Document recovery-ready materials as a living building record, not as a folder of drawings completed at handover. Combine as-built drawings with an adaptation or disassembly plan and a component-level material passport. For every significant component, record what it is, where it is, what it contains, its relevant technical properties and condition, how it is connected, and how it can be separated. Assign people to create and update the information during design, procurement, installation and operation.
This record improves a future team’s ability to plan safe recovery, but it cannot guarantee reuse. At the time of removal, the component’s actual condition, hazardous-substance status, structural and code requirements, technical suitability and market demand still have to be checked.

What a recovery-ready building record must answer
A recovery crew needs more than a plan showing where walls, floors and services were built. The record should answer six practical questions for each recoverable material or component:
Crashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minutePC Slower Than It Used to Be?
A free scan shows the junk files, broken settings and background clutter dragging Windows down - then fixes them in one click.Free scan · Windows 10 & 11- What is it? Give a stable component or material ID, product name, manufacturer when known, material composition and any relevant previous-use information.
- Where is it? Tie the ID to a drawing, model, room, zone, grid reference or other location that remains intelligible after alterations.
- How much and what performance? Record quantity, dimensions and technical or structural properties needed to assess a proposed future use.
- How is it connected? Describe fasteners, joints, interfaces, finishes and the order in which adjoining work must be removed.
- How can it be removed? Include disassembly sequence, tools, access, lifting or temporary-support needs, repair access and manufacturer or designer instructions.
- What is its current state? Add inspection findings, maintenance and repair history, damage, contamination or other information that affects safety and suitability.
As-built drawings provide context, but they do not by themselves tell a future team how to remove materials safely and intact. The U.S. Environmental Protection Agency’s adaptation and deconstruction guidance therefore treats drawings, material information, structural properties, repair access and contact details as parts of one plan rather than separate documents.

Build the passport from design through operation
1. Set up the inventory at design and procurement
Create the inventory structure before products are ordered. Give each relevant assembly, component or material a stable identifier that can survive substitutions and changes. A location reference should point to a model or drawing as well as a physical room, zone or grid, because drawings may be revised while the building remains.
At this stage, enter the product or component name, manufacturer where known, composition, dimensions or quantity, and technical properties that matter to later decisions. Examples include grade, strength, fire performance, coating, recycled content, hazardous-substance information supplied by the manufacturer, and any limits on reuse. The UK Green Building Council reference guide treats composition, deconstructability or demountability, disassembly instructions, condition and previous-use or provenance information as useful passport fields. Neither that guide nor the Joint Research Centre framework prescribes one universal schema, so define the fields your project and jurisdiction require and document their definitions.
2. Capture connection and separation information while it is still accessible
Record the connection type and the sequence needed to expose it. A useful entry identifies the fastener or joint, adjacent finishes, components that must be removed first, tools, working space, access from each side and any temporary support. Attach a detail drawing or model view where a written description could be misunderstood.
Include repair access, replacement strategy and manufacturer or designer instructions. If a component is intended to be lifted, unbolted, unscrewed or otherwise removed in one piece, state the assumptions and limits. Do not label an item “demountable” merely because the passport contains a reuse intention; the installed connection and surrounding construction determine whether recovery is practical.
3. Update the record during installation
Construction commonly differs from design. The contractor should update the inventory for substitutions, changed quantities, altered locations, different fasteners, concealed services and field modifications. Capture photographs before finishes hide connections, and link them to the component ID and location.
At handover, reconcile the passport against the final as-built drawings and inspection records. The EPA recommends an adaptation or disassembly plan containing as-built drawings, materials, key components, structural properties, repair access and contact information. Treat that plan as a controlled record with a revision date and named owner, not as an untracked appendix.
4. Add condition and provenance during use
Facilities managers or owners should be able to add condition observations without overwriting the original installation data. Record inspection date, inspector, observed wear or damage, repairs, replacements, leaks, exposure, alterations and any change in operating environment. A reclaimed item may also need previous-use or provenance information to establish where it came from and what service it has seen.
Use a condition vocabulary that is defined in the project record, such as “not inspected,” “serviceable,” “repair required” and “unsafe pending assessment.” Keep the observation, evidence and decision separate: a visual note is not a structural certification, and a maintenance entry is not proof that a component remains suitable for a new purpose.

5. Store it with the building’s operational information
Keep the passport, as-built drawings, operation and maintenance information, inspection records and disassembly plan in a location the owner and future facilities team can access. A BIM model can hold or link component records; a digital information platform or database can do the same. Preserve human-readable exports and drawing references so access does not depend on one vendor interface.
The reviewed guidance supports BIM and platform-based approaches but does not establish a mandatory file format or guarantee interoperability between systems. Record the export format, software version, administrator and access procedure, and test that a person without the original authoring software can open the essential information.
6. State future pathways as assumptions, not promises
For each component, identify a possible pathway—direct reuse, refurbishment, recycling, recovery of parts or another route—and list the evidence supporting it. Mark assumptions that must be reassessed at end of use. The Joint Research Centre framework emphasizes that future reuse and recycling scenarios contain uncertainty and should be based on solutions and technologies that are technically and economically viable.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsAt recovery, reassess current condition, hazardous substances, contamination, structural capacity, fire and other code requirements, dismantling safety, transport, processing cost and likely demand. A passport supplies information for those checks; it does not replace testing, professional assessment, regulatory approval or a buyer.
Data-field checklist for a component passport
The following checklist combines the EPA’s adaptation or disassembly-plan content with the UKGBC reference guide. It is a practical project checklist, not a claim that every field is legally required in every jurisdiction.
| Field | Why it helps future recovery | Likely source and update owner |
|---|---|---|
| Component or material ID and location | Lets a future team find and distinguish items in drawings and on site. | Design team; verify against the as-built handover. |
| Product name, manufacturer and composition | Supports identification, separation, toxicity review and suitability assessment. | Manufacturer and design or procurement team. |
| Quantity, dimensions and key components | Enables recovery scope, lifting plans and logistics estimates. | Design team; confirm installed quantities and changes. |
| Relevant technical or structural properties | Provides inputs for adaptation, testing and safety decisions. | Engineer, manufacturer and as-built documentation. |
| Connection and demountability details | Shows whether removal can be controlled and intact. | Designer or engineer and manufacturer; contractor confirms the installed condition. |
| Disassembly sequence, tools and access | Helps a crew plan safe, practical removal and protect adjacent work. | Manufacturer or designer; update after installation. |
| Repair and replacement access | Shows how future intervention can occur without destructive demolition. | Design team and facilities manager. |
| Current condition and maintenance context | Helps judge whether an item remains fit for a proposed use. | Owner or facilities manager during operation. |
| Previous use or provenance where applicable | Provides context for reclaimed items and future assessment. | Owner, facilities manager or project records. |
| Recovery pathway and assumptions | Makes an intended route explicit while identifying uncertainty. | Project team; reassess at end of use. |
| Responsible contact and record location | Allows a future recovery team to obtain missing details and current revisions. | Owner or project handover team. |
Write an adaptation and disassembly plan
The plan is the operational companion to the passport. Organize it so someone who did not build the project can use it safely years later.
Describe the building-level strategy
Start with structural grids, load paths, service zones, fire compartments, access routes, temporary works assumptions and areas where work could affect occupants or neighboring property. Identify which assemblies are intended to be adaptable, which are sacrificial, and which require specialist assessment before disturbance.
Link every strategy to component records
Use the stable component IDs in drawings, model views, photographs and schedules. A recovery instruction should lead from a building location to the relevant record, then to the connection detail and sequence. Include the order for isolating services, removing finishes, supporting loads and protecting workers.

Keep safety information prominent
Flag asbestos or other hazardous substances when known, but do not treat an absence of a flag as proof that a material is safe. Identify required surveys, permits, temporary supports, lifting equipment, exclusion zones and competent-person reviews. The plan should state which information must be verified on site before work begins.
Design for documentation that can be acted on
Documentation cannot compensate for inaccessible or destructive connections. EPA guidance recommends considering adaptable structural systems and standard or modular components, minimizing unnecessary material types, making connections visible and accessible, and using mechanical fasteners such as bolts, screws and nails instead of sealants or adhesives where appropriate. Safe worker movement and repair access should be part of the design review.
These choices increase the chance that a record describes a recoverable assembly, but they do not guarantee a future market. A mechanically fastened component can still be damaged, contaminated, obsolete or uneconomic to transport. Record the design intent and the actual installed detail separately.

Complete an accurate as-built handover
Before handover, run a structured reconciliation rather than simply exporting the design model.
- Compare the procurement schedule with delivered products and record substitutions, batch or product identifiers where available, quantities and warranties.
- Walk the building and verify each component’s location, orientation, access and visible connection against drawings and the passport.
- Photograph critical connections and concealed conditions before they are covered, and link each image to a component ID and date.
- Record deviations, field repairs, abandoned services and changes that affect future removal.
- Have the responsible engineer review structural properties and load-path information used in the adaptation plan.
- Export the passport and plan in a human-readable form, test access with the owner, and document the system administrator and revision process.
The contractor’s installation-stage updates are particularly important because a future team will encounter the installed building, not the tender set. Retain superseded records for traceability, but label the current as-built record clearly.
Bring existing buildings into the system
For an existing building, start with a confidence-rated survey. Separate verified observations, records inherited from previous owners, assumptions and unknowns. Assign temporary IDs where the original product is unknown, and replace them when investigation or opening-up work provides better evidence.
Prioritize assemblies whose failure would create safety risk or whose recovery value justifies investigation: primary structure, façade panels, timber or steel members, raised floors, demountable partitions, service equipment and components with known hazardous-substance concerns. Record inaccessible areas as “not inspected” rather than inferring a connection or condition from a similar room.
When alterations occur, create a new revision and preserve the relationship between removed, retained and newly installed components. This history becomes the provenance record for materials that may later be reclaimed.

Choose a template or platform against project needs
There is no universally mandatory building-passport format established by the guidance cited here. Choose a template or platform by testing whether it supports the information and governance your project needs.
| Selection question | What to verify |
|---|---|
| Does it cover recovery-critical fields? | Check identity, composition, location, quantity, condition, connections, disassembly instructions, structural properties and recovery assumptions. |
| Who contributes and updates? | Confirm roles for manufacturers, designers or engineers, contractors, owners and facilities managers at each project stage. |
| Can records link to as-built information? | Test links to drawings, model objects, photographs, inspection reports and revision history. |
| Can the owner export and retain the data? | Require human-readable exports, documented fields, backup responsibility and an access plan if the platform or vendor changes. |
| Does it suit new and existing buildings? | Check support for incomplete or uncertain records, survey evidence, temporary IDs and alteration history. |
| Does it meet project or jurisdiction requirements? | Compare the fields and retention rules with the contract, client brief, certification route and applicable regulations. |
Using established templates
DGNB provides full and reduced versions of a Building Resource Passport, with examples for new and existing buildings. DGNB describes the passport as a documentation template and states that it is not yet universally recognized. Use it as a starting structure, then check client, certification, regulatory and local requirements.
The UKGBC reference guide distinguishes essential, recommended and optional information and identifies contributors and collection stages. It is useful for assigning responsibility, but it is not established by the cited material as a global standard.
Assign ownership and control updates
A passport fails when everyone assumes someone else will maintain it. Put the responsibility in the project information requirements, specifications, contracts and handover procedures.
- Manufacturers: supply composition, dimensions, technical properties, connection requirements, maintenance and disassembly instructions, and product changes.
- Designers and engineers: define the component structure, location references, structural properties, adaptation assumptions and required access.
- Contractors: confirm delivered and installed products, quantities, substitutions, connections, field changes and photographs.
- Owners and facilities managers: maintain condition, maintenance, repair, alteration and provenance information during operation.
- Handover or information managers: control identifiers, revisions, permissions, exports, backups and transfer to a new owner.
Set update triggers rather than relying only on calendar reminders: approved design changes, procurement substitutions, installation completion, commissioning, inspection, repair, alteration, lease change and transfer of ownership. Every entry should carry an author, date, source and confidence or verification status.
Evaluate a recovery option at end of use
Use the passport to create a decision record, not an automatic approval. For each candidate component:
- Confirm identity, location, quantity and installed connection from the current record and a site inspection.
- Check condition, contamination, hazardous substances, previous repairs and any change from the documented operating environment.
- Have the appropriate engineer or competent professional assess structural, fire, health and other performance requirements for the proposed use.
- Compare direct reuse, refurbishment, parts recovery and recycling, including removal, testing, repair, transport and storage costs.
- Verify a realistic recipient, specification and market demand; a technically reusable item may still have no viable outlet.
- Record the selected route, rejected alternatives, evidence, uncertainties and required controls, then update the passport with the outcome.
ISO 59014:2024 addresses sustainability and traceability in recovery of secondary materials at an organizational and process level. Its stated scope does not provide quality criteria for particular recovered material types, and preparation or processing of products or components for reuse or reprocessing is outside its scope. Do not present it as a building-passport schema or as certification that a component can be reused.

Minimum handover package
A practical handover should contain, at minimum:
- Current as-built drawings and model or drawing references tied to stable component IDs.
- The component and material passport, including composition, quantities, technical properties, connections, disassembly information and recovery assumptions.
- An adaptation or disassembly plan with structural information, repair access, service isolation steps, safety prerequisites and contact details.
- Installation evidence: substitutions, field changes, photographs of critical connections and unresolved deviations.
- Operation records: inspection, maintenance, repairs, alterations, condition observations and provenance where relevant.
- Revision history, authorship, verification status, data definitions, export files, backup location and access instructions.
- A statement of what is unknown and what must be checked before future recovery.
This package gives a future owner a usable starting point while keeping the central qualification clear: documentation enables better decisions; it does not make a component safe, suitable, legal or economically recoverable by itself.
