10 Ways to Immediately Improve Your Workstation Ergonomics

Start with free workstation changes: support your feet, center the monitor, bring input devices close, reduce glare, and vary your position throughout the day.

Most workstation improvements cost nothing. In the next two minutes, clear the desk, support your feet, center the monitor, bring the keyboard and mouse close, relax your shoulders, and change position. These steps can reduce awkward posture and fatigue, but they are not an instant cure for pain or a substitute for medical care.

Adjust the workstation in this order: chair and feet, keyboard and mouse, monitor, lighting, then movement habits. Changing one variable at a time makes it easier to identify what helps.

The two-minute workstation reset

  1. Clear equipment, bags, files, and boxes from the desk and under it.
  2. Set the chair so both feet are flat on the floor or on a stable footrest.
  3. Place the primary monitor directly in front of you.
  4. Bring the keyboard and mouse close enough that your elbows stay near your sides.
  5. Lower your shoulders, straighten your wrists, and take a brief movement break.

A neutral workstation generally has the head balanced over the torso, relaxed shoulders, elbows close to the body, forearms roughly parallel to the floor, straight wrists, supported lower back, supported feet, and enough room to move the legs. These are practical starting points, not rigid measurements that suit every body, task, desk, screen, or pair of glasses. See the OSHA workstation overview for the principles behind the adjustments.

1. Set the chair height and support your feet

The immediate change: Raise or lower the seat until both feet are fully supported and your knees are comfortable.

Keep your back in contact with the backrest. If the desk is fixed and you must raise the chair to get the keyboard to a workable height, use a stable footrest rather than letting your feet dangle. Your thighs should not be pressed sharply by the front edge of the seat, and you should not have to sit on the front edge while reaching for the keyboard.

If the chair cannot adjust: Change the work surface, use a keyboard tray, or add a footrest only when the remaining mismatch is foot support. A footrest cannot fix a desk that is too low or a desk that blocks legroom. The Canadian Centre for Occupational Health and Safety chair guide describes the chair, work surface, and floor as interacting contact areas.

Common mistake: Raising the chair to solve a high desk and forgetting the feet. Chair fit is individual; OSHA recommends trying a chair for fit rather than assuming a particular model works for everyone. See OSHA’s chair guidance.

2. Support your lower back without forcing your posture

The immediate change: Adjust the backrest or recline so your lower back is supported and you can sit comfortably without bracing yourself rigidly upright.

Armrests should be low enough for your shoulders to remain relaxed. Lower or remove them if they prevent the chair from approaching the desk. Armrests are optional aids, not a requirement: ones that are too high can make you shrug, while ones that are too wide can encourage reaching.

Correct feel: You should be supported, not held in one “perfect” position. Change position regularly rather than trying to maintain a stiff posture for hours.

3. Center the primary monitor

The immediate change: Put the screen you use most directly in front of you, not several inches to one side.

Turn your torso and chair toward the monitor rather than repeatedly twisting your neck. With two monitors, center the one used most; if both are used equally, a centered dual-monitor arrangement may work better.

Use an arm’s-length distance as a starting point. OSHA specifies at least about 20 inches, while NIH gives approximately 20–26 inches. Screen size, text size, eyesight, and desk depth may require adjustment. Check OSHA’s monitor guidance and NIH workstation guidance.

Common mistake: Raising a monitor on books without rechecking its distance. Any improvised riser must be stable and must not create a tipping hazard.

4. Set monitor height and reduce glare

The immediate change: Set the top of the screen at or slightly below eye level. The center will normally sit about 15–20 degrees below horizontal eye level.

If you tilt your head backward, the monitor is too high. If you bend your neck down to see it, it is too low. Bifocal and progressive-lens users may need a lower screen or computer-specific lenses if the usual position makes them tilt their head back.

Place the monitor perpendicular to windows, close blinds, and reposition lamps to reduce glare. Do not lean toward the screen to compensate for reflections. Larger screens may need greater viewing distance or more desk depth.

5. Bring the keyboard close and keep the wrists neutral

The immediate change: Place the keyboard directly in front of you and close enough that your elbows remain near your sides.

Set it around elbow height, with shoulders relaxed and forearms roughly parallel to the floor. Keep wrists straight and aligned with the forearms rather than bent upward, downward, or sideways. A flat or slight negative tilt may work better than raising the keyboard’s built-in feet; use whichever position preserves neutral wrists.

Leave enough room for the mouse beside the keyboard. A palm or wrist rest should support the palms during pauses, not force the wrists into extension while you type. Avoid sharp desk edges that press into the forearms. See OSHA’s keyboard guidance.

Common mistake: Buying a split or curved keyboard while leaving the keyboard surface too high. Fix the height and reach first; a different layout is an optional experiment, not a guaranteed injury-prevention device.

6. Put the mouse beside the keyboard

The immediate change: Keep the mouse on the same surface, immediately adjacent to the keyboard and at approximately the same height.

Your elbow should stay close to your torso, with no repeated reach forward, outward, or across your body. Use keyboard shortcuts where practical and alternate tasks to reduce uninterrupted pointing.

A vertical mouse may reduce forearm rotation for some people, while a trackball can reduce whole-arm movement. Either can aggravate symptoms in some hands, and both require a suitable size and an adaptation period. A standard mouse is often fine when it fits and stays close. A touchpad may encourage reaching or shoulder elevation during long sessions.

Moving the mouse to the opposite side is an optional adaptation, not a rule. Stop if a new device or hand position causes pain. NIH recommends keeping the mouse adjacent to and at the same height as the keyboard; see its prevention guidance.

7. Fix laptop posture with separate input devices

The immediate change: Raise the laptop screen and connect an external keyboard and mouse for sustained work.

The laptop’s screen and built-in keyboard are attached, so you generally cannot place both at ideal heights. Raising only the laptop makes the keyboard too high; keeping the keyboard comfortable leaves the screen too low. A docking station can make a permanent arrangement easier, and OSHA includes docking stations in its laptop workstation purchasing guidance.

If no accessories are available, prioritize the posture causing the greatest discomfort and change position more frequently. Avoid long, uninterrupted laptop sessions on a couch, bed, or lap.

8. Clear the desk and create legroom

The immediate change: Remove unused equipment, paperwork, bags, storage, computer towers, and boxes from the active work area and beneath the desk.

Clutter can force the monitor or mouse into a poor position and prevent you from moving your feet. Keep frequently used items within easy reach, but do not crowd the keyboard and mouse. OSHA gives a general under-desk leg-clearance range of approximately 20–28 inches high; furniture and body dimensions vary, so the practical test is whether you can move your legs without contact pressure or twisting. 9. Improve text visibility and document placement

The immediate change: Increase text size or display scaling if you squint, lean forward, or bring your face toward the screen.

Clean the display and adjust brightness so it is not dramatically brighter or darker than the room. Reduce glare by changing the window, lamp, or monitor position rather than bending your neck.

When working from paper, place a document holder near the monitor and at approximately the same height and distance when practical. This reduces repeated downward head movement. Look away periodically and change focus distance. Mayo Clinic describes the 20-20-20 suggestion: about every 20 minutes, look at something at least 20 feet away for 20 seconds. Treat it as a practical eye-comfort habit, not a universal medical requirement.

10. Break up computer work and change position

The immediate change: Add frequent short pauses and vary the task or posture before discomfort builds.

Look away, stand, walk, stretch gently, or do a non-computer task. Alternate typing, reading, calls, and other work when possible. Supported sitting and standing can both be useful; standing rigidly all day is not automatically better. OSHA gives five minutes away from computer tasks every hour as an example, not a mandatory schedule. Its keyboard guidance also emphasizes frequent short pauses.

The target is less uninterrupted exposure, not a single perfect posture. If you use a sit-stand desk, alternate positions rather than treating it as a cure for pain.

Quick self-check

  • Can you see the screen without bending or extending your neck?
  • Is the primary monitor centered?
  • Are your shoulders relaxed and elbows close to your sides?
  • Are your wrists straight?
  • Are both feet supported?
  • Can you reach the mouse without leaning?
  • Can you move your legs freely?
  • Is glare making you squint?
  • Have you changed position recently?

Troubleshooting: match the fix to the mismatch

Problem Try first
Desk too high Raise the chair and add a stable footrest, or use a keyboard tray.
Desk too low Raise the work surface or use a different desk; do not simply hunch over it.
Laptop screen too low Raise the screen and add an external keyboard and mouse.
Monitor lacks height adjustment Use a stable riser or compatible monitor arm.
Monitor too high Remove the riser or lower the arm; do not tilt your head backward.
Armrests hit the desk Lower or remove them so the chair can approach the desk.
Mouse causes shoulder strain Move it closer, reduce reaching, or test a different device.
Symptoms continue Undo the change that worsened them and seek qualified ergonomic or medical assessment.

When an accessory is actually justified

Buy an accessory to solve a specific mismatch, not because a product is labeled “ergonomic.” A footrest addresses unsupported feet after raising the chair. A monitor riser or arm addresses inadequate screen height. A keyboard tray addresses a work surface that is too high. A separate keyboard and mouse are the priority for a raised laptop. A different pointing device may be worth testing when correct placement does not resolve a particular hand or forearm problem.

For a chair, prioritize adjustability, seat depth, armrest range, back support, return policy, warranty, and the ability to try it. Price and brand do not guarantee fit. A sit-stand desk is most useful when you need more postural variation or cannot achieve a workable seated keyboard height, not when you expect standing alone to resolve pain. Check compatibility, clamp depth, monitor weight, VESA fit, and stability before buying a monitor arm.

Know when to stop self-adjusting

Ergonomics can reduce awkward posture, fatigue, and exposure to strain; it cannot diagnose or cure every cause of neck, shoulder, back, wrist, hand, eye, or leg discomfort. Stop an adjustment that clearly worsens symptoms, change one variable at a time, and obtain professional advice for persistent or worsening pain, significant weakness, loss of grip, swelling, symptoms after an injury, or numbness and tingling that does not resolve.
