Start by deciding who the portfolio is for and what it must prove. A job-search portfolio should make relevant skills and your individual contribution easy to see; an NCARB licensure portfolio or an AIA award submission must follow its own eligibility and evidence rules. Select work for that purpose, explain the decisions behind it, and verify permissions and submission requirements before sharing.
Choose the portfolio’s purpose before selecting projects
An architectural portfolio is a curated record, not a complete archive of everything you have worked on. Its audience determines what belongs in it and what evidence the reader needs. A hiring manager may need to understand your design judgment, technical skills, and role on a team. A licensure reviewer needs evidence tied to defined experience requirements. An award jury evaluates a project against that award’s submission criteria.

These uses overlap, but they are not interchangeable. Neither NCARB nor AIA sets one universal format for an employment portfolio. Before choosing work or designing pages, identify the destination and check its current rules. Eligibility, accepted evidence, file requirements, and award criteria can change; verify the official guidance for your jurisdiction and submission year.

- Employment: Make it easy for the intended employer to assess capabilities relevant to the position. There is no universal project count or page limit established by the cited official guidance.
- NCARB Architectural Experience Program (AXP) Portfolio: This is a formal experience-documentation route for eligible candidates, with task-by-task exhibits and review requirements.
- NCARB Certificate Portfolio: This is a separate formal route with its own applicant guide, exhibit expectations, PDF uploads, and annotations.
- AIA national project-based awards: The project portfolio document has specific limits, image-release requirements, and client-authorization requirements.
If you are building a career portfolio, use formal frameworks as prompts for documenting the breadth of your practice, not as mandatory hiring-portfolio templates. If the portfolio is for a formal route, follow that route’s rules rather than adapting a general job-search layout.

Inventory your work, then shortlist for relevance
Begin with a private inventory, not a page layout. Include academic, professional, community, and personal projects where they genuinely demonstrate relevant work. Record enough information to distinguish what the project was from what you did on it. This prevents a polished image or a prominent project title from obscuring gaps in your evidence.
Build a project record
For each possible project, note its date, type, phase, team, your actual role, constraints, key decisions, deliverables, outcome or learning, and permission status. Include only information you can accurately support. A role such as “designer” or “project architect” is not a substitute for explaining your responsibilities on a shared project.
Compare candidates against the intended reader
When two or more projects could fit, assess them against the same criteria. Consider how directly each relates to the opportunity or submission, what type and scale it represents, which phase it covers, and what complexity or constraints shaped the work. Then ask what you personally contributed, what evidence is available, what the result or learning was, and whether you have permission to share the material.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsA strong selection is not necessarily a collection of the largest or most photogenic projects. It is a set of projects whose evidence makes the relevant capabilities legible. If a project is visually impressive but your role is difficult to distinguish, add clear, accurate context or choose a project that better demonstrates your contribution. Do not imply that a team result was solely yours.
Use breadth as a check, not a quota
For career development, NCARB’s six AXP experience areas can help you notice whether your practice history is concentrated in one part of the building process. They range from practice management and project management to design, documentation, construction, and evaluation. That framework can expose a gap in the story you are telling, but its hour requirements are licensure requirements—not a recommended number or mix of portfolio projects.

Explain each project so the reader can follow your contribution
A finished building image or a sheet of drawings does not by itself explain the work. Give each project a short narrative that connects the brief and constraints to your decisions, your actions, and the outcome. The reader should be able to tell what problem the work addressed, what you did, why you made key choices, and what the evidence demonstrates.
Use a consistent project sequence
A useful project entry usually moves from context to contribution and then to proof. Adapt the order to the project, but keep the labels and caption style consistent across the portfolio.
Recommended Free Tools
- Context: Identify the project type, date or phase, and the brief or need it addressed. Include only context that helps interpret the work.
- Constraints: Name the design, technical, site, program, or coordination challenge that materially affected the work. Avoid presenting an ordinary project fact as a challenge if it did not shape your decisions.
- Your role: State your specific responsibilities and actions. For team work, distinguish your contribution from the team’s overall work.
- Decisions and process: Explain the reasoning behind relevant design or technical choices, and show process evidence where it clarifies how the proposal developed.
- Result and learning: Describe the outcome you can substantiate and, where useful, what the experience taught you or how it changed your approach.
- Evidence: Label drawings, diagrams, images, or documents so the reader understands what each one shows and how it relates to the narrative.
Keep the account proportionate: enough detail to make the work understandable, not a transcript of every meeting or design iteration. A caption should help the reader interpret a piece of evidence, not merely repeat its title. A drawing label identifies a drawing; an explanation of your action, reasoning, challenge, and lesson makes the drawing more informative.
Be precise about team work and recreated material
NCARB’s Certificate Portfolio guidance specifically asks applicants to explain how an exhibit demonstrates competency, what they learned, and what their role was. It emphasizes the story of involvement, decisions, and challenges. A title alone does not establish responsibility; describe what you personally did. If a document is recreated, identify it as recreated, as the guide requires.
Those expectations are especially important in formal review, but they are also useful for employment readers. Use first-person descriptions when they clarify your contribution—for example, distinguish a drawing you developed from a package coordinated by a wider team. Credit collaborators where appropriate, and do not claim responsibility for work you did not perform.

Choose evidence that demonstrates the work
Evidence should support the claims in the project narrative. Depending on the project and destination, it may include drawings, diagrams, process studies, models, photographs, certificates, or other project records. Select evidence for what it proves and how clearly it can be read, not simply because it looks attractive.
- Drawings and documents can demonstrate design development, coordination, or technical work when the relevant content is legible and properly contextualized.
- Diagrams and process studies can clarify a decision or show how the work responded to constraints.
- Photographs and renderings can communicate the finished or proposed work, but they do not establish your individual role on their own.
- Certificates and other records may be suitable exhibits in a formal AXP Portfolio when they support the assigned task and meet the route’s requirements.
Do not assume a visual can carry the whole explanation. Pair it with a caption or annotation that identifies what it is, what part of the work it supports, and—where relevant—what you personally contributed. For formal submissions, follow the specific evidence and annotation rules rather than treating this list as an approved or exhaustive set.
Protect permissions, credits, and confidential information
Before including a project, check whether you are allowed to share its images and documents in the intended setting. Review client agreements, employer policies, confidentiality obligations, and any restrictions on project information. Confirm the appropriate credit and authorization for materials created by others. Permission to work on a project does not automatically establish permission to publish every image or document from it.
AIA’s national project-based award process expressly requires client authorization and an image release associated with each image. Those are requirements for the relevant award submissions; they should not be misrepresented as universal rules for every career portfolio. For other uses, the applicable agreements and permissions determine what may be shared.
If permission is unclear, do not treat omission of a credit or a change in page design as a substitute for authorization. Resolve the issue before publishing or submitting the material. Keep a record of the permission status in your project inventory so that a late-stage export does not turn into a last-minute rights decision.

Keep the three formal routes distinct
NCARB AXP Portfolio
The AXP Portfolio is an online option for eligible, unlicensed individuals with at least two years of qualifying experience older than five years, a current qualifying architect supervisor, and experience gained after high school. NCARB describes it as an option for candidates who cannot complete AXP through hourly reporting. Candidates still need to meet their jurisdiction’s education requirement and complete the Architect Registration Examination (ARE); eligibility and jurisdiction requirements should be checked against current official guidance.
The route requires evidence for all 96 tasks. Candidates assign exhibits to tasks, and a supervisor reviews them before NCARB’s final review. NCARB says an exhibit must demonstrate experience and competency for its assigned task; possible exhibit formats include PDFs, drawing images, certificates, and similar records. The hourly-reporting method and portfolio method cannot be combined to complete the experience requirement.
NCARB’s instruction is route-specific: “To complete your AXP Portfolio, you will need to upload and assign at least one exhibit per task that demonstrates your experience and competency in that area.” This is not a requirement for an ordinary job-search portfolio.
NCARB Certificate Portfolio
The Certificate Portfolio is separate from the AXP Portfolio. Its applicant guide requires PDF uploads and annotations, and asks applicants to explain how each exhibit demonstrates competency, what they learned, and their role. It also expects exhibits to communicate involvement, decisions, and challenges. Applicants working on team projects should identify their personal responsibilities rather than relying on a job title; recreated documents must be identified as recreated.
Do not assume that being eligible for one NCARB route makes you eligible for the other. Consult the applicable applicant guide and follow its current instructions for the route you are pursuing.

AIA national project-based awards
For the relevant AIA national project-based award submissions, the project portfolio document must be a single PDF no larger than 20 MB, with no more than 15 images and 20 pages. All visual content counts toward the image limit. Images should be labeled consistently, each image needs an associated image release, and client authorization is required.
These limits are specific to that award submission. They are not general recommendations for employment portfolios or other award programs. Check the current award instructions for the particular submission before preparing the final document.
Understand what AXP hours measure—and what they do not
NCARB’s current Experience Requirements guidance, accessed in 2026, sets 3,740 total AXP hours across six areas. The hours describe the experience requirement; they are not a target for portfolio page count, project count, or the size of a career portfolio.
| AXP experience area | Hours |
|---|---|
| Practice Management | 160 |
| Project Management | 360 |
| Programming & Analysis | 260 |
| Project Planning & Design | 1,080 |
| Project Development & Documentation | 1,520 |
| Construction & Evaluation | 360 |
| Total | 3,740 |
NCARB says these areas align with ARE divisions, while each jurisdiction sets its own initial-licensure requirements. If you are documenting experience for licensure, use the current NCARB and jurisdiction guidance to determine what qualifies; a project narrative prepared for a job application does not replace formal experience reporting or an eligible portfolio route.
Assemble, review, and export the final portfolio
Once you know the destination and have shortlisted work, assemble the portfolio around the evidence rather than forcing every project into an identical visual formula. Consistency helps readers navigate, while the evidence and story should remain specific to each project.
- Set the brief for the document. Write down the intended reader, purpose, applicable rules, and the capabilities or experience you need to demonstrate.
- Choose projects and confirm their status. Use your inventory to select relevant work; check permissions, confidentiality, credits, and any route-specific eligibility before building pages.
- Draft project narratives and captions. Explain context, constraints, your role, decisions, evidence, and the outcome or learning. Keep contribution claims accurate.
- Arrange evidence in a readable sequence. Make the relationship between text and visuals clear. Use headings and captions consistently, and avoid shrinking important drawings or annotations until they are difficult to read.
- Check formal compliance. For an NCARB or AIA route, compare the completed document and exhibits with the current applicable instructions, including required task assignments, annotations, image limits, releases, file size, and page limits where relevant.
- Export and inspect the actual file. Open the exported PDF and review every page at a useful viewing size. Confirm that text and drawings are legible, pages appear in the intended order, and the file meets the destination’s requirements.
PDF annotation and layout software can help with the practical work of preparing annotated exhibits and a final PDF, but the software does not determine whether an exhibit proves a competency, whether you have permission to publish it, or whether the submission meets the relevant rules.
Quick Recap
Common portfolio problems to catch before sharing
- A portfolio with no defined audience: Revisit the purpose and remove work that does not help that reader assess the relevant experience.
- Strong images but unclear authorship: Add a precise account of your responsibilities and actions instead of relying on a project title or team credit.
- Drawings without interpretation: Add captions or annotations that connect the evidence to a decision, challenge, task, or competency.
- Unverified rights or confidentiality: Confirm authorization and restrictions before sharing; remove material that cannot be cleared for the intended use.
- A general portfolio mistaken for a formal submission: Rework the document against the exact current route or award rules. A general portfolio’s design conventions do not override formal requirements.
- A final file that has not been checked: Inspect the exported PDF rather than assuming the layout file will render correctly or remain within submission limits.
