How to Choose a Drinking Water Cooler for an Office or Home

Choose a water cooler by matching its water source, hourly capacity, temperature options, footprint, energy use, and filter maintenance to your home or office.

The best water cooler depends on how you’ll supply it, how many people will use it, and whether you need hot water, filtration, or minimal upkeep. A bottled cooler avoids plumbing work but requires bottle handling and resupply; a point-of-use (POU) cooler connects to a cold-water line and refills automatically. Compare those trade-offs, capacity, footprint, temperature options, and energy use before choosing.

Which water cooler is best for an office or home?

There is no one best configuration for every setting. A small household or a few users may be well served by a low-capacity unit, while a larger office should consider a high-capacity model that can keep up with peak demand. The ENERGY STAR water cooler buying guide describes high-capacity units as dispensing more than 10 six-ounce cups of cold water per hour or more than 41 six-ounce cups of hot water per hour. These are category thresholds, not universal sizing rules: consider how many people will use the cooler and when demand is concentrated.

  • For a home or small group: prioritize a suitable footprint and enough output for the number of users.
  • For a busy office: compare hot- and cold-water output with peak use, not just the number of people on the premises.
  • For limited floor space: consider a countertop unit, but check bottle compatibility and cooling performance. Countertop models can accommodate 2- to 5-gallon bottles; some have smaller compressors and may not chill water as much as freestanding units.

Should you get a bottled or bottleless water cooler?

These distinctions follow ENERGY STAR’s buyer guidance. A bottom-loading bottled unit reduces the need to lift a full bottle onto the top of the machine. Some conversion-type coolers ship with a kit that supports either bottled or POU operation, but confirm the exact configuration and installation requirements for the model you are considering.

How much capacity do you need?

Match output to both the number of users and the timing of use. An office may have modest daily consumption but still need higher hourly output if many people refill bottles or make hot drinks during the same break. ENERGY STAR’s high-capacity thresholds—more than 10 six-ounce cups of cold water or more than 41 six-ounce cups of hot water per hour—are useful category guidance, not a promise that a particular unit will suit every workplace.

For a small home or a handful of users, a low-capacity model may be adequate. If you are considering a countertop cooler, account for its available space and bottle size as well as chilling performance; a smaller compressor may provide less cooling than a freestanding unit.

Do you need hot, cold, and room-temperature water?

Coolers may dispense cold and hot water, and some also offer room-temperature water. Check which temperatures the specific unit provides and whether you can adjust them. Settings affect energy use, so paying for a function you rarely use may not make sense.

Hot-water models commonly use either a storage tank or on-demand heating. Storage keeps conditioned water ready, but the unit uses energy to maintain its temperature and periodically reheat or recool water. On-demand models heat water only when needed and, in ENERGY STAR’s description, use less energy; they can take a few minutes to deliver hot water. The choice is a trade-off between immediate availability, likely usage, and standby energy.

How should you compare energy efficiency?

Look for ENERGY STAR qualification and compare the applicable category rather than relying only on a general efficiency label. The program says certified water coolers use about 22 percent less energy than conventional models and estimates over $95 in lifetime energy savings versus standard models. It also estimates nearly $40 per year in savings for cold-only and cook-and-cold models versus standard models. These are ENERGY STAR estimates, not guaranteed savings for a particular home or office; the page does not state a publication year for them.

Those limits apply to the categories as listed by ENERGY STAR, not as a direct estimate of a unit’s total real-world bill. The same page estimates that, if all water coolers sold in the United States were ENERGY STAR certified, the country would save more than $250 million in energy costs each year and avoid more than 4.5 billion pounds of greenhouse-gas emissions—equated there to emissions from more than 440,000 vehicles. These are program-level projections, not individual savings forecasts.

Do you need a water cooler with a filter?

Filtration is optional and model-specific. Some POU coolers include filters to address taste or other water-quality concerns. ENERGY STAR describes activated carbon and reverse osmosis (RO) as different approaches; do not assume that every cooler filter treats the same substances or delivers the same result. Match the filter to the exact cooler, your water-quality objective, and the manufacturer’s replacement instructions.

EPA guidance recommends choosing a treatment system based on where treated water is needed and how much water is used, avoiding an oversized system, and accounting for recurring filter or membrane costs. RO has a specific water-use trade-off. EPA says a typical point-of-use RO system generates five gallons or more of reject water for every gallon of treated water. EPA also notes that a relevant certified POU RO system can potentially remove contaminants including lead, volatile organic compounds (VOCs), PFAS, arsenic, bacteria, and viruses. That capability is not a claim about all cooler filters: check the certification and contaminant claims for the particular system.

A practical checklist before buying

  • Choose bottled supply or a POU line connection based on your installation constraints and willingness to manage deliveries or plumbing.
  • Estimate peak hourly demand for both hot and cold water, then compare it with the unit’s stated capacity.
  • Check the temperatures offered, adjustable settings, and whether hot water is stored or heated on demand.
  • Compare ENERGY STAR qualification and the efficiency category that fits the unit.
  • Measure the intended location and confirm countertop or freestanding dimensions, loading method, and bottle compatibility.
  • If filtration matters, verify what the specific filter is certified to address, replacement interval and cost, and any RO reject-water trade-off.
