Set your chair so your feet are supported, your lower back can rest against the backrest, and the seat supports your thighs without pressing behind your knees. Then position the keyboard, mouse, and monitor so you can work without reaching or leaning. The goal is a comfortable, supported working posture—not holding one rigid pose all day.
How to set up your chair
- Adjust chair height. Aim to rest the whole sole of each foot on the floor. OSHA’s fit cues include keeping the back of the knee slightly higher than the seat; its general posture guidance also places the knees about level with the hips, with the feet slightly forward. Treat these as practical cues, not exact angles every body must match. OSHA’s chair guidance and good working positions describe these adjustments.
- Set the backrest. Sit back and adjust the backrest so its curve supports the small of your back without forcing you into an uncomfortable position. If your chair has no lumbar support, OSHA suggests a rolled towel or removable back-support cushion as a temporary measure. OSHA’s chair guidance
- Adjust seat depth. Support most of your thigh while leaving space between the seat’s front edge and the back of your knee. A seat that is too deep can press behind the knees and make it harder to sit back; a seat that is too shallow provides less thigh support. OSHA’s chair guidance
- Relax your shoulders and position your arms. Keep your upper arms near your sides and your elbows close to your body. Keep your hands, wrists, and forearms roughly straight and parallel to the floor. OSHA describes elbows bent between 90 and 120 degrees as a neutral-position cue. OSHA’s posture guidance
- Bring the screen and input devices into reach. Place the monitor in front of you so you can read it with your head and torso upright and your back supported. Keep the keyboard and mouse close enough that you do not need to reach. A monitor position change may mean revisiting your chair or desk settings. OSHA’s posture guidance and monitor guidance
What to adjust when something does not fit
Your feet do not reach the floor
If lowering the chair would make your keyboard or monitor uncomfortably high, keep the workstation at a workable height and use a stable footrest to support your feet. The Canadian Centre for Occupational Health and Safety recommends a footrest when feet cannot rest flat on the floor. CCOHS guidance for a fixed-height desk
The seat presses behind your knees
Adjust the seat depth if possible. If the seat pan remains too long, consider a chair with a shorter or adjustable seat. Preserve both backrest contact and comfortable thigh support as you make the change. OSHA’s chair guidance
Your lower back is not supported
Reposition the backrest so it supports the small of your back while you sit back. If the chair cannot provide that support, OSHA describes a rolled towel or removable lumbar cushion as a temporary option. OSHA’s chair guidance

You lean forward or tilt your head to read
Reposition the monitor and adjust text size so you can view the screen without leaning or tilting your head. OSHA gives a preferred viewing distance of 20–40 inches (50–100 cm) as general guidance, not a universal personal prescription. OSHA’s monitor guidance
The desk restricts your legs
Check that you have enough clearance to move your legs after adjusting the chair. CCOHS advises against regularly using a workstation that does not provide enough legroom. CCOHS guidance for a fixed-height desk

Keep the setup adaptable
Chair, desk, keyboard, mouse, and monitor settings work together. If you change one, check whether you now need to reach, lean, or lose foot support, and adjust the others as needed. When choosing a chair, focus on whether its height, seat depth, backrest, and lumbar support can be fitted to you and your workstation; OSHA advises trying different chairs before purchase. Do not treat good posture as staying frozen. OSHA advises making small chair or backrest adjustments and stretching, standing, or walking periodically. Its guidance puts it plainly: “Regardless of how good your working posture is, working in the same posture or sitting still for prolonged periods is not healthy.” OSHA’s posture guidance
