An operations-ready asset register is not a spreadsheet export of every BIM object. It is a controlled, validated record of the maintainable equipment and spaces an owner will operate, linked to the documents, systems, responsibilities and evidence needed after handover. Build it by defining operational decisions first, turning those decisions into Asset Information Requirements (AIR) and Exchange Information Requirements (EIR), extracting only in-scope assets, validating attributes and as-constructed conditions, then transferring the accepted dataset into the Asset Information Model (AIM) and the facilities team’s CAFM or asset-management system.

What an operations-ready asset register contains

A useful register lets a facilities or maintenance user answer practical questions without returning to the design team: What equipment is in this room? Which system does it serve? What is its manufacturer and model? When does its warranty expire? Where is the manual? What inspection or service interval applies? Which replacement decision is due next, and what evidence supports the record?

ISO 19650 frames information management as a repeatable process whose outcome is an Asset Information Model that is structured, secure, accessible and fit for purpose. The register is one operational dataset within that information environment. It must therefore have an agreed scope, ownership, acceptance criteria, revision history and a route into day-to-day workflows.

COBie can organize much of the required handover information. The National Institute of Building Sciences (NIBS) describes COBie as a standardized method for delivering the data needed to maintain a facility digitally, including space, product and equipment schedules and as-built, operation-and-maintenance and commissioning information. COBie is a delivery method and structure, not proof that a receiving CAFM or AMS can consume every field without mapping.

Define the operational decisions before exporting anything

Begin with a workshop involving the owner, facilities manager, maintenance contractor, health-and-safety representative, commissioning lead and information manager. List the decisions the register must support, then specify the minimum information needed for each one. This prevents a model-centric export that is large but operationally irrelevant.

Map use cases to information

Operational use case Information normally required Acceptance evidence
Planned preventive maintenance Asset identifier, class, location, system, service interval, task type, criticality, manufacturer and model Approved maintenance schedule, manufacturer manual or contract requirement
Reactive work orders Searchable name and tag, exact location, system relationship, access notes, isolation or safety attributes Operator test finding the asset by room, system and identifier
Warranty claims Installation and commissioning dates, warranty start and end, supplier, serial number and warranty document Linked certificate or contract record with dates checked
Compliance and inspections Regulated asset class, inspection frequency, responsible party, certificate and test result links Current certificate, commissioning record or statutory inspection evidence
Spares and repairs Manufacturer, model, serial number, replaceable components, spare-part references and supplier Parts list or O&M manual linked to the correct asset type
Replacement planning Install date, expected life, condition, capacity, energy or performance attributes, criticality and replacement cost data where required by the AIR Approved asset strategy or condition survey
Disposal and change control Status, removal date, replacement identifier, hazardous-material information and change history Approved disposal or project change record

UK BIM Framework guidance distinguishes Organizational Information Requirements (OIR), Project Information Requirements (PIR), Asset Information Requirements (AIR), Supplier Information Requirements (SIR) and EIR. AIR is the key requirement for operation and maintenance. Use the EIR to state how suppliers will deliver the information, in which structure, at which milestones and with what approvals.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Set the asset boundary: maintainable items, not every BIM object

Write an explicit inclusion rule: an asset enters the register when the owner will inspect, maintain, operate, test, replace, warrant or dispose of it through an operational system. This usually includes plant, pumps, fans, air-handling units, boilers, chillers, distribution boards, generators, fire-alarm panels, lifts, sanitary equipment, controls, specialist systems and maintainable fabric elements. It may exclude temporary works, construction aids, repeated fasteners, generic model components and purely graphical objects.

Use the owner’s asset hierarchy rather than the authoring model’s category tree. A practical hierarchy is site, building, level, room or zone, system, assembly, asset type and individual asset. Decide whether meters, valves, sensors and replaceable components are individual assets or attributes of a parent assembly. Record that decision in the AIR so two suppliers do not model the same equipment at different levels.

Define location and relationship rules

  • Give each asset a stable location code that matches the room, zone or plant-area naming convention used by operations.
  • Relate equipment to the system or assembly it serves; a pump without its water system relationship is difficult to maintain.
  • Record parent-child relationships for packaged plant, control panels, sensors and replaceable components when the maintenance workflow depends on them.
  • State whether a spatial container is a room, zone, floor, building or site, and use one controlled vocabulary.
  • Keep the source-model object identifier and revision as provenance even when the operational identifier is different.

Write a data dictionary and acceptance rules

The data dictionary is the contract behind the register. For every asset class, define the field name, definition, data type, allowed values, unit, cardinality, source, responsible party and acceptance test. Mark every field as required, conditional or optional. A blank required field is a defect; a blank conditional field is acceptable only when the stated condition does not apply.

Core fields to consider

Group Typical fields Rule examples
Identity Operational asset ID, source GUID, asset name, asset class, classification code, status ID must be unique, immutable after acceptance and formatted according to the owner’s convention
Location and relationships Site, building, level, room or zone, system, parent asset, served area Location and system codes must exist in controlled reference lists
Technical identity Type, manufacturer, model, serial number or tag, capacity, duty, voltage, dimensions where operationally relevant Units and precision are fixed by class; serial numbers are not inferred from type names
Dates and lifecycle Installation, commissioning, warranty start and end, expected life, replacement or removal date Date format and timezone are specified; warranty dates are supported by a document or contract record
Maintenance Service interval, task class, criticality, maintainability notes, responsible contractor Intervals use an approved unit such as days, weeks or months and map to a maintenance template
Safety and compliance Isolation point, hazardous substance, statutory regime, inspection frequency, emergency information Controlled values and linked certificates are required where the asset is regulated
Documents and media O&M manual, datasheet, drawing, certificate, commissioning record, photograph, warranty Links resolve, point to the accepted revision and use a stable repository permission model
Provenance Authoring model, model revision, author, approval status, extraction date, change history Every record can be traced to an accepted source and subsequent operational change

Do not silently populate unknown values with plausible defaults. Use an explicit status such as “not provided”, “not applicable” or “to be confirmed” only when the data dictionary defines it, and assign the correction to a named party with a due date.

Assign responsibilities and stage the information drops

Name who creates, coordinates, checks, reviews, approves, accepts and transfers each field and document. The designer may create a type attribute, the installer may provide a serial number, the commissioning specialist may provide test results, and the owner’s information manager may accept the record. A RACI-style responsibility matrix in the EIR prevents a final-handover argument over who owns missing data.

Use staged drops rather than waiting for one final spreadsheet. NIBS identifies conceptual design, design development, construction documentation and in-use intervals as useful milestones, and notes that interim deliverables help build the information required for a successful handover. Set a sample size and acceptance gate for each drop: for example, test all required fields for a representative set of asset classes at design development, then expand coverage as procurement, installation and commissioning data become available.

Suggested milestone content

  • Concept and brief: asset classes, systems, naming and location conventions, intended operational uses and initial AIR.
  • Design development: type-level specifications, classification, planned maintenance attributes and document requirements.
  • Construction documentation: coordinated locations, system relationships, procurement requirements and tag strategy.
  • Installation and commissioning: individual serials, as-installed locations, test results, warranties, certificates and final manuals.
  • In use: accepted AIM records, CAFM mapping, operational changes, inspections, replacements and lessons that update the AIR.

Extract and normalize BIM data without losing provenance

  1. Freeze the source scope. Identify the model files, revisions, federated-model status and approval state that are authoritative for the drop. Record authoring tool and export date.
  2. Select maintainable objects. Apply the inclusion rules and exclude objects that have no operational use. Keep a rejected-object log so scope decisions are auditable.
  3. Preserve stable identifiers. Carry the source GUID or equivalent through every transformation and assign the operational asset ID once. Never regenerate IDs merely because a spreadsheet was re-sorted.
  4. Normalize names and classifications. Map synonyms to the owner’s approved asset classes, classification system, room codes and system names. Keep the original value in provenance where useful.
  5. Normalize units and precision. Convert temperature, pressure, flow, power, voltage, dimensions and capacity to the units specified in the data dictionary. Record the conversion rule and detect impossible or out-of-range values.
  6. Merge non-model data. Join procurement, installation, commissioning, warranty and O&M information using stable keys. Do not match records by a similar description alone.
  7. Flag gaps for resolution. Create a defect with the responsible party, requirement reference, severity and due date for every missing or contradictory value.

Manual spreadsheet editing can be useful for small corrections, but repeated manual copying makes provenance and repeatability weak. Automated exports or scripted transformations are preferable for recurring drops because they can apply the same mappings, preserve identifiers and rerun validation. Keep the transformation map under version control and retain the source and output files for audit.

Choose COBie or another exchange structure deliberately

COBie is often a strong default when its tables and fields meet the AIR and the receiving platform has a tested import. NIBS provides spreadsheet and JSON delivery templates. COBie v2.26 was published in NBIMS-US V2 in 2012; COBie v3 was published in NBIMS-US V4 in 2023. NIBS also records 13 COBie Challenge and Case Study events between 2008 and 2014, reflecting the effort to test practical exchanges.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not select a schema by name alone. Define the required mapping and acceptance behavior in the EIR.

Decision axis COBie Another agreed schema
Required-field coverage Strong where the AIR aligns with COBie tables and fields May represent owner-specific fields more directly
Mapping effort Lower when authoring exports and CAFM imports already support the same structure Can be higher if custom transformations are needed
Receiving-system compatibility Depends on the CAFM or AMS importer and its supported COBie version Depends on the target platform’s native API or import specification
Validation tooling Established spreadsheet and JSON validation approaches are available May require bespoke schema and business-rule checks
Versioning State the exact COBie version and extension rules State schema version, profile and change policy in the EIR
Document links Requires agreed paths, permissions and link-resolution tests Can be tailored, but still needs stable repository references and access rules
Long-term maintainability Benefits from a recognized structure, provided local extensions are controlled Can fit the AIM closely, but ownership of the schema and future migrations must be clear

Scottish Futures Trust notes that another schema may be used when COBie does not meet the AIM or receiving system, but the choice must be defined in the EIR. A valid exchange is therefore the one that satisfies the AIR and imports reliably, not automatically the one with the most familiar label.

Validate attributes, relationships and the as-constructed condition

Validation has two separate dimensions: data correctness and physical truth. A perfectly formatted file can still describe equipment that was relocated, substituted or never installed.

Run machine checks

  • Required-field completeness by asset class and milestone.
  • Duplicate operational IDs, tags, serial numbers and source identifiers.
  • Invalid classifications, status values, units, date formats and enumerations.
  • Broken links between assets, systems, locations, types, documents and parent records.
  • Impossible values such as negative capacities, warranty end dates before installation, or service intervals with no approved unit.
  • Orphaned documents, inaccessible URLs or files that point to superseded revisions.
  • Inconsistent room, level, building and system names across models and schedules.
  • Records present in one source but absent from the accepted exchange.

Check the built condition

Reconcile the register to the as-constructed model, installation records and commissioning results. Scottish Futures Trust says the as-constructed model should be checked for completeness and accuracy and suggests laser-scan surveys and point clouds as evidence where appropriate. A laser scan is most useful when site access, required accuracy and the acceptance decision are defined in advance; point-cloud processing effort and coverage should be weighed against the risk of relying on unverified geometry.

For each sampled asset, verify the tag, physical location, serving system, orientation or connection where relevant, installed manufacturer and model, and the presence of required labels. Record discrepancies as defects rather than editing the register to match an assumption. Retest corrected records and retain the original finding, correction and approval.

Have operations users test real workflows

Facilities staff should test the register before acceptance, using representative assets from each critical class. A review is successful only when a user can complete the same task they will perform after handover.

  1. Search for an asset by room or plant area and confirm the result is unique.
  2. Search by system and verify that parent, child and served-area relationships are usable.
  3. Open the manual, drawing, certificate and commissioning record from the asset record; confirm permissions and revision status.
  4. Confirm installation, commissioning and warranty dates against the source document.
  5. Create a sample maintenance task using the service interval, criticality and responsible party.
  6. Trace the record back to the accepted model revision, extraction and approval history.
  7. Log each failure against the relevant AIR or EIR requirement, correct it, and repeat the test.

Include both common and difficult cases: duplicate-looking equipment, a packaged plant item with child components, an asset whose serial number was captured after installation, a room renamed during construction, and a document held in a restricted repository. These expose workflow defects that a simple row-count check will miss.

Transfer the accepted register into the AIM and CAFM or AMS

At acceptance, transfer the approved dataset from the Project Information Model (PIM) into the AIM, then map it into the CAFM or Asset Management System. Scottish Futures Trust describes this PIM-to-AIM transfer and the associated CAFM or AMS platforms as a normal part of a BIM strategy.

Prepare the import

  • Confirm the target platform’s supported COBie version or other schema profile.
  • Map every operational asset ID, type, location, system, document and maintenance field to a target field.
  • Decide how the platform handles one-to-many documents, parent-child assets, historical revisions and retired records.
  • Load a controlled pilot, compare record counts and relationships, and test document access before the full import.
  • Capture the import batch, source revision, mapping version, approver and rollback method.

Preserve identifiers, approval state, document links and change history. If the CAFM creates its own internal key, store the operational asset ID as the stable cross-system identifier. Do not overwrite accepted records with a later model export unless the change has passed the same approval and impact checks.

Maintain the register after handover

Handover is the start of operational information management. Inspections, work orders, replacements, refurbishments, incidents and other trigger events create controlled changes. Define who may edit each field, which changes require approval, and how the AIM and CAFM remain synchronized.

Use a change workflow

  1. Record the trigger, affected asset ID and reason for change.
  2. Capture the new value and supporting evidence, such as a work order, inspection certificate, photograph or supplier document.
  3. Check dependent relationships, maintenance plans, warranties and safety information.
  4. Review and approve the change under the owner’s information-management procedure.
  5. Update the AIM and operational system, preserving the previous value and effective date.
  6. Run targeted validation and notify affected users or contractors.

Review the AIR and data dictionary periodically. Operational needs change: a previously optional field may become necessary for a new compliance regime, energy program or replacement strategy.

Measure whether the register is actually usable

No authoritative source establishes a universal percentage improvement, cost saving or accuracy rate for BIM-derived asset registers. Set project-specific measures instead, and report the denominator and test conditions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Measure How to calculate or test Why it matters
Required-field pass rate Accepted required fields divided by required fields tested, by asset class and milestone Shows whether the AIR is being met rather than merely counting rows
Duplicate rate Duplicate operational IDs, tags or serials divided by records tested Reveals whether work orders and history can be attached to one asset
Relationship integrity Valid location, system, type and parent links divided by links tested Measures whether the hierarchy supports navigation and maintenance
Document-link success Working, authorized links divided by links sampled Tests whether evidence is available to the people who need it
Operator retrieval time Time for a defined user to find an asset and open its required documents Tests practical usability instead of file-format compliance
Accepted-versus-rejected records Records accepted on first submission and after correction Shows the cost and recurrence of data defects
As-constructed variance Verified assets matching installed location, identity and specification divided by assets surveyed Separates physical accuracy from attribute completeness

Common failure modes and recovery actions

The export contains every object

Symptom: thousands of geometric objects, few maintenance records and no clear owner for the extras. Recovery: apply the maintainable-asset boundary, document exclusions and reissue the exchange using operational classes.

Fields are filled with guesses

Symptom: plausible but unsupported serial numbers, dates or capacities. Recovery: mark the value as missing or not applicable according to the dictionary, assign the responsible party and require documentary evidence.

COBie imports but does not work

Symptom: rows load, but locations, documents, maintenance templates or system relationships are unusable. Recovery: test the target importer with a pilot, state the exact COBie version and extensions, revise the mapping and repeat operator tests.

Records are accurate in the model but wrong on site

Symptom: relocated equipment, substituted products or missing labels are discovered during maintenance. Recovery: reconcile installation and commissioning evidence, use a targeted survey or point cloud where justified, update the as-constructed source and retain the discrepancy history.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Identifiers change between drops

Symptom: duplicate assets and broken work-order history after each export. Recovery: designate an immutable operational ID, retain source GUIDs, maintain a crosswalk and reject transformations that regenerate accepted identifiers.

Documents cannot be opened after handover

Symptom: links point to local paths, superseded files or repositories that operations staff cannot access. Recovery: move documents to an approved repository, use stable references, test permissions with an operator account and record the accepted revision.

Practical acceptance checklist

  • Operational use cases and decision owners are documented.
  • AIR, EIR, naming conventions, classification and data dictionary are approved.
  • Maintainable-asset scope and parent-child rules are explicit.
  • Every required field has an owner, allowed values and an acceptance test.
  • Milestone drops have been checked before final handover.
  • Source revision, authoring tool, extraction date and approval state are retained.
  • Identifiers, locations, systems, types, documents and dates pass validation.
  • As-constructed information has been reconciled with installation and commissioning evidence.
  • Facilities users have completed representative search, document, warranty and maintenance tests.
  • The accepted dataset has been transferred from PIM to AIM and mapped into the CAFM or AMS.
  • Change control, audit history and future AIR reviews are assigned to named roles.

The result is an asset register that can be searched, trusted and maintained because it was designed around operational decisions, not extracted as an accidental by-product of modelling. COBie, another exchange schema, automated export and survey evidence are means to meet the AIR; acceptance belongs to the owner and the people who will operate the facility.
