Calculate construction equipment total cost of ownership (TCO) by adding the costs of buying, financing, owning, and operating a machine over a defined period, then subtracting the net amount you expect to recover when you sell or trade it in. Divide that total by the machine’s projected productive operating hours to estimate its cost per productive hour. The result is useful only when the time period, cost categories, and hour basis are consistent across the machines you are comparing.
What total cost of ownership includes
TCO is the estimated economic cost of owning and using a machine over a specified period. It is broader than the purchase price: insurance, financing, fuel, maintenance, repairs, labor, and other costs can materially change the comparison. The estimate should also credit the expected net value recovered when the machine is sold or traded in.

A compact life-cycle formula published by Caterpillar is: initial purchase price + maintenance + repairs + fuel − trade-in or resale value. For a practical ownership-period estimate, expand it to make the boundary and cost categories visible:
TCO = acquisition and setup + financing charges + fixed ownership costs + lifetime operating costs − expected net residual value

Cost per productive operating hour = TCO ÷ projected productive operating hours
Fixed ownership costs continue whether the machine is working or parked. These may include insurance, taxes, storage, registration, and allocated overhead. Operating costs generally depend on use and may include fuel or energy, scheduled service, repairs, wear items, operator labor, inspections, and transport or mobilization when relevant to the comparison. Cat Financial’s ownership-cost discussion also identifies lost revenue from unplanned downtime as a possible economic consideration.
Choose one time boundary
State what the estimate covers before entering figures: the planned holding period, the machine’s whole asset life, a project, or a single year. Do not combine a one-year insurance estimate with eight years of fuel and resale assumptions, for example. For a planned ownership-period decision, include costs and operating hours within that period and estimate the machine’s value at the end of it.

For a yearly estimate, use one year of ownership and operating costs. The calculation’s purpose determines the boundary; the essential rule is not to mix boundaries between cost categories or comparison options.

Keep principal, financing, and depreciation distinct
Record the machine’s purchase price once as an acquisition cost. If the purchase is financed, add financing charges such as interest and applicable fees without adding the financed principal a second time through total loan payments. If a lease or other arrangement applies, document its structure and include the costs that belong to the chosen boundary rather than treating it as both a purchase and a separate financing total.
Accounting depreciation and the economic change in market value are different ways to describe value over time. If the model includes the purchase price and subtracts expected residual value, that already captures the estimated value lost between acquisition and disposal. Do not also add that same loss as a separate depreciation cost. If you need depreciation for accounting or tax reporting, keep it distinct from the economic TCO calculation.
Collect the inputs before calculating
Use current local quotes and machine-specific records where possible. A generic percentage cannot replace an insurance quote, a delivered fuel price, a maintenance schedule, or a realistic resale comparison for the machine you are evaluating.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors| Input group | What to record | Useful basis |
|---|---|---|
| Machine and period | Machine type and configuration, application, planned years owned, and comparison options | Use the same holding period for each option |
| Acquisition and setup | Purchase price and delivery or setup costs included in the estimate | Quotes for the specific machine and transaction |
| Financing | Financing charges, applicable fees, and the down payment or lease structure | Financing terms for the planned arrangement; avoid counting principal twice |
| Fixed ownership | Insurance, taxes, storage, registration, and applicable overhead | Annual or period-specific amounts based on local, machine-specific information |
| Fuel or energy | Consumption under the intended application and delivered price | Historical or onboard consumption data when available |
| Service and repairs | Scheduled service, parts, labor, repair history, warranty coverage, and wear items | Operation and maintenance manual, records, and applicable quotes |
| Other use costs | Operator labor, inspections, transport, and mobilization when relevant | Costs attributable to the selected boundary |
| End value and output | Expected net resale or trade-in value, productive hours, availability, and production | Comparable machine condition, age, hours, and market; intended workload |
Estimate productive hours, not just calendar time
Project hours for the same period used in the cost estimate. Productive operating hours should reflect expected work, not merely the hours a machine is available or assigned to a site. If a machine is expected to sit idle, that may reduce the denominator while fixed ownership expenses remain in the numerator. This is one reason utilization assumptions can materially affect cost per hour.

When estimating fuel, use productive hours multiplied by consumption per hour under the intended application and the expected delivered fuel price. Caterpillar recommends seeking consumption information informed by historical records or onboard technologies. Actual work, machine configuration, and operating conditions matter, so a published or quoted consumption figure should not be treated as a guaranteed result for every job.
Use machine records for maintenance and repair estimates
Use the operation and maintenance manual to identify scheduled service intervals and required maintenance inputs. Add likely parts and labor costs, and use the machine’s repair history when it is available. Include warranty coverage as an input to the estimate, but do not assume it eliminates all repair exposure; model the costs that remain applicable to the machine and ownership period.
Tenna’s guide also identifies operating hours, fuel consumption, maintenance schedules and costs, historical repair data, and transportation as useful inputs. Accurate records make the estimate more specific. A physical maintenance log can help capture service and repair information, while a fleet may already rely on telematics or management software.
Calculate TCO step by step
- Define the comparison. Name the machine, application, ownership period, projected productive hours, and alternative machines. Decide whether the estimate is for a project, year, planned holding period, or whole asset life.
- Enter acquisition and setup costs. Record the purchase price and any delivery or setup costs included in the boundary. List financing charges and applicable fees separately; do not add financed principal again as a financing expense.
- Add fixed ownership costs for the full period. Total insurance, taxes, storage, registration, and allocated overhead for the years covered. Use local and machine-specific quotes or records instead of generic percentages.
- Calculate fuel or energy. For each period, multiply projected productive hours by expected consumption per hour under the intended application, then multiply by the expected delivered price. Sum the periods in the estimate.
- Add scheduled service, repairs, and other use costs. Use the manual for service intervals and costs, and add reasonable parts, labor, repair, wear-item, operator, inspection, and mobilization costs when they belong in the comparison. Apply warranty assumptions to the costs actually covered.
- Estimate the net disposal value. Compare sale or trade-in information for machines with similar type, age, hours, condition, and market. Subtract the net amount expected at disposal from total costs. Treat a buy-back offer as conditional if it requires buying another machine from the same seller.
- Sum and normalize. Add the included costs, subtract residual value, and divide by projected productive operating hours. Keep the hour basis, time period, and included categories the same for each alternative.
- Test uncertain assumptions. Make low, expected, and high cases for uncertain utilization, fuel, repairs, and resale. Record the assumptions behind each case so the range is interpretable rather than a false-precision point estimate.

| Cost or value | Scenario amount |
|---|---|
| Purchase price | $100,000 |
| Financing charges | $15,000 |
| Insurance, tax, and storage over the holding period | $25,000 |
| Fuel, maintenance, and repairs | $170,000 |
| Expected resale value to subtract | −$30,000 |
| Total cost of ownership | $280,000 |
The scenario assumes 1,000 operating hours per year for eight years, or 8,000 hours. Dividing its $280,000 TCO by 8,000 hours gives $35 per operating hour. To use the structure for your own machine, replace each scenario amount and the hours with your own period-specific estimates. The example does not establish what a backhoe should cost to buy, operate, or resell.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Compare machines on cost and useful output
Cost per productive hour makes ownership-period estimates easier to compare, but it does not by itself establish which machine is the better choice. If capacity, production, availability, or downtime differ, consider expected output alongside hourly cost. A machine with a lower hourly estimate may produce less or be unavailable when needed.
Cat Financial identifies productivity, availability, utilization, operating costs, resale, and interest as factors affecting machine economics. It defines availability in terms of time operating versus time in service or repair. Cat Financial also states that, in its assessment, “A 1% improvement in productivity has over 5X the impact on total cost of ownership than a 1% change in purchase price.” That is Cat Financial’s company statement, not an independently verified universal relationship; the practical point is to assess useful production and uptime as well as acquisition price.

Tenna’s 2026-updated guide makes a general claim that purchase price represents 20–30% of machine TCO. That share is not corroborated by the official sources reviewed for this guide, and it will vary with machine type, operating conditions, holding period, and included costs. Treat it as Tenna’s general claim, not a default share to use in your calculation.

For each real option, compare purchase and financing costs; expected years and productive hours; fuel and maintenance assumptions; repair exposure and warranty; insurance, taxes, storage, and mobilization; expected disposal value; productivity and availability; cost per productive hour; and the range of outcomes under lower utilization or higher repairs. Keep the comparison on a common basis before treating a difference as meaningful.
Handle uncertainty without false precision
Fuel use, future repair needs, utilization, downtime, and resale value are estimates. Show assumptions next to the figures they support. A precise-looking hourly rate is not more reliable than its inputs, particularly when a small change in productive hours or end value materially shifts the result.
Build low, expected, and high cases
Vary uncertain inputs rather than changing the accounting boundary. A lower-utilization case can use fewer productive hours while retaining fixed ownership costs over the same holding period. A higher-repair case can reflect greater expected repair expense. A resale range can reflect different net end values supported by relevant market comparisons. Fuel scenarios can use plausible delivered prices and consumption assumptions for the application. The result is a range of hourly costs that helps show which assumptions drive the decision.
Do not mix a low-cost fuel assumption for one machine with a high-cost repair assumption for another unless that is a deliberate scenario. For a fair machine comparison, apply comparable conditions and disclose genuine differences in operation, expected output, service history, or warranty.
Check for double counting and mismatched bases
- Do not count purchase principal both as the acquisition price and again inside total loan payments; include financing charges without duplicating principal.
- Do not subtract resale value and also count the same purchase-to-resale value loss as a separate depreciation expense in the economic TCO.
- Do not include the same expense in both a broad category and a detailed line item. Define categories once and assign each cost to one place.
- Do not compare one option over its planned holding period with another option over a different period or on a different hour basis.
- Do not confuse productive hours with hours merely available; downtime and idle time can affect both the numerator and the denominator in different ways.
- Do not treat a conditional buy-back as guaranteed net resale proceeds if it depends on making another purchase.
Choose a calculation method that fits the fleet
A spreadsheet can be sufficient for a single machine when the owner can assemble quotes, manual-based maintenance inputs, usage records, and an end-value estimate. A consistent worksheet also makes it easier to document assumptions and run scenarios. Larger fleets may use telematics or fleet-management reporting to organize operating hours, fuel use, repairs, and maintenance, but software is not a substitute for choosing a sound cost boundary or validating inputs.
Caterpillar publishes a life-cycle-cost approach and a Cat total-cost calculator resource. GEHL describes a TCO calculator covering depreciation, fuel, maintenance and repairs, tracks or tires, and finance-related costs; John Deere offers a TCO estimate for its construction equipment. These are manufacturer tools and should be treated as brand-specific estimates, not neutral market benchmarks. Tenna’s guide explains the calculation and its software offers fleet reporting; using a paid fleet platform is not required to perform the calculation.
