How to Find a Reputable Contractor and Compare Renovation Bids

Shortlist contractors carefully, verify required licenses and insurance, then compare at least three written estimates on equivalent work. Review the contract and local payment and cancellation rules before signing.

Find a reputable contractor by checking recommendations against independent credentials: verify any license required where you live, ask for proof of insurance, and look for complaints through local consumer-protection officials. Then ask at least three contractors for written estimates based on the same project description. Compare the work, materials, schedule, price, payment terms, and written commitments—not just the bottom-line number.

Before hiring, review a written contract, fill in every blank, and check local rules on licensing, contract terms, deposits, and cancellation rights. These requirements vary by state and locality, so federal guidance is a starting point, not a nationwide rulebook.

How do I find a reputable contractor?

Start with a shortlist, then verify each candidate. A recommendation or strong online rating can help you find someone to investigate, but neither establishes that a contractor is licensed where required, insured, or a good fit for your project. The Federal Trade Commission (FTC) advises getting recommendations from people you know and trust; its consumer guidance also recommends checking credentials and asking local officials about complaints.

Build a shortlist from more than one source

  • Ask friends, neighbors, or colleagues whose judgment you trust whether they would hire the contractor again. If they have recent experience with a project like yours, ask what work was done and whether the contractor followed through on the agreed scope and schedule.
  • Read online reviews critically. Look for patterns across multiple reviews rather than treating a star rating or a single complaint as proof. Search the business name alongside terms such as “review,” “complaint,” or “scam.”
  • Ask local consumer-protection officials and home builders’ associations whether they know of complaints about the business. A lack of information is not proof of quality; use this as one check among several.
  • Make a note of the exact business name and contact details you are evaluating. A recommendation for one business does not automatically verify a similarly named business or a different person who contacts you.

Verify credentials directly

Ask the contractor for proof of insurance and for any license information relevant to the work. Then confirm required licensing with the appropriate state or county government agency. Licensing rules depend on location and, in some places, the type of trade or work; do not assume that one licensing rule applies across the country. If you are unsure which agency handles the project, ask your local consumer agency or county government where to check.

Keep your own record of what you verified and when. If a license is required, check the government source rather than relying only on a contractor’s statement or a badge on a website. Ask for clarification if the name on a credential, insurance document, estimate, or proposed contract does not match the business you intend to hire.

How many renovation bids should I get?

Get multiple written estimates. The FTC’s Pass It On material recommends getting three written estimates. Treat three as a practical comparison target, not a guarantee that a contractor is trustworthy or that a price is fair. If you receive fewer, you have less basis for spotting differences in scope or price; if you receive more, compare them using the same project description rather than letting the number of bids substitute for careful review.

Give each contractor the same description of the work you want considered. If one contractor is estimating a different project, the totals will not be meaningfully comparable. Explain your priorities, ask each contractor to identify assumptions or exclusions, and request that the estimate state the work, materials, completion date, and price. The FTC’s disaster-repair guidance also calls out contractor contact information; having it on the estimate helps you identify who is making the proposal.

Prepare the same request for every contractor

Before requesting bids, write down the outcome you want in plain language. Include the areas or items involved and any choices you have already made about materials. Separate decisions you have settled from items that remain uncertain. Give each contractor the same information and ask them to list any assumptions, exclusions, or unresolved choices in the estimate.

Do not quietly change the project description between visits. If you decide to add or remove work while estimates are being prepared, tell every contractor whose bid you still want to compare and ask for a revised written estimate. Otherwise, the difference in price may reflect different work rather than a difference in a contractor’s pricing.

What should a contractor estimate include?

At minimum, check that the written estimate clearly states the work, materials, completion date, and price. It should identify the contractor and provide contact information. Ask for a clear explanation of what is included and what is excluded, which choices are still open, and what assumptions affect the price. If a material, finish, or other choice is not settled, ask how that uncertainty is reflected in the estimate rather than assuming all contractors allowed for the same thing.

  • Work: What tasks are included, and what parts of the requested project are excluded?
  • Materials: Which products or material choices are specified? If the estimate describes a choice broadly or leaves it open, ask what is assumed and how a different selection would be handled.
  • Timing: What completion date does the estimate state? Ask about the expected start date as well, and make sure the proposed contract records estimated start and finish dates.
  • Price: What is the quoted price, and what work or materials does that total cover? Ask about any large difference from another estimate.
  • Identity: Who is making the proposal, and how can you contact the contractor? Include a relevant license number in the written agreement where applicable.

An estimate is a proposal to do described work at a stated price; it is not a substitute for a written contract. Treat unclear scope or missing details as questions to resolve before signing, not as details to fill in from assumption later.

How do I compare contractor bids?

Compare like with like. Put the estimates side by side and review scope, materials, schedule, price, payment terms, and accountability. A low total may cover less work or leave more choices unresolved. A high total may include work, materials, or commitments that another estimate does not. Ask for an explanation when prices differ substantially; do not automatically accept the lowest bid.

Compare What to check in each bid Question to resolve a difference
Scope Included work, exclusions, assumptions, and unresolved choices. Are both contractors pricing the same work? What is missing or treated differently?
Materials Stated materials and the level of detail about selections. Are the bids based on the same choices? What remains undecided?
Schedule Estimated completion date and, before signing, estimated start and finish dates. Do the proposed dates differ, and what dates will the contract record?
Price Total price and the work and materials it covers. What explains a substantial gap between totals?
Payment Deposit or down payment, any progress payments, and conditions for final payment. Does the schedule fit local rules, and is final payment tied to completed, satisfactory work?
Accountability Contractor identity, relevant license information, proof of insurance, and written commitments. Can you verify the credentials, and are the promises recorded in the agreement?

Use a written comparison, not a gut reaction

For each estimate, record whether an item is clearly included, clearly excluded, or still uncertain. Do not treat an unclear line as equivalent to a clear commitment in another bid. Ask the contractor to clarify important differences in writing and, if the clarification changes the proposed work or price, request a revised estimate. That gives you a more reliable comparison and a better basis for reviewing the eventual contract.

When totals are far apart, ask each contractor to explain the price in relation to the described work and materials. The purpose is not to pressure someone into matching another number; it is to learn whether the estimates cover different work, make different assumptions, or leave different choices unresolved. If you still cannot tell what a bid includes, you do not yet have a useful basis for comparing its total.

Do not let the lowest total decide for you

Price matters, but it is only meaningful alongside scope and commitments. A bid that costs less is not necessarily a better value if it describes less work or leaves significant details open. Likewise, a more expensive proposal is not automatically more complete or reliable. Check what each contractor is actually promising, what credentials you have verified, and whether the payment and schedule terms are clear before deciding.

What should I check before signing a contractor contract?

Get the agreement in writing and read it carefully before signing. The FTC says contract requirements vary by state. Its consumer guidance says a written contract should record the contractor’s identity, relevant license number, estimated start and finish dates, payment schedule, and promises about scope and labor and material costs. Confirm that the agreement matches the estimate and any clarifications you relied on in choosing the contractor.

  • Identity and contact details: Confirm the contractor or business name and contact information.
  • License information: Include the relevant license number where applicable, and check local requirements rather than assuming a license is required—or not required—everywhere.
  • Dates: Make sure estimated start and finish dates are recorded.
  • Scope and costs: Check that the written promises about the work, labor, and materials match what you understood from the estimate.
  • Payment schedule: Read when payments are due and what the agreement says about final payment.
  • Blank spaces: Fill in all blank spaces before signing. Do not sign an agreement with incomplete fields that could later be filled differently.

Do not rely on a verbal promise to resolve an important difference between the estimate and contract. Ask for the promise to be recorded in the agreement before you sign. If a term is unclear, ask the contractor to explain it and give you a corrected written version to review.

Check whether a cancellation right applies

The FTC describes a three-business-day cancellation right for certain contracts signed in a home or away from the seller’s permanent place of business. That is not a blanket cancellation period for every renovation contract. Whether it applies depends on the transaction and applicable law. Before relying on it, confirm the rule with your state or local consumer-protection agency and read any cancellation notice or contract language provided for your transaction.

How should I handle deposits and contractor payments?

Do not pay the full amount up front, and do not make final payment until the work is complete and satisfactory. Some states limit down payments, so check with your local consumer agency before agreeing to a deposit. The legal limit, if one applies, depends on where you live; do not assume a single percentage or payment rule applies nationwide.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Review the payment schedule before signing. Make sure you understand the amount due at each stage and the condition that triggers each payment. If the contract does not make that clear, ask for a revised schedule. Keep a copy of the signed agreement and records of payments. Those records help you track what you agreed to pay and what remains due.

In its disaster-repair guidance, the FTC advises paying by credit card or check and avoiding wire transfers, gift cards, payment apps, cryptocurrency, or cash in that recovery context. Do not read that as a rule that every payment method is governed identically in every renovation transaction; use the guidance as a warning against hard-to-recover payment demands, especially when someone is pressing you to pay immediately.

What contractor red flags should make me pause?

Pause and verify before committing if a contractor demands an immediate decision, asks for all the money in advance, insists on cash only, or pushes financing through a lender they know. The FTC warns homeowners not to accept contractor-arranged financing without shopping around and understanding the loan. A recommendation, a low estimate, or a persuasive sales pitch is not a reason to skip credential checks or sign a contract with unresolved terms.

  • Pressure to decide now: Take time to compare written estimates and review the agreement. Do not let an artificial deadline replace your checks.
  • Full payment up front or cash-only demands: Do not agree without understanding the risk and checking local rules. Keep final payment until the work is complete and satisfactory.
  • Unverified credentials: Ask for proof of insurance and confirm required licensing with the relevant government agency.
  • Unclear estimate or contract: Ask for the work, materials, price, dates, and payment schedule to be written clearly before signing.
  • Contractor-arranged financing: Shop around, read the loan terms, and make sure you understand the financing before agreeing to it.

If a contractor will not explain a major price difference, identify what the bid covers, or provide a written agreement that records the material promises, pause rather than relying on an assurance that the details will be sorted out later.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Which renovation contract terms depend on local rules?

Contractor licensing, required contract terms, down-payment limits, and cancellation rights vary by state and locality. Federal consumer guidance does not create one nationwide set of licensing or contract rules for every project. Contact the state or county agency responsible for contractor licensing and your local consumer-protection agency to check the rules that apply to your location and type of work.

Keep the scope of your checks matched to the project and jurisdiction. The FTC guidance discussed here supports reviewing the work, materials, dates, price, payment schedule, contractor identity, and applicable license information. It does not establish universal requirements for every construction contract provision. If you need to evaluate additional terms, such as procedures for changes to the work or warranty language, check the applicable state or local authority rather than assuming a single standard applies everywhere.
