A 2012 case at Ohio State University Medical Center shows the approach: five students trained in Revit began converting AutoCAD drawings for a reported 55-building, 5.7-million-square-foot portfolio. The team was already using early models for emergency-room renovation presentations and donor-sign placement, while energy analysis, maintenance planning, laser scanning and wayfinding remained prospective or exploratory uses.
The account was published by Building Design + Construction on January 3, 2012. It describes a project then under way, not a verified account of the Medical Center’s current inventory, completion, operating savings or long-term return. That distinction matters when using the case to plan BIM for an existing portfolio today.

What “BIM for existing buildings” means
New construction teams can create a model before a building exists. Existing-building BIM starts with imperfect evidence: old CAD files, paper records, field observations, photographs, maintenance notes and, where necessary, new surveys or scans. The objective is not to redraw every line for its own sake. It is to create a coordinated information set that answers decisions about renovation, operations, maintenance, energy and occupant movement.

A wall can carry type, location and dimensions; a roof can be associated with an area and maintenance history; a room can be related to a department, finish schedule or equipment context. The reliability of every conclusion depends on the quality and currency of the underlying evidence.

The Ohio State Medical Center report is valuable because it treats BIM as a portfolio and facility-management tool rather than only a design deliverable. It also shows an important sequence: visual communication produced immediate value, while more data-intensive operational applications were still being considered.
The Ohio State Medical Center project reported in 2012
The Medical Center began its conversion effort after the project kicked off in spring 2011. According to the January 3, 2012 report, the intended scope was 55 buildings totaling 5.7 million square feet. Five students were trained in Revit and started converting the Medical Center’s AutoCAD drawings. Those figures describe the reported plan at that time; they are not a current building count or a confirmed final scope.
| Reported item | What the 2012 account says | How to interpret it |
|---|---|---|
| Portfolio | 55 buildings | Planned project scope reported in 2012, not a current inventory |
| Area | 5.7 million square feet | Reported area for that effort, not a present-day measurement |
| Conversion team | Five students trained in Revit | Staffing described at project launch; no later staffing outcome is established |
| Source date | January 3, 2012 | Historical case study of work then under way |
The planned model content went beyond floor plans. The team intended to add building exteriors, roofs, window placement, heights and volumes, ceilings and floors, along with geographic information system (GIS) location data. In a portfolio this large, that combination can connect a building-level view with site and campus information, but only if naming, coordinates and data fields are managed consistently.

How to convert legacy drawings into a useful model
The Medical Center case does not publish a universal method or a software-neutral specification. The following workflow translates the case into practical planning steps; it is a way to organize an existing-building effort, not a claim that every step was completed in Columbus.
- Define the decisions the model must support. Start with renovation approvals, sign placement, space management, maintenance scheduling, energy studies or wayfinding. A model intended for a quick visualization needs different information from one intended to drive a preventive-maintenance database.
- Inventory the evidence. Gather AutoCAD files, record drawings, renovation documents, equipment schedules, room lists, GIS layers and known survey data. Record the drawing date, discipline, building and confidence level. Do not treat an old plan as proof of current conditions.
- Set a building and portfolio information standard. Establish file naming, levels, room and asset identifiers, coordinate systems, units and required parameters before multiple people model. Consistency is what lets a campus team compare buildings later.
- Choose the required geometric detail. Model what affects the decisions being made. Exterior massing, roofs, windows, ceilings and floors may be enough for a portfolio view; a renovation or equipment-clearance study may require more detailed rooms, assemblies and services.
- Convert and enrich the drawings. Rebuild the relevant two-dimensional information as model elements, then add attributes such as location, height, volume, finish or asset identifier. Keep a record of assumptions and unresolved discrepancies instead of silently guessing.
- Check the model against the building. Compare plans with field observations and current project documents. Where room geometry, equipment congestion or critical dimensions matter, plan a measured survey or laser scan. Scan data can reveal conditions that drawings omit, but it still requires interpretation and quality control.
- Test a small, decision-focused pilot. Use one renovation, one exterior decision or one operational question to prove that the model answers a real need. The report’s early emergency-room and donor-sign uses illustrate this kind of focused proof.
- Publish and maintain the information. Assign ownership for updates after renovations, moves, replacements and demolitions. A model that is accurate only on its creation date will quickly become another unreliable record.
What information belongs in an existing-building BIM?
The 2012 plan identified several categories explicitly:
Rank #2
- Ergonomically Designed: Work in tight areas with a compact design that gets into tough spots
- Both tools are designed to fit into difficult to reach spaces
- Complete a wide range of applications with a high-performance motor that delivers up to 300 UWO, and an impact driver delivering up to 1,400 in-lbs of torque
- Both the DEWALT impact driver and drill driver feature integrated LED work lights with a convenient 20-second delay, ensuring enhanced visibility in dimly lit or challenging work areas
- One-Handed Loading - Keep one hand free with a 1/4 in. hex chuck that accepts 1 in. bit tips
- Building envelope: exteriors, roofs, window placement, heights and volumes.
- Interior construction: ceilings and floors, with additional room information added as the use case requires.
- Location: GIS data tying each building to the wider campus or site.
Those categories should be treated as a starting set, not an automatic requirement for every building. For example, a wayfinding study needs trustworthy room names, entrances, corridors and destination relationships. A carpet-replacement schedule needs finish types, areas and replacement dates. An energy comparison needs enough envelope, system and operating information to make assumptions visible. Adding fields that nobody will maintain creates the appearance of completeness without improving decisions.
Uses the team was already testing
Emergency-room renovation visualization
For an emergency-room renovation, the team produced renderings and a video walkthrough so senior leaders could see different design possibilities. This is an immediate benefit of converting flat drawings: decision-makers can evaluate spatial consequences before construction documents are complete. The report does not quantify approval time, cost avoidance or construction savings from this presentation.

An existing exterior model allowed the team to show several locations for a donor recognition sign. Joe Porostosky, then manager of facilities information and technology services, said, “Our staff was just amazed at how quickly we could move the sign around and show them what that space would look like.” The example demonstrates a small decision made faster through a shared visual reference; it is not evidence of a measured financial return.
Porostosky also said, “We started using the BIM models much quicker than we expected,” referring to these early applications. That observation is a contemporaneous statement about the project in 2012, not a guarantee that every planned application was operational.
Applications described as planned or exploratory
The report distinguishes between uses already demonstrated and ideas the team was considering. Keeping that distinction prevents a historical case from being read as a completed capability list.

| Potential use | How it was described | What a current planner should verify |
|---|---|---|
| Energy analysis | A way to compare upgrades across buildings when budgets are limited; the university stated that renovations should attempt to reach at least LEED Silver. | Whether the model has reliable envelope, system, occupancy and utility data, and how scenarios will be calibrated. |
| Maintenance scheduling | Considered for finishes such as carpet and tile. | Who owns finish records, replacement dates and work-order links, and how changes will be kept current. |
| Laser scanning | Being considered for equipment-heavy rooms so engineers could see machinery in context. | Which rooms need measured geometry, what accuracy is required and how scan data will be incorporated and checked. |
| Wayfinding | Explored through rendered routes, hallway-width analysis and identification of congestion points. | Current circulation, accessibility requirements, entrance data and observed movement patterns. |
Brian Skripac, identified in the article as DesignGroup’s BIM director, called the energy-analysis aspect “pretty exciting” and “really one of the most important aspects of the project.” That is an attributed 2012 assessment of potential importance, not a reported energy result. The article also notes that 34% of the Medical Center’s 1.8 million annual visitors required wayfinding help. That figure explains why navigation was a compelling target; it does not show that BIM had already reduced assistance requests.
Porostosky described the broader question this way: “The more we get into it, the more we’re finding other values: Now that we have all this data, what can we do with it? For example, how can we improve our wayfinding using BIM?” The wording captures an exploratory stage: data creates options, but each option still needs a defined workflow, owner and measure of success.

How large and diverse is the portfolio?
Count buildings, area, age, construction types, active renovations and critical departments. A hospital, laboratory or utility building may need different survey and information requirements from an administrative building. Group buildings into repeatable packages so standards can be tested without assuming that one template fits every facility.
How trustworthy are the existing drawings?
Check revision dates, missing sheets, conflicting plans, undocumented remodels and differences between architectural, structural and engineering files. Rate confidence by building and by data category. If a renovation decision depends on a dimension, verify that dimension in the field rather than inheriting it unquestioned.
What decisions justify the work?
Write a short use-case statement for each priority: “select an emergency-room layout,” “compare envelope upgrades,” “schedule finish replacement,” or “find an accessible route.” Define the output, the people who will use it, the update trigger and the metric that will show whether it helped.

What level of detail is enough?
More detail increases modeling, checking and maintenance effort. A portfolio massing model may need only reliable footprints, heights, volumes and locations. A renovation model may need room boundaries, doors, ceilings, finishes and equipment clearances. Set acceptance criteria before production so teams do not spend time modeling information that cannot support a decision.
Who will model and maintain it?
The reported project used five students trained in Revit, but the article does not establish a staffing formula for other owners. Plan for training, supervision, quality control, facilities subject-matter experts and an owner for future updates. Decide how consultants’ renovation models will be accepted and merged into the operational record.
Is new survey or scan data necessary?
Use existing records where their accuracy is adequate, and target surveys or scans at high-risk spaces: equipment rooms, congested corridors, areas with repeated remodels and locations where a wrong dimension would change a design. Define tolerances, file formats, registration responsibility and the process for turning point-cloud observations into maintainable model elements.
What will the effort cost to operate?
The 2012 account reports no project cost savings, quantified operational return or final business case. A responsible plan therefore budgets not only conversion labor but also verification, software, storage, training, data governance and updates. Treat benefits such as faster approvals or clearer wayfinding as hypotheses until the owner measures them.
Common failure modes and practical safeguards
- Modeling without a decision: A visually impressive model may answer no operational question. Tie each modeled category to a named use case.
- False precision: Clean geometry can conceal uncertain dimensions. Store source dates, confidence and assumptions, and flag items requiring field verification.
- Inconsistent portfolio data: Different room names, levels or coordinates make campus-wide analysis unreliable. Publish a shared standard before parallel production.
- Scan overload: Capturing everything produces large datasets that nobody maintains. Scan where geometry changes a decision, then establish a handoff from scan to verified model.
- One-time delivery: Renovations and replacements quickly invalidate a static model. Connect updates to project closeout, work orders and facilities change-control procedures.
- Overclaiming benefits: The Ohio State report describes early visual uses and future possibilities, not measured savings. Set a baseline and collect evidence before claiming energy, labor or navigation improvements.
What this historical case demonstrates—and what it does not
The 2012 Ohio State Medical Center effort demonstrates that BIM for existing buildings can begin with legacy AutoCAD drawings, expand across a very large portfolio and produce useful visual decisions before every advanced data application is ready. It also shows why portfolio BIM is as much an information-management program as a modeling exercise: location, naming, verification, ownership and maintenance determine whether the model remains useful.
It does not establish the Medical Center’s current building count, whether the full 55-building conversion was completed, what it cost, or whether energy, maintenance or wayfinding benefits were ultimately measured. Those facts would require current project records beyond the January 3, 2012 trade-publication account. For an owner planning similar work, the sound lesson is to begin with a defined decision, match model detail to that decision, verify uncertain existing conditions and measure results rather than assuming that a BIM file is itself a return on investment.
