Start by recording the exact message, light, or failed component, then perform only the visible, low-risk checks for that kiosk. Self-service check-in equipment differs by airline, venue, operator, printer, scanner, and software version, so a restart sequence or setup screen that works on one model may be wrong on another. Travelers should ask airport staff when an airline kiosk still fails; operators should use their documented support path instead of opening the enclosure or changing network settings without authorization.
Identify the symptom before touching anything
Read the complete on-screen wording and note what happened immediately before the failure. “Kiosk is offline,” “touchscreen does not respond to touch input,” “printer is paused,” “paper is out,” “cover open,” and “wrong QR code” point to different parts of the system. A generic failure message is still useful if you record its time, kiosk number, and transaction stage.

Quick triage by symptom
| Observed symptom | Most relevant area | Safe first check | Who should take over if it persists |
|---|---|---|---|
| Blank display, no power, or frozen screen | Power, hub, cable, or device software | Look at the visible outlet, switch, indicator, and external connections; allow startup time | Airport team member for a traveler; deployment operator or vendor for managed equipment |
| Touchscreen ignores taps | Touch layer or a frozen terminal | Confirm the display is powered and follow the exact model’s restart instruction | Operator support; do not open the enclosure |
| Offline or information will not load | Wi-Fi, Ethernet, router, firewall, or service configuration | Check the expected network link and read the full error | Site IT, operator, or vendor |
| QR code rejected | Wrong code, unreadable code, scanner setup, or badge configuration | Verify that the code belongs to this workflow and is legible | Airport staff, event organizer, or kiosk operator |
| No print, blank print, or printer error | Power, cable, network address, media, cover, or printer state | Check power, connection, media loading, and the printer’s indicator | Operator or vendor; use only approved media and settings |
Fix a blank, powerless, or frozen kiosk
Check visible power safely
- Look for the kiosk’s external power indicator, switch, outlet, or power strip. If a plug is visibly loose, seat it without reaching behind a locked panel or moving other equipment.
- Inspect external cables for a partial connection or obvious damage. Do not remove cables from ports whose assignment is marked or specified by the operator.
- If the unit has just been switched on, wait for the display and kiosk application to finish loading. A dark screen during startup is not necessarily a failed terminal.
- Try the normal user-facing controls once. Do not repeatedly press buttons or cycle power while a transaction may be writing data.
Toast’s Flex 3 guidance lists loose power, the outlet, and hub power among possible causes of a no-power symptom. Petrosoft likewise recommends checking power and rebooting its own terminal for certain issues. Those are product-specific examples, not a universal sequence for every kiosk.
Restart only according to the model’s instructions
If the screen remains frozen, use the manufacturer’s documented restart procedure for that exact model, or ask staff to perform it. A forced shutdown can interrupt a check-in record or leave a printer job incomplete. Never infer an administrator key combination from another kiosk.
Stop when the display looks physically damaged
Persistent lines, discoloration, flickering artifacts, cracked glass, a burning smell, or liquid intrusion are service issues. Stop user-level troubleshooting and report the kiosk number and visible condition. Petrosoft’s guidance directs persistent display artifacts to support; the same principle applies to any managed installation.

Fix a touchscreen that does not respond
Separate a touch failure from a frozen terminal
Check whether the clock, status text, or other on-screen elements are changing. If the entire image is frozen, treat the problem as a terminal or application freeze. If the image updates but taps are ignored, the touch layer or its configuration may be at fault.
- Confirm that the display has power and that no “offline,” “processing,” or confirmation screen is waiting for the previous action.
- Tap a clearly visible control once with a clean, dry finger. Remove gloves, moisture, or objects that can interfere with capacitive touch surfaces.
- Follow the exact kiosk’s documented restart instruction if the operator allows users to restart it. Toast lists rebooting as an initial check for a touch issue; Petrosoft advises rebooting its unit and contacting support if the problem remains.
- If touch still fails, record whether physical buttons, a scanner, or a keyboard remain usable and give that information to staff or support.
Avoid repeated forced restarts, especially during payment, identity verification, seat assignment, or printing. Do not recalibrate the panel or enter an administrator menu unless the operator’s procedure specifically authorizes it.
Fix an offline message or missing check-in information
Check the connection type
An offline banner usually means the kiosk cannot reach the local network or the service it uses. Eventscribe associates its “kiosk is offline” message with lost tablet Wi-Fi. Other installations use Ethernet, so the relevant check is the active wired link rather than a Wi-Fi icon.
- Read the message exactly and note whether it says the kiosk is offline, the service is unavailable, or a record cannot be found.
- For Wi-Fi equipment, look for the normal connection indicator or ask staff whether the site’s wireless network is operating. Do not join a personal hotspot or an unknown network unless the operator explicitly directs it.
- For Ethernet equipment, check only the visible link light and external connection. Do not move the cable to a different switch port or alter a static address.
- If the kiosk appears connected but still cannot retrieve a booking or attendee record, treat it as a possible service or configuration problem rather than repeatedly restarting.
Petrosoft’s product guide identifies Ethernet seating, router or switch access to the internet, firewall rules, a network outage, and static-IP checks as relevant to its system. These checks normally belong to site IT or the deployment operator. Provide them with the kiosk identifier, network type, exact message, and time of failure.

Fix a scanner or QR code rejection
Confirm that the code matches the workflow
QR codes on an email, booking confirmation, badge, receipt, or validation page are not automatically interchangeable. Eventscribe distinguishes a “Wrong QR Code” message from a missing badge-template configuration and explains that the correct code depends on whether the flow is print validation or attendee check-in.
- Open the original code at a readable size and increase screen brightness if it is displayed on a phone. Avoid a cropped, forwarded, or partially obscured image.
- Check that the code is intended for this venue, event, airline, or kiosk workflow. If the screen asks for a validation code, do not substitute a general booking or receipt code.
- Hold the code steady in the scanner’s marked area and remove glare from a plastic badge or cracked phone screen.
- If the same valid code fails again, stop scanning and show the message to staff. Repeated attempts will not correct a missing attendee record or badge-template configuration.
Do not apply another scanner’s setup barcode
Some scanners require product-specific configuration. Palisis documents a configuration-barcode process for its scanner; that does not make configuration barcodes interchangeable across models. Only the operator or authorized technician should change scanner settings, symbology options, or prefixes.
Fix a printer that is silent, blank, paused, or showing an error
Printer produces nothing
- Confirm that the printer has power and that its external cable is seated. If the kiosk documentation assigns a particular USB port, do not move the cable to another port.
- Check whether the kiosk is configured for a local USB printer or a network printer. A network printer can be powered and still unreachable from the kiosk.
- Look for a queue, paused state, cover-open indicator, or paper-out light on the kiosk and printer.
- Send only one test or reprint through the normal user interface. Multiple submissions can create duplicate badges or boarding passes.
For a network printer, the kiosk and printer must be on the expected network and the configured printer address must still be correct. Eventscribe notes that a changed printer IP can require reconfiguration in its setup. Address changes belong to the operator or site IT, not to an unapproved user.

Printer feeds paper but the output is blank
Blank output commonly indicates an unsuitable or depleted thermal roll, incorrect orientation, a wrong media setting, or a print-head or cover condition. Remove and reload the roll according to the exact printer diagram, ensuring the printable side faces the print head. A badge label, receipt roll, and boarding-pass stock are different media even if they fit physically.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors“Paper out,” “printer paused,” or “cover open”
These messages describe separate states and need separate remedies. Refill paper only when the operator permits users to do so and use the specified roll or badge stock. Close and latch the cover fully, then clear the condition shown by the indicator. If the printer remains paused or reports a head or cover fault with media correctly loaded, contact support rather than forcing the mechanism.
Misaligned or cut-off output
Verify the media size selected by the kiosk and the physical dimensions of the stock. Reload the media squarely and use the printer’s documented calibration procedure if the operator provides one. Do not substitute a different width or diameter roll to make a job fit; incorrect dimensions can worsen alignment and waste stock.

Buy replacement media only after identifying the printer
Before purchasing thermal receipt paper or labels, confirm the printer model and its supported roll width, diameter, core, coating, and media type. A compatible thermal receipt roll is useful only for a kiosk that actually uses a receipt printer. Never assume receipt paper will work for badge labels or boarding-pass stock.

Travelers using an airline kiosk
Ask an airport team member when the kiosk remains offline, the screen is frozen, touch input fails, a QR code is rejected, or a boarding pass will not print after the visible checks. Give staff the kiosk number, exact message, and whether your document or payment was accepted. They can move the transaction to another kiosk or a staffed counter and can confirm whether your booking is still active.

Operators of managed kiosks
Contact the deployment operator, site IT team, or equipment vendor when a restart does not restore service, a printer address or static IP may be wrong, a scanner needs configuration, or a display shows persistent artifacts. Include the model, software or kiosk identifier, network type, peripheral type, time of failure, and steps already taken. This information prevents support from repeating unsafe or irrelevant procedures.
Do not open the enclosure, bypass a lock, change firewall rules, assign a new IP address, install software, or replace a scanner or printer without authorization. Those actions can create security, warranty, calibration, and transaction-integrity problems.
Operator prevention and handoff checklist
Operators can reduce avoidable outages by keeping a model-specific runbook at the site. It should identify the approved restart method, power and network topology, printer connection type, supported media dimensions, scanner configuration owner, and escalation contacts.
Quick Recap
- Label each kiosk and peripheral with an asset or station number.
- Record whether the installation uses Wi-Fi or Ethernet and whether the printer is USB or networked.
- Keep the approved paper or badge-stock specification with the printer, not just a generic “thermal paper” label.
- Document which messages indicate paper out, paused state, cover open, wrong code, or loss of network service.
- Keep a spare roll or badge supply only after confirming compatibility with the installed printer.
- After recovery, verify the complete user flow: load the check-in record, scan the intended code, print the correct document, and confirm that no duplicate transaction was created.
A safe decision path
- Capture the evidence: exact message, kiosk number, time, failed component, and transaction stage.
- Check visible conditions: power indicator, external cable, network link, media level, cover, and printer status light.
- Use the model’s instructions: wait for startup and perform a documented restart only when safe.
- Verify the workflow: use the correct QR code, printer selection, media type, and network path for that installation.
- Escalate: airport staff for airline travel; the operator, IT team, or vendor for managed equipment.
