Plant exchange programs range from a one-day neighborhood plant swap to ongoing seed-sharing networks and institution-only botanical exchanges. For gardeners, the simplest format is a clearly labeled local event; for native seeds, responsible sharing also means checking where the seed came from and whether it is appropriate to grow or move in your area.
Choose the exchange format that fits your group
Before inviting participants, decide whether you want a single public event, a continuing community network, or an institutional exchange. These formats differ in who can take part, what they exchange, and how material is documented.

BGCI distinguishes Index Seminum, used chiefly for annual seed catalogues, from PlantConnect, which supports more ad hoc exchange and is not limited to seeds. Both are described as tools for bona fide botanical institutions: BGCI tools and resources.
How to organize a local plant or seed swap
1. Set the scope and ground rules
Say whether the event accepts seeds, live plants, or both; what participants need to bring; and whether any material is excluded. Ask contributors to identify items as accurately as possible and include useful growing information. For a native plant seed swap, ask where the material was collected or grown rather than relying on a “native” label alone.

2. Make browsing and taking material clear
Arrange contributions so people can compare them, and explain how participants may take material home. A token system is one example used at a public garden event, not a universal requirement. A simpler gathering can use a clearly explained one-for-one exchange or another arrangement suited to the group.
3. Prepare optional labeling supplies
Seed envelopes or packets can help keep contributions separate and labeled. Packet making was part of the Botanic Gardens South Australia event; it does not establish that any particular product or brand is necessary. Add the plant name and any known source or locality details to each packet.

4. Check local rules before collecting or moving material
Collection, possession, shipping, quarantine, and protected-species rules vary by place and species. Check with the relevant local authority before collecting or moving plant material; there is no single rule set established here for all community swaps. If you are not sure that material may be shared, leave it out until you have confirmed the requirements.
Share native seeds with attention to provenance
Native species are not automatically suitable for every location. Ask contributors to record the species name, where the seed came from, and any growing information they know. That context helps recipients make an informed choice and helps avoid treating all seed of a native species as interchangeable.

The New Zealand Department of Conservation recommends eco-sourcing and cautions against collecting seed from planted areas or places where nearby garden plants may have cross-pollinated. Organizers elsewhere should consult local conservation agencies, extension services, or native-plant organizations for region-specific advice.
What swaps can—and cannot—promise
Sharing can make seeds available and give neighbors an occasion to participate in gardening together. A swap may also reduce what a participant needs to buy, but the cited examples do not establish a dollar saving or show that every participant saves money. Treat reduced spending as a possible practical benefit, not a guaranteed result.

Likewise, the available examples do not prove that swaps always increase biodiversity or succeed. Clear identification, locally appropriate material, and realistic expectations make an event more useful without promising outcomes it cannot ensure.

It includes prior informed consent, mutually agreed terms, and tracking of material provenance: BGCI’s IPEN information. This framework is distinct from an ordinary neighborhood swap; a community event should not claim IPEN membership or compliance unless it genuinely has that status.
