How to Find a House-Moving Contractor and Compare Quotes

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The safest way to hire a house-moving contractor is to compare at least three written estimates built from the same inventory and service plan, then verify the provider’s registration, role, paperwork, protection and delivery terms. First establish whether your move crosses a state line: federal rules apply to interstate household-goods moves, while an in-state move is governed primarily by your state’s consumer-protection and transportation rules.

Do not choose the lowest headline number until you know whether it comes from a carrier or broker, what is included, how the price can change, what you must pay at delivery and how damaged or missing property will be handled.

Start by classifying the move

Route determines which checks are relevant. An interstate household-goods move crosses a state boundary, even if the truck travels through another state only briefly. The Federal Motor Carrier Safety Administration (FMCSA) regulates interstate household-goods movers and brokers. A move that stays entirely within one state is an intrastate move; its licensing, insurance, estimate and complaint rules vary by state.

Interstate moves

For an interstate move, use FMCSA’s consumer resources to verify the company’s registration and identify whether it is a carrier or a broker. The registration record and complaint information can change, so check the specific business close to the date you sign. Federal estimate and delivery rules described below apply to interstate household-goods shipments, not automatically to local moves.

In-state moves

For an in-state move, contact your state consumer-protection, transportation or enforcement office. Ask what registration or license a local mover must hold, whether insurance or a local address is required, how estimates must be written and where complaints are filed. There is no single nationwide intrastate license standard that you can safely assume.

Build one scope of work before requesting prices

Estimates are only comparable when each company is pricing the same job. Prepare a single inventory and access description and send exactly that information to every provider. A virtual or in-person inspection is preferable; if an inspection is not practical, provide a complete written description and photographs.

Record the shipment

  • Origin and destination addresses, including the building, unit and postal codes.
  • Approximate loading and delivery dates, with any flexibility.
  • Every room and major item: furniture, appliances, outdoor equipment, workshop tools, exercise equipment and unusually heavy or fragile pieces.
  • Boxes you will pack, boxes the mover must pack, and any unpacking or debris removal you want.
  • Items that need disassembly, reassembly, crating, hoisting, appliance service or other special handling.
  • Stairs, elevators, narrow halls, long walks from the truck, steep driveways, gates and parking restrictions at both addresses.
  • Whether a shuttle or smaller vehicle may be needed because a full-size truck cannot reach either property.
  • Items that will not travel, such as hazardous materials, perishables or property you will move yourself.

Give each provider the same list and ask it to state any assumptions. If an item is omitted, described vaguely or added later, the estimates no longer represent the same work.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Make service boundaries explicit

Ask each company to mark each task as included, excluded or priced separately:

  • Packing materials and labor, wardrobe cartons and specialty crating.
  • Furniture wrapping, disassembly, reassembly and placement in rooms.
  • Stair, elevator, long-carry, shuttle, hoisting and parking charges.
  • Storage, if the schedule requires it, including the storage period and handling in and out.
  • Appliance disconnect/reconnect, piano or safe handling, and disposal of packing debris.
  • Waiting time caused by a late closing, unavailable elevator or blocked access.

A low quote can simply mean that you planned to do work another mover included. Put the scope beside the price rather than treating the largest discount as the best value.

Get at least three written estimates

FMCSA’s moving checklist recommends obtaining estimates from at least three movers or brokers. Treat three as a practical minimum for comparison, not proof that a company is trustworthy. Registration, documents, protection and logistics still require separate checks.

Ask for an inspection-based estimate

For an interstate move, FMCSA says the mover must provide a written estimate of transportation, accessorial and advance charges based on an actual or virtual inspection, subject to specified exceptions. A provider that refuses to inspect the property or accept a complete inventory leaves you exposed to scope disputes. Ask when the inspection occurred and request a copy of the itemized inventory used to calculate the price.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use the same request with every provider

Send the same dates, inventory, access details and requested services. Ask each respondent to identify its business role, estimate type, included services, possible extra charges, pickup and delivery terms, payment methods and damage or valuation options. Record the representative’s name and the date of every promise.

Comparison item What to record for each quote Why it changes the decision
Provider role Carrier, broker or both; transporting carrier’s legal name and registration A broker arranges transportation; a carrier transports the shipment. You need to know who will actually load, haul and deliver.
Estimate type Binding or nonbinding; conditions and expiration Estimate type determines how the final charge is calculated and what you may owe at delivery.
Inventory basis Rooms, items, quantities, estimated weight and inspection date Different inventories produce different prices even when the headline totals look comparable.
Included work Packing, wrapping, disassembly, reassembly, stairs, elevators, shuttle and debris removal Excluded work can become an extra charge or a task you must perform.
Pickup and delivery Dates or windows, spread dates, guaranteed appointments and delay procedure A cheaper quote may provide less scheduling certainty or require temporary storage.
Payment Deposit, accepted methods, amount due at pickup and delivery, and change conditions Payment demands can reveal risk and affect your cash requirement on moving day.
Protection Liability or valuation option, price, deductible or limits, and claims process The transportation price does not by itself tell you what happens after damage or loss.

Understand what the estimate actually promises

FMCSA’s warning is direct: “Your mover’s ‘rate quote’ is not an estimate.” A phone or website price is not enough. Read the written estimate and the documents incorporated into it.

Binding estimate

A binding estimate is a written agreement setting the charge for the quantities and services listed. It is not a blank check for items that were not described. If you add furniture, request packing, change access conditions or otherwise alter the shipment before loading, ask for a revised written estimate or another documented agreement. Do not rely on a verbal assurance that the original amount still applies.

Nonbinding estimate

A nonbinding estimate is not a final-price guarantee. For an interstate move, the final charge is based on the shipment’s actual weight, the services performed and the mover’s tariff. The written estimate should make clear that the amount may change and should identify the quantities and services used for the calculation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The 110% delivery rule

For a qualifying interstate nonbinding estimate, FMCSA’s general rule says the mover cannot require more than 110% of the estimate at delivery for the services and quantities described. Regulatory exceptions include additional services you request and situations involving impracticable operations. This is not a blanket promise that the final bill can never exceed 110%; ask the mover to explain any exception in writing and keep evidence of changes you authorized.

Questions to ask about a changing price

  • What exact event changes the estimate: added goods, actual weight, extra labor, access conditions or a date change?
  • Which charges are included in the stated total, and which are listed only as possible accessorial charges?
  • How will an added item or service be documented before work begins?
  • When will the final weight or other variable be measured, and how can you review the calculation?
  • What amount and payment method will be required at delivery?

Check whether you are hiring a carrier or a broker

A carrier owns or operates the transportation service that moves your property. A broker arranges transportation with a carrier and may not control the truck, crew or delivery schedule. A business can perform one role in one transaction and use another provider for the actual haul, so ask plainly: “Who will transport my shipment, under what legal name, and what is that company’s registration number?”

Verify an interstate provider

  1. Search the provider in FMCSA’s mover and broker system by business name, USDOT number or MC number.
  2. Confirm that the registration matches the legal name on the estimate and contract.
  3. Determine whether the record identifies a carrier, a broker or both.
  4. If a broker is involved, obtain the transporting carrier’s name and registration before signing.
  5. Review complaint information as supporting evidence, not as a substitute for registration and document checks.

Ask a broker to explain its required disclosures, who collects payment, how it handles changes and how you contact the carrier during loading and delivery. A quote that names only a sales brand without identifying the transporting company is incomplete.

Verify an in-state provider

Ask your state consumer-protection or transportation office what local registration, license, insurance, address and contact details are required. Compare the provider’s answer with the legal name and address on its estimate. If the state office cannot confirm a requirement, do not infer that no rules apply; request the applicable guidance in writing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Review protection for damage and loss

Ask what liability or valuation protection applies, what it costs and what the mover pays if property is damaged, destroyed or missing. Interstate movers describe options that can include Full Value Protection and a limited-liability option, but the actual terms, exclusions and valuation conditions control. Read the mover’s documents rather than relying on a sales summary.

Questions about coverage

  • Which protection option is included in this estimate?
  • What is the declared value, deductible, limitation or exclusion?
  • Does the option cover pairs, sets, electronics, antiques and items you packed yourself?
  • What deadlines and evidence apply to a damage or loss claim?
  • Who handles the claim if a broker arranged the shipment?

Check your homeowner or renter policy before buying separate insurance; it may cover some property during a move, but do not assume it replaces the mover’s required liability terms. Get any insurance recommendation and cost in writing.

Read and preserve the moving documents

Before signing, read the estimate, inventory, bill of lading and every completed document. FMCSA describes the bill of lading as both a contract and a receipt for your belongings. It governs important details after loading, so compare it with the estimate and correct errors immediately.

At pickup

Walk through the property with the crew, point out pre-existing marks and compare the crew’s inventory with your list. Photograph high-value or fragile items and note serial numbers when practical. Confirm which goods are excluded from the shipment and obtain a signed copy of the completed paperwork.

At delivery

Inspect rooms and containers as items come off the truck. Record missing or damaged property and unusual new damage on the inventory or delivery documents before signing. Take photographs, keep packaging and follow the written claim procedure. Do not discard the paperwork until every claim or billing dispute is resolved.

Screen for pressure tactics and missing paperwork

Walk away when a provider uses urgency to prevent comparison or refuses to document basic terms. FTC guidance identifies blank paperwork, demands for cash or a large deposit before the move and an unregistered interstate mover as warning signs.

Warning signs that justify stopping

  • The company will not provide a written estimate based on an inspection or complete description.
  • The person quoting the job will not identify the carrier, legal name or registration.
  • The estimate omits rooms, large items, access conditions or requested services.
  • You are told to sign blank forms or are discouraged from reading the bill of lading.
  • A large deposit or cash-only payment is demanded without clear, written terms.
  • The price is dramatically lower than others because services, weight or delivery dates are undefined.
  • The company changes its name, address or contact person between the quote and contract.

Online reviews and complaint records can reveal patterns, but they are supporting information. A polished reputation does not cure missing registration, an incomplete estimate or unclear responsibility for delivery.

Compare the quotes in a decision worksheet

After all estimates arrive, normalize them before ranking price. Copy the same inventory and requested services into a worksheet, then fill each provider’s answer. Mark “not included,” “additional charge” or “not stated” rather than assuming silence means inclusion.

Calculate the practical total

For each provider, separate the transportation amount from likely add-ons and obligations:

  1. Start with the written estimate total and its estimate type.
  2. Add services you know you need but the estimate excludes, such as packing, stairs, shuttle work or storage.
  3. List conditional charges and the event that triggers each one.
  4. Record the deposit and the amount and payment method due at delivery.
  5. Note the protection option’s price and limits separately from the transportation charge.
  6. Score pickup and delivery certainty, not just the number of days in a window.
  7. Discard any provider whose registration or documentation cannot be verified, regardless of price.

Use a risk-and-fit comparison

Question Strong answer Weak answer
Who transports the goods? Legal carrier name and registration are identified before signing. Only a salesperson or brand name is provided.
What is priced? Same inventory, inspection basis and service checklist appear in writing. Price is based on a short call or an unexplained lump sum.
Can the price change? Estimate type, triggers and change-document process are clear. “Guaranteed” is promised verbally while the paperwork is silent.
When will delivery occur? Pickup and delivery windows, delay process and storage responsibility are stated. Dates are indefinite or depend on an unnamed third party.
What happens after damage? Protection, claim contact, deadlines and evidence requirements are documented. The salesperson says “you’re covered” without terms.

Questions to ask before signing

Use this call or email checklist with the finalist, and save the answers with the estimate:

  • Are you the carrier, a broker or both?
  • Who will physically load, transport and deliver my shipment?
  • Which registration or state license covers this move?
  • Was this estimate based on an in-person or virtual inspection?
  • Is it binding or nonbinding, and what quantities and services does it cover?
  • What is excluded, and what charge applies if access is harder than described?
  • What are the pickup and delivery windows, and what happens if they are missed?
  • What amount is due before loading, at pickup and at delivery?
  • Which liability or valuation option applies, and how do I file a claim?
  • Will I receive a completed inventory and bill of lading before the truck leaves?

What to do when something goes wrong

The mover adds items or work before loading

Stop and compare the new item or service with your original inventory. Ask for a written revision that states the added quantity, charge and estimate effect. If the provider will not document the change, do not assume the original price protects you.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The truck or crew is not the company you hired

Do not let an unidentified substitute proceed. Check the legal carrier name and registration against your paperwork, ask who is responsible for the contract and obtain revised documents before loading. If the answer remains unclear, contact the relevant regulator before signing.

Delivery is late or property is missing

Document the date, condition and missing items on the delivery paperwork. Photograph damage, keep packaging and notify the claims contact using the procedure in your contract. Preserve all estimates, inventories, bills of lading and receipts.

The final bill is higher than expected

Ask the mover to identify the estimate type, tariff basis, actual weight or service change supporting each additional amount. For an interstate nonbinding estimate, review whether the amount demanded at delivery fits the general 110% rule and whether an exception or additional service is documented. For an in-state move, use your state’s complaint and enforcement process because the federal interstate rule may not apply.

A practical selection sequence

  1. Classify the route as interstate or intrastate.
  2. Create one detailed inventory and access description.
  3. Request written, inspection-based estimates from at least three movers or brokers.
  4. Identify each provider’s role and the carrier that will transport the goods.
  5. Verify interstate registration or the applicable state license and consumer rules.
  6. Normalize inventory, services, estimate type, delivery terms, payment and protection in a worksheet.
  7. Reject providers with pressure tactics, blank paperwork or unverifiable responsibility.
  8. Select the provider whose documented scope, logistics and protection fit your move—not merely the lowest total.
  9. Sign only complete documents, keep copies and record condition at pickup and delivery.

The result you want is not simply a low number. It is a written, verifiable agreement that describes your property, the work to be performed, the person responsible for transportation, the conditions that can change the charge and the remedy if the shipment arrives damaged or incomplete.
