What a reliable receipt workflow needs to preserve
A construction receipt is more than a merchant, date, and total. It may be evidence of a material delivery, a purchase for a specific task, or a charge that must be split across job-cost categories. If the workflow stores only the total and a generic expense category, project managers and accounting staff may lose the context needed to validate or allocate the cost.

Keep the original receipt image associated with the expense record, along with the card transaction and approval history when those apply. Capture the details your cost process actually uses:

- Project or job and the applicable cost code or phase, selected from the company’s active coding structure.
- Expense category or GL account, plus equipment or task coding if the organization uses those dimensions.
- Delivery-ticket number and material context when the document relates to a delivery.
- Item-level amounts when a single receipt contains costs that need different job or cost-code allocations.
- A short memo for the purpose of the purchase or an unusual circumstance that a reviewer would not infer from the image.
These are workflow controls, not a claim that every app captures every field automatically. Confirm which fields are supported, which require user entry, and whether attachments and coding dimensions survive transfer to your accounting or ERP system.

How to automate capture and coding without losing context
1. Capture the receipt when the purchase or delivery happens
Have the person making the purchase or receiving materials submit the receipt through the mobile workflow as close to the event as practical. For material receipts, capture the vendor, date, project, and any available delivery-ticket or task details. A field workflow such as Smart Construction Field instructs users to select a vendor and cost code before imaging, with task selection optional; its instructions also allow a delivery-ticket number when present. This is a material-receipt flow, not evidence of a complete AP or expense-accounting system. Smart Construction Field’s material-receipt instructions
Make the point of capture clear for both purchases and deliveries: the person closest to the transaction is best placed to identify its job, task, or material context. If the document is a delivery ticket rather than a conventional itemized receipt, preserve its identifying number and the context the field user can provide. Do not expect accounting staff to infer those details later from a transaction total.
2. Use OCR for basic transaction data, then correct it
Optical character recognition can prefill fields it can read, but treat those values as a starting point. Microsoft’s expense documentation describes extraction of merchant, date, and total, as well as creating an expense from a receipt or matching a receipt to an existing expense. Its mobile instructions require users to supply or correct fields when extraction is incomplete or wrong. Microsoft Dynamics 365 expense receipt OCR documentation and Microsoft’s mobile expense-management instructions
Do not assume that reading a merchant, date, and total means the app has identified the right job, phase, equipment, task, or GL account. Those construction dimensions need to be selected, validated, or supplied by rules that are based on the organization’s coding setup.
Build correction into the workflow rather than treating it as an exceptional workaround. A worker should be able to inspect the receipt image, replace a misread value, and supply anything OCR did not fill. If the total is missing, the tax is ambiguous, or the image cannot be read, the record should remain reviewable instead of being posted as if the extracted data were certain.
3. Assign construction coding at the point of entry
Require the employee to choose the project or job and cost code for direct job costs, or apply a validated default that the employee visibly confirms. Add expense category or GL account, equipment, task, and item-level allocations where they are part of the company’s job-cost process. Keep the list of available jobs and codes relevant to the user when the software supports it; this can help reduce selection errors, though such benefits are vendor-described rather than independently measured here.

Construction-focused descriptions illustrate why coding must be checked separately from OCR. Smart Construction Field’s documented flow asks the user for vendor and cost code, with task optional. Field Materials describes optional job and cost-code tagging and automated coding, followed by ERP posting after approval. Those are product descriptions; verify how each field is actually populated and retained in the configuration you would use. Field Materials
Before configuring defaults, compare them with the company’s active coding structure. A default is useful only if it is appropriate for that employee and transaction, and the user can see and confirm it. Likewise, a filtered list can reduce irrelevant choices but does not prove the selected code is correct. Decide which dimensions are mandatory for each transaction type so that direct job costs are not silently left as generic overhead or an unallocated expense.
4. Match the image to the transaction and correct exceptions
Where card transactions are available, match the receipt image to the corresponding expense rather than creating an unrelated duplicate. Microsoft documents both matching a receipt with an expense and creating an expense from a receipt. Provide a clear correction path for unreadable images, missing totals, uncertain tax, duplicate captures, and unmatched card activity.
Route incomplete, low-confidence, unmatched, or unusual entries to an approver or accounting reviewer. The reviewer should be able to see the image, coding, field memo, transaction association, and approval record together. Keep automatic posting limited to records that meet explicit completeness and validation rules.
Set exception conditions before rollout. Examples include a missing job or cost code, a receipt with multiple items that need different allocations, a duplicate image, or an unusually large amount. A queue is only useful if it shows the source evidence and entered context together; otherwise reviewers may have to ask the field worker to reconstruct the purchase from memory.
5. Retain evidence through approval and accounting transfer
Keep the full receipt attached to the approved expense and preserve the relationship among the image, expense line, card transaction, and approval. Then transfer the approved, coded record to accounting or the ERP workflow. Field Materials describes ERP posting after approval, but the specific supported connections and preservation of attachments and dimensions need to be verified for the intended setup.

Test what downstream users actually receive. A record can appear to transfer successfully while the receipt image, job dimension, cost code, or approval history remains elsewhere or is omitted. Confirm which system is the source of truth for the image and how reviewers can retrieve it later.
How much of the process can software handle?
The clearest automation boundary is between reading transaction facts and deciding construction allocation. OCR can extract legible fields; rules can apply validated defaults; card matching can connect records. But the record still needs credible job and cost-code data, useful field context, and an exception path.
| Workflow stage | What may be automated | What still needs control |
|---|---|---|
| Receipt capture | Mobile image upload or receipt attachment, depending on the app. | Worker must submit the right document and retain delivery or task context that the image alone may not explain. |
| Basic extraction | OCR may prefill merchant, date, and total in documented configurations. | Check misread, missing, or ambiguous values against the image. |
| Construction coding | Configured defaults or product-described automated coding may help populate fields. | Validate job, phase or cost code, category, equipment, task, and item allocation against company rules. |
| Transaction matching | Receipt-to-expense matching is documented in Microsoft’s expense workflow. | Resolve unmatched, duplicate, or incorrectly matched entries. |
| Approval and posting | Approval routing and ERP posting are described by some vendors. | Confirm reviewer visibility, integration behavior, and retention of attachments and coding dimensions. |
No independent, named statistic establishes construction receipt OCR accuracy, coding-error reduction, or time saved. Field Materials advertises “90% less time chasing paperwork and coding expenses” and “3x faster to close the month,” but the cited page does not provide methodology sufficient to treat those figures as general outcomes. Product workflows documented for receipt capture
These examples describe documented capabilities, not a performance ranking. Their scope differs: some concern general expense management, while others address project or material expenses. Confirm current features, configuration, regional availability, mobile requirements, subscription terms, and accounting connections before choosing a workflow.
| Product or workflow | Documented receipt and coding behavior | Scope and qualification |
|---|---|---|
| Microsoft Dynamics 365 expense management | OCR documentation describes merchant, date, and total extraction; the expense workflow supports receipt matching or creating an expense from a receipt. Mobile instructions call for category selection and correction of incomplete or incorrect fields. | The cited OCR feature requires the relevant add-in and is geographically limited. The documentation lists partial EU support, English-only there, and no support for Asia, Japan, and Africa. Confirm current availability and deployment configuration. OCR details; mobile instructions |
| Smart Construction Field | Instructions describe OCR-assisted material receipt capture, with user-selected vendor and cost code, optional task selection, and delivery-ticket number extraction when present. | This is a material-receipt workflow; the cited instructions do not establish a complete AP or expense-accounting system. Instructions |
| Deltek Costpoint Mobile Time & Expense | Users can capture or choose an image and attach it to an expense report. When ICR is enabled and configured, the app scans the image and maps captured data to an outstanding expense. | ICR must be enabled and configured; the cited documentation does not establish construction-specific job-cost automation. Deltek mobile expense-report instructions |
| BQE CORE Mobile | Help documentation describes OCR prefill followed by selection of a project and expense item. | The cited documentation does not establish an end-to-end construction job-cost workflow. BQE CORE Mobile instructions |
| Field Materials | The vendor describes construction-focused receipt capture, optional job and cost-code tagging, automated coding, and ERP posting after approval. | Verify supported accounting connections, how coding is assigned, and commercial terms directly. Product information |
| Ramp | The vendor describes construction job and cost-code selection, receipt capture, and approval routing. | Verify accounting integration, controls, and current plan for the organization. Construction product information |
The reviewed documentation does not establish comparable performance for poor-connectivity use, extraction of line items or handwritten job numbers, duplicate handling, language support across products, or whether each integration preserves attachments and all coding dimensions. Ask vendors to demonstrate those exact cases in the intended configuration rather than treating a general OCR or automation claim as proof.
How to compare options for your operation
Compare the configured workflows, not just product names or a headline automation claim. First, ask what the OCR actually extracts: merchant, date, and total are documented for Microsoft, but the available documentation does not establish consistent line-item, tax, handwritten job-number, equipment-number, or delivery-ticket extraction across products. Separate fields read from an image from fields the worker selects or rules populate.

Next, walk through construction coding. Can the worker choose the project, cost code or phase, expense category or GL account, equipment, and task? Are defaults visible and confirmable? Are choices filtered to relevant jobs and codes? Can split purchases retain item-level allocations? Then test transaction matching, duplicate handling, and the exception path: who sees an unmatched charge, and can that reviewer inspect the image, memo, coding, and approval history together?

Finally, trace an approved expense into the accounting or ERP system. Confirm which integrations are supported, whether attachments and coding dimensions remain available, and what configuration or add-ins are required. Ask about geography, language, mobile-device requirements, subscription tier, and commercial terms. Comparable pricing, poor-connectivity behavior, and consistent feature availability among the options are not established by the available documentation, so obtain current answers for the intended deployment rather than assuming those details from a product category.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Set validation rules and an exception queue
Require or confirm the fields that drive job cost
- Make project/job and cost code mandatory for direct job costs, unless a validated default is shown to and confirmed by the user.
- Use the company’s current job and cost-code structure; retire stale choices and check that selections map to the intended accounting dimensions.
- Require task, equipment, GL account, or line-item allocation only where the organization actually uses them, but do not silently discard them when needed.
- Require a memo or ticket number for transactions whose purpose or delivery context cannot be established from the receipt alone.
- Define how tax, currency, and a missing or unreadable total are corrected or reviewed; do not let an uncertain field pass simply because other OCR fields were populated.
Send uncertain records to a person
Define exception conditions before enabling automatic posting. Examples include a missing or unreadable total, absent job or cost code, an unmatched card transaction, duplicate image, unclear tax, unusually large amount, or a receipt whose items need allocation across codes. An exception queue should expose the original image and all entered context so the reviewer can resolve the issue without asking the field worker to reconstruct it from memory.
Keep the approval decision tied to the evidence reviewed. If a reviewer changes a job, cost code, or amount, the final record should remain associated with the receipt and approval history. The sources establish the importance of retaining those relationships as practical workflow controls, but do not establish that every product presents a full change history in the same way; verify it in a demonstration.
Test the real field conditions before rollout
Use actual receipts from the company’s vendors and crews to test faded or crumpled paper, long receipts, split purchases, delivery tickets, and the connectivity conditions workers encounter. Check both extraction and the downstream record: image attachment, job and code values, memo, approval trail, and accounting transfer. These are prudent pilot cases; no comparative product tests or performance results are established here.
Implementation sequence for a construction team
- Map the coding dimensions. Identify which purchases need a job, cost code or phase, expense category or GL account, equipment, task, ticket number, or item split. Specify when each is required.
- Configure mobile capture. Set up the supported receipt workflow and confirm required add-ins, app configuration, device support, and geographic availability. Microsoft’s OCR feature, for example, has documented configuration and regional constraints, so check current status for your deployment.
- Set defaults and safeguards. Filter choices where possible; require or visibly confirm job and cost-code defaults. Decide which records can post automatically and which must enter review.
- Run a field pilot. Include workers, material receipts, card purchases, and the edge cases that matter to your operation. Confirm users can attach the image and enter field context without losing the ticket or task relationship.
- Reconcile end to end. Follow sample records from phone capture through approval and accounting/ERP receipt. Verify that the right image, coding, transaction association, and approval history remain linked.
- Train and monitor. Show field users how to correct OCR, select the correct job and code, add a memo, and resolve duplicate or unmatched transactions. Review exception patterns and update rules rather than loosening controls to clear the queue.
During the pilot, compare what the user entered with what the accounting destination received. Include at least one record that needs correction and one record that should be routed for review, not just a clean receipt that OCR can read. The point is to verify that the workflow handles imperfect evidence and retains the field explanation through approval.

Common failure modes and practical fixes
| Problem | Why it matters | Control or recovery |
|---|---|---|
| OCR total or date is wrong | A misread value can flow into an expense record despite a legible receipt image. | Allow edits against the image and route missing or uncertain values for review. |
| Expense has a generic category but no job or cost code | The transaction may be recorded without usable project-cost allocation. | Require or visibly confirm job and cost code for direct job costs before approval or posting. |
| Delivery context is lost | A total alone may not identify which delivery, task, or materials the receipt supports. | Capture the ticket number and a concise task or materials memo at receipt time. |
| One receipt covers multiple cost codes | A single lump sum can conceal the allocation needed by project managers. | Capture item-level detail or split the expense under the organization’s accounting rules, retaining the original image. |
| Receipt and card transaction are duplicated or unmatched | Separate records can lead to duplicate expense entries or unresolved charges. | Use receipt matching where supported and provide a review path for duplicates and unmatched transactions. |
| Approved data reaches accounting without the evidence | Reviewers downstream may be unable to verify the expense or coding. | Test the integration to confirm attachments, dimensions, and approval details transfer or remain accessible. |
| Feature is unavailable in the intended region or configuration | A workflow designed around an OCR feature may not work for the organization’s deployment. | Confirm regional availability, required add-ins, and configuration before rollout; Microsoft’s cited OCR documentation notes geographic limits. |
Frequently Asked Questions
Can OCR automatically assign a construction receipt to the right job and cost code?
Do not assume so. The documented Microsoft OCR fields are merchant, date, and total. Job, cost code or phase, task, equipment, and GL coding need user selection, validated rules, or another configured process. Review the image and validate the construction dimensions before posting.
What should a field worker enter when submitting a material receipt?
Capture or select the vendor and cost code, and include the project plus any task or delivery-ticket number the workflow supports. Smart Construction Field’s instructions require vendor and cost-code selection, make task optional, and allow a delivery-ticket number when present. Add a short memo when the receipt alone does not explain the materials or purpose.
What happens when OCR reads a receipt incorrectly or misses a field?
The user should be able to inspect the image and correct extracted values. Route missing totals, uncertain tax, unreadable images, and other incomplete records to an approver or accounting reviewer instead of treating OCR output as verified.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesShould a receipt be matched to a card transaction or entered as a new expense?
Use the workflow that fits the record: Microsoft documents both matching a receipt to an existing expense and creating an expense from a receipt. Where card activity is available, match the image to the corresponding transaction and send unmatched or duplicate entries for review.
Which details should remain attached through accounting or ERP transfer?
Keep the receipt image linked to the expense, with the job and cost-code dimensions, any useful task, equipment, item allocation, delivery-ticket or memo context, card transaction association, and approval record where those apply. Test the intended integration to confirm which details transfer or remain accessible.
How much do construction receipt-capture tools cost, and which one is best?
Comparable pricing or a best-performing product is not established by the available documentation. Ask vendors for current commercial terms and test the fields, coding, mobile workflow, regional availability, integrations, attachment retention, and exception handling in the configuration your team would use.
The Bottom Line
Use OCR to reduce retyping, not to replace field judgment. Capture receipts promptly, require or visibly confirm job and cost-code assignments, preserve ticket, task, item, and memo context, and keep the original image linked through approval and accounting transfer. Pilot the full workflow—including corrections and exceptions—before enabling automatic posting.
