Choose materials for the conditions in each part of the building, then compare complete assemblies over their expected service life—not just by purchase price or a “durable” label. A corridor, food-preparation area, wet room, teaching space and exterior wall face different wear, moisture, cleaning and access demands. The right choice is a location-specific performance brief that balances durability, cleanability, repairability, safety, environmental documentation, maintenance needs and the disruption and cost of keeping the building in service.

Start with the building’s use, not a universal materials list

Academic buildings bring together spaces with very different patterns of use. A finish that performs well in a classroom may not be appropriate for a busy entrance or a food-preparation area. Likewise, selecting a hard-wearing exterior finish does not by itself solve the maintenance needs of roofs, cladding details, seals or serviceable components.

Begin by dividing the building into locations with distinct conditions and activities. For each, record how people use the space, what can damage or soil surfaces, how cleaning is carried out, and whether workers can safely reach components for inspection or repair. Include normal operation and foreseeable incidents, rather than basing the brief only on how a space looks at handover.

Location or system Conditions to document Questions for the design team
Entrances and circulation routes Traffic intensity, tracked-in dirt or moisture, impact exposure, cleaning frequency and access during work Can the finish be cleaned with the planned methods? How will localized damage be repaired, and can work be done without closing an unnecessarily large area?
Teaching and study spaces Activities, likely contact or impact, cleaning routines, accessibility needs and any relevant safety requirements Does the selected finish suit the actual activities? Can it be maintained without frequent specialist intervention?
Wet rooms Water exposure, drainage, waterproofing details, cleaning products and access to components that may need inspection Are hygienic finishes and reliable waterproofing addressed as a system, including junctions and penetrations?
Kitchens and food-preparation areas Food-related hygiene needs, water and spills, cleaning frequency and the methods permitted for the surface Is the surface non-porous and easy to clean for the intended use, and are its joints and interfaces suitable for the cleaning regime?
Exterior walls, roofs and other exposed components Weather, moisture, sunlight, impact risk, access for inspection, and repainting or recoating needs Does the proposed assembly suit local exposure? Can it meet durability, maintenance, impact and applicable safety requirements?

This is a scoping tool, not a material prescription. England’s 2026 estate-planning guidance calls for robust hygienic finishes and reliable waterproofing in wet rooms, and non-porous, easy-clean surfaces in kitchen and food-preparation areas. Those recommendations apply to England and should be checked against the project’s own brief and local requirements. Read the guidance.

Write performance requirements before naming products

A useful specification describes what a material or assembly must do in a particular location. It should give bidders and reviewers a basis for comparing options and make it harder for a broad marketing claim to substitute for evidence relevant to the actual application.

For every location or system, set out the requirements that matter to that use:

  • Durability: Identify the relevant forms of wear or exposure, such as traffic, impact, weather, moisture or corrosion. Ask what evidence supports suitability for the proposed conditions.
  • Cleanability: State the intended cleaning frequency, methods and products where these are known. Establish whether routine cleaning requires special equipment, unusual precautions or a specialist contractor.
  • Repairability: Describe how damage will be repaired, whether an individual component can be replaced, and what matching parts or repair materials must remain available.
  • Moisture performance: For exposed or wet locations, define the assembly and detailing requirements—not merely the visible finish. Consider water management, interfaces, penetrations and access to inspect relevant components.
  • Safety and suitability: Specify applicable fire, accessibility, health and other project requirements for the intended use. Confirm requirements with the responsible design professional and relevant authority.
  • Maintenance and access: Identify who will clean, inspect or repair the component, how it will be reached, and whether the work can be done while the building remains in use.
  • Environmental documentation: State what project-relevant documentation is required and how it will be reviewed. Do not assume that a broad environmental claim establishes performance or suitability for this application.

These requirements need not be identical across the building. A cladding application, for example, may require review of durability, maintenance, impact resistance, environmental product documentation and fire performance. The Victorian government-school handbook addresses these matters for relevant cladding applications, but its technical requirements are not a general code for projects elsewhere. Consult the Victorian handbook’s technical specifications and verify the applicable rules for your own jurisdiction.

Compare complete assemblies on whole-life performance

Compare candidate assemblies using the same questions and assumptions. A finish may be inexpensive to buy but burdensome to clean, difficult to repair or disruptive to replace. Another option may require a higher initial outlay while offering a more practical repair approach. Without project-specific information, neither outcome can be assumed: the comparison should make the trade-offs visible instead of relying on a generic “low-maintenance” label.

Comparison factor What to establish for each candidate Why it matters
Serviceability and resistance Expected performance against the location’s wear, impact, weather, corrosion and moisture conditions; the evidence and assumptions behind it A product’s general reputation does not establish its suitability for a particular exposure or installed assembly.
Cleaning Routine frequency, method, access, required products or equipment, and any restrictions or specialist needs Cleaning is recurring work. A finish that is difficult to clean can create an ongoing maintenance burden even if it resists physical damage.
Repair and replacement Repair method, replaceable components, expected access, matching requirements and whether sound adjacent material can remain Localized repair may avoid discarding unaffected material and may limit the area affected by maintenance.
Whole-life cost Purchase and installation, routine cleaning, planned maintenance, repair, replacement and disposal costs, using stated project assumptions Upfront price alone omits recurring work and future interventions.
Operational disruption Area likely to be taken out of service, access restrictions, work timing and coordination with building use Maintenance can interfere with educational use as well as create direct costs.
Safety and fit Evidence for applicable safety and suitability requirements in the proposed use and assembly Performance must meet the project’s governing requirements, not only its maintenance goals.
Environmental documentation Documents requested, their scope and how they relate to the specified product or assembly Comparable, relevant documentation is more useful than unsupported or differently scoped claims.

Make the comparison transparent. Record what is included, what is excluded, the assumptions about cleaning and maintenance, and any evidence that remains unavailable. The reviewed guidance supports whole-life decision-making but does not provide a universal cost-calculation method, a material-by-material price ranking, or a standard service-life figure. Do not present a cost saving, maintenance ratio or expected lifespan as established unless a source supports it for the relevant product, assembly and conditions.

Design for repair, inspection and access

Durability is not only a question of how long an undamaged surface lasts. A building also needs a workable response when a component is damaged, a joint needs attention or an assembly must be inspected. An option that can be maintained in parts may be preferable to one that turns a localized problem into a larger replacement job, provided it also meets the application’s performance and safety requirements.

The UK Department for Education’s school-estate sustainability guidance recommends choosing materials that are durable, easy to clean and maintain, reusable and repairable, and considering repair of existing materials to extend their usable life. It states: “make sure that materials are durable and easy to clean and maintain”. The guidance was published on 25 April 2018; the current page was retrieved on 9 October 2026. For a renovation, assess whether existing material can be repaired or reused before assuming that replacement is the better whole-life choice.

Plan maintenance alongside material selection

Maintenance planning belongs in design and specification, not only in the facilities handover. The UK Department for Education warns that poor or irregular maintenance can disrupt education, shorten building life, cause avoidable expenditure and create safety or compliance risks. Those are not just future facilities issues: a material decision can affect how often work is required, how difficult it is, and whether it can be carried out without disrupting teaching or other building operations.

For each candidate, ask the facilities team to review the proposed routine and planned work. Include cleaning tasks, inspection needs, foreseeable repairs, access arrangements, and the likely operational effects of maintenance. Make sure the plan is realistic for the people, equipment and procedures available to the building; a low-maintenance claim is of little value if the required method cannot be carried out consistently.

The Department for Education’s guidance on maintaining a school estate was published on 25 April 2018 and updated on 20 July 2026. It concerns schools in England. Its central lesson for material selection is broadly useful: consider how the building will be maintained as part of deciding what to install, while checking local rules and project needs separately.

Reduce avoidable cleaning, painting and recoating

Low maintenance does not mean no maintenance. The practical objective is to avoid unnecessary recurring work while preserving safe, serviceable building conditions. Ask what routine attention a candidate requires to remain clean and functional, and distinguish that from work needed only after damage or unusual exposure.

Exterior finishes deserve particular attention because recoating or painting can add recurring work even where another suitable finish could avoid it. Victorian school specifications emphasize durable, long-lasting cladding, low-maintenance roofing, impact resistance in vulnerable areas and minimizing external painting. They also caution that painting brickwork that would otherwise be low-maintenance creates ongoing maintenance. These are requirements and guidance for Victorian government schools, not universally applicable specifications. Use them as a prompt to ask whether an exterior finish creates avoidable upkeep, then confirm the answer for the actual climate, assembly and jurisdiction.

For any proposed reduction in cleaning or recoating, check that the claimed benefit applies to the installed product and conditions. Establish the expected maintenance method and frequency from evidence relevant to that application; do not infer a quantitative saving from general guidance.

Manage moisture as part of durability

Moisture control protects the building, not just the visible finish. Water exposure and poorly managed moisture can affect the integrity of an assembly, while a surface that appears robust may not address vulnerabilities in joints, interfaces or concealed components. Include water management and inspection access in the performance brief wherever a system is exposed to weather or used in a wet environment.

The National Research Council’s 2007 report Green Schools: Attributes for Health and Learning connects moisture control with protecting school-building integrity and potential life-cycle cost benefits, and recommends research into moisture resistance and durability. It does not establish a universal lifespan or cost saving for a particular material. Use it to support treating moisture resistance as a durability consideration, not as proof that one product will outperform another. Read the report’s relevant chapter.

Verify product claims, installation and local requirements

A product’s stated properties do not necessarily describe the performance of the finished building element. Review the proposed assembly, details, installation and conditions of use together. Confirm that the evidence applies to the actual product and intended application, and that installation and maintenance instructions are compatible with the project’s requirements and facilities capacity.

  1. Check the scope of each claim. Establish which product, configuration, exposure and use the evidence covers. Ask for supporting documentation when a claim affects the comparison or specification.
  2. Review the assembly and details. Consider joints, interfaces, penetrations, drainage or waterproofing details, attachment and service access as relevant to the system.
  3. Confirm installation and maintenance requirements. Make sure proposed installation conditions and future cleaning, inspection and repair methods are understood by the design and facilities teams.
  4. Verify governing requirements. Have the responsible design professional and authority confirm current fire, accessibility, health and building requirements for the location and building type.
  5. Record the basis of selection. Keep the performance brief, comparison assumptions, supporting documents and decisions together so that procurement and future maintenance follow the same intent.

Jurisdiction matters. The UK Department for Education’s design and construction collection concerns school and college projects in England; it was last updated on 3 July 2026. Victorian handbook requirements concern Victorian government schools. Neither establishes the applicable code or best product for an unspecified academic building. Check the England school and college design and construction collection, and consult the authorities and professionals responsible for the actual project.

A project-ready selection workflow

  1. Map the spaces and systems. Separate locations by activity and exposure rather than assigning one finish throughout. Include interior finishes, wet-area assemblies and relevant exterior systems.
  2. Record real operating conditions. Document traffic, impact, moisture, weather, cleaning, chemical exposure where relevant, sunlight, accessibility needs and maintenance access.
  3. Set requirements for each application. Write down durability, cleanability, repair, service access, moisture behavior, safety and environmental-documentation needs before shortlisting products.
  4. Ask facilities staff to test the maintenance assumptions. Review who will do the work, how often, using what methods, and with what effect on the building’s use.
  5. Compare candidate assemblies consistently. Use the same factors for each: performance, cleaning, repair, whole-life cost, disruption, safety and documentation. Flag unknowns rather than silently filling them with assumptions.
  6. Design for intervention. Prefer practical repair and component replacement where feasible, and coordinate inspection and service access with the design.
  7. Check evidence and local requirements. Verify product claims against the installed assembly and confirm applicable technical, health, fire and accessibility requirements.
  8. Carry the decision into operation. Preserve product and maintenance information for the facilities team so the specified cleaning, inspection and repair approach can be followed.

Common selection mistakes to avoid

  • Choosing by upfront price alone: this leaves out recurring cleaning, planned maintenance, repair, replacement, disposal and operational disruption.
  • Applying one finish everywhere: corridors, wet rooms, food-preparation areas and exposed exterior systems do not share the same conditions or requirements.
  • Treating “durable” as a complete specification: durability must be considered alongside cleanability, repairability, moisture behavior, safety and access.
  • Assuming maintenance will be easy because a surface is hard-wearing: physical resistance does not establish that routine cleaning is simple or that repairs are straightforward.
  • Specifying a finish without its assembly: performance depends on the proposed system, details, installation, exposure and maintenance—not only the visible material.
  • Transferring another jurisdiction’s requirements wholesale: official guidance can offer useful decision principles, but local codes and project requirements must be confirmed.
  • Assuming replacement is always preferable in a renovation: assess repair and reuse where appropriate, and weigh the condition of existing material against project needs.

The UK Department for Education’s sustainability guidance, maintenance guidance, England’s 2026 estate-planning guidance, the Victorian handbook and the National Research Council report offer principles and jurisdiction-specific examples. They do not rank materials or substitute for a project-specific specification, current local code review or documented comparison of actual candidate assemblies.
