How often should facilities teams update building reality-capture scans?

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For owners using reality capture to support baseline conditions, operations, and capital planning, start with two scans per year and add a scan whenever a material physical change affects the represented spaces or systems. That cadence comes from the Digital Twin Consortium’s tenant-improvement guidance and is a practical benchmark, not a universal rule. The defensible interval for any facility depends on how quickly conditions change, how much stale geometry could compromise a decision, the accuracy and coverage required, and the cost and disruption of capture.

How often should a building be rescanned?

Use a decision-led policy rather than treating scanning as a calendar exercise. A building that changes slowly and is used mainly for broad space planning may remain useful with less frequent full capture than a hospital renovation floor, a laboratory, or a high-turnover tenant-improvement program. Conversely, a site undergoing active work may need several targeted captures between routine owner updates.

The Digital Twin Consortium’s tenant-improvement guide lists owner collection frequency as “Bi-Annually or when physical changes occur” for reality capture used for baseline conditions, operations, and capital planning. Read “bi-annually” as twice per year in this context. It is a starting point for similar owner workflows, not a measured optimum and not a binding requirement for every building, country, or use case.

There is no single interval supported across all facilities. UK government digital-twin guidance says a representation should communicate in a timeframe appropriate to the decisions and assumptions it supports. UK asset-data guidance leaves the frequency of regular verification sampling to the organization. Together, those principles mean the scan must be current enough for its intended decisions, while the organization documents why its chosen interval is proportionate.

Four triggers that should govern your schedule

1. Establish a baseline when reliable geometry is needed

Capture an initial baseline when existing geometry and visible conditions are needed for operations, space planning, capital planning, a renovation, or another defined decision. Before commissioning the work, identify the spaces, systems, and objects that matter and specify the required accuracy, coverage, coordinate system, and deliverable. A scan with insufficient scope or accuracy is not made useful by repeating it more often.

2. Use twice-yearly updates as an owner benchmark

For an owner workflow similar to the Digital Twin Consortium tenant-improvement example, schedule a broad update every six months. Keep the interval stable enough that successive datasets can be compared, and plan access, safety controls, registration, storage, and review in advance. If a six-month capture repeatedly finds little change and decisions tolerate older geometry, the interval can be reconsidered through a documented review. If conditions change materially between captures, the event trigger takes priority over the calendar.

3. Capture after material physical changes

Add a scan when construction, tenant work, equipment relocation, demolition, or another physical change alters the areas or systems represented in the model. “Material” should be defined in terms of the decisions at risk: a moved wall, rerouted service, changed egress route, relocated major asset, or concealed installation can matter even when the affected area is small. The trigger is the change’s effect on the record, not the project’s invoice value.

4. Keep asset records current between full scans

Routine change control and maintenance records should update associated asset information as work occurs. Record the change reason and date, identify affected assets or spaces, and check the record before upload. This prevents a full reality-capture scan from becoming the only way to learn that a component was replaced. The available guidance does not set a universal threshold at which every minor maintenance action must become a new scan; use the risk and geometry test in your local policy.

Fixed schedule or event-based capture?

Most facilities need both. A fixed schedule provides a predictable owner review, while event triggers protect the record during periods of rapid change. Compare the options against the same five questions:

  • Rate and materiality of change: How often do walls, services, equipment, finishes, or access routes change, and which changes affect decisions?
  • Decision risk: What could go wrong if a maintenance, safety, space-planning, capital-planning, or project decision relies on stale geometry?
  • Accuracy and coverage: Does the intended use require survey-grade geometry, coordinated point clouds, visual evidence, or only selected asset attributes?
  • Capture burden: What are the cost, access restrictions, safety controls, shutdowns, registration effort, and operational disruption?
  • Interim data control: Can changes be reliably documented and verified between full captures?

A low-change office may use the twice-yearly benchmark as a review point and trigger targeted work only after significant alterations. A construction-heavy site may retain the review point but add captures at project milestones. The policy should state who can declare a change material and who approves a temporary increase in frequency.

Construction and renovation: when to scan

Before work hides existing conditions

For renovation and construction documentation, capture relevant conditions before they are covered or demolished. This is particularly important for ceilings, risers, walls, slabs, and service routes that will become inaccessible. GSA guidance distinguishes existing-condition, hidden-condition, and construction-documentation uses; each requires a scope and accuracy appropriate to the question being answered.

After selective demolition exposes hidden conditions

If the project needs information behind finishes or partitions, a second capture can follow selective demolition. Treat it as a targeted investigation rather than assuming the original baseline reveals concealed work. Define the newly exposed areas, control points, tolerances, and the decision the scan will support.

At agreed installation milestones

Capture installed or as-built conditions at milestones agreed by the owner, designer, and contractor, especially before subsequent work conceals them. The useful milestone is the last point at which the relevant geometry is visible and accessible, not necessarily practical completion. Keep the milestone naming consistent so later users can distinguish pre-work, exposed-condition, installed-condition, and final records.

After handover and tenant changes

At handover, establish which dataset is authoritative for operations and which files are retained as project evidence. A subsequent tenant-improvement project should trigger a new baseline for the affected area rather than relying on a building-wide scan that predates the work.

How to set a defensible cadence step by step

  1. Write the decisions first. List the maintenance, safety, space, capital, compliance, and project decisions that will use the capture. State the consequence of an outdated record for each one.
  2. Map the scope. Identify buildings, floors, rooms, circulation, plant areas, envelope zones, and assets included in the representation. Mark exclusions explicitly so users do not assume unscanned areas are current.
  3. Set accuracy and registration requirements. Specify tolerances, coordinate reference, control points, coverage, file formats, and required metadata. The Digital Twin Consortium notes that control points, equipment stability and quality, scanning-system precision and path, and sensor resolution and accuracy affect results.
  4. Classify physical changes. Define changes that require a targeted scan, a full-building capture, or only an asset-record update. Include examples relevant to your site, such as wall moves, major equipment replacement, service rerouting, or concealed work.
  5. Choose the routine review interval. Use twice per year as the cited owner benchmark where it fits the decisions and change rate. Set a different interval only after documenting the reason, risk controls, and evidence that interim records remain trustworthy.
  6. Assign event ownership. Require the project manager, facilities lead, or change-control owner to notify the capture coordinator before a material change is concealed or commissioned. Put the trigger in work-package checklists and permit-to-work or handover procedures.
  7. Plan quality assurance. Check registration, control, coverage, occlusions, accuracy, naming, coordinate alignment, and metadata before publishing. Reject or qualify a dataset that cannot support the stated use.
  8. Review the policy after each cycle. Compare planned and actual changes, missed triggers, user complaints, and capture disruption. Adjust scope or frequency when the decisions, assumptions, or physical conditions change.

Cadence choices at a glance

Capture approach When it fits What it accomplishes
Twice per year Owner workflows for baseline conditions, operations, and capital planning similar to the Digital Twin Consortium tenant-improvement guide Provides a predictable broad update and comparison point
After material physical changes Construction, tenant improvements, relocations, demolition, service rerouting, or other changes affecting represented geometry Restores currency when the calendar alone would leave the record stale
Before concealment and at project milestones Renovation and construction documentation Preserves visible existing, hidden, and installed conditions at the useful point in the work
Change-controlled asset updates between scans Minor maintenance or component changes that do not alter decision-critical geometry Keeps associated records current without requiring a full capture for every work order
Organization-defined verification sampling Asset-data assurance programs where the governing guidance leaves sampling frequency to the organization Tests whether records remain reliable under the site’s documented risk and decision requirements

Choosing the capture technology

Technology should follow the required deliverable and frequency. The Digital Twin Consortium discusses terrestrial scanning and 360-degree cameras in capture workflows, but it also says project requirements and frequency should determine technology, cost, and final deliverables. A 360-degree camera can provide visual documentation and useful construction walkthroughs; it is not automatically equivalent to a survey-grade point cloud and should not be presented as suitable for every geometry-dependent task.

For repeat work, preserve enough consistency to compare datasets: use the same or compatible coordinate framework, establish control points, document scanner paths and field conditions, and retain registration and accuracy reports. Changes in equipment, sensor resolution, operator method, or route can look like building changes unless the method is controlled and recorded.

How maintenance records fit with rescanning

A replaced air-handling unit, valve, light fitting, or finish may require an asset-record update but not a full-building scan when its geometry is unchanged and the relevant decisions do not depend on a new measurement. Conversely, a “small” job that moves a partition, changes a clearance, reroutes a service, or affects an egress path can justify targeted capture because it changes spatial evidence.

Use a change record with the date, reason, affected location or asset, responsible party, source documents, and verification status. Link the record to the latest scan or model version in your information system. At the next routine review, sample these updates and confirm that the digital representation still matches field conditions.

When a cadence is too slow or too fast

Warning signs the interval is too slow

  • Users discover walls, equipment, routes, or access conditions that are absent from the current record.
  • Project teams repeatedly commission emergency verification before design or work begins.
  • Maintenance or safety decisions depend on unverified assumptions about concealed or relocated assets.
  • Change records accumulate without a reliable way to reconcile them to geometry.

Warning signs the interval is too fast

  • Repeated captures show no decision-relevant change while access disruption remains substantial.
  • Teams publish datasets without completing registration, accuracy, or metadata checks.
  • Capture work displaces higher-risk maintenance or project activities without improving decisions.

These signs do not prove that a particular number of scans is correct or incorrect. They indicate that the policy should be reviewed against decision risk, physical change, quality requirements, and operational burden.

Do not substitute condition-assessment cycles for scan cadence

HHS requires its land-holding operating divisions to perform a facility condition assessment at least once every five years, with desktop assessments in the off-years. That is an HHS policy for facility condition assessments by a defined group; it is not a general reality-capture schedule and should not be used to justify rescanning every building once in five years.

Likewise, a facility can satisfy a condition-assessment requirement while its geometric record is too old for a renovation, safety review, or space decision. Keep the condition-assessment program and the reality-capture policy aligned where useful, but manage them as different evidence streams with different purposes.

A practical policy statement

An owner can make the approach operational with a statement such as: “Maintain asset and change records continuously. Review the building representation at least twice each year for the defined owner use. Capture the affected areas, or the full building when required by scope and accuracy, after any material physical change. For construction, capture relevant conditions before concealment and at agreed installed-condition milestones. Reassess the interval whenever decision needs, physical change rate, accuracy requirements, or capture burden changes.”

The statement becomes defensible when its scope, accuracy, triggers, responsibilities, quality checks, and review evidence are stored with the facility information. It also makes clear why a scan was commissioned, what it covers, and when users should seek verification instead of assuming that the latest file is current everywhere.
