outdoor area. Check windows, doors, smoke detectors, thermostats, appliances, water shutoffs, and other items required by your lease or property handoff. Photograph the empty property and record meter readings if relevant.

Keep the bill of lading, estimate, inventory, valuation selection, receipts, and all other moving documents until the shipment is delivered, charges are paid, and any claims are resolved.

Moving day: travel and arrival

Keep the essentials bag, document folder, phone chargers, medication, valuables, and critical electronics with you. Do not put them in a truck or container merely because they are small.

At the new property, photograph existing damage before furniture and boxes enter. Give movers clear room-by-room placement instructions, but keep exits, stairs, utility panels, and walkways safe and accessible. Protect floors and high-traffic areas with suitable coverings where the property permits them.

Delivery day and unloading

Be present to supervise unloading. Compare the delivered shipment with your inventory before signing delivery paperwork.

  • Photograph crushed or wet boxes, scratches, dents, broken items, missing items, and damage to walls, doors, floors, or stairs.
  • Note damaged or missing boxes and items on the inventory or delivery documents.
  • Keep damaged packaging, labels, and wrapping until the claim process is complete.
  • Read every receipt before signing. Do not sign language releasing or discharging the mover from liability unless you understand and accept its effect.
  • Keep copies of the signed inventory, delivery receipt, invoice, photographs, and correspondence.

For an interstate move, FMCSA states that consumers have nine months after delivery to file a written loss or damage claim with the mover.   3. Identify the actual carrier. If a broker is involved, determine which company will pick up, transport, store, and deliver your goods.
  4. Read the consumer booklet and documents. Understand the estimate, inventory, bill of lading, payment terms, delivery window, and dispute procedure before signing.
  5. Choose valuation deliberately. Ask about Full Value Protection and Released Value, including exclusions, deductibles, declared values, and claim requirements.
  6. Document condition at both ends. Photograph valuable items and the property before loading and before unloading.
