Windows Errors? Fix Them Before They Spread

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteChoose financial workflow software by first mapping how your business turns estimates and budgets into commitments, field costs, customer billings, payroll, and month-end reports. Then test whether a system can track those transactions at the job level, handle the contract and billing rules you actually use, and connect reliably to your field and accounting tools. The right choice is the one your team can operate accurately—not the one with the longest feature list.
Start with the work the software must support
Construction finance is not just general-ledger bookkeeping. Owners and project managers need timely visibility into how each job is performing, while accounting needs dependable records for payroll, billing, reporting, and close. A system that captures expenses but cannot relate them to the right job, cost category, budget, or commitment may leave the business with tidy books and poor project-level control.

Before looking at products, map the path a transaction takes through your company. Include the people who create, review, approve, correct, and reconcile each item. That usually means involving accounting, project managers, field staff, and anyone administering subcontractors—not just the person who will sign the software contract.

Write down how an estimate becomes a job budget, how the budget leads to commitments or purchase orders, and how time, expenses, invoices, and change orders are entered and approved. Continue the map through customer billing, payroll, and month-end reporting. Mark where a handoff happens between the office and field, or between a project-management platform and the accounting system.

For each step, record the responsible role, the information required, the approver, and the system that currently holds the record. This exposes practical questions a feature checklist can miss: Who enters a field cost? Who confirms its job and cost code? What happens when an invoice is rejected? Who updates the forecast after an approved change? Which system is treated as the authoritative record?
Separate must-haves from conveniences
Prioritize requirements that protect job profitability, cash control, compliance, or reliable reporting. Depending on your work, these may include cost-code-level job costing, budget-versus-actual reporting, commitments, change orders, progress billing, retention, lien releases, work-in-progress (WIP) reporting, revenue recognition, payroll, time capture, and labor allocation. These are not universal requirements: identify which apply to your contracts, accounting practices, and jurisdiction.
Record secondary preferences separately. A requested dashboard or automation may be useful, but it should not outweigh a system’s inability to handle a required billing method or produce trustworthy job costs. Sage’s construction finance materials identify accounting, payroll, project costing, budgeting, reporting, and integrations among the common areas to consider when evaluating construction financial software.

Test job costing and project controls with a real job
Ask each vendor to demonstrate a representative job using your cost codes and a budget change—not a generic sample project. Job costing should reflect the categories your company actually incurs, such as labor, materials, equipment, and subcontractors. The demonstration should show how those costs relate to the budget and how managers can see whether a job is moving off plan while there is still time to respond.

Follow a change from request to report
Use a realistic scenario: a job has an original budget, an added scope item, a commitment, and actual costs beginning to arrive. Ask the presenter to show how the proposed change is recorded, how it is approved, and how an approved change affects the job’s budget and reporting. Then examine whether the software distinguishes a proposed change from an approved one and whether it keeps the related commitment and actual cost visible.
Do not stop at a polished project summary. Ask to see the underlying transaction detail and the report a project manager or finance lead would use. Check that the figures can be traced back to their entries, that budget and actual values are presented clearly, and that the report is useful at the point in the job when a decision can still be made.
Check commitments as well as posted costs
Actual costs alone can give an incomplete view of a job if substantial work has been committed but not yet invoiced. Ask how commitments are entered, approved, changed, and reflected alongside actual costs. Confirm that the project view makes clear what is budgeted, what is committed, and what has actually been recorded; do not assume that a vendor’s use of the word “job costing” means it handles each of those stages in the way your company needs.
Sage describes job costs, budgets versus actuals, change orders, and committed costs as capabilities of its construction financial tools. Those descriptions make it a candidate to evaluate when those controls matter, but they are vendor-described features rather than independent comparative findings. Ask for the specific workflow to be shown in the product edition and configuration you would buy.

Match billing and accounting workflows to your contracts
List how you bill customers before comparing billing features. A contractor using progress billing may need a different workflow from one billing at milestones or on another contract schedule. Ask the vendor to walk through your actual billing scenario, including any change-order billing and retention rules that apply.
Use a scenario that includes exceptions
In the demonstration, include an approved change, a billing amount subject to retention, and a transaction that needs correction or approval. Ask how lien releases are tracked if your work requires them, and where the approval history and supporting records can be found. The goal is not to collect feature names; it is to find out whether the system supports the steps your team performs and leaves a clear record of them.
Review WIP and revenue recognition with finance
Ask the finance lead and external accountant to review a WIP report and the accounting treatment in a realistic job scenario. Confirm what the report includes, how the information is produced, and whether the resulting treatment fits your contracts and jurisdiction. A vendor’s description of WIP or revenue-recognition functionality does not by itself establish that a particular configuration or accounting treatment is right for your business.
Sage describes progress and milestone billing, retention, lien releases, revenue recognition, and WIP among its construction financial capabilities. Treat those as prompts for a product demonstration and accounting review, not as a substitute for checking the fit against your own requirements.

Trace field data into payroll and accounting
Job-cost reports are only as useful as the information that reaches them. Test the complete path from time entry through payroll and job reporting. Use examples that reflect how field staff record time, how labor is assigned to jobs and cost categories, and how accounting handles corrections. Check whether the data arrives in the right job and period and whether the resulting reports reflect the work performed.
Include the people who will enter or approve field information in this test. If the entry process is too burdensome or unclear, the office may end up correcting incomplete records, and project reports may not be dependable enough to guide decisions. Ask how the system handles rejected entries, edits after approval, and the trail that shows who changed a record.
Decide whether you need one system or connected systems
A construction business may use one financial system for accounting and job workflows, or it may keep project or field management in a separate platform connected to accounting. The right arrangement depends on the workflows you need and how well the systems exchange information. Do not assume that an integration moves every record, works in both directions, or transfers approvals simply because a connector exists.
Test the integration with real transactions
If you plan to connect a project or field platform to accounting, ask for a demonstration that follows commitments, actual costs, change events, and approvals through the connection. Confirm which system originates each item, what fields transfer, whether the data moves one way or both ways, and which system owns the final record. Ask what users see when a transaction is duplicated, rejected, edited, or corrected, and how the two systems are reconciled.

Procore describes accounting-system integrations and syncing project commitments and actuals. It also lists connectors for Sage 100 Contractor, Viewpoint Spectrum, and QuickBooks. This supports considering it as a project-financial or operational layer connected to accounting; it does not establish that it replaces a contractor’s accounting system in every case. Verify the exact product editions and data flows you require using Procore’s ERP overview and financial management information.

The following comparison describes only what the cited product pages establish. Vendor descriptions are useful for deciding what to investigate, but they do not prove that a product will fit your specific workflows or perform better than another option.
| Product | Capabilities described by the cited source | What to verify for your business |

| Sage Construction Financials | Sage describes job costs, budgets versus actuals, change orders, committed costs, progress and milestone billing, retention, lien releases, revenue recognition, and WIP. Sage construction financial management | Whether the specific workflows, accounting treatment, product configuration, and reporting meet your contract and jurisdiction requirements. These are vendor-described capabilities, not independent comparative findings. |

The available descriptions do not establish universal winners for job-cost detail, billing, payroll, integrations, implementation outcomes, customer satisfaction, or total cost. A product’s fit depends on your requirements and a demonstrated end-to-end workflow.
Match the system to the company’s size and operating capacity
Make the shortlist reflect how your business operates now and the level of complexity the team can support. Compare project count and size, payroll and compliance requirements, number of entities, reporting needs, existing software, implementation time, training and support needs, and budget. A broader feature set is not automatically a better fit if your team cannot implement or use it effectively.
Ask each shortlisted vendor for a demonstration based on your mapped workflows and a complete quote. The quote should identify the modules, users, services, integrations, and ongoing support included, so you can compare like with like. Comparable current prices and contract terms are not established here; obtain them directly rather than relying on an assumed market price.
Quick Recap
Run a workflow-based selection process
- Map the current process. Document how budgets, commitments, field entries, invoices, change orders, customer billings, payroll, approvals, and month-end reports move through the company. Include the roles that create, approve, or correct each item.
- Rank requirements. Mark each requirement as essential, conditional on your contracts or jurisdiction, or optional. Include job-cost categories, billing methods, retention, lien releases, WIP, revenue recognition, payroll, time capture, and integrations where they apply.
- Choose representative scenarios. Prepare a sample job with your cost codes, a budget change, commitments, actual costs, field time, and the billing and approval steps your team uses. Include at least one exception, such as a rejected entry or correction.
- Ask vendors to demonstrate the full path. Follow the scenarios from entry through approval, reporting, payroll or billing, and any connected system. Ask to inspect transaction detail rather than relying only on summary screens or a feature list.
- Validate accounting and contract fit. Have the finance lead and external accountant review WIP and accounting treatment, and check the billing, retention, lien-release, and revenue-recognition workflows against your actual contracts and jurisdiction.
- Test the integration and support model. Identify the authoritative system for each record, data direction, error handling, correction process, reconciliation responsibility, implementation services, training, and ongoing support.
- Compare complete quotes and decide. Review modules, user coverage, services, integrations, and support alongside the workflow results. Choose the system the team can run accurately and consistently, not simply the one with the most listed features.
Warning signs during evaluation
- The demo stays generic. If the vendor cannot demonstrate your cost codes, a budget change, actual costs, and the relevant billing path, you have not yet seen whether the workflow fits.
- “Job costing” remains undefined. Ask specifically about labor, materials, equipment, subcontractors, commitments, change orders, and budget-versus-actual visibility.
- The integration is described only as a connector. Require clarity on data direction, supported editions, approvals, duplicates, rejected items, corrections, and reconciliation.
- Reports cannot be traced back to transactions. Inspect how job and WIP figures are produced and have finance review the accounting treatment.
- The quote omits operating costs or dependencies. Ask for the complete scope of modules, users, implementation services, integrations, training, and ongoing support before comparing proposals.
