How to Keep Customers Informed About Construction-Related Access Changes

What’s actually slowing this PC down?

Keep one current, specific access notice across every customer touchpoint. Confirm the work phases with the project team, map the route customers will actually use, explain entrances and parking in plain language, and change the notice whenever the site plan changes. Your website can hold the stable details; email, social posts, and local signs can deliver timely reminders. Check the project authority’s requirements for traffic control, sign placement, and accessible routes in your jurisdiction.

What customers need to know first

People deciding whether to visit need an answer to one practical question: Can I still reach this business, and exactly how? A useful notice removes uncertainty before someone leaves home and gives clear guidance after they arrive near the work zone.

As an Amazon Associate I earn from qualifying purchases.

  • When: State the effective date and time for the closure, detour, entrance change, parking change, or temporary hours. If the project team has not confirmed dates, say that the timing is subject to change rather than guessing.
  • Where: Name the usable entrance, approach road, parking area, drop-off point, and pedestrian route. Use a recognizable landmark or intersection where it helps.
  • What remains open: Say that the business is open when that is true, and identify any service that is temporarily unavailable, such as curbside pickup or a loading area.
  • What to do on arrival: Explain which entrance to use, where to park, and whether a customer should allow extra time or call ahead.
  • Who can help: Provide a business contact for unusual access needs and the project’s official update channel for schedule information.

The Federal Highway Administration’s work-zone transportation-management training puts the operational issue plainly: “Businesses need to continue to operate during road work, so employees, customers, and those bringing deliveries need to be able to reach businesses affected by a work zone.” Treat access communication as part of keeping the operation functioning, not as a one-time marketing announcement.

Establish a reliable project contact before work starts

Find the construction project’s liaison, public-information contact, or traffic-control representative before the first barrier goes up. Queensland Government business guidance and Wisconsin Department of Transportation (WisDOT) business resources both emphasize early contact and continuing communication. Record a named person or monitored channel rather than relying on a general office number that may not be answered during a phase change.

Questions to ask the project team

  • What are the planned start and end dates for each phase, and which dates are still provisional?
  • Which roads, sidewalks, driveways, entrances, and parking areas will close or move?
  • What detour should customers, pedestrians, cyclists, delivery drivers, and emergency services follow?
  • Will the project provide temporary directional signs, or can the business request signs at approved locations?
  • Will access change by time of day, weather condition, or work activity?
  • How will the team announce a same-day change, and where can the business verify the current plan?
  • What route is available for people using wheelchairs, mobility aids, strollers, or other accessibility equipment?
  • Where can suppliers stop, unload, or wait if the normal loading bay is blocked?

Subscribe to the project’s updates and attend a public briefing when one is available. Save the latest plans and contact details in a shared business location so the person answering the phone, updating the website, and directing a delivery is working from the same information. There is no universal notice deadline in the guidance; the useful standard is to publish as soon as the project team confirms a change and early enough for customers to plan.

Map the complete customer journey

A street name alone is rarely enough during construction. Walk the route as a first-time visitor and document every decision point from the normal approach to the actual door.

  1. Approach: Start at the roads or transit stops customers normally use. Note a closure, lane shift, one-way restriction, or missing turn that changes the approach.
  2. Arrival: Identify the last safe turning point and the visible landmark that confirms the customer is on the right route.
  3. Parking and drop-off: Mark the open lot, temporary spaces, accessible spaces, loading limits, payment method, and any walking distance that has changed.
  4. Pedestrian path: Follow the route from parking or transit to the entrance. Check that barriers, crossings, lighting, and surfaces are usable and clearly separated from construction activity.
  5. Entrance: Confirm the door customers should use and whether it has different hours, a buzzer, a ramp, or a temporary threshold.
  6. Exit and return: Check how a customer leaves the site and rejoins the road network. A route that works on arrival may be blocked in the opposite direction.

Ask the project liaison to verify the route and to identify any portion the business is not permitted to sign or modify. Photographing the approved route for internal reference can help staff give consistent directions, but do not publish an image that shows an outdated phase or invites people into a work area.

Write a notice that can be updated without confusion

Use a short, reusable notice with a prominent date stamp. Put the stable explanation on the website and change the same core wording everywhere else. A customer should not find one entrance on a social post and another on a printed sign.

Include these fields

  • Status: For example, “We are open during construction.”
  • Effective period: The date and time the change begins, plus an end date when confirmed.
  • Route: The approach road, turn, detour, or landmark that leads to the site.
  • Entrance: The door, driveway, or temporary entrance and its exact location.
  • Parking and drop-off: The open area, accessible spaces, loading instructions, and any restrictions.
  • Hours and services: Temporary opening hours, appointment instructions, or services that require a different arrangement.
  • Verification: The official project update channel and a business contact for questions or assistance.
  • Accessibility: The confirmed accessible route and a way to request help. Do not promise a route until the project team has verified it.

Reusable notice template

We’re open during construction.
From [date/time], use [route or entrance] at [location].
Parking and drop-off: [confirmed details].
Our hours: [hours].
The project schedule can change. Check [official project update/contact] for current access information.
If you need an accessible route or assistance, contact [business contact].

Only replace the code-style fields with details confirmed by the project team. Remove a date or end time if it is not established; an inaccurate promise is worse than a clearly stated uncertainty. Add the date the notice was last checked so staff can spot an obsolete copy.

Use each communication channel for the job it does best

WisDOT and Queensland guidance identify websites, social channels, email or newsletters, and temporary signs as useful parts of a combined approach. Select channels by the moment they reach people, not by the number of accounts your business has.

Channel Best use Strength Limitation to manage
Website notice Current route, entrance, parking, hours, and project contact Stable page that can hold full details and be linked from every other channel Customers may not visit the site before travelling; put the update where it is easy to find
Email or newsletter Planned phase changes and direct messages to known customers Reaches people who have already given you a contact route Recipients may read it late; include the effective date in the subject and message
Social post Amplifying a new closure, entrance move, or schedule change Fast to publish and share with neighboring businesses Older posts remain visible; pin or replace the current post and direct readers to the dated website notice
On-site temporary sign Guiding someone who is already near the work Works at the decision point where a turn or entrance has changed Placement, design, visibility, and permission are controlled by local rules and the project authority
Phone greeting or staff script Customers who call and people with unusual access needs Allows a person to clarify a complicated route Every employee must use the same current wording

When a route changes, update the website first or at the same time as the other channels, then send the same facts through email, social media, and approved signs. National Highways’ 2025–2026 plan identifies accurate start and end times and better information as ways to build customer trust; use that principle even when your project is outside the United Kingdom.

Prepare before construction or a phase change

  1. Subscribe and record: Save the project liaison, update page, emergency contact route, and the date of the next phase review.
  2. Confirm the plan: Ask for the phase dates, closures, detours, entrances, parking arrangements, pedestrian route, delivery access, and temporary-sign process.
  3. Walk the route: Test the approach, parking, drop-off, entrance, and accessible path at the times customers will use them.
  4. Draft the notice: Fill the reusable template with confirmed information. Have one person responsible for the final wording.
  5. Set the publishing schedule: Place the notice on the website, prepare an email or newsletter, write the social post, and arrange approved signs before the change takes effect.
  6. Brief the operation: Give employees, delivery providers, cleaning services, and appointment staff the same route and contact details. Include a short phone script and a way to report confusion.
  7. Coordinate locally: If several nearby businesses are affected, agree on shared route language or a joint newsletter while keeping each business’s own hours and entrance details accurate.

Keep a simple change log showing what changed, who confirmed it, when each channel was updated, and when signs were checked. This prevents an old flyer, web page, or staff script from surviving a later phase.

Manage updates while work is underway

Check conditions, not just the schedule

Construction plans can move because of weather, utilities, safety work, or sequencing. Check in with the liaison at an agreed frequency and whenever employees report that the physical route no longer matches the notice. A published end date is not proof that barriers have moved; verify the site before announcing completion.

Make every change actionable

When a route, entrance, parking area, or hour changes, state what the customer should do now. “Road works have changed” is not enough. Replace it with the new turn, entrance, parking location, and effective time. Keep the previous message available internally so staff can explain the transition, but do not leave conflicting public versions in circulation.

Monitor recurring questions

Record questions from calls, reviews, reception, and delivery drivers. If several people ask where to park or whether the side door is open, add that answer to the main notice and staff script. Do not make customers reconstruct the route from a series of comments or old posts.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Review signs after each phase move

Walk from the approved approach to the entrance after barriers or traffic lanes move. Remove or cover signs that point to a closed route, and replace temporary arrows that no longer match the path. Ask the project team to correct any official sign that misdirects customers; do not move traffic-control devices yourself.

Keep employees and suppliers aligned

Customers are not the only people who must reach the site. The FHWA training guidance specifically includes employees and delivery personnel in business access planning. Give staff and suppliers a one-page operational brief containing:

  • the current effective date and phase;
  • the approved vehicle approach and delivery window;
  • where vehicles may stop, unload, or turn around;
  • the customer entrance and pedestrian route;
  • the accessible route and the contact for assistance;
  • the project liaison and the internal person who approves updates; and
  • instructions for reporting a blocked or unsafe route.

Ask suppliers to confirm they received a change before their next delivery. Tell appointment staff to mention the route when a customer is likely to arrive during a difficult phase. Keep the brief dated and replace it when the public notice changes.

Make wayfinding accessible and lawful

Accessibility Standards Canada describes temporary signs as conveying safety information, directional guidance, or essential event-related information, including construction notices, temporary closures, and detour routes. That supports treating wayfinding as an access need, but it does not make every “Open” sign compliant or authorize a business to place a sign in a work zone.

Coordinate with the project authority and check the applicable local standard for sign size, contrast, location, clearance, lighting, language, and pedestrian-route requirements. Confirm that an alternate path is physically usable, not merely marked on a map. Keep ramps, crossings, and entrances free of merchandise, vehicles, loose materials, and sign supports. If the approved route is temporarily unavailable, provide the project-approved alternative and a contact for assistance rather than directing someone through an active work area.

Use plain words and a clear arrow at each decision point. A sign that says “business access” but omits the entrance or direction forces a customer to guess. Where permitted, a temporary “Open for Business” sign can reassure people, but its design and placement must follow the project authority’s instructions and local sign rules.

Coordinate with neighboring businesses

When construction affects a district rather than one driveway, customers may not know which business is open or which entrance serves which address. WisDOT resources identify joint communication and newsletters as useful options. Agree with neighboring businesses on the shared facts: the open road, public parking, pedestrian detour, and project update channel. Then keep each business’s own hours, services, and entrance instructions separate so a shared message does not create ambiguity.

A joint map or bulletin can be particularly useful at a common parking area or transit stop. Have the project team review any map that depicts a traffic-control route, and update it whenever a phase changes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Announce completion and lasting changes

When the work is complete, verify the physical route with the project liaison before removing temporary instructions. Tell customers and suppliers that the phase has ended, identify any permanent entrance or parking change, and explain any access improvement they can now use. Queensland Government guidance recommends communicating completion and promoting resulting access benefits.

Update the website, business listings, email footer, social profiles, phone greeting, appointment confirmations, supplier brief, and every temporary sign. Archive the old notice internally with its end date, then remove it from public pages so a search result does not send someone to a closed entrance.

Troubleshoot common access-communication failures

The schedule moved before the notice was ready

Publish the confirmed fact that is most useful now: what is open, what is closed, and where to check for the next update. Do not invent an end date. Ask the liaison for the next verification time and put that time in your internal change log.

Customers can see the business but cannot find the entrance

Walk back to the last decision point and add an approved directional sign or a clearer web instruction naming the turn, landmark, and entrance. Check the opposite direction as well; a sign visible to arriving traffic may be hidden from someone approaching from another road.

The website and social post disagree

Use the project-confirmed route as the source of truth. Correct or delete the older post, add the date checked to the website notice, and tell staff which wording to use until every channel matches.

A delivery driver is blocked

Stop sending vehicles toward the closed approach. Confirm the permitted delivery route and unloading time with the project team, then update supplier instructions and the internal brief. Do not ask a driver to cross a barrier or use a pedestrian route.

An accessible path is unclear or obstructed

Contact the project authority immediately, provide only the route it confirms, and offer a business contact for assistance. Inspect the path after each phase move; an accessible route must remain usable in actual conditions, not merely appear on the notice.

Customers keep asking whether the business is open

Put “We are open” and the current entrance in the first line of the website notice, phone greeting, and approved sign. Repeat the answer in the next email or newsletter rather than burying it below project background.

Owner’s final review checklist

  • Is there a named project contact and a current official update channel?
  • Does the notice show the effective date, route, entrance, parking, hours, and contact details?
  • Do the website, email, social post, phone script, and signs use the same route?
  • Has the route been walked from approach to entrance, including the accessible path?
  • Have employees, suppliers, and appointment staff received the dated instructions?
  • Are every temporary sign and arrow approved, visible, and still accurate?
  • Is there a process for checking conditions and recording changes?
  • After completion, have permanent changes been published and obsolete notices removed?

The practical standard is simple: a customer should be able to learn the current route before travelling, recognize it on arrival, and get help if the construction plan changes. Build that standard into the project contact, the notice, the physical wayfinding, and the daily operating brief.
